UNIVERSITI PUTRA MALAYSIA INFORMATION ON THE 35th UPM CONVOCATION CEREMONY ---------------------------------------------------------------1. Date of Convocation Ceremony 1.

1 The 35th UPM Convocation Ceremony will be held at the Sultan Salahuddin Abdul Aziz Shah Cultural and Arts Centre, Universiti Putra Malaysia on: Date: 15th 19th October 2011 Days: Saturday, Sunday, Monday, Tuesday and Wednesday (9 sessions) For the latest information on the Convocation Ceremony including arrangement of graduands according to sessions and programmes (refer to Attachment 1), please refer to our website http://www.sgs.upm.edu.my. 2. Attendance 2.1 2.2 3. Fees 3.1 Graduands, whether or not they are attending the Convocation Ceremony, are required to pay the graduation fees amounting to RM200.00 The official payment receipt must be attached to Particular for Graduation (GS-17) from, which must be submitted to School of Graduate Studies. Certificate/Transcripts for graduands will only be released after all the necessary fees including the graduation fee and other debts (if any) are paid. Graduands must obey the attendance instructions that have been prescribed according to each session of the Convocation. Graduands are not allowed to defer the Convocation Ceremony or nominate others to attend the Convocation Ceremony on their behalf.

Academic Regalia: Loan and Return 4.1 Graduands are to ensure that the payment of the graduation fee has been made before picking up their academic regalia. Those who have been approved to collect their certificate/transcript prior to Convocation will have to return the certificate/transcript or else pay the deposit amounting to RM450.00 (for Master) or RM500.00 (for Ph.D) before picking up the academic regalia. Graduands are to ensure that the correct academic regalia (Ph.D or Master) is received in good condition. Graduands are not allowed to alter or amend any part of the academic regalia.

All academic regalia borrowed must be returned on or before 22nd October 2011 at the Central Academic Complex (Kompleks Akademik Pusat) before 4.15 p.m. (Please refer to the times and dates for the returning of the academic regalia stated in the album or scroll presented during the Convocation Ceremony) The University will charge a late fee penalty for any late returns starting 24th October 2011 (RM10.00 for the first day after the last date for returning the items and RM5.00 for each additional day). The penalty fee can be paid at the Customer Service Counter (Bendahari III) located at the ground floor of the Administrative Building, UPM, and the receipt must be presented upon returning the academic regalia.

All graduates are required to complete the Graduates Tracer Study 2011. System will be opened as of 23 September 2011 (Friday) are as follows: (a) Graduates Tracer Study (Ministry of Higher Education)

*Please print out both of the survey slips for verification by the Alumni Counter and bring along with you during picking up of your convocation robe. Failure to complete the survey, will cause inconvenience to both parties at the counter. 4.8 The University will not be responsible for any lost or damaged items.

Master Ph.D

The certificate will only be released after payment has been made. 5. Recommended Attire for The Convocation Ceremony 5.1 Ph.D, Master, Bachelor and Diploma graduands attending the ceremony are to be suitably attired. The suggested attire are as follows (refer to Diagram 1) :Ladies long dresses which cover until the ankles/maxi skirts, long sleeved shirts/blouses/suit and wearing the academic regalia. Colour (no restrictions) For those wearing the hijab, it should be light in colour so that it matches the faculty colours incorporated in the hood (Bachelor programme). Shoes must be dark coloured and covered at the front and back. Sport shoes/Slippers/Open back shoes/Shoes with bright or white in colour are NOT ALLOWED. Short skirts are NOT ALLOWED. The attire of Pantsuits is allowed. Face-covering attire or the niqab is prohibited. Long sleeve with collar, necktie and coat, dark trousers or dark lounge suit, dark shoes with stocking and wearing the academic regalia. Jeans and shorts are NOT ALLOWED. Sport shoes/Slippers/Shoes with bright or white in colour are NOT ALLOWED. Hair styles should be short and neat.

