Creating an Excel 2003 Spreadsheet
using Windows 2000/Me/XP
Created: 8 September 2003 Starting Excel 2003 In the following exercises you will learn some of the necessary steps to create a spreadsheet using Microsoft Excel 2003 for Windows 2000 !e and "#$ %ou will learn not only how to type &arious items into the spreadsheet but also how to copy columns widen columns fill columns add subtract multiply di&ide do graphics and a &ariety of other 'things$( )o begin load the spreadsheet by quicl! clicing twice on the Excel 2003 Windows "con in the Windows Screen$ If you do not see an Excel "con clic*on the Start #utton in the lower left corner of the screen mo&e the cursor up to Progra$s and then mo&e to Microsoft Excel 2003 and clic*on it$ + spreadsheet is a 'nu$%er $anipulator$( )o ma,e the manipulation of numbers easier all spreadsheets are organi-ed into rows and colu$ns$ %our initial spreadsheet will loo, something li,e the one below: &otice that the '$ain( part of the spreadsheet is composed of 'ows ()a%eled *+ 2+ 3+ , etc$. and Colu$ns ()a%eled -+ #+ C+ . etc$.$ )here are a lot of rows and columns in a spreadsheet$ )he 'intersection( of each row and colu$n is called a cell$ In the image abo&e the cursor is on the 'ho$e( cell / -*$ &otice 'ow * and Colu$n - are /%old+0 and colored /orange10 )his indicates what is called the 'address of the cell$ &otice right a%o2e cell -* that -* is displa!ed in a s$all %ox called the &a$e #ox$ Whene&er you 'clic,( on a cell the address of that cell will be shown in the 0ame 1ox$ 2 "n this tutorial+ whene2er we indicate that !ou need to clic the $ouse+ it will $ean to clic the left $ouse %utton 3 unless we indicate that !ou should clic the right $ouse %utton1 So+ alwa!s /clic left0 unless we tell !ou otherwise1 Mo2ing -round the Spreadsheet %ou can mo&e around the spreadsheet3cells by clicing your mouse on &arious cells or by using the up+ down+ right and left arrow $o2e$ent e!s on the e!%oard$ 4r you can mo&e up and down by using the 'ele2ator( bars on the right and %otto$ of the spreadsheet$ 5o ahead and $o2e around the spreadsheet$ 4old down the down arrow e! on the e!%oard for a few seconds / then clic*on a cell$ &otice how the &a$e #ox always tells you 'where !ou are$( 0ow hold down the right arrow e! on the ,eyboard for a few seconds$ &otice how the alpha%et changes from single letters (-+ #+ C+1 51 6. to se2eral letter co$%inations (--+ -#+ -C.$ )here are hundreds of colu$ns and thousands of rows in a spreadsheet$ -n!ti$e you desire to return to the 4o$e Cell (-*7 simply clic8in the &a$e #ox and t!pe8in -*$ )hen tap the Enter e! and you will go to cell -*$ %ou can go to any cell by this method$ Simply type*in a row and column tap the 6nter ,ey and you7ll go to that cell$ 0ow that you ha&e the 'feel( of how to mo&e around 6xcel spreadsheet go to the cells as indicated %elow and t!pe8in the following: Cl (9our &a$e7:s #udget1 It should loo si$ilar to the i$age %elow$ .o not tap Enter when you finish )oo at cells C* and .*$ 0otice how your entr! has spilled o2er fro$ C* into .*$ Sometimes this is a problem and sometimes it is not$ ;ap the Enter e! and then clic*on cell .* and t!pe8in the word #<&6< and tap Enter ,ey1 &otice how #on=o now C<>E'S the right part of !our original entr!88 0ow $o2e %ac to cell C* and clic8on it$ 9oo, at the upper part of the spreadsheet :ust abo&e the cells where you typed 1on-o$ %our name and the word budget are still there8 1on-o only C<>E'E. the 2 portion in cell .*$ See the i$age and arrow %elow1 )here are se2eral wa!s to tae care of this$ ;or the moment $o2e %ac to cell .* and clic*on cell .*$ ;ap the .elete ,ey <abo&e the arrow mo&ement ,eys on the e!%oard.