ENGLISHCONFERENCE.COM OBSERVATION
_____________________________________________________________________

It is important to be open or clear on what we are doing. Very often

language barriers are not so easy to overcome and many feel the
embarrassment of not understanding another person especially when
decisions have to be made in the workplace.
Obviously, in the beginning we have to be synthetic in our approach and
try to keep the language as simple as possible

THE ACHRONYM THAT COMES TO MIND IS K I S S

KEEP IT SHORT AND SIMPLE

Sometimes different situations can provoke the need to express certain

concepts but when we are beginning we need to be more passive more
receptive and patient.

Repetition is the key. Too often students dont realize the necessity to
repeat over and over again.
How many times do we listen to a song or repeat a song if we want to learn
it ?

Secondly we have to practice our language in a context and have graded

reading material on these contexts such as work or hobbies.
Having a target or incentive is very useful and it stimulates us to learn.

Finally the negative approach is detrimental to our learning process.

Always try to work with positive people.

THEY SIT ROUND A TABLE IN ANNAS OFFICE. SHE IS THE HR MANAGER

DIALOGUE

A) OK, WE ARE HERE TO DISCUSS THE PROBLEMS IN THE OFFICE ON

WORK ORGANIZATION. .. RIGHT?

B) YES. .WELL; WHEN THE CLIENTS RING, WITH A PROBLEM WE NEVER KNOW
WHAT TO SA,Y OR, HOW TO RESPOND BECAUSE THE TECHNICIANS ARE
USUALLY OUT OF THE OFFICE

C) THATS RIGHT. IT HAPPENED TWICE YESTERDAY. I GAVE THEM TOMS

MOBILE PHONE NUMBER, BUT THEY RANG BACK SAYING HE DIDNT
ANSWER AND, THEY SAID IT WAS URGENT

D) YES ANNA, IT HAPPENS VERY OFTEN, SOMETIMES TWICE A DAY

A) SO, WE ARE SAYING IT IS A PROBLEM REGARDING THE TECHNICIANS,

BECAUSE THEY ARE NOT RESPONDING TO THE CALLS. RIGHT?

B) YES I THINK SO

C) I DONT THINK ALL THE CLIENTS HAVE THEIR COMPANY MOBILE NUMBERS!

A) I SEE, HOW MANY TECHNICIANS DO WE HAVE OUT ON JOBS?

B) WE HAVE ALL SIX OUT OF THE OFFICE THIS WEEK

D) I KNOW THERE IS A LOT OF WORK AT THE MOMENT, AND THERE ARE

TWO START-UPS IN ABC AND NAC

B) I SUGGEST WE CALL A MEETING WITH THEM ON FRIDAY AFTERNOON,

WHEN THERE IS LESS MOVEMENT..

A) OK, ILL MAKE A NOTE OF THAT

D) I THINK IT WOULD BE BETTER TO TELL THEM TO ANSWER THE CALLS..

IMPOSSIBLE TO REPLY WHEN YOU ARE WITH ANOTHER CLIENT

MEETING FRIDAY ----- > COMMUNICATION PROBLEMS TECHNICIANS

PARTICIPANTS ----- > A) ANNA, E) EDWARD, F) FRANK, G) GERRY

DIALOGUE

A) OK, THANKS FOR COMING. IM SURE THIS WONT TAKE LONG.

DID YOU ALL READ THE MEMO THAT I SENT A FEW DAYS AGO?

T) YES, YES, YES

THEY ALL NOD THEIR HEADS. THEY ARE A LITTLE SERIOUS

DIALOGUE

E) WELL, I THINK IT IS RATHER EXAGGERATED

A) WHAT DO YOU MEAN?

A) AND DO YOU ANSWER THEM?

E) USUALLY YES, BUT, IT IS VERY DIFFICULT TO HEAR THE PHONE

SOMETIMES BECAUSE OF THE NOISE IN THE FACTORIES

F) I FEEL THE SAME. WHEN I AM DOING THE START-UP IT ISNT

POSSIBLE TO REPLY DUE TO THE DEMANDS OF THE JOB.

G) WELL HONESTLY, I HAVE ANSWERED THE CALLS MANY TIMES

WHEN IT WAS POSSIBLE. MAYBE I FORGOT TO CALL BACK JUST A FEW
TIMES BECAUSE I WAS VERY BUSY.

A) WELL, IN MY OPINION THIS HAS TO IMPROVE AND YOU SHOULD SET

AN ANSWERING MESSAGE ON YOUR PHONES TO ADVISE THEM THAT
WILL CALL BACK WHEN POSSIBLE.

E) YES, I SUPPOSE THATS A GOOD IDEA.

A) THIS IS IMPORTANT GUYS. BECAUSE WE WANT TO GIVE PROMPT

AFTER SALES SERVICE. WE DONT WANT A BAD REPUTATION.

F) WELL, ANYWAY, I THINK OUR LEVEL OF SERVICE IS VERY HIGH

A) YES FRANK, BUT THATS NOT THE POINT. THEY NEED TO KNOW THAT
WE ARE AVAILABLE..WORD ALWAYS GETS AROUND IF WE ARE
UNRELIABLE OR UNAVAILABLE AND WE DONT WANT THAT!