Men 5.2

The Convocation Ceremony is an official event. Graduands are reminded to abide to the dress code as stated above. Graduands not adhering to the dress code will NOT BE ALLOWED to enter in or join in the convocation parade or go up on stage for the presentation ceremony.

Invitation Cards 6.1 6.2 6.3 Invitation cards and other instructions will only be disseminated when graduands or their representatives arrive to pick up the academic regalia. The University is not responsible for lost invitation cards and they will not be replaced. Each graduand is given two (2) invitation cards for two guests to the attend the Convocation Ceremony at the Sultan Salahudin Abdul Aziz Shah Cultural and Arts Centre Hall (PKKSSAAS).

7.

Briefing and Rehearsals 7.1 A Convocation Briefing and Rehearsals Ceremony will be held at the Sultan Salahuddin Abdul Aziz Shah Cultural as information below:

12th October 2011 (Wednesday) at 9.00 a.m for graduands 1st, 2nd, 3rd, 4th and 5th Sessions (refer to Attachment 1); and 13th October 2011 (Thursday) at 9.00 a.m for graduands 6th, 7th, 8th and 9th Sessions (refer to Attachment 1)

All graduands are required to attend this session to familiarise themselves with the events that have been planned for the actual Convocation Ceremony. Failure to attend the briefing and rehearsal session may result in the University barring graduands from attending the 35th UPM Convocation Ceremony.

8.

Parade of Graduands on Convocation Day Parents and graduates who are involved in the Convocation Ceremony are reminded to park their vehicles at the parking area designated by the Security Division of UPM (refer Appendix 2). 8.1 Morning Session All graduands for the morning session are advised to convene at the car park of the Sultan Salahuddin Abdul Aziz Shah Cultural and Arts Centre, UPM by 7.30 a.m. The parade will commence at 8.00 a.m. 8.2 Afternoon Session All graduands for the afternoon session are advised to convene at the car park of the Sultan Salahuddin Abdul Aziz Shah Cultural and Arts Centre, UPM by 1.45 p.m. The parade will commence at 2.10 p.m. For Zohor prayer, Muslim graduands may choose to perform their prayer at several places such as the Administration Building, the left or the right alcoves of the Sultan Salahuddin Abdul Aziz Shah Cultural and Arts Centre itself or the UPM Mosque. 8.3 Graduands are reminded to congregate at the stipulated time and place. In order to avoid traffic congestion into the campus, graduands are encouraged to obey the instructions from the officers on duty that day. Graduands who are late will not be allowed in and be a part of the Convocation Ceremony. Parents and guests are advised to have breakfast first before entering the hall to ensure their health and wellbeing are taken care of during the proceedings of the Convocation Ceremony. Parents and guests are prohibited from bringing bouquets of flowers or souvenirs into the hall as they maydisrupt the seating arrangement of other guests. During the ceremony, graduands are required to follow all the rules and instructions from the officers in charge. Graduands and/or guests are not allowed to leave the hall until the ceremony is over.

Graduands guests may enter the Sultan Salahuddin Abdul Aziz Shah Cultural and Arts Centre hall through the doors that have been identified by the officers on duty. Children under 12, cameras, video recorders and handphones are not allowed to be brought into the Sultan Salahuddin Abdul Aziz Shah Cultural and Arts Centre hall during the Convocation Ceremony. Please follow the instructions on movement upon entering and leaving the PKKSSAAS hall as well as whilst in PKKSSAAS hall to avoid congestion and ease the flow of movement at the hall (refer Appendix 3).

Conferral Arrangement 10.1 The designation of rows and arrangement for seating for graduands during the ceremony will be decided by the Committee/Secretariat/Officers in charge. 10.2 Graduands will receive their albums/scrolls individually on the stage from the Chancellor or the Pro Chancellor or the Vice Chancellor.

11.