$ 0otice that #on=o disappears and your entire entr! reappears$ )his is one way to expose the entry$ We=ll loo, at some others as we go along$ 0ow we=ll continue ma,ing some entries$ Mo2e to the following cells and t!pe8in the infor$ation indicated$ %ou can clic,*on each cell and then type*in the entries$ If you happen to $ae a $istae simply ret!pe the entries$ 9ater on we=ll see how to edit mista,es$ +ny time you want to replace something in a cell you can simply retype a new entry and it will replace the old one$ Cell ;!pe8in -3 "nco$e #, Parents #? @o% #A "n2est$ents #B ;otal -*0 Expenses #** Cood #*2 #e2erages #*3 Parties #*, Miscellaneous #*? ;otal 3 %our spreadsheet should now loo lie the picture on the right$ +t this point you probably ha&e noticed the words >In&estments> and >!iscellaneous> run o&er the spaces gi&en in the cells$ ?o not be concerned at this point$ We7ll soon fix this$ 0ow t!pe the nu$%ers in the cells indicatedD C, 300 C? ?0 CA *?0 When you t!pe*in the *?0 tap Enter$ %our spreadsheet should loo lie the one on the right$ We would li,e to place an underline at the %otto$ of the three figures so that we can indicate a total %elow / in cell CB$ #oint to cell CB with the mouse$ )hat=s where we want the line ** alwa!s $o2e the cursor to the place where !ou want to insert a line$ With the +rrow on cell CB tap the '"E4; $ouse %utton$ @ + sub*menu with a caption Cor$at Cells appears$ )he right clic will 'alwa!s %ring up( a $enu that is 'tailored( to the 'place( where !ou clic$ )his will wor, in any !icrosoft Windows product$ %ou can always tell /where0 !ou clic the right $ouse button for the cursor arrow will alwa!s %e in a corner of the $enu that appears / exactly where you clic,ed the right mouse button$$ Select Cor$at Cells1 When the Cor$at Cells $enu screen %elow appears+ select #order$ 9oo, at the )ine St!le box in the lower right$ )here are se&eral types of lines that you can choose$ #oint to the thic single line in the St!le -rea (see arrow7 and clic the left mouse button$ + %ox will go around the line$ 9oo, at the area which says #order1 #oint to the upper part of the ;ext %ox (see arrow7 and clic the left mouse button$ + thic %lac line will appear at the top of the ;ext box$ If the thic line does not show8up at the top of the ;ext %ox clic8again at the 'top line area in the )ext box( and the line will 'disappear($ )hen clic,*on the thic, single line in the 9ine Style box again and repeat the pre&ious instructions$ If somehow you ma,e a $istae simply clic 'on and off in the ;ext line %oxes1( %ou will notice that the lines appear and disappear$ )his is called a 'toggle( in computer :argon$ So wor, at this until you get the line on the top or where you want it$ We ha&e :ust indicated that we want a single thic, underline at the top of the cell CA$ #oint to <F and clic the left mouse button$ B When you return to the spreadsheet+ clic so$ewhere other than cell CB$ )his is called 'clicing awa!$( %ou should now see a line at the top of cell CB$ Sometimes the box highlighting a cell hides the lines$ If you 'messed*up( try again$ 0ow type in the numbers in the cells indicated$ C** 30 C*2 ?0 C*3 *?0 C*, B0 (-fter you t!pe B0+ tap the Enter e!7 0ow underline the top of cell C*? li,e you did cell CB$ Widening Colu$ns %ou probably noticed as you typed in the numbers so$e of the words were :ust too wide for the default cell width <In&estments and !iscellaneous.$ 9et=s widen colu$n # to ta,e care of this$ Slowl! $o2e the $ouse arrow to the right edge of the # cell <%etween the # and the C.$ )he cursor will turn into an arrow pointing right and left with a s$all 2ertical line in the $iddle (see arrow %elow71 4old down the left $ouse %utton and $o2e (drag7 the line to the right1 +s soon as you start to $o2e (drag7+ a dotted 2ertical line will go down the spreadsheet and it will $o2e as !ou hold down the left %utton and drag the $ouse$ Feep dragging to the right until you are past the widest word and a bit more <for some space.$ Celease the button$ )he column is widened$ 0otice in the upper left corner of the screen below ;ile in the menu bar and abo&e the buttons that as you hold down and drag that it tells you that current width of the column$ D )his is one way to widen a column$ Eere is another wa!$ #oint to the # at the top of colu$n # <in the Era! area. and clic the left mouse button <)he cell should turn dar %lue and the colu$n light %lue$.$ 0ow eeping the cursor somewhere in the '%lue( area clic the 'ight Mouse #utton$ 0otice that a $enu with Colu$n Width5 appears$ Clic*on Colu$n Width5 and t!pe in *? and clic*on <F$ )his is another way to widen a column$ "nserting 'ows <ops$$$ a $istae <on purpose.