This manual describes the activities to be carried out by a group of people assigned to use IBM Notes
Mail Application Program. The manual includes the simple procedures of uses of IBM Notes for
exchanging emails and instant messages among users.
You can use IBM Notes mail to communicate with coworkers, friends, and family electronically. You can
create, send, reply, and forward e-mail. You can send attachments such as files and pictures with your
mail, and organize messages in folders. You can save information about people in your contact list. You
can also manage group mailing lists, and print address labels in several formats.
A Notes mail message is the same as any Notes document. For example, you can change fonts and
colors, add file attachments, and include tables, graphics, and links when creating or editing a mail
message. If your recipients' non-Notes mail programs are MIME-compatible, recipients can see elements
such as text styles in your messages. You can also send streamlined replies without pictures or
attachments, or format your replies Internet-style, as plain text with line markers.
No matter what type of mail you have--Domino Notes mail or Internet mail (for example, with an
Internet service provider)--Notes gives you one easy-to-use interface. You can use Notes to participate
in Internet newsgroups and look up names and mail addresses using Internet directory services such as
Bigfoot. When connected to the Internet, you can use a browser to access your mail. When you are not
connected to your local area network or the Internet, whether you are in a hotel, airplane, car, or train,
you can still create, send, reply to, and forward mail. Notes store all your outgoing mail messages in a
mailbox to deliver later when you reconnect.

The home page (previously called the Welcome page) is the first item that appears if you do not have a

The IBM Lotus Notes user interface is comprised of views menus, toolbars, navigation panes, and a
sidebar that you can use for easy access to some frequently used applications.

The navigator displays the views and folders that are available in the currently opened application. For
example, in your Calendar, you can choose from several views, such as One Day or One Week. In your
Mail application, you can you can create folders to organize your messages.
Toolbars
Toolbars are made up of buttons. You can set Toolbar Preferences to specify which toolbars display, and
you can add or remove buttons from each toolbar.
Action bar
Each window tab optionally includes an action bar, specific to the application or document open in the
window tab. Action bars may include icons and text, or be comprised of text only. Items on the action
bar are also available from the Action menu.

Status bar
The status bar displays action buttons and messages about current status and activity.
Views
Views display specific sets of documents within an application. For example, your Mail application has
an All Documents view that displays every document contained in Mail, and a Sent view that displays
only documents that you have sent.
Bookmarks
Bookmarks are links that point to Lotus Notes or Internet elements, such as applications, views,
documents, Web pages, and news groups.
Preview pane
The preview pane displays a preview of a selected message or calendar entry. You can also hide the
preview pane.
Home Page
The home page (previously called the Welcome page) is the first item that appears if you do not have a
view set to open when you first launch Lotus Notes. The default home page gives you a central location
from which to access your mail, calendar, contacts, to do list, and notebook.
Switcher menu
You access the switcher menu using the arrow located at the top of your navigator. Use this menu to
switch to another application, for example, to switch from Mail to To Do.
Workspace
The workspace, the legacy user interface for Lotus Notes, displays pages containing application icons.
The workspace is available and accessible through a folder on the Bookmark bar.

workspace icons into the Applications folder. Each
workspace page (tab) appears as a folder, and the
workspace icons appear as bookmarks inside each of
those folders. You can open your workspace using the
icon in this folder.

You can just view a message or you can view a message and keep the message list open at the same
time.
1. Select the message and double click to open the message
2. Click the preview pan bar at the bottom of the message list to show the message and keep the
message list open at the same time.

You use the New Message form to create and send e-mail messages
To create a message, complete the following steps:
1. Open your mail.
2. Above the message list, click new button
3. Click the New Message button of the mail desktop. The flowing screen will appear.
On that screen provide the following items:
To: Name of the email account where mail will be sent
Cc: Carbon Copy. Others email account who will also receive the sending mail.
BCC: Black Carbon Copy. Other email accounts who will also receive the mail but the users who
are included in the BCC box will be secret from each user.
Subject: The subject of the email.

5. Click Send button on the screen of left upper side to send the message, click Send and File to send the
message and save it in a folder, or click Save as Draft to save a copy of the message in your Drafts view
without sending it.

4. Press the send button to send the mail along with the attachment.
1. Lotus Notes will start searching the BRAC directory and your personal contacts as soon as start typing
first characters of an e-mail address in the To: field of a new message. A Popup will appear that you can
select to find the matching name or you can click F9 after typing a desired number of characters. The F9
option will allow you to pick from a list of found names.

You can reply to the person who sends you a message and to all of the recipients of the message.
1. In order to reply the mail, first open the mail and select the Reply button on the opened mail showing
on the following screen.