Collection of Certificate/Transcript 11.1 Graduands may collect their Bachelor Degree and Diploma scrolls/transcripts as soon as the convocation session is over. However, this depends on the followings:(a) Graduands may collect their degree certificate/transcript after returning the academic regalia to the University. (b) In the case of a graduand facing problems in collecting the scroll/transcript in person, the graduand may send his /her representative to collect it on his/her behalf. An authorisation letter will need to be written and signed by the graduand and addressed to Registrar, School of Graduate Studies, UPM stating the name and the identity card number of the representative. (c) The University is not responsible for lost or damaged scrolls/transcripts after they have been collected.

Tarikh Majlis Konvokesyen 1.1 Majlis Konvokesyen Universiti Putra Malaysia (UPM) Ke-35 akan diadakan di Pusat Kebudayaan dan Kesenian Sultan Salahuddin Abdul Aziz Shah (PKKSSAAS), UPM pada: Tarikh Hari : 15 hingga 19 Oktober 2011 : Sabtu, Ahad, Isnin, Selasa dan Rabu (9 sesi)

Graduan boleh menyemak sebarang maklumat dari semasa ke semasa mengenai Majlis Konvokesyen termasuk susunan graduan mengikut program dan sesi (rujuk Lampiran 1) melalui laman web rasmi Sekolah Pengajian Siswazah : http://www.sgs.upm.edu.my. 2. Kehadiran Graduan 2.1 Sebagaimana termaktub dalam Acara Konvokesyen UPM,PhD, Master, ijazah dan diploma hendaklah biasanya dikurniakan hanya kepada graduan yang hadir pada sesuatu Konvokesyen dengan syarat bahawa Senat boleh, dalam keadaan luar biasa, memutuskan supaya sesuatu Ijazah atau Diploma dikurniakan tanpa hadir. Graduan hendaklah mematuhi arahan kehadiran yang telah ditentukan mengikut sesi yang ditetapkan. Graduan tidak dibenarkan menangguhkan Majlis Konvokesyen ataupun mewakilkan kepada orang lain bagi menghadiri Majlis Konvokesyen.

Yuran Graduan 3.1 Graduan sama ada yang akan menghadiri Majlis Konvokesyen atau tidak adalah diwajibkan membayar yuran graduan sebanyak RM200.00. Resit Rasmi bayaran hendaklah dilampirkan kepada borang Maklumat untuk Bergraduat (GS-17) yang dikemukakan ke Sekolah Pengajian Siswazah. Sijil/Transkrip graduan hanya akan di keluarkan selepas segala yuran termasuk yuran graduan dan hutang tertunggak (jika ada) dijelaskan.

Pinjaman dan Pemulangan Pakaian Akademik 4.1 Graduan hendaklah terlebih dahulu membayar yuran graduan sebelum meminjam pakaian akademik. Graduan yang telah mendapat kebenaran mengambil sijil/transkrip sebelum Majlis Konvokesyen perlu memulangkan sijil/transkrip berkenaan atau membayar deposit sebanyak RM450.00 (Bagi Master) atau RM500.00 (bagi Ph.D) sebelum dibenarkan meminjam pakaian akademik. Graduan diminta memastikan: (a) (b) 4.3 4.4 Pakaian akademik yang diterima berada dalam keadaan baik dan sempurna;dan Jubah program pengajian adalah betul iaitu sama ada jubah Ph.D atau Master.

Graduan tidak dibenarkan meminda atau mengubahsuai mana-mana bahagian pakaian akademik yang dipinjam. Urusan peminjaman pakaian akademik akan dilaksanakan di Kompleks Akademik Pusat, UPM. Graduan juga kehendaki melengkapkan Kajian Pengesanan Graduan 2011 Secara On-line bermula 23 September 2011 (Jumaat) melalui 2 sistem kajian seperti berikut: (a) Sistem Kajian Pengesanan Graduan (Kementerian Pengajian Tinggi) (Laman Web: http://graduat.mohe.gov.my) (b) Sistem Kajian Pengesanan Graduan (Universiti Putra Malaysia) (Laman Web: http://www.alumni.upm.edu.my/tracer2011/index.php) * Sila cetak Kedua-dua Slip Pengesahan di laman terakhir borang kajian dan bawa bersama semasa minggu pengambilan jubah akademik untuk disemak dan disahkan di kaunter semakan (Kaunter Alumni). Kegagalan graduan mengemukakan slip pengesahan ini akan menyebabkan kerumitan semasa berurusan sepanjang minggu konvokesyen berlangsung.