$ We ha2en:t left enough roo$ at the top of the spreadsheet to insert some budget $onths$ So$$$ mo&e the cursor to the gra! 2 along the left edge <this is the second row. so we can insert two new rows1 Clic the left mouse button$ %ou will notice that the whole row goes light %lue and the 2 turnGs dar %lue1 Mae sure the cursor arrow is either on the 2 or so$ewhere in the %lue row$ Clic the '"E4; mouse button$ + drop down menu will appear$ #oint to "nsert1 Clic the left %utton on "nsert$ &otice how one row was inserted and how e2er!thing %elow $o2ed down$ ?o this again to insert another row$ 6xcel and all spreadsheets will remember where they mo&ed your wor, and automatically ad:ust for these changes$ "nco$e should now be in cell -?$ A -ligning Cells 0ow we=ll type some more$ 5o to cell C3 SEP; (;!pe8in SEP; and tap the Enter ,ey7 0otice again how SEP; is auto$aticall! left aligned$ 9ogically since you are using 6xcel the 6nglish &ersion the text is left aligned so that all of the text entries will line up nicely in the column cells$ We would li,e to center SEP; in cell C3$ Clic on cell C3 to '$ar( the cell$ 4ne way to center SEP; is to simply clic8on the Center %utton in the %utton %ar at the top of the screen$ Mae sure that you are <& cell C3+ then clic8on the center %utton <see i$age a%o2e right.$ %ou7ll notice that S6#) is now centered in cell CF$ Eere is another way to center S6#)$ Clic '"E4; on cell C3$ )hen clic, on Cor$at Cells1 When the Cor$at Cells Menu appears+ clic8on the 3 -lign$ent ;a% and then clic8on 88 4ori=ontal 8 Center 88>ertical 8 Center 88 then clic, <F$ )ry it$ 8 )his is how you can align words for neatness$ %ou can also point to se&eral cells you want aligned and do this$ We=ll try that next$ G 0ow type the below text in the cells indicated$ .3 <C; E3 &<> C3 .EC E3 M<&;4)9 ;<;-)S <tap the Enter ,ey and then correct the width of this column. &ext weGll highlight cells C3 through E3$ )o do this point to C3 and clic, the )eft $ouse %utton$ )hen holding down the left mouse button drag the $ouse to the right through E3 3 when the cells are highlighted 3 tae !our finger off of the left $ouse %utton$ )hen point to the group of cells and clic, the right mouse button to bring up the Cor$at Cells menu$ Clic, on -lign$ent and choose Center (2ertical H hori=ontal7$ )hen point to <F and clic the left mouse button$ +ll of the cells will then be as centered$ %ou could also clic the Center %utton as you did before$ M<&;4)9 ;<;-)S will not fit its space when you do this$ 1ut !ou now what to do$ !o&e the cursor o&er the line between cells 5 and E and drag the line to the right to widen the 5 cell :ust li,e you did a few minutes ago$ Sa2ing Spreadsheets We ha&e done Huite a bit of wor, so now is a good time to sa&e our spreadsheet$ #oint to Cile in the Menu #ar at the top of the spreadsheet$ #oint to Sa2e -s and clic*on Sa2e -s$ + Sa2e -s $enu %ox appears <lie the one %elow.$ 0otice in the upper left corner that there is a '%ox( to the right of Sa2e "nD with a down pointing arrow to the right$ Clic8on the arrow$ )his will show you all of the 'dri2es( and 'folders( where you may sa&e your wor,1 20 When you see the drop*down list in the Sa&e in: area choose the dri&e where you want to sa&e your file$ If you are going to use a dis,ette put a for$atted 3 I disette in the - .ri2e+ then clic*on the 3 I Clopp! (-7D1 We are going to sa&e our file on the 9ocal ?is, <C:. / our hard dri&e so we chose that dri&e in the image abo&e <see top arrow.$ )o the right of Cile na$eD+ delete the information <which is in the box. and t!pe8in M9#J.EE; <see lower left arrow.$ )his is the name under which you are sa&ing your file$ <In the future you will choose logical names for your spreadsheets as you sa&e them$. 0ow point to Sa2e and clic the left mouse button <see lower right arrow.$ Exiting Spreadsheets +nytime you need to lea&e your spreadsheet simply clic, on Cile in the $enu %ar then clic*on Exit$ If you ha2e not sa2ed your spreadsheet a reminder box will appear asing !ou to do so$ 'etrie2ing Spreadsheets When you need to return to a spreadsheet+ you first load Excel as you did originall! <#age 2.$ When 6xcel is on the screen clic*on Cile in the menu bar then clic*on <pen$ )he following <pen menu screen will appear: 22 Clic on the down arrow to the right of the )oo inD box <Similar to the arrow in the Sa&e in: box / see top arrow.