Office Assistance Level II

– Performs administrative and office support activities for multiple supervisors. Duties may include fielding telephone
calls, receiving and directing visitors, word processing, filing, and faxing. Extensive software skills are required, as well as

ESSENTIAL JOB FUNCTIONS

 Assist staff with administrative duties as requested.


 Answer telephones, forward calls, take messages, give directions to office.
 Provide comprehensive secretarial and clerical support to office personnel, sales staff, and management.
 Greet visitors, provide basic information to visitors, callers.
 Provide assistance for classroom and support staff as needed.
 Assist in opening and/or closing of the facility at the beginning and/or ending of each day as needed.
 Develop and maintain agency inventory system.
 Distribute incoming mail and prepare outgoing mail.
 Copy incoming checks distribute bills.
 Maintain lobby and front desk area keeping it clean and free from clutter.
 Order office supplies and monitor inventory.
 Files information alphabetically, numerically, and chronologically according to office procedure to maintain
organized and accurate filing systems; locates and retrieves files from manual or computerized systems to
provide requested information; creates new files and purges old files according to established procedures;
updates and corrects file information to maintain accurate files; merges and assembles files to maintain records;
delivers and/or picks up files to provide requested information; photocopies files as requested.
