Scope of the Manual

This manual describes the activities to be carried out by a group of people assigned to use IBM Notes
Mail Application Program. The manual includes the simple procedures of uses of IBM Notes for
exchanging emails and instant messages among users.

Basic Mail Concept

You can use IBM Notes mail to communicate with coworkers, friends, and family electronically. You can
create, send, reply, and forward e-mail. You can send attachments such as files and pictures with your
mail, and organize messages in folders. You can save information about people in your contact list. You
can also manage group mailing lists, and print address labels in several formats.

A Notes mail message is the same as any Notes document. For example, you can change fonts and
colors, add file attachments, and include tables, graphics, and links when creating or editing a mail
message. If your recipients' non-Notes mail programs are MIME-compatible, recipients can see elements
such as text styles in your messages. You can also send streamlined replies without pictures or
attachments, or format your replies Internet-style, as plain text with line markers.

No matter what type of mail you have--Domino Notes mail or Internet mail (for example, with an
Internet service provider)--Notes gives you one easy-to-use interface. You can use Notes to participate
in Internet newsgroups and look up names and mail addresses using Internet directory services such as
Bigfoot. When connected to the Internet, you can use a browser to access your mail. When you are not
connected to your local area network or the Internet, whether you are in a hotel, airplane, car, or train,
you can still create, send, reply to, and forward mail. Notes store all your outgoing mail messages in a
mailbox to deliver later when you reconnect.

How To Access Lotus Notes


To access Lotus Notes click to Notes icon on your desktop then type your notes password and press
enter then you will get the following desktop interface. For details click here

Home Page
The home page (previously called the Welcome page) is the first item that appears if you do not have a
view set to open when you first launch Lotus Notes. The default home page gives you a central location
from which to access your mail, calendar, contacts, to do list, and notebook

Lotus Notes Desktop Interface

The IBM Lotus Notes user interface is comprised of views menus, toolbars, navigation panes, and a
sidebar that you can use for easy access to some frequently used applications.

Navigator
The navigator displays the views and folders that are available in the currently opened application. For
example, in your Calendar, you can choose from several views, such as One Day or One Week. In your
Mail application, you can you can create folders to organize your messages.
Toolbars
Toolbars are made up of buttons. You can set Toolbar Preferences to specify which toolbars display, and
you can add or remove buttons from each toolbar.

Action bar
Each window tab optionally includes an action bar, specific to the application or document open in the
window tab. Action bars may include icons and text, or be comprised of text only. Items on the action
bar are also available from the Action menu.

Status bar
The status bar displays action buttons and messages about current status and activity.
Views
Views display specific sets of documents within an application. For example, your Mail application has
an All Documents view that displays every document contained in Mail, and a Sent view that displays
only documents that you have sent.

Bookmarks
Bookmarks are links that point to Lotus Notes or Internet elements, such as applications, views,
documents, Web pages, and news groups.

Preview pane
The preview pane displays a preview of a selected message or calendar entry. You can also hide the
preview pane.

Home Page
The home page (previously called the Welcome page) is the first item that appears if you do not have a
view set to open when you first launch Lotus Notes. The default home page gives you a central location
from which to access your mail, calendar, contacts, to do list, and notebook.

Switcher menu
You access the switcher menu using the arrow located at the top of your navigator. Use this menu to
switch to another application, for example, to switch from Mail to To Do.

Workspace
The workspace, the legacy user interface for Lotus Notes, displays pages containing application icons.
The workspace is available and accessible through a folder on the Bookmark bar.

The navigator displays the views and folders that are available in the currently opened application. For

1.1 Opening Lotus Notes


1. Click on the Note icon on your desktop.

2. After clicking the notes icon the following screen will appear.

3. On the above screen, please enter notes password and press Enter or OK button. After pressing OK
button or pressing Enter button, the following notes desktop screen will appear.

1. Double click on the button labeled username on local from above figure the next screen will appear of
the mail desktop.

1.3 Checking for new mail


1. Click on the label Inbox in order to see incoming mail. All the incoming mail will be shown on the right
side of the screen. All the unread emails will be shown in red colored and read emails will be shown in
black colored on the screen.

1.4 To preview a message

You can just view a message or you can view a message and keep the message list open at the same
time.
1. Select the message and double click to open the message

2. Click the preview pan bar at the bottom of the message list to show the message and keep the
message list open at the same time.

1.5 Creating a new message and sending without Attachments

You use the New Message form to create and send e-mail messages
To create a message, complete the following steps:
1. Open your mail.
2. Above the message list, click new button

3. Click the New Message button of the mail desktop. The flowing screen will appear.
On that screen provide the following items:
To: Name of the email account where mail will be sent
Cc: Carbon Copy. Others email account who will also receive the sending mail.
BCC: Black Carbon Copy. Other email accounts who will also receive the mail but the users who
are included in the BCC box will be secret from each user.
Subject: The subject of the email.

