Introduction: In this following assignment we have to arrange the Alumni Meet for our institution (MITSchool of Business) and we expect around 200 alumni from various parts of the country to attend this meet. We are required to make arrangements for transportation from Railway station / Bus stand / Airport to the venue. While many of them will be staying with their relatives & friends, some of them will be needing hotel accommodation for one night which will be borne by them, but high cost may not attract many alumni, so we have to make arrangements for them that are affordable and comfortable. Factors related to the selection of venue: If the venue has audio or audio visual and technical needs? Will the venue accommodate the anticipated number of guest? Is the venue within a suitable distance from the airport/railway station and bus stations ? If catering is required, is the venue suitable for preparation and service? If parking facility is available If the venue have adequate number of toilet facilities for the guest ? If any VIPs are attending the event & if they have suitable presentation and security access? If someone will clean the venue before your event? In the case that a problem occurs with the venue, do you have any other alternate venue?
Budget: The budget available is of high importance as we have to make the arrangements according to the budget available and if you need to charge the aluminis for some extra services. Catering requirements and any advertising or promotion that will be required for the event. Invitations The Official College Guest List should be obtained prior to the event from the University. All the distinguished guests should be invited accordingly to the appropriate events. The list should include the names and contacts details of local members of Parliament, Mayors, councilors, Companions, Donors, prospects, leading members of the community and others.
Speakers Details regarding the speakers, duration of the presentation, style, type and duration of presentation, speakers special requirements. A complete guest list, including VIPs if appropriate and a running order for the event. Ensure that speakers are formally introduced at the event. An appropriate staff member (the host) should introduce the speaker, request adequate background information from the speaker at least
Security No event is fulfilled until the security is considered. The VIPs and speaker/s should be asked about any security concerns they may have and whether any external security personnel will accompany them on campus. Catering Final numbers of aluminis attending the event should be confirmed at least 5 working days prior to the event. The kind of foods to be served (Veg/ Non- Veg) will give us the catering quotes are normally based on a minimum head count and will increase as attendances rise.
Staging/Venue Presentation The presentation of the venue is a very important component of any event and there are certain points to be kept in mind while designing the venue.