$ Clic,*on the 3 I Clopp! (-D7+ or the dri&e or folder you chose$ ;iles sa&ed on a dis, or in a folder will appear in the box below$ Clic8on your file <M9#J.EE;. and then clic*on <pen$ %our file will open$ %ou could also dou%le8clic quicl! on the file to open it$ +lso if you ha&e not done so already $o2e !our cursor slowl! o2er the K%uttonsK located %elow the $enu %ar$ %ou will notice a little %ox appears that tells you what these buttons do$ )hese little boxes are called ;ext 4elp boxes$ !any of them will sa2e you extra 'clics( by using them$ &otice that under Cile and Edit in the Menu %ar there are a s$all folder (<pen7 and a disette (Sa2e7$ Clic,ing*on them will ta,e you directly to 4pen and Sa&e$ -dding &u$%ers 0ext we want to learn how to add numbers$ )here are se&eral ways to do this$ 6ach method has its ad&antages and disad&antages$ )o do this begin by $o2ing your cursor to cell CL+ and clicing*on cell CG$ Always move to the cell where you want the answer to be located. TYPE-IN METHOD We want to add the three numbers in cells CA+ CB and CM$ )o use this method t!pe8in <using 22 the ,eys on the ,eyboard. the following in cell CL: N CA O CB O CM %our spreadsheet should loo, li,e the image to the right as you are typing in this eHuation$ 0ote: you don7t ha&e to use capital letters / we only did this because they are easier to 'see( in the tutorial$ 0ow / tap the Enter ,ey$ )hen clic on cell CL again$ )he total of these cells will now appear in CL$ When you ha&e completed typing your eHuation you will see this for$ula in the area %elow the $enu %ar$ Change the number in cell CA to ?00 <and tap Enter.$ See how the total -J;<M-;"C-))9 recalculatesPPP ;4"S "S ;4E ;'JE P<WE' <C ;4E SPE-.S4EE; PPP Whene2er a nu$%er is entered in a cell the entire spreadsheet will auto$aticall! recalculate1 So$ething happened here$ 0otice how you typed in an <eHual sign. N %efore the cell location$ If you had simply typed in CD I CA I C8 6xcel would ha&e thought this entry was a word (text7 and this entry would ha&e shown as you typed it$ )ry this if you want$ +ny time you 'create( an error in 6xcel you can simply re*type or edit the formula to correct the error$ )he ;!pe in Method is really easy if you ha&e a few nu$%ers and can see their cell locations on the screen$ If you ha&e a lot of cells in the formula which are on se&eral screens this is not such a great method$ )he next method will wor, a lot better for numbers 'all o&er the place$( ubtract!on" Mult!#l!cat!on" and D!v!s!on %ou can put in a <minus. 8 for su%traction <asteris,. Q for $ultiplication and <slash. / for di2ision$ +s you become more capable we=ll build some nifty formulas / using these features$ 23 Po!nt Method !o&e to cell CL again and clic8on it$ We=ll now add the numbers a second way$ ;ap the .elete e! on the e!%oard to delete the current for$ula$ Cirst tap the N and then P<"&; ($o2e7 the cursor o&er cell CA using the $ouse tap the left $ouse %utton on cell CA <you will see a marHuee box go around the cell.$ 0ow tap a O and $o2e cursor to CB tap the left $ouse %utton+ and tap another O and $o2e the cursor to CM and tap the left $ouse %utton <notice how as you K O and point K the addition for$ula is %eing %uilt in cell CL. now tap Enter$ )he sa$e for$ula can be %uilt using the arrow $o2e$ent e!s on the e!%oard <except that you don7t ha&e to clic,*on each cell as the cell is mar,ed * as you mo&e the arrows.$ &otice as you are entering the cell addresses that as you place another O in the for$ula that the cursor 'returns0 to cell CL$ +lso notice as you point to each cell that it is highlighted by a '$arquee %ox$( )his 'tells( you what cell you7&e pointed to$ #retty neat8 )his $ethod is good when you need to mo&e to nu$%ers that are spread out all o2er the place$ Some people li,e it best and use it all the time ** it=s your choice$ $unct!on Method Mo2e again to cell CL$ .elete the for$ula by tapping the .elete e! again$ 0ow t!pe in the following: JSJM( K)his tells Excel that we are going to su$ some nu$%ers in a '-&EE which will follow the JSL!<$M )here are two wa!s to put in this range: -rrow Fe! and -nchor Method: With the e!