The letter requests information from HP about their 340 portable printer to determine if it meets the needs for 34 printers that will be used by marketing representatives for travel. Specifically, it asks if the printer is a laser printer, battery operated, has a 15-inch carriage, and comes with at least a six-month guarantee. The letter writer requests the information be faxed and for ordering details to make a purchase decision.

Home Security Products Box 302 Edenton, NC 27932 September 1, 2001 Mr.

Albert Gleason Sales Manager Hewlett-Packard Company P.O. Box 10301 Palo Alto, CA 94304 Dear Mr. Gleason:

In many cases, your organization will have letterhead station. In that case, set your top margin to two inches. That is where the date will go.

Notice the colon after the recipients name.

Would you provide me with information regarding your HP 340 portable printer. I am interested in purchasing 34 lightweight printers that our marketing representatives can use with their Toshiba 1200XE notebook computers when they travel. Specifically, I would like answers to the following four questions: An interesting point here. With 1. Is the HP 340 a laser printer?
a routine polite request, do not use a question mark.

2. Is it battery operated? Since we wish to use the printer for traveling, such a feature is important. 3. Does the printer have a 15- inch carriage? 4. Does it come with at least a six- month guarantee?
It would be more appropriate to use you attitude in the statement preceding the specific questions, and at the beginning of the closing paragraph.

I would appreciate your faxing me the information I need to make a purchase decision (Fax: 919555-0327). I would also appreciate receiving ordering information. Sincerely, Note that a comma follows the Complimentary Close, and that the name is typed on the fourth line after the Complimentary Close. The empty space is for the handwritten signature. It would be wise to include a deadline in the closing paragraph, to insure a prompt reply.