Pakaian akademik yang dipinjam hendaklah dikembalikan semula pada atau selewatlewatnya 22 Oktober 2011 sebelum jam 4.15 petang di Kompleks Akademik Pusat. (Sila rujuk tarikh dan masa pemulangan pakaian akademik yang disertakan dalam album/skrol semasa hari konvokesyen).

Pihak Universiti akan mengenakan bayaran denda terhadap mereka yang lewat memulangkan pakaian akademik mulai 24 Oktober 2011 (Isnin) iaitu RM10.00 hari pertama selepas tarikh akhir pemulangan dan ditambah RM5.00 bagi setiap hari berikutnya. Bayaran denda hendaklah dibuat di Kaunter Pelanggan Bendahari III, Tingkat Bawah, Bangunan Pentadbiran, UPM dan resit bayaran hendaklah dikemukakan semasa memulangkan pakaian akademik. Pihak Universiti tidak akan bertanggungjawab atas sebarang kerosakan atau kehilangan pakaian akademik yang dipinjam oleh graduan. Jika pakaian akademik yang dipinjam itu rosak atau hilang, bayaran akan dikenakan dan skrol/transkrip tidak akan dikeluarkan sehingga bayaran tersebut dijelaskan. Pakaian Semasa Menghadiri Majlis Konvokesyen 5.1 Semua graduan yang menghadiri Majlis Konvokesyen hendaklah berpakaian seperti berikut (rujuk contoh di Gambarajah 1):Wanita - pakaian labuh hingga buku lali/skirt labuh, baju/blaus berlengan panjang dan lengkap menutup hingga ke leher/suit dan seterusnya memakai pakaian akademik. - Warna pakaian adalah bebas. - Bagi yang memakai tudung kepala, dicadangkan agar menggunakan tudung kepala warna cerah supaya mudah disesuaikan dengan warna hood fakulti masing-masing (program Bacelor). - Kasut hendaklah berwarna gelap dan bertutup pada bahagian hadapan dan belakang. - Kasut sukan/selipar/kasut yang terbuka di belakang/kasut berwarna cerah atau putih adalah TIDAK DIBENARKAN. - Skirt pendek TIDAK DIBENARKAN. - Pant suits adalah dibenarkan. - TIDAK DIBENARKAN memakai pakaian yang menutup muka. Lelaki - Kemeja lengan panjang berkolar, bertali leher dan lengkap memakai kot, berseluar slack berwarna gelap atau lengkap memakai Lounge Suit berwarna gelap, berstoking dan berkasut gelap dan seterusnya memakai pakaian akademik. - Seluar jeans dan seluar pendek TIDAK DIBENARKAN. - Kasut sukan/selipar/kasut berwarna cerah atau putih TIDAK DIBENARKAN. - Potongan rambut perlulah pendek dan kemas. 5.2 Majlis Konvokesyen ini adalah satu upacara rasmi Universiti. Graduan diingatkan supaya mematuhi peraturan pakaian seperti dinyatakan di atas. Graduan yang TIDAK MEMATUHI peraturan pakaian TIDAK AKAN DIBENARKAN masuk, berarak atau naik ke pentas.

