1. Document Purpose
This document outlines the steps to setup admins, record finger images, clocking-on/off
and other key aspects.

2 Master Password and Admin Users


When you first receive the Biostation there will be no Master Password or Administrator.
Setting up both is the best way to ensure the devices security.

For security reasons please set a master password right after the product is installed and
keep this information in a safe place for future reference.

Master Password

Note: Keep a note of the Master Password somewhere as it cannot be reset


if forgotten (unless as admins fingerprint is working) and the clock has to be
sent back to the manufacturer. Having the code with your IT is a good idea as
they may want access to the clock for troubleshooting.

Press ESC key to enter Admin menu from the initial display.

Press OK key.

Once youre in the Admin menu, select the Device menu item.

If you select Master Password on device menu, the Master Password menus
appear on the display.

Enter current master password in the Current field and a new master password in
the New & New (again) fields. Then press the OK key to confirm.

Default password is blank (no need to type).


[Note] With this master password, one can enrol or delete users and
change settings of Bio Station. Please be careful not to disclose
master password except to Administrators.

When you forget the master password:

If there is a user enrolled as administrator: you can enter Admin menu


using administrators fingerprint and return the password as blank by
selecting the Factory Default on Device menu. However, in this case,
other settings of the device also return to defaults.
If theres no user enrolled as administrator: contact the dealer you
purchased the device from.

Administrator Users

What is an Administrator: They are special user who is authorized to manage the
settings and user information of a device. Administrators can enrol or delete users and
change settings of the device. Note: It is advisable to set up at least 1 Admin user and
register a finger print in-case the master password for the device is quickly forgotten. Once
there are employees on the clock you will be able to start registering finger prints.

The administrator function for individual employee is activated from the E-tivity user profile.
Open the resource profile in E-tivity and go to Access Tab as shown in below screen
snapshot.

The employee has to be enabled in e-


Tivity as a Register Finger Admin in
the employees profile, under the
Access Control tab.

The clock server will fetch employee


details from E-tivity and upload to clock
at scheduled times throughout the day.

Once the clock has been updated, they will appear in the Edit User menu within the clock
as below:

To enrol an employee on the Biostation, you need to follow the below steps.

1. Enter the Administrator Menu by pressing ESC. When pressing ESC you will be asked to
enter a password or scan your finger. This is only necessary if an administrator has been
flagged in E-tivity for the clock. If no administrator has been setup within E-tivity, please
press OK to proceed without using a password.

If the clock has at least one administrator setup, you cannot get to the administrator menu
without the admin finger scan.

2. From the Administrator Menu, select User > Edit User.


Please be aware that because the employees have already been uploaded to the clock, we
are editing them and NOT enrolling a new user

3. You can search for the user you with to register by simply typing in the badge number of
the employee excluding any leading 0s. For Example 0022345 will be found by typing
22345.

4. Once you have found your employee to register, press F1 to access the More area,
followed by F2 to register a finger.

5. Ensure the Finger No is set to 1, Duress is set to None and Bypass Card is set to Not
Use and press OK to begin the registration process.

6. When registering a finger there is a correct procedure that must be followed to ensure
accuracy of the data captured. The finger must be placed on the scanner so it completely
covers the sensor area. Please use the image below as a guide to capturing the correct
data.

The employee can now place the finger on the scanner as instructed by the clock. For
enrolment, the same finger should be placed twice onto the scanner according to the
messages shown in the display.

If both finger images are captured correctly, Enrol Success message will appear on the
display together with the employees badge number.

7. Once you have enrolled the employee, press ESC and OK to save the employees new
finger registration.

8. If you have no more employees to register, press F4 to exit to the initial display.

4 Using the Password Option
If you do not want to use the Biostation finger scan or if an employee is unable to register with any
fingers, there is an alternative way by using password.

Step 1: In E-tivity under resource profile please go to Access Control tab.

Step 2: Under Access Control tab please tick option called Sensitive Finger as shown in below
snapshot.

Once the employee is then loaded to the clock via the clock server software; they should be able to
clock in and out using the password option.

Step 3: Please advise the employee to punch in their Badge No onto the clock and press OK. It should
then prompt them to enter a password. Their password will be their Birth Date as a 6 character
number in ddmmyy format and must match their Birth Date on their resource record.
E.g. Birthdate is 01/12/1960 and the password will be 011260.

5 Clocking On and Off
How to clock-on and clock-off
To clock-on or clock-off the Team Member places their finger on the sensor. A
message <team members name> Authentication successful will be displayed and a
sound will play indicating the clocking is successful.

You can use the clock in and clock out functionality of the clock by using the below
buttons:
F1 to clock in
F2 to clock out

Authentication unsuccessful?
Ensure finger(s) and the sensor area are clean and dry before clocking on/off

Regularly use a clean lint-free soft cloth to clean the timeclock to remove dust. Do not
use water or chemicals on the timeclock.

Timeclock Settings
E-Tivity has been setup to adjust the clocking start time and clocking finish time to
match the rostered shift start/finish time.

6 Suprema Biostation Installation Instructions
Installing the Suprema Biostation involves the following steps:

Confirm a power point and data point have been installed and cabled and the timeclock
metal backing plate has been mounted.