4. Click the message body and type your message.

5. Click Send button on the screen of left upper side to send the message, click Send and File to send the
message and save it in a folder, or click Save as Draft to save a copy of the message in your Drafts view
without sending it.

1.6 Creating a new message and sending with Attach


You can attach many types of files to a document, such as executables, graphic files, and compressed
files.
1. With the document in edit mode, click where you want the file attachment to appear (for example, at
the end of the document).

2. Click the paper clip toolbar button on the upper side of the screen

3. Select one or more files (select multiple files by pressing Ctrl while clicking file names), and then click
Create.

4. Press the send button to send the mail along with the attachment.

1.7 Directory Lookup

1. Lotus Notes will start searching the BRAC directory and your personal contacts as soon as start typing
first characters of an e-mail address in the To: field of a new message. A Popup will appear that you can
select to find the matching name or you can click F9 after typing a desired number of characters. The F9
option will allow you to pick from a list of found names.

2. You may also click F9 after typing a desired number of characters. The F9 option will allow you to pick
from a list of found names.

1.8 Reply to a Mail

You can reply to the person who sends you a message and to all of the recipients of the message.
1. In order to reply the mail, first open the mail and select the Reply button on the opened mail showing
on the following screen.

If selected only Reply, a New Memo mail screen will appear for drafting a reply mail. The To box is
automatically filled by the account from where the mail originally came from. The attach file/s is also
added with the mail if there is any attachment. The CC and BRAC text box will be empty.

If selected Reply with History, a New Memo mail screen will appear for drafting a reply mail with the
history of the received mail.

If selected only Reply without Attachment(s), a New Memo mail screen will appear for drafting a reply
mail without attachments of the received mail.

1.9 Reply to all a Mail

1. Reply to all buttons is selected when there are other email accounts in the CC or SIBL box. The
functions are same as choosing Reply button.

1.10 Forward a Mail


You can forward a message from your Notes mail application or a document from another application.

1. If needs to forward the received mail with attach to other users, at first select the mail. The following
screen will appear.

2. Select the labeled forward to forward the mail with attach and then click on Forward. The following
screen will be shown. Insert the sending email account. In Subject box, there will be subject with prefix
Fw:. Select Forward without Attachment(s) to forward mail without attachment(s).

3. Type the forwarding email account to forward the mail and then click Send button. Select Forward
without Attachment(s) to forward without attachment.

1.11 See the Sent Mail


1. Click the labeled Sent to see the sent mail on the following screen.

All the sent email are shown on the screen including the recipient, date, time, mail file size and subject.
You can also see the content of the sent mail by selecting the mail and double clicking the mail.

1.12 Delete the Mail


1. If needs to delete the mail from Inbox or sent mail, go to the Inbox or sent mail. Select the mail by
mouse click and press delete button from the keyboard or from the Move to trash button on the screen.
Before deleting the mail, there will be no warning or notifications of deleting the mail. It will directly
delete the selected mail.

2. You may also right click a message in your inbox and from the popup menu that appears select Delete
mail to Trash

1.13 To Restore a Message

1. Click the Trash folder then Select the message you want to restore.

1.14 View Unread Mails Only


1. Click show on right side then Select Unread Only. All the unread mail will be shown.

1.15 Creating a new contact entry


Use contact entries to store information about a contact such as name, address, phone number, e-mail
and more.

2. From the My Contacts view, click New.

3. Complete all desired fields which your needs like bellow

4. Optional: Click to add a picture of the contact to the entry.

Note: The recommended size in pixels is 85w x 74h. Any image you import is automatically resized to
these specifications.

5. Click Save & Close, or Save and add another to save the contact entry and return to a blank form to
create another entry.

6. You may also right click a message in your inbox and from the popup menu that appears select Add
sender to contacts

7. Complete all desired fields and then click ok to save the contacts

1.16 Replicate Mails Immediately


1. If needs to replicate mail immediately, click the replicate icon on the left side shortcut bar showing in
the following screen.

2. Replication desktop will appear. Click the Start Now button to replicate immediately. A replication
progress bar will be shown on the below screen.

1.17 Working with Folders

You can organize your messages by using folders. Perform any of these folder tasks from a Mail view by
clicking the arrow next to and then making your selection:

1.17.1 To create a folder


1. Click Create Folder.

2. Type a name for the folder and select a location.

1.18 Adding signatures to mail


You can automatically add a personal signature to all the messages you send.
To add a signature to all messages
1. Click File > Preferences, and then click Mail.
2. Click the Signature tab.

