1.introduction

Education system forms the backbone of every nation. And hence it is important to
provide a strong educational foundation to the young generation to ensure the
development of open minded global citizens securing the future for everyone.
Advanced technology available today can play a crucial role in streamlining education
related processes to promote solidarity among students, teachers, parents and the
school staff.
Education is central to development. It is one of the most powerful instruments for
reducing poverty and inequality and lays a foundation for sustained economic growth.
With this aim currently our government has given special emphasis to the educational
sector

and

school

improvement

activities

such

as

continuous

professional

development for teachers, training and upgrading teachers and capacitating schools
with manpower and materials are among 2 nd major actions which have been taken in
both primary and secondary schools. In order to facilitate and simplify these actions
one of the major tool is to have automated school management system. Automation is
the utilization of technology to replace human with a machine that can perform more
quickly and more continuously.
School Information Management System (SIMS) consists of tasks such as registering
students, registering new teachers (employees), and producing different reports for
teachers, parents, officials from kebele or woreda education bureaus etc.

1.2 STATEMENT OF
Currently Aba Fransuamarkos School Information Management system (AFSIMS) is
manual based management system. Due to this many problems are there. Some of
the problems in

Aba Fransuamarkos secondary school information management

system are:In Aba Fransuamarkos School decision is not given on time due to poor time
management and since searching manual files takes several times. This means in
searching teacher or student data it consumes a lot of time and this leads to poor time
management.
Another problem also delays in performing activity and updating teachers and student
files. If the director or record officer needs to update one teachers data they take a lot
of time. And also data is not accurately recorded which means input datas is not free

from errors i.e. names can be recorded with combination of number and numbers can
mix with characters like in salary etc.
Other problems of the school are:

Teachers and students data is stored redundantly in multiple files

Due to the large number of manual files, data is difficult and is not easy to access the
user information from stored data.
Difficult to search teachers and students information
Generating reports is not easy and takes time.
Generating transcript is not easy and takes time
The system produces inconsistent and inaccurate result

1.3 Objectives of the Project


1.3.1 General objective
The general objective of this project is to develop automated school management
system for Aba Fransumarkos secondary school.
1.3.2 specific objective
The specific objectives of the proposed system are:
To develop easily accessible system.
To save lose of documents of employees and teachers of the school.
To minimize the work load of the offices of the school
To increase speed of activities and flexibility.
To make easy in searching employees and students of the school
To minimize time in searching students and teachers data

Scope of the Project

The aim of this project is to develop automated Information Management System


for Aba Fransuamarkos School which solves the existing problems of secondary school
of Aba Fransuamarkos. The proposed system will enhance the efficiency and
effectiveness of the school management.
. The primary goals of the project are: The Director (administrator) of the school can access the information of the employees
(teachers) and students of the school.
Director (administrator) of the school manage user accounts like create account

The Director (administrator) of the school can view reports, search student information
as well as the information of the employee of the school.
Register information of new employees and students of the school
Updating employees information of the school like salary, status
Adding New subjects i.e. if new subjects are added by the ministry of education.
E.g. ICT
Hire temporary employees like Guard or employees of supportive staff.
Director (administrator) can view teachers and students in warning in discipline case
or other cases.
Record officer generate the transcript of the students in a short time and free of error

Assigning room teacher.

Store accurate data free of error and redundancy.


Room teacher can register students result at the end of each semester and the system
can generate their ranks.
Room teacher can search, register student results .

1.5 SIGNIFICANCE OF THE


Our project significance is to reduce the time that wasted to menage the current
manual system,the error that occur during the management and financial wast.
1.6 FEASIBILITY STUDY
1.6.1. Technical feasibility
This project will be developed by using technologically which is familiar to group member
students the like visual studio,php,starUML,..etc , this means the group members have enough
capability to develop the project. So the system will be technically feasible or can be achieved
easily from the perspective of technical need.

1.6.2. Economical feasibility


This project is about the school which is not far too much from us and also the expensive material
needed to develop this project is already in our hand so that it is economically feasible.

1.6.3. Operational feasibility

Surely the system will provide simple,accurate, active, secured service. To achive
these goal we will try to use most available resource of the university that operates in
good manner.

1.7 METHODOLOGY
We will use the methodology known as water fall because we went to develop it step by step.

we use model known as water fall as object oriented model and it goes starting from
requirement to maintenance.

1.8. Limitation of the Project


The main limitation is the time to develop the system. By
considering the remaining time of the year we limit the scope of the
project

i.e.

we

concentrate

more

on

the

human

resource

management of the school such as registering of new teachers and


supportive office employees and Manage and update all the
informations of them, hire temporary employees and we include
student registration, assigning and room teacher of the students
because all the human resource management of the school and
activities related with the students are performed in record office.
But

limitation.
