should be able to; name two types of documents used in transport define at least one document mention at least one functions of each document a). Bill of Lading It is a document prepared by a shipping agent (shipping company), signed by the ship master in acknowledgement of receipt of goods on board ship (a ship which is ready to departure).
It is the most important export/import
document whenever goods are sent by ship. It has the following information; •Name of the shipping company
•Name of the shipper (beneficiary) or his
agent
•Name of the ship
•Name of the ports of shipping and its
destination •The identification (shipping mark) number
•The number of containers, cases,
packages or individual items.
•A general description of goods
•The date and signature of the ship master
Its main functions include;
•It acts as an evidence of a contract of
carriage between shipper and ship-owner.
•It acts as an advice note indication the
quantity and description of goods sent by a named ship.
•It is a receipt of goods in good condition
on board. •It is a document of title to the goods. This means that the holder of the bill of lading can claim the goods when he hands it over to the Port Authority at the port of discharge.
•It can be used as basis for negotiation for a
letter of credit from the bank. b). Consignment Note/ Delivery Note Consignment note is a document giving a description of goods dispatched by a transport agency. It is used as a receipt and a contract of carriage. It is not a negotiable instrument. It is commonly used in land transport.
Deliver note is a document giving a description of
goods delivered by a seller using his own transport system by means of road or rail transport Both documents have the following information; •Name and address of the sender (consignor), and recipient (consignee). •Number of packages or cases •Brief description of the goods •The place and date of departure •Time of arrival •Type and vehicle number Its main functions include;
•It is an advice note
•It provides an evidence of delivery
•It is an evidence of contract of carriage.
c). Airway Bill It is a document issued by an airline (carrier/consignor) as a contract of carriage between the shippers when ever goods are sent by air. It is also called airbill or air consignment note. It has the following information; •Name of the airline company •Name of the shipper (beneficiary) or his agent •Name of the airports of departure and its destination •A description of goods in general, its weight, volume and the freight charged •The number of pieces Its main functions include; •It is an advice note •It is an evidence of contract of carriage •It may be used as a receipts of goods d). Packing List/ Weight Note
These two documents are normally
combined together. The Weight Note shows the gross weight and net weight of the goods. The Packing List shows the number of packages. The Key information includes; •The name and address of the shipper •The name of the carrier •The port of departure and its destination •A brief description of the goods •The number of packages or Gross and Net weight •The date of issuance and the invoice number •The signature of the carrier e). Goods Received Note It is an acknowledgment of receipts of goods at the port of destination giving the description of the goods. The Key information includes; •The name and address of the consignee •The unit price •The total value of the cargo claimed •The port of departure and its destination •A brief description of the goods •The number of packages or Gross and Net weight •The date of issuance •The signature of the consignee or his authorized agent •The condition of the goods upon receipt