G) SOMETIMES WE CANT REPLY UNTIL THE NEXT DAY BECAUSE OF THE

WORK SCHEDULE OR LOGISTIC PROBLEMS

A) I KNOW, BUT IF WE LEAVE A MESSAGE OR AN ALTERNATIVE NUMBER

TO CALL THEN WE WILL PLACATE OUR CLIENTS. IF WE DONT, WE
MAY LOSE THEM!

E) OK ANNA, ILL TELL THE OTHER GUYS TO SET A MESSAGE. IM SURE

THEY WILL AGREE.

F) AND WE CAN LET THEM KNOW THAT WE WILL CALL BACK THE SAME
DAY IF POSSIBLE.

A) HOW ABOUT THIS FOR A MESSAGE

I REGRET WE ARE UNAVAILABLE AT PRESENT PLEASE LEAVE YOUR
NAME AND NUMBER AND WE WILL GET BACKTO YOU AS SOON AS

THE MEETING - THE PRODUCT MODIFICATIONS - NECESSITIES

DIALOGUE
b) Ok everyone, lets start. Ill start with the first draft of the
prototype. here is a copy of the drawing.

e) Do ABC have a copy of this drawing ?

b) No, they dont. They should send the modifications today

f) Must we change the configuration of the design ?

b) No, we have to change the dimensions. it is too wide.

e) May I interrupt please.?

b) Of course.

e) I think we should also evaluate the rise in temperature

because when it increases, it changes the shape a little

b) Good point Eddie. Well consider that tolerance too.

g) What time will they send us the new dimensions Bob?

b) I think after two pm. they are changing the housing so it

will be a little bigger

f) And the consignment? when must we consign the prototype ?

b) We have to finish the product by Friday, including testing.

e) Do they want a miracle ? it will not be easy!

b) I know. we could work overtime. Im sure they will pay.

g) But we only have five days ! Shall we meet again in a few days
to see our progress ?

b) Better tomorrow afternoon . Ok guys, lets get down to it!

ENGLISHCONFERENCE.COM MEETING 4

THE MEETING - DISCUSSING PRICES - MAKING A DEAL - ORDER

Conditionals - If you give us a discount, we will increase the order .

Desires - Would like to + object + verb
DIALOGUE
B) Good morning Mr. Snow and Miss Jones. Im Bruno Barolo. Please have a seat.

V) Yes, thank you for coming. We hope your hotel is suitable. If you have any problems
please inform me. I'm Miss Anna Vincenti.

S) Thank you. Pleased to meet you.

J) Fine thanks, the hotel is fine. It is a tranquil place.

B) So, let's get down to business. I'm the Director of Vallata del Sole Wine products.

S) Yes. It's very interesting. You are part of a consortium, right?

V) Yes, the NICPV. Mr. Barolo here, is one of the seven representatives.

J) Right, Mr. Barolo. As you know we represent the ABC European Hotel chain.
We'd like to discuss prices and hopefully make a large order. A preliminary order.
Then see how sales develop. We are looking for a continuing collaboration.

B) Of course. I understand. We have a good range of wines and liquors.

J) Of course we have to make a deal on this.

B) Naturally. However, first I'd like Miss Vincenti to take you for a quick tour here.
It is customary with our guests.

S) That's fine. Absolutely!

V) Then, please follow me

THEY GO FOR A TOUR OF THE WINE PROCESSING SYSTEM AND THEN THE CELLAR
WHERE THERE ARE MANY DIFFERENT VARIETIES ALSO FROM OTHER WINE GROWERS
IN THE AREA. AFTER FORTY MINUTES THEY RETURN TO THE OFFICE
-------->

B) Welcome back! What do you think of the place?

J) It's very interesting, also the photo gallery of the past.

B) Yes but my family bought the estate in 1948 and we also bought another seven
acres of land in 1968. I was just a boy. This was the beginning of our organic produce.

S) Well, now we have a better idea. I know what we want. Lets get down to business?

V) Fine. So which wines would you like to choose?

'
J) We would like to order the red 'Freisa' and the 'Del Sole' white.

S) Yes. So, what is the unit price?

B) The red is 3.50 a bottle and the white is 3.25 euro.

V) The price depends also on how much you order: If you buy 100 bottles we will give
you a ten percent discount.

J) And, if we buy 1000 bottles?

B) If you buy 1000, we will give you a 15% discount.

S) That sounds good. What do you think Miss Jones?

J) Yes I agree. Thats a reasonable offer.

S) Good. We would like 150 bottles of the 'Vintage Rosso del Sole' also.
B) Right. If you buy 200 bottles of Vintage, we will give you a twelve percent discount.

J) How much is it per bottle?

V) It's 4.25 euro. It is a wine with floreal notes, very aromatic and strong.

S) Alright. We will take 200 bottles, if you give us a few samples of the other wines.

B) Naturally, of course! We will supply a selection of ten other wines!

J) Well Mr. Barolo, Miss Vincenti, I think that concludes our business.

V) Fine. Now, we would like to invite you to lunch, please. --------

S) Oh, thank you. That's very kind!

B) Not at all. I'll just make a phone call and then we can go.

V) Would you both like some coffee or tea?

S) No thanks, just a little water please Miss Vincenti

J) The same for me thanks..

V) Fine, here you are.

B) OK Im ready. I booked a table at the Luna Blu Ristorante. We can go.
