Use of Hierarchies in BW Workbooks

This document provides instructions for adding hierarchies from R3, such as the commitment item or funds center hierarchies, to BW workbooks. Users can add the hierarchies by going to the local view of the query, selecting properties for the relevant characteristic, choosing the applicable hierarchy under hierarchy name, and then executing the query. Once added, the hierarchy can be deactivated, reactivated, or expanded to different levels as needed.

Use of Hierarchies in BW Workbooks

Currently, in R3, there is a funds center and a commitment item hierarchy that is being extracted
to BW each day. The initial view of the various workbooks does not include these hierarchies.
For any workbook that has the funds center or commitment item characteristic, you can add the
hierarchy to your report by doing the following steps. This document uses the commitment item
hierarchy as an example.

1. Execute the workbook.

2. Once the results are displayed, go to the local view of the query (choose the ‘Change query’
icon from the BW toolbar) Change query
icon

3. Right click on the ‘Commitment item’ characteristic and choose ‘Properties’. Commitment
item could appear under ‘Free Characteristics’ or ‘Rows’ depending on whether you’ve
drilled down on commitment item. In the example below, a drilldown by commitment item
was performed before adding the hierarchy; therefore it appears in the ‘Rows’.

4. The Characteristic Properties screen will be displayed. Under the ‘Display Hierarchy’
section of the screen, choose the dropdown box under ‘Hierarchy Name’.

5. The ‘Select Hierarchy’ screen will appear. Scroll down and choose the hierarchy ‘Master
Data Hierarchy for FM area COPA’. Click OK.

6. Click OK again to confirm the use of the hierarchy.

7. Choose the ‘Quit and Use Query’ icon.

8. Your report will now execute with the hierarchy being active. If you get the message ‘No
applicable data found’, refresh your query again. The report will be displayed with the
hierarchy if you have commitment item as a drilldown. If you don’t currently have a
drilldown by commitment item, add the drilldown to view the hierarchy.

9. Once the data is displayed with the hierarchy (hierarchy active), you can deactivate the
hierarchy. Right click anywhere in the Commitment item column in the results area. Next
to ‘Hierarchy Active’ there will be a check mark (see below). Click on Hierarchy active to
deactivate the hierarchy. Follow the same steps to reactivate the hierarchy.

10. Once the data is displayed with the hierarchy (hierarchy active), you can expand the
hierarchy to various levels. For example, commitment item hierarchy has 4 levels. If you
want to change the view of the hierarchy to see only level 2, right click anywhere in the
Commitment item column. Choose ‘Expand Hierarchy’ and choose Level 02.

Note: You can save the workbook to your favorites with the hierarchy active.

Fund Center Hierarchy

To use the fund center hierarchy, follow the steps above on the characteristic funds
center.

Currently, there is only 1 funds center hierarchy to pick from: Master Data Hierarchy for
FM area COPA