3. Select automatically append a signature to the bottom of my outgoing mail messages.


4. Enter text in the Signature field. Click the T control to add rich text features such as graphics and
attachments.

5. Click OK.

1.19 Changing the letterhead on your messages

You can select a graphic from a list of supplied graphics to display as letterhead at the top of your
messages.
1. Click File > Preferences, and then click Mail.
2. Click Letterhead.

3. Select a graphic in the Letterhead field. To use no graphic, select No letterhead.


4. Click OK.

1.20 Finding a mail message

You can look for a particular message in your mail application by searching by sender in a view or folder,
or by searching for words in either the subjects or in the full text of messages.

1.20.1 To search by sender

1. In the mail navigation pane, click All Documents, or click a view or folder that you know the
Message is in.
2. Click the Who column heading to sort messages alphabetically by sender.
3. Start typing the name of the sender to open the Starts with... dialog box. You can type some
or all of the sender's name.
4. Click Search. Notes selects the first message sent to you by the sender whose name starts with the
characters you typed.

1.20.2 To search for words in the subjects of messages

1. In the mail navigation pane, click All Documents, or click a view or folder that you know the message
is in.
2. Click any message title to shift focus to the view or folder
3. Choose Edit > Find/Replace.

4. Type the word or words to find and click Find Next. Each time you click Find Next, the next message
in the view or folder whose subject contains the word or words is highlighted.

1.20.3 To search for words in the full text of messages

1. In the mail navigation pane, click All Documents, or click a view or folder that you know the message
is in.
2. Make sure that your mail application is full-text indexed.
Note: If you don't have access to index your mail application on the server, ask your Domino
administrator for assistance in creating and indexing a local replica of your mail application to use for
searching.
3. Click View > Search This View to open the search bar.

4. Type the word or words to search for in the Search for field.
5. Click Search.

1.21 Flagging messages for follow-up

You can mark a mail message with a flag icon to indicate that the message requires follow-up action.

Flagging messages places them in the Follow Up view and in the Follow Up miniview which you can keep
open in the mail navigation pane so that you can maintain an awareness of those messages.

You can set these follow-up preferences the default priority flag, a default follow-up date and time, and
a default alarm for flagged messages.

1.21.1 To flag messages for follow-up with a quick flag

If you add a quick flag to a message, the default follow-up preferences are applied.

1. Select one or more messages in a folder or view (other than Trash or Junk).

2. Click the flag icon above the message list.

1.21.2 To flag messages for follow-up with a regular flag

If you add a regular flag to a message, you can change any of the default settings such as the flag's
priority.

1. Select one or more messages in a folder or view (other than Trash or Junk).

2. Click the down arrow next to the flag icon above the message list, and then click Add or Edit Flag.

3. For Importance, select a priority to set the flag to display.

1.21.3 Removing follow-up flags from messages

If you no longer need to mark a message for follow-up, you can remove the flag from it.

Removing the follow-up flag from a message removes the message from the Follow Up view and Follow
Up miniview, but not from any other views and folders the message is in.
1. Select one or more flagged messages in a folder or view (other than Trash or Junk). Note that you can
remove flags from multiple messages at the same time only if the flags are all the same priority.

2. Click the down arrow next to the flag icon above the message list, and then click Remove Flag.

1.21.4 Follow up miniview

The Follow Up miniview displays messages you have flagged for follow-up action at the bottom of the
mail navigation pane so you can maintain an awareness of those messages.

To collapse the miniview, click the Collapse icon .

Follow Up tasks

1.22 Lock Your Mail Program

1. You can lock your Lotus Notes email program by pressing Ctrl+F5 key and the following locking screen
will be shown. In order to unlocking the program click on the screen and the program will ask for notes
password.

1.23 Change Notes Password


1. Go to Menu, then File > Security > User Security

2. After selecting the User Security, the following screen will appear and will ask for current Notes
Password.

3. After providing the current Notes password the following configuration screen will appear.

4. Click the Change Password button to change the password. The following screen will appear again and
ask for password. Again provide the old Notes password.

5. After providing the old password the following screen will appear for the New Notes Password to be
set. Enter and Re-Enter new password and press OK button.

6. The password will be changed and you will get a successfully conformation.

1.24 Notes Minder

Notes Minder is a feature that checks your mail and monitors your Calendar alarms when Lotus Notes is
not running. When Notes Minder is active, it displays an icon in your Windows taskbar.
1.24.1 To start Notes Minder

Click Start, click All Programs, open your Lotus Applications folder, click Notes Minder, and then enter
your Notes password when prompted.

1.24.3 Notes Minder menu options


You can right-click the Notes Minder icon to display a menu of options.

