Chapter 1
Introduction

Vodatrex Telephone Recording System (TRS) is a multiple channel digital


telephone recording system that uses PC and Recording Card to record telephone
conversations dialed numbers and caller IDs. Vodatrex TRS helps to make transactions
over the telephone and to control the quality of personnels work.

Typical Usage:
Call center, Help desk, Hospital, Fire station
Recording conferences calls
Recording instruction, Clarification of quantities and Specifications
Protection of staff from abusive/difficult customers
Monitoring nuisance callers
Monitoring customer service
Monitoring staff performance

General Vodatrex TRS Features:


Records up to 64 telephone lines simultaneously and automatically
Logs dialed number(DTMF) and Caller ID for searching
Storing records files on a hard disk
Find and Play recordings ordered by date, line, caller ID, or DTMF number dialed ,
or from other computers on local area network
Convert recordings to wave files which can be playback in Media

Chapter 2

Installation

System Requirements
Processor: PIII 500MHZ or above
Memory: 128Mb Ram
Hard disk Space: 40Gb or above
(70 hours recording/Gb, eg 80G for 5600 hours recording)

Installing Steps
2.1 Install Recording Card
a.Turn off the computer and unplug its power cord, and remove the chassis
cover.
b.Insert the contact edge of the Recording Card into the connector of any
available PCI bus Master expansion slot. Press the card firmly into the
connector and ascertain that the cards contacts are fully seated in the
connector.
c.Install the bracket screw which secures the card to the computer chassis.
d.If move than one card, use Card-Link cable to connect them.
e.Connect telephone wires at the back of the computer.
f.Connect speaker box or earphone to audio jack.
g.Notice Keypro (software dog) must be plugged into USB port

2.2 Installing Card Driver

a.Switch computer power on, Click Next when Windows prompts Found New
Hardware, PCI Bridge.
b.Click Search for latest drivers (Recommend) On next dialog box, and click
button next.
c.Insert CD with label Vodatrex Telephone Recording System
d.Click button Destination, find Driver folder
e.Click Next
f.Click Completed, drivers were installed or (Finish)

2.3 Installing Vodatrex Telephone Recording System Software


Insert the same CD with card drivers, run setup.exe to Install the software. The
default setup path is C:\Telephone Recording System
The default recording files path is D:\VOC
At last, dont forget to plug in USB Keypro(software Dog)

2.4 Connecting Telephone Wires

Notice: Quit Telephone Recording System before connecting telephone


wires.
Notice: 1.Quit TRS Software before connecting wires.
2.Answer phone after second ring, or might cant receive caller ID.

2.5 Uninstall Telephone Recording System


Click button Start, run menu Program\Telephone Recording System\ Unin
stall.

Chapter 3

Quick configuring TRS

Prompt: The default Admin password is 88888


Some menu items are locked. Click menu Operate->Log on,input password. To
enable all menu items, or just click main buttons on the bottom of interface.
Notice: Click menu Operate->Lock Menu after operation to avoid unauthorized
access.

3.1 Start to Quick Configuration


3.1.1 Channel Setting
3.1.1.1 Channel

Show phisical channel number.

Edit Line number for related channel,e.g. 81234567 or ABC123.
Note: Need to restart Telephone Voice Recording Software.

3.1.1.3 (Channel)Type
Click Type column.there is small option button.Click the option button,Type
value will be change in "LINE" ->"TRK"
Option"LINE",is default value,when channel is connected to telephone line
directly.
Option"TRK", when channel is connected to TRUNK line,and in "PBX-TRUNK-
Recording Mode"(Check on:System->Advanced->Enable PBX-TRUNK-REC.
MODE)
Note: Need to restart Telephone Voice Recording Software.

3.1.1.4 Available
If this channel is enabled. "Y"-Enabled,"N"-Disabled.
Note: Need to restart Telephone Voice Recording Software.

3.1.1.5 Recording
"Y"-allowed to record voice files.
"N"-disabled to record voice files.
Note: Need to restart Telephone Voice Recording Software.

3.1.1.6 Rec. Mode


Click Rec. Mode column.there is small button.Click The Rec. Mode Value
would be changed in "PHONE"->"AUDIO"->"KEY".

option "PHONE": is for common telephone line recording.(Default Setting)


option "AUDIO": is for microphone or meeting system audio output line
recording.
option "KEY": start and end a conversation recording by pressing a telephone
keycode.defautl is press * to start record and press # or hangup
to end record.
Note: Need to restart Telephone Voice Recording Software.