If selected only Reply, a New Memo mail screen will appear for drafting a reply mail. The To box is
automatically filled by the account from where the mail originally came from. The attach file/s is also
added with the mail if there is any attachment. The CC and BRAC text box will be empty.
If selected Reply with History, a New Memo mail screen will appear for drafting a reply mail with the
history of the received mail.
If selected only Reply without Attachment(s), a New Memo mail screen will appear for drafting a reply
mail without attachments of the received mail.
1. Reply to all buttons is selected when there are other email accounts in the CC or SIBL box. The
functions are same as choosing Reply button.
1. If needs to forward the received mail with attach to other users, at first select the mail. The following
screen will appear.

2. Select the labeled forward to forward the mail with attach and then click on Forward. The following
screen will be shown. Insert the sending email account. In Subject box, there will be subject with prefix
Fw:. Select Forward without Attachment(s) to forward mail without attachment(s).
3. Type the forwarding email account to forward the mail and then click Send button. Select Forward
without Attachment(s) to forward without attachment.

All the sent email are shown on the screen including the recipient, date, time, mail file size and subject.
You can also see the content of the sent mail by selecting the mail and double clicking the mail.

2. You may also right click a message in your inbox and from the popup menu that appears select Delete
mail to Trash

Note: The recommended size in pixels is 85w x 74h. Any image you import is automatically resized to
these specifications.
5. Click Save & Close, or Save and add another to save the contact entry and return to a blank form to
create another entry.
6. You may also right click a message in your inbox and from the popup menu that appears select Add
sender to contacts

You can organize your messages by using folders. Perform any of these folder tasks from a Mail view by
clicking the arrow next to and then making your selection:

messages.

You can look for a particular message in your mail application by searching by sender in a view or folder,
or by searching for words in either the subjects or in the full text of messages.
1. In the mail navigation pane, click All Documents, or click a view or folder that you know the
Message is in.
2. Click the Who column heading to sort messages alphabetically by sender.
3. Start typing the name of the sender to open the Starts with... dialog box. You can type some
or all of the sender's name.
4. Click Search. Notes selects the first message sent to you by the sender whose name starts with the
characters you typed.
1. In the mail navigation pane, click All Documents, or click a view or folder that you know the message
is in.
2. Click any message title to shift focus to the view or folder
3. Choose Edit > Find/Replace.
4. Type the word or words to find and click Find Next. Each time you click Find Next, the next message
in the view or folder whose subject contains the word or words is highlighted.
1. In the mail navigation pane, click All Documents, or click a view or folder that you know the message
is in.
2. Make sure that your mail application is full-text indexed.
Note: If you don't have access to index your mail application on the server, ask your Domino
administrator for assistance in creating and indexing a local replica of your mail application to use for
searching.
3. Click View > Search This View to open the search bar.

4. Type the word or words to search for in the Search for field.
5. Click Search.
You can mark a mail message with a flag icon to indicate that the message requires follow-up action.
Flagging messages places them in the Follow Up view and in the Follow Up miniview which you can keep
open in the mail navigation pane so that you can maintain an awareness of those messages.
You can set these follow-up preferences the default priority flag, a default follow-up date and time, and
a default alarm for flagged messages.
If you add a quick flag to a message, the default follow-up preferences are applied.
1. Select one or more messages in a folder or view (other than Trash or Junk).
If you add a regular flag to a message, you can change any of the default settings such as the flag's
priority.
1. Select one or more messages in a folder or view (other than Trash or Junk).
2. Click the down arrow next to the flag icon above the message list, and then click Add or Edit Flag.

If you no longer need to mark a message for follow-up, you can remove the flag from it.
Removing the follow-up flag from a message removes the message from the Follow Up view and Follow
Up miniview, but not from any other views and folders the message is in.
1. Select one or more flagged messages in a folder or view (other than Trash or Junk). Note that you can
remove flags from multiple messages at the same time only if the flags are all the same priority.
2. Click the down arrow next to the flag icon above the message list, and then click Remove Flag.
The Follow Up miniview displays messages you have flagged for follow-up action at the bottom of the
mail navigation pane so you can maintain an awareness of those messages.

1. You can lock your Lotus Notes email program by pressing Ctrl+F5 key and the following locking screen
will be shown. In order to unlocking the program click on the screen and the program will ask for notes
password.

2. After selecting the User Security, the following screen will appear and will ask for current Notes
Password.
3. After providing the current Notes password the following configuration screen will appear.
4. Click the Change Password button to change the password. The following screen will appear again and
ask for password. Again provide the old Notes password.

5. After providing the old password the following screen will appear for the New Notes Password to be
set. Enter and Re-Enter new password and press OK button.
6. The password will be changed and you will get a successfully conformation.
Notes Minder is a feature that checks your mail and monitors your Calendar alarms when Lotus Notes is
not running. When Notes Minder is active, it displays an icon in your Windows taskbar.
1.24.1 To start Notes Minder
Click Start, click All Programs, open your Lotus Applications folder, click Notes Minder, and then enter
your Notes password when prompted.