Kad Jemputan 6.1 6.2 6.3 Kad jemputan dan arahan lain hanya akan diedarkan semasa graduan/wakil graduan meminjam pakaian akademik. Pihak Universiti tidak bertanggungjawab atas kehilangan kad jemputan yang telah diedarkan dan kad yang hilang tidak akan diganti. Setiap graduan akan diberikan dua (2) kad jemputan untuk dua orang tetamu graduan bagi menghadiri Majlis Konvokesyen di Dewan Pusat Kebudayaan dan Keseniaan Sultan Salahuddin Abdul Aziz Shah (PKKSSAAS).

7.

Majlis Taklimat dan Raptai Konvokesyen 7.1 Majlis Taklimat dan Raptai Konvokesyen akan diadakan di Pusat Kebudayaan dan Kesenian Sultan Salahuddin Abdul Aziz Shah seperti maklumat berikut: 7.1.1 12 Oktober 2011 (Rabu) jam 9.00 pagi - Graduan yang terlibat adalah graduan yang telah ditetapkan menerima skrol pada Sesi 1, 2, 3, 4 dan 5 (rujuk Lampiran 1); dan

13 Oktober 2011 (Khamis) jam 9.00 pagi - Graduan yang terlibat adalah graduan yang telah ditetapkan menerima skrol pada Sesi 6, 7, 8 DAN 9 (rujuk Lampiran 1).

7.2 7.3

Semua graduan dikehendaki menghadiri taklimat dan raptai ini supaya lebih memahami acara yang akan dijalankan pada hari Konvokesyen nanti. Pihak Universiti boleh menghalang mana-mana graduan yang tidak menghadiri Majlis Taklimat dan Raptai Konvokesyen daripada menyertai Majlis Konvokesyen UPM Ke-35.

Perarakan Graduan Pada Hari Konvokesyen Perhatian kepada ibu bapa dan graduan yang menyertai Majlis Konvokesyen dikehendaki meletak kenderaan di tempat meletak kenderaan yang disediakan oleh pihak Keselamatan UPM (rujuk di Lampiran 2). 8.1 Sesi Pagi Graduan yang hadir untuk sesi pagi hendaklah berkumpul di tempat letak kereta Pusat Kebudayaan dan Kesenian Sultan Salahuddin Abdul Aziz Shah, UPM selewat-lewatnya pada jam 7.30 pagi. Perarakan graduan akan bermula pada jam 8.00 pagi. 8.2 Sesi Petang Graduan yang hadir untuk sesi petang hendaklah berkumpul di tempat letak kereta Pusat Kebudayaan dan Kesenian Sultan Salahuddin Abdul Aziz Shah, UPM selewatlewatnya pada jam 1.45 tengah hari tersebut. Perarakan graduan akan bermula pada jam 2.10 petang. Surau disediakan di Bangunan Pentadbiran dan di sisi kiri dan kanan Pusat Kebudayaan dan Kesenian Sultan Salahuddin Abdul Aziz Shah selain dari Masjid UPM untuk memudahkan graduan beragama Islam menunaikan solat fardu Zohor. 8.3 Graduan diingatkan supaya berkumpul pada masa dan tempat yang telah ditetapkan. Bagi mengelakkan kesesakan lalu lintas menuju ke kampus, graduan diminta mematuhi arahan-arahan yang diberikan kelak oleh pegawai-pegawai bertugas. Graduan yang lewat tidak dibenarkan masuk bagi menyertai Majlis Konvokesyen. Ibu bapa dan tetamu dinasihati untuk bersarapan terlebih dahulu sebelum masuk ke dalam dewan bagi memastikan tidak berlaku sebarang kejadian yang tidak diingini. Ibu bapa dan tetamu tidak dibenarkan membawa masuk jambangan bunga atau cenderamata ke dalam dewan kerana ia akan menganggu kedudukan tetamu yang lain. Graduan perlu mematuhi semua peraturan dan arahan dari pegawai petugas semasa majlis berlangsung. Graduan dan tetamu graduan tidak dibenarkan meninggalkan Dewan sehingga majlis selesai.