3.12 Password Setting

3.1.2.1 Admin Password

Password for Admin account,change password and click SAVE.

3.1.2.2 Enable Password Protection.


If don't want to use password,uncheck this option.
Default Setting: Checked.

3.1.2.3 User and Password.


If there more than one person to access this system,click User and Password
button to add more operator accounts and authorize access right.

3.2 Implementing TRS PBX-TRK-Recording


Step 1: Go System->Advanced Setting;
Enable PBX-TRK-Recording Mode, Check and save.
Step 2: Go System->Channel; Input TRK number to field TRK; TRK is trunk number
which connects to this channel. TRK Number must be same as shown in
Telephone Billing System software.
Step 3: Go System \ Database Management in Telephone Billing System, Check
Make Interface files for TRS, Save.

Working with Telephone Recording System

4.1 Introduction to Main Interface


Main Interface includes:

Main buttons, Status, CallerID Sysinfo and Runlog etc. The Status tab includes:
Channel, Number, Status, CallerID, Dialnumber and Description.

4.2 Find and Play Recording Voice Files


It's easy to search and play recording voice files from great deal of records.Click
"Find&Play" to enter Find&Play window.

4.2.1 Play
Choose a specified record from search result by click a row,click "Playbutton to
start "Rec. Voice Player", the player will play the specified voice.If you require to
play voice file on another PC,please click "Convert to Wave" button to convert
current record file to *.wav wave file.

4.2.2 Refresh
Click Refresh button to show latest all recording records.

4.2.4 Delete Current File


Choose a record by click a row,click "Delete Current File" to delete the
specified record.Note:Can't delete the record marked as Important.

4.2.5 Batch Delete


Batch delete all records by a specified date.
Note: Can't delete records marked as important.
Deleting operations need to Login In as Operator Account with deleting
right.

4.2.6 Rec. Folder


You can view Rec. Folder which save recording files by click "Rec. Folder"
button.

4.3 Monitoring:
Click Monitoring button, and choose a channel
No. Could listen to an ongoing conversation.
Which can hear from earphone or speakers.
Click Return to and quit listening.

4.4 Configuring System


4.4.1 Special Number
Set some phone numbers to not be recorded,e.g ISP,FAX,private call.

4.4.2 Auto Backup


System provide 2 auto backup modes:
1.Backup recording files intervally,can set interval time(minuts).
Defaut value: Not checked ,interval=30 minutes.

4.4.3 Headcode Processing


In order to identify phone numbers in phone book or customer database,must
remove or correct some abnormal callerids,and dialnumbers with telecom
service headcode.

a. Incoming Headcodes:
e.g. Callerid: 075528282828, if set areacode in Incoming headcodes, then
system will remove 0755, and search 28282828 in phone book, so can show
28282828 info correctly

b. Outgoing Headcodes:
e.g. Dialing out: 1790901022222222, 17909 if headcode for some telecome
long distance call service,then system have to remove this headcode to
search correct information in phone book.

If set 17909 in Outgoing Headcodes,then system will remove 17909 and


search 01022222222 in phone book to find correct phone information
about 01022222222.

4.4.4 Channel Setting Re. 3.1.1

4.4.5 Disk Management

4.4.5.1 "Please select a disk to save":


Select a disk drive for storing recording files.(Readonly Disk is not
applicable,e.g. CDROM,DVDROM.)
default value: D:(If D drive exist) or C:

4.4.5.2 "Compress Recording Files"


If compress voice recording files,defult value is "Y". set to "Y" would save
much disk spaces.

4.4.5.3 "Compress Rate"


Set Comress Rate to to 2 or 5,Rate2 is Hardware compressing by DSP chip
process,is fast compressing,voice file format is *.vc2;Rate 5 is software
compressing by PC CPU,use more CPU time,so compress voice files on idle
time(when there is active channel in 5 minutes), compressing process will be
stopped when there is a channel become active,voice file format is *.vc5.
Default value: 2

4.4.5.4 "Remaining HDD space warning value


When remaining HDD space is less than this value,system will popup a
Warning window to note the remaining HDD space and remaing recording
time for operator have enough time to deal with.
Default Value: 500M

4.4.5.5 "Max. Recording Length"(Minutes)


Avoid to generate single huge recording file.Default Value is 60 minutes for
single recording file.Also use to "FULL-TIME-RECORDING", auto split recording
files in this size.

