Job Title: Accounts Assistant
Consolidated Salary : 30,000/-

Job Description
Employ ees in this job correct, process and reconcile a wide v ariety of accounting documents such as inv oices,
departmental billings, employ ee reimbursements, cash receipts, v endor statements, and journal v ouchers;
rev iew and code financial information; prepare and process documents to disburse funds, make deposits and
prepare reports; compile and rev iew information for accuracy ; and maintain records.
Work is performed by apply ing knowledge of accounting terminology and using spreadsheets and/or
automated accounting sy stems.
Duties and Responsibilities
This is the intermediate lev el position. The employ ee performs a range of accounting assistant assignments in
a dev eloping capacity .
Job Duties
NOTE: The job duties listed are ty pical examples of the work performed by positions in this job classification.

Processes pay ments and documents such as inv oices, journal v ouchers, employ ee reimbursements, and
statements.
Calculates rates paid for purchases and all price extensions.
Verifies items billed against items ordered and receiv ed and reconciles differences through follow-up
with the v endor and/or other employ ees.
Enters, updates, and/or retriev es accounting data from automated sy stems.
Posts financial data to appropriate accounts in an automated accounting sy stem, according to
instructions.
Rev iews on-line transactions for changes and accuracy and corrects errors.
Retriev es sy stem reports.
Assigns codes to data.
Disburses funds using manual/local warrants or petty cash and makes change according to specific
instructions.
Endorses warrants or money orders, prepares account deposit ticket, and deposits money as directed.
Files and/or remov es records and reports.
Operates standard office equipment.
Performs related work as assigned.
Additional Job Duties
Determines content and assembles data in order to prepare monthly reports for rev iew.
Reconciles transactions, financial data, and other information to an automated accounting sy stem.
Pre-audits, v erifies, and processes employ ee expense claims rev iewing rules for employ ee compliance.
Designs, prepares, and maintains spreadsheets using basic mathematical calculations.
Rev iews new procedures, manuals, and sy stem enhancements and suggests rev isions.
Composes routine letters and reports using instructions or guidelines of the work area.
Inv entories office supplies and equipment; prepares and submits orders for purchase.
Explains appropriate work instructions to other employ ees.
Interprets and applies instructions and guidelines to resolv e work problems.
Qualifications and Experience
At least a Bachelor of Commerce (Honours) Degree with 60% marks and at least three y ear experience
in the relev ant field
Knowledge of Tally accounting and bookkeeping terminology and practices.
Knowledge of automated accounting sy stems.
Knowledge of spreadsheets and database software.
Knowledge of general record keeping and filing sy stems.

Jon Description
Junior Assistant/Junior manager is required to perform perform a wide v ariety of responsible office support
and administrativ e functions related to the assigned duties. They require proficiency in the full range of
general office serv ices and functions as well as specific technical knowledge and expertise in the serv ices of
their department and work assignment.
Duties and Responsibilities
The following tasks and responsibilities are expected from the person appointed to the position.
1 . Initiate a note in English for any kind of approv al or request. Handle requests/transaction or directs
the person or matter to the proper sources.
2. Processes / office note or applications to ensure accuracy and completeness; compute or v erify data, fees
or pay ments, enter data and forward files, documents and other paperwork.
3. Use a personal computer and a v ariety of office software applications including word processing, email,
and file management. Prepare documents in Word from scratch or using predefined templates and form
letters. Create or maintains files in Excel. Create PowerPoint presentations and use Access or other
databases.
4. Operate other office equipment such as printers, copy machines, fax machines.
5. Prov ide direct or indirect assistance to academic functions and serv ices. These include class scheduling,
administration of student records, test administration and scoring, supporting counseling/adv ising
serv ices and general support to programs in all areas of the univ ersity .
6. Enter information, ensure the accuracy and completeness of the data and generate reports or outputs
as needed.
7 . Serv e as receiv er of mail or correspondence for the work unit or area. Open or rev iew correspondence
and determine proper disposition.
8. Hav e some or all responsibility for office supplies and inv entories. Track status of orders, purchases,
maintain stock or distribute as needed.
9. Be ready to be responsible for dev eloping or modify ing filing practices, including use of electronic
rather than paper records.
1 0. Coordinate and organizes meetings, and other department activ ities and functions. Schedule or obtain
use of rooms and set up rooms and equipment for use.
1 1 . Assist in handling personnel or pay roll functions, actions, forms and records.

1 3. Attend and participate in meetings and committees and take minutes or notes and perform follow-up
activ ities.

home, arranging for their stay , making av ailable necessary documents to them, solv e their problems, if any ,
and look after the mess and catering serv ices in particular.