%oard arrow e!s+ $o2e the cursor to cell CA$ +s you mo&e you will notice that the cell where the cursor is located appears after the NSJM(1 When you get to CA tap the 1 (Period7 Fe!1 )his is called an -&C4<' and holds one end of the '-&EE in place$ %ou will notice that a CADCA appears in the for$ula area under the %utton %ar$ )his is a one cell range$ 0ow $o2e+ with the arrow e!s+ to cell CM$ See how cells CA+ CB and CM are highlighted$ )his indicates the 'ange is CADCM$ 6xcel assumes logically that these are the numbers you want to add$ 0ow tap Enter$ )he numbers 2@ still add but now the formula reads JSJM(CADCM7 instead of JCDICAIC8 li,e it did before$ Mouse Method: Mo2e again to cell CL$ .elete the for$ula in cell CL by tapping the .elete ,ey$ )ype in JSJM( as you did before$ Point to Cell CA 3 with your $ouse cursor$ Clic and hold down the left $ouse %utton and $o2e/drag the cursor down to cell CM$ <Cells CD CA and C8 should be highlighted$. 0ow tap Enter$ )his NSJM Cunction is a great wa! to add a lot of nu$%ers+ or a %loc/range of nu$%ers$ 1y simply anchoring and using page downs or using the mouse you can highlight lots and lots of numbers to add Huic,ly$ Eowe&er since it only sums you can=t do subtraction etc$ #oint to cell CL again$ ;ap the .elete ,ey to remo&e the formula currently in cell CG$ ;his is a reall! i$portant .E)E;E since what we7ll explain below won7t wor, correctly if you do not delete the formula in cell CG$ $unct!ons )here are a number of for$ulas %uilt into Excel li,e Su$$ )hese formulas are called Cunctions$ #elow the Menu #ar <see right. you will see a 'sigma( R with a s$all down triangle to the right of the sigma <see arrow on diagra$ to the right.$ Clic on the down triangle1 )he drop down menu that you see on the right will appear$ !o&e down to !ore ;unctions and clic*on More Cunctions$ ;wo $enu screens will now appear at the sa$e ti$e$ +n '<ffice -ssistant( will appear <see i$age on left of next page. and you can as it questions <the little assistant may be a paper clip or :ust about anything.$ )he "nsert Cunction $enu screen will also appear <see i$age on right of next page.$ )he two menu screens wor, together to assist you when you are using functions$ 2B 9et7s wor, with the "nsert Cunction menu screen$ Clic* on the s$all down arrow to the right of <r select a categor!D <see arrow at left.$ In the drop down menu that appears you can see that there are all ,inds of formulas <functions. that come with 6xcel spreadsheet <e$g$ statistical mathematical financial etc$.$ Instead of ha&ing to go to math financial or statistical tables in a boo, you can enter data from your spreadsheet into the formulas and recei&e answers$
)his is a really great timesa&ing feature$ We7ll now show you how to use the Eelp features of 6xcel 2003 to wor, with and understand these functions$ Clic*on -ll in the drop down $enu$ )he Select a function $enu will loo, li,e the i$age %elow$ 2D 9oo, at all the functions <formulas.8 We7ll :ust go through how to use the addition formula <SL!. in this tutorial$ If you need these formulas in the future you7ll ,now they7re here$ Jse the ele2ator %ar on the right side of the Select a function menu screen to $o2e down the list until you see SJM$ Clic*on SJM$ )hen clic*on <F$ 'e$e$%er you cliced*on Cell CL / which was 'e$pt!( because you deleted the formula in that cell$ 2A When you clic*on <F the Cunction -rgu$ents menu screen <a%o2e. will appear$ If you loo at the top of the screen in the SJM area you7ll see that 6xcel 2003 has 'guessed( that you desire to add the nu$%ers a%o2e cell CL / where you clic,ed in your spreadsheet$ Smart 6xcel8 &otice that it indicates that cells CADCM will be added <sum cells CD through C8 / the colon <:. means 'through$( It also indicates the numbers in cells CD CA and C8 and gi&e you the sum N300OB0O2B0P J B00 <right arrow abo&e.$ 1ut it7s a little unclear how 6xcel did this$ )he Eelp in 6xcel ;unctions is excellent$ So to see how this SL! eHuation wor,s we7ll go to Eelp$ )o do this clic*on 4elp on this function in the lower left corner of the screen <see lower left arrow a%o2e.$ 4n the right side of your screen you will see a Microsoft <ffice Excel 4elp window appear <si$ilar to the one a%o2e. that will show you how to use this SJM function <or any function.$ 4ne of the really neat things about these Eelp windows is that there are exa$ples for each function$ We $o2ed down the SJM help screen using the ele2ator %ar on the right of the help screen$ )he %otto$ of the screen loos lie the i$age at the top of the next page$ Spend a few minutes loo,ing at the SL!