Insert the Ethernet and power cables following steps below:

Remove the rubber cover from the centre of the back of the timeclock.

Connect the blue Ethernet cable into the RJ45 connection in the top left-hand corner of
the cavity.

Connect the 5-pin power cable into the connection in the bottom right-hand corner of
the cavity.

Coil the small red, blue and grey leads inside the cavity (dont cut them off), feed the
Ethernet cable and power cables through the opening at the bottom of the cavity and
replace the rubber cover. Then slide the clock onto the mounting metal bracket and fix
the timeclock to the bracket using the star-shape screw and small wrench.

Plug the power cable in the wall

Plug the Ethernet cable into the wall

Turn-on the power to the timeclock wait till the timeclock music has played and the
date and time displays at the bottom of the screen

If required, tidy-up the cabling with cable ties

7 Assigning an IP Address
HINTS
To move the cursor - use the arrows located around the OK button
To return to previous screen/step press ESC button
Move the cursor quickly any delay will return you to the main screen

Once the Suprema Biostation is turned-on (see Installation Instructions above), press
the ESC button once. The timeclock will then prompt you for the Admin Finger or
Master Password, press OK (to skip).

Move the cursor to Network and press OK

In the Network Setup screen move the cursor to TCP/IP and press OK

Make sure the LAN Type is Ethernet and Port is set at 3001

To use an IP Address move the option down to DHCP and press > arrow till DHCP
setting is Not Use

Enter the IP Address, Gateway and Subnet settings. Note: for . please use the >
arrow (next to the OK button).

Press OK to save settings

Hints and Tips
The shift manager needs to review/approve clockings on a daily basis ensuring they
look closely at the times that are being approved.

Its important that the roster is kept up-to-date. As long as the roster is up-to-date with
the appropriate activity codes, org unit and tasks these will be copied over to the
relevant clocking. Otherwise the approver will need to manually add the relevant
activity codes, org unit and tasks to the clocking in the timesheet approval screen.

Prompt team members to ensure the setting on their watch is the same as the
timeclock.

If a team member has accidentally clocked-on/off within 5 minutes of the previous


clocking, then the second clocking will be ignored.

Team members on loan from another store can use the timeclock, however its
important that team members roster is created 6 hours before the team members
finger image is registered.

If there is no roster - the clocking will default to the team members home store even if
they clocked-on at another store.

If the team member is sick or actually works later than the clocked-off time then the
approver will need to enter/adjust the team members clocking in e-tivity Web Kiosk.

If a team member has clocked-on but forgotten to clock-off then there will be an odd
clocking and the approver will need to fix this clocking in e-tivity Web Kiosk.

If a team member fails to clock-on at the beginning of a shift, the approver will need to
wait for the team member to clock-off at the end of their shift, in order to resolve the
entire clocking for the team member.

If a team member works in a store that doesnt have a timeclock then the approver will
need to manually enter and approve the team members clockings.

When a team member leaves the company or moves to another location, the clock
server software will automatically delete the team members finger image from the
timeclock.

8 Care Instructions for the Timeclock


The timeclock is not to be exposed to moisture, dust, excessive heat or direct sunlight.
Do not cover the device.

Regularly use a clean lint-free soft cloth to clean the timeclock to remove dust. Do not
use water or chemicals on the timeclock.

Do not disassemble the timeclock.

9 Trouble-Shooting
Finger Authentication fails:
Ensure finger(s) and the sensor area are clean and dry before recording image
Confirm that team members fingerprint has been enrolled on the time clock

Fingerprint cannot be read well or it takes too long:


Check whether a finger or fingerprint sensor is stained with sweat, water, or dust
Retry after wiping off finger and fingerprint sensor with dry towel
If a fingerprint is too dry, blow on the finger and retry

LCD Screen is displaying as black or blank:


If LCD display and blue LED are off, it is possible that power is off. Check power
condition such as blackout or power outlet not turned on.
If LCD display and blue LED are on, something is wrong with machine. In such a
case please contact support for warranty conditions.

Time Clock is Offline or Clockings are not uploading into E-tivity:


Ensure Network Cable on Clock is plugged in at both ends
Ensure IP address, Subnet Mask and Default Gateway are set correctly in the
Clocks Set Up Menu
Power Clock Off and On again by switching the power point off the on.
Using a local PC or the Clock Server from a command prompt run the PING
command followed by the clocks IP address E.G. Ping 10.10.10.1
Ensure the Clock Server software is running. If not resolve this by connecting to the
Clock server, Stopping and Starting the service.
Connect to the Clock server, Open the Clocks window and run the Check Status
for the device
If all of the above is correct and a connection cannot be restored in such a case
please contact support for warranty conditions.

Employee Name and Number not appearing in the Time clock for Registration:
Ensure Time Clock is online
Connect to the Clock server, Open the Scheduled Tasks window and run
Download Employee from Host for the device then run Upload Employee to
Clock for the device.

10 Timeclock and Day Light Savings


E-Tivity will adjust the time on the timeclock to reflect the correct time for the time zone
and state in which the timeclock is installed, so no action is required to accommodate Day
Light Savings.