4.4.5.6 Loop Recording


Cover earliest recoring files when remaining space is unavailable.
Default Setting: Checked.

4.46 EXT Management


Set One or some extention numbers if record conversation.
Note: Only effective, when check on "Advanced Tool->Enable PBX-TRUNK
Rec. Mode"

4.4.7 Password Setting Re. 3.13

4.4.8 Setting Phone Book


Setting Information are related to some phone number.
Type: eg: Supplier, Customer. Helps to classify phone numbers.
If Alarm: If choose Y, when this number is calling in , system would show an
alarm form with information related with this number.
Brief Description: A short brief desscription about this number.
Detailed Description: Detailed Information about this phone number would
be show in alarm window.

4.4.9 Seats
Seats means a client PC conneted in LAN(Local Area Network).Set seat
information so than Telephone Voice Recording System can send CallerID and
other Caller Information to all seats.

4.4.9.1Enable IP Interface:
If there are some seats needed to receive callerid information, (Client PC must
installed with Customer Pop software which is bound to Telephone Recording
System),check on this option.
Default Value: Unchecked.

4.4.9.2 SeatID:
e.g. 001,ABC001

4.4.9.3 Seat IP Address:


IP Address of a Client PC. e.g. 192.168.0.88

4.4.9.4 Group:
Set Group for this seat.

4.4.10 Advanced Setting

4.4.10.1 Language:
AUTO: means software detect languange from operating system
automatically.
ENG: Show in English language.
USER: Show user edited language(Advanced Tool->Edit Local Language)
Default Value: AUTO

4.4.10.2 Enable PBX-TRK-Recording Mode:


When Telephone Voice Recording Cards connected to the trunks of
PBX(PABX),check on this option.TVRS will work with Telephone Call
Accouting software,TVRS will identify EXTENSION NUMBER after extension
hangup.You can get extension number in the record and you can search
by it.

Related: Implementing TRS PBX-TRK-Recording Steps:


Step 1: Go to System -> Advanced Setting;
Enable PBX-TRK-Recording Mode, Check and save.
Step 2: Go to System -> Channel; Input TRK number to field TRK; TRK is
trunk number which connects to this channel. TRK Number must be
same as shown in Telephone Billing System software.
Step 3: Go to System -> Database Management in Telephone Billing System,
Check Make Interface files for TRS, Save.)

4.4.10.3 Creat File for Billing System:


Generate raw bills for Telephone Call Accounting software (Pbx Billing
System), so Telephone Call Accounting software can caculate telephone bills
and cost.
Default Value: not checked

4.4.10.4 Cancel Record Command:


Press this key command on phone to cancel current recording.
Default Value: #99#

4.4.10.5 Save No-Answer Incoming Bills:


Save not answered incoming call bills in records database.
Default Value: not checked.

4.4.10.6 Playing through Soud Card:


You can connect speakers to PC Audio Output jack.
Note: In order to monitor(listen to) a line,you can link PC Audio input jack
to Recording Card Audio Output jack.
Default Value: Disabled.

4.4.10.7 Enable Sound Alarm:


Default Value: Disabled.

4.4.10.8 Hide Screen When Startup:


Enable this option, after startup,system will hide main software
interface,only show a small icon with"LOGON" on top-left screen.
Click "LOGON" and input account and password to logon and show full
screen.'
Default Value: Disabled.

4.4.10.9 Only Record Incoming Calls:


When enable this option,system will not record outgoing calls.
Default Value: Disabled.

4.4.10.10 Allowable Minimum Recording Length(s):


If a call is less than (Minimum Recording seconds), this call will not be
recorded,
Default value: 15 seconds.

Chapter 5
Find and Play on LAN

Follow these procedures:


1. Install a Telephone Recording System on client computer.
2. Share Telephone Recording System folder (with read and write right)
3. Share VOC folder (with read, share name is VOC)
4. Check Neighborhood if can access share folder Telephone Recording
System and VOC.
5. Find Client.exe in share folder Telephone Recording System, create a
shortcut on client desk top.
6. Run client.exe
7. Remove short cut Recorder.exe from menu: start->start up.

Notice:
a. Cant share whole disk to instead of Telephone Recording System and VOC.
b. Client computer must be installed with sound card and powered speakers.