Open Notes Starts Notes and opens your mail application
Check Now Checks for unread messages.
View Mail Summary Displays the sender, date, and subject of unread messages. To read the full
text of a message, double-click it.
Properties Displays Notes Minder configuration settings. You can set alerts for unread
mail and alarms, and set how often to check for new mail.
Enabled Toggles Notes Minder on and off without closing it.
Exit Closes Notes Minder.

1.25 Status Indicators in Your Inbox


Your Inbox displays icons to show you the status of messages you have received, including meeting
invitations and group to do assignments. For example, icons show messages you responded to or
forwarded the status of meeting invitations, high priority messages, and more. You can see who is online
and available to chat with, and you can see which messages you have marked for follow up.

1.26 Calendar
The calendar application allows you to organize appointments, events, meetings, reminders, and
anniversaries.

1.26.1 Navigating the Calendar


To open the Calendar, click the Calendar icon on t he Bookmark Bar. Use the calendar format tabs
at the top of the View Pane to change the number of days the calendar displays. Click the down arrow
on the Format Tabs to display formatting options. Click the Back and Forward buttons next to the
month in the Navigation Pane to cycle through the months. Use the slider bars on the right side and
bottom of the View Pane to move through the Calendar. Click on Today in the Navigation Pane at any
time to return to the current date.

1.26.2 Creating a Calendar Entry


To create a calendar entry click on the down arrow next to the New button and a menu will appear.
From here you can choose what type of entry you would like to create; once an option is selected, a
form will open. Fill out the appropriate information and then click Save & Close at the top of the

Note: To change the color of a Calendar Entry, select More from the Actions menu, and select
Preferences from the resulting menu. Click on the Calendar & To Do tab and click on the Colors tab.
Make color selections and click OK.

1.26.4 Dragging to Create A New Calendar Entry


Drag a Mail message, Calendar entry, or To Do item onto the Calendar icon on the Bookmark Bar.
Select a Calendar entry type from the Copy Into dialog box that appears and click OK. The new calendar
entry will appear. Fill in the information and select options as desired. (If you create a meeting, the
names of the people in the original item will be copied into the new meeting as invitees.)

1.27 Meetings

1.27.1 Accepting a Meeting


When someone sets up a meeting and includes you on the invitation list, you will receive an email in
your inbox from that person. To accept the meeting and add it to your calendar, simply choose the
Accept option from within the email. Upon doing this, Notes will automatically enter the meeting into
your calendar. Whether you choose to accept or decline the invitation, Notes will send a notice to the
person chairing the meeting to let them know your decision.

1.27.2 Creating and Sending Meeting Invitations


To send out a meeting invitation, create a Meeting entry from within the calendar section. Fill out the
appropriate information as you would for any other calendar entry, but here you have the option of
sending out meeting invitations to other people. To do this, insert the names of those you wish to invite
and choose Save & Send when you are done.

1.27.3 Editing or Rescheduling a Meeting Entry


Doubleclick the entry you want to edit. Make changes to the entry. Click the Save and Send Invitations
button for a meeting, or the Save and Close button for all other entries.

1.27.4 Printing a Calendar


In Calendar, select Print from the File menu or click the Print button on the Universal toolbar. In the
Print Calendar dialog box, check the Print Calendar box under What to Print. In the Calendar Style List
box, select a style for your Calendar. Under the Print Range, select From and To Dates. Click the OK
button to Print.

1.28 TO DO LIST
1.28.1 The To Do List Database
The To Do List allows you to organize personal tasks and assign tasks to others. To open the To Do List,

click the To Do icon on the Bookmark Bar.

1. Incomplete displays To Do items not completed by their due date


2. All To Do's displays personal To Do items and items you have assigned to
others.
3. Personal displays only personal To Do items.
4. Group displays group To Do items.
5. By Category displays To Do items by category
6. Complete displays completed To Do items

1.28.2 Creating a Personal To Do Item


Click the New To Do Item button at the top of the View Pane. Fill out the appropriate information and
then click Save & Close at the top of the window.
Note: To quickly create a new To Do item, drag a Mail message, Calendar entry, or To Do item onto the
To Do icon.

1.28.3 Marking a To Do Item Complete


In the To Do List, select the To Do Item you want to mark as complete. Click the Mark Complete button

1.28.4 Assigning a To Do Item To Others


Follow the steps for creating A Personal To Do Item. In the Assign To field, check Others. In the
Participants selection,
fill in the Required, Optional, and FYI fields or click the Contacts Book button to select contacts from a
Contacts Book.
Click the Save and Send Assignments button

1.29 Logging Out of Lotus Notes


You can logout of the Lotus Notes Client by either; clicking the X in the upper righthand corner of the
client, or choosing File, Exit from the menu bar.
