Activity 3: Headers and Footers

Insert page numbers in a document Format page numbers Insert page breaks Insert date and time into a header/footer Print preview a document Bolding text Activity Overview: There are many types of documents that require the same information to appear on every page. Open any book and you will see page numbers, book titles, or chapter names on the top and/or bottom of many pages. Some of your teachers may expect you to include this information in your assignments as well (do you write your name and class hour at the top of your page, for example?). Headers and footers allow you to include this information in a Word document without affecting the arrangement and formatting of your document. Headers are the areas of text that are typed once and appear at the top of every page in your document whether it is 5 pages or 500 pages long. Footers contain information at the bottom of every page. In this activity, you will learn to create a header and footer for your document. Instructions: 1. Open a new word document. 2. Set your font to Optima style and size 12 (if you dont have Optima, choose an easy to read font, and then make sure to type I dont have Optima somewhere at the top of your document). 3. Next you will be inserting the page number into the header. a. Open the header by going to VIEW > HEADER AND FOOTER. b. Next, go to INSERT > PAGE NUMBERS. c. In the Page Numbers window, choose Top of Page for your Position; choose Left for your Alignment; put a checkmark in the box next to Show number on first page; then click on the FORMAT button.

d. In the PAGE NUMBER FORMAT window, make the following changes, then click on OK twice:

e. Hit your TAB key twice to move your cursor to the right side of the header. f. Type in Formatting Activity 3: Headers and Footers (in bold) this should be on the top, right-hand side of the page. g. Click on close to exit the Header.

4. Save your document as Formatting Activity 3 your name. 5. Move to the bottom of the page with your cursor and open the footer by clicking twice at the bottom of the page (your cursor will change to an icon looking like a page with a bar at the bottom of it). Or go to VIEW > HEADER AND FOOTER and click in the dotted box at the bottom of the page. This will open up the footer (it will look like this):

a. Insert the date by clicking INSERT > DATE AND TIME. b. Choose the date that looks like this: January 20, 2010 c. In addition, I would recommend that you make sure there is a checkmark in the box that says Update automatically. This automatically updates the date when you open the document to the current date as long as your computer battery is working. Pretty neat little feature.

d. Hit your TAB key twice to move the cursor to the right side of the Footer. 6. Now we will be inserting information on the right side of the footer. a. Insert filename by going to INSERT > AUTOTEXT > HEADER AND FOOTER > FILENAME. b. Click on close to exit the Footer. 7. Save your document (Command + S is the keyboard shortcut for Save notice how this is different from the Save As that you performed in Step 3). 8. At the top of your document type in This is page one. Hit return and then do the following: a. Go to INSERT > DATE AND TIME. b. Choose the time that looks like this: 10:25 AM. c. In addition, I would recommend that you put a checkmark in the box that says Update automatically. This automatically updates the time when you open the document to the current time as long as your computer battery is working. 9. Insert a page break by holding down COMMAND KEY+SHIFT and then hit ENTER. 10. At the top of the second page type in This is page two. 11. Print preview (FILE > PRINT PREVIEW) your document to verify that both pages include all of the information required for the header and the footer. Be sure the page number in the header of both pages is correct. 12. Carefully proofread the document for grammar and spelling mistakes. 13. Save the document (you should have two pages!). 14. Using your Google account, attach your completed assignment to an email and send it to me ([email protected]). 15. Make sure to include the 5 proper parts of an email email address, subject line, greeting, body of the message, and signature.