Tetamu graduan boleh memasuki Dewan Pusat Kebudayaan dan Kesenian Sultan Salahuddin Abdul Aziz Shah melalui pintu-pintu yang ditetapkan oleh pegawai petugas. Kanak-kanak di bawah umur 12 tahun, kamera, perakam video dan telefon bimbit tidak dibenarkan dibawa masuk ke dalam Dewan Pusat Kebudayaan dan Kesenian Sultan Salahuddin Abdul Aziz Shah, UPM semasa Majlis Konvokesyen dilangsungkan. Bagi tujuan memudahkan aliran pergerakan tetamu, dan para graduan masuk dan ketika berada didalam Dewan Pusat Kebudayaan dan Kesenian Sultan Salahuddin Abdul Aziz Shah, UPM. Sila rujuk pelan Dewan berkenaan di Lampiran 3.

Cara Pengurniaan 10.1 10.2 Kedudukan barisan dan susunan graduan sepanjang majlis berlangsung akan ditentukan oleh pihak Jawatankuasa/Urus Setia/Petugas. Graduan akan menerima album/skrol masing-masing secara individu di atas pentas daripada DYMM Tuanku Canselor atau Pro Canselor atau Naib Canselor.

Mengambil Sijil/Transkrip 11.1 Graduan boleh mengambil skrol/transkrip masing-masing sebaik konvokesyen mereka selesai tertakluk kepada syarat-syarat berikut: (a) (b) sahaja sesi

Graduan boleh mengambil sijil/transkrip ijazah masing-masing selepas pakaian akademik dipulangkan. Sekiranya graduan tidak dapat datang mengambil sendiri skrol/transkrip, graduan tersebut boleh melantik seorang wakil bagi pihaknya. Graduan hendaklah memberi surat kuasa yang ditandatanganinya kepada wakil tersebut. Surat kuasa hendaklah dialamatkan kepada Pendaftar, Sekolah Pengajian Siswazah, UPM dengan menyatakan nama, nombor kad pengenalan dan salinan fotokopi kad pengenalan wakil yang dilantik itu. Pihak UPM tidak bertanggungjawab sekiranya sijill/transkrip yang dituntut oleh graduan/wakil graduan berkenaan hilang atau rosak.

(Kaunter pinjaman pakaian akademik akan ditutup sementara pada sebelah pagi untuk Majlis Taklimat dan Raptai Konvokesyen. Kaunter hanya akan dibuka kembali pada jam 2.15 petang sehingga 4.30 petang). Melengkapkan dan menghantar borang Maklumat untuk Bergraduat (GS-17) ke Sekolah Pengajian Siswazah selewat-lewatnya pada 7 Oktober 2011. bawa Borang Pakaian Akademik (yang dikepilkan bersama Notis Graduan) semasa anda/wakil meminjam pakaian akademik di Kompleks Akademik Pusat pada tarikh yang ditetapkan. pakaian akademik yang dipinjam adalah betul dan berkeadaan baik/sempurna. menghadiri Majlis Taklimat dan Raptai Konvokesyen Ke-35 pada jam 9.00 pagi 12 Oktober 2011 dan 13 Oktober 2011 (salah satu tarikh yang berkenaan rujuk para 7). membawa kad sebut nama (bagi graduan) dan kad jemputan (bagi tetamu graduan) semasa menghadiri Majlis Konvokesyen. tiba lebih awal sebelum majlis bermula. pakaian graduan dan tetamu graduan menepati etika berpakaian yang ditetapkan. pakaian akademik dipulangkan pada atau sebelum 22 Oktober 2011 sebelum jam 4.15 petang. Denda akan dikenakan kepada graduan yang lewat memulangkan pakaian akademik (mulai 24 Oktober 2011) mengikut kadar yang ditetapkan. Menerima pengesahan pemulangan pakaian akademik yang dipinjam (borang yang berkenaan akan diedarkan semasa memulangkan pakaian akademik) sebelum mengambil Sijil.
