Dear Student,

Congratulations on your selection to the hallowed portals of IIM Visakhapatnam. As a part of the academic
curriculum at IIM Visakhapatnam, you are required to complete a two-month summer internship at the end
of the first year. The IIM Visakhapatnam Student Placement Committee, a 5-member dedicated student
body and Career Development Services (CDS) IIMV, will be organizing the Summer Placement process
and the associated events. The Committee strives to bring in the best of career opportunities for you. The
team will guide you in your endeavors and provide you the necessary platform to help you prepare for your
placements.

For all recruitment-related activities, be it Summer Placements or Final Placements, you are required to
prepare a one-page resume to submit to the recruiters. The Placement Committee makes sure that the
information in your resume is thoroughly verified. You are expected to cooperate fully in this regard. In
order to ensure a hassle-free process, it is advisable for you to collect the necessary proofs for all your
credentials before you join the Institute.

Please find a guideline document which primarily aims to help you with the resume format and the
acceptable proofs for each section. Also find a list of the Frequently Asked Questions (FAQs).

The details of various kind of proofs required are sacrosanct and will be strictly followed during
verification. However, with respect to the resume points, the document is only a sample. It is, by no means,
exhaustive in nature and the Placement Committee takes cognizance of the fact that there are different
resume credentials possible. Further, in the run up to the joining date, student representatives will contact
you through appropriate forums where you can clarify doubts.

Educational Qualifications

• You are required to mention the following educational qualifications


in your resume:
o Class X (High School)
o Class XII (Senior Secondary School)
o Undergraduate College

• You may also mention other qualifications such as Post Graduate Diploma/Degree and
Professional Qualifications (such as CA, CFA etc.).

• Note that only hard copy proofs will be acceptable for all your education related proofs.
Scanned copy of certificates or emails will not be considered as valid proofs.

Example: Class XII (ISC) Delhi Public School, R K Puram, xx.x% (School Rank 1/400)

• Proof Requirement:

o Hard copy of Class XII-mark sheet from the issuing authority mentioning all the
subjects in the examination.

o Rank position proof mentioning number of students in the school

(For School/College educational qualifications, the final mark sheet issued by the institution,
clearly stating the rank and number in the batch/class/institute is required. For rank related
information, you may also present a signed and stamped letter from the relevant authority
(Principal, Dean, Chairperson, etc.) on the relevant letterhead stating the rank and number of
students).

o For undergraduate major/minor/specialization, the mark sheet must clearly mention the
same. CGPA or GPA with honours, merit scholarship, etc. should also have supporting
proofs from the relevant authority. This includes a certificate/mail from the School
Principal/Department Head/Dean/Supervisor etc. Please note that any student
representative or body does not qualify as a relevant authority for certifying
educational qualifications.

o Please also note that you will be required to mention the aggregate % (including ALL
subjects in the examination). Any combination of subjects cannot be used to arrive at the
final aggregate (such as excluding additional language, SUPW etc.) unless otherwise
clearly mentioned in the mark sheet as not being used in the calculation.

o In addition to the undergraduate/post-graduate mark sheet, you are also mandatorily


required to produce the degree certificate mentioning that you have completed the degree.
Students who have not received the final mark sheets and/or degree certificates from their
institute can provide a provisional mark sheet and certificate from the Institute.
Work Experience / Internship / Projects

• Work experience after your graduation can be included in this section. Any part-time or full-
time experience which forms a part of the curriculum cannot be referred to as ‘work
experience’. It can be duly included under the portion “Internships & Projects” mentioned
below :

• The details with respect to function/ role / position held in your workplace and joining and
relieving dates have to be verified as per requirements mentioned below.

• Any discrepancy found in the details submitted to the admissions office and the documents
produced for resume verification shall not be accepted.

• Any internship which is carried out as a part of the course requirement or done voluntarily
can be mentioned.

• The achievements from the internship like receiving of a PPO, substantial savings or the
positive results from the project can be added.

• In–plant trainings can also be included in the resume with required details and proofs as
mentioned below.

Example:

May 2012 - Jul 2012 XYZ Company Summer Intern

Saved INR 3.7mn by eliminating external dependency; 1/20 in India to be awarded Pre-Placement
Offer

• Proof Requirement:

o In the above-mentioned example, the student needs to get the following information verified:

1. May 2012 – July 2012: The duration of your internship must be mentioned in the
internship certificate awarded to you by your intern company (In this case XYZ
Company).

2. Savings of INR 3.7 million by eliminating external dependency: A valid proof


would be your internship certificate mentioning the same or the approval e-mail from
your project guide in your intern company (In this case XYZ Company).

3. Received PPO: A valid proof would be the company’s offer letter or the
HR’s mail mentioning the details of the offer.

4. 1/20 PPOs in India: A valid proof would be the internship certificate or an


approval e-mail from the project guide/company HR which mentions the same.

o Appointment letter / Offer letter would be used to verify the starting date of work
experience. Similarly, resignation letter would be required for verifying ending date. All
candidates are requested to also keep the original copies of last two months’ pay slips
handy.
o All the work experience related credentials including the data points (savings, size and
impact of project, etc.) have to be verified through an email from the official email id of
your manager in the organization. You will also be required to produce an identity proof of
the manager such as visiting card, LinkedIn profile, and company/college website.
Approvals from Gmail / yahoo ids etc. shall not be entertained.

o For Projects/Internships/Trainings, resume points need to be verified by the concerned


Professor/Project Guide/Manager. If possible, you can also produce a hard copy of the
certificate highlighting your internship details. Internship certificate should mandatorily
include the duration and details of your internship. If the information related to savings,
size & impact of the project, etc. is not mentioned in the certificate then you can get the
data points approved through the official email id of your Professor/Project guide/Manager.
Approvals from Gmail / yahoo ids etc. shall not be entertained.

o Apart from emails/certificates, Work experience/Internships/Trainings/Project related


proofs can also be obtained on the company/college letterhead duly stamped and signed by
your Professor/Project Guide/Manager.

Position of Responsibility

• All positions of responsibility held from school to your latest job can be mentioned.
• For each Position of Responsibility, proofs will be required for each and every numerical figure
mentioned. Since the facts and data points are normally not mentioned in certificates, you may
have to produce an e-mail/letter from the relevant authority in your school/college/organization
certifying the information.

Example: Overall Coordinator, XYZ Fest, led a team of 50; representation from 50
colleges, foot fall of 25000 people

• Proof Requirement:

o In the above-mentioned example, the student needs to get the following information

verified: Overall Coordinator, Team size of 50, representation from 50 colleges,

footfall of 25000

A hard copy of the certificate/e-mail from the relevant authority (School/College Principal,
Department Head, Dean, Supervisor) clearly stating the role and responsibility held. In case
of e- mail, you need to also produce a proof of the authority’s id such as official id, visiting
card, LinkedIn profile etc. You may also present a signed and stamped letter from the relevant
authority (School/College Principal, Department Head, Dean, Supervisor) on the relevant
letterhead stating the role/responsibility and the data points. Please note that any student
representative or body does not qualify as a relevant authority for certifying any of your
credentials in this section.

o Certain estimates such as no. of participants, footfall in festivals can also be verified
through online articles and newsletters/magazines of the relevant Institution.
Awards and Achievements

• All awards and achievements in curricular, co-curricular and extra-curricular activities from
school to your previous job can be mentioned in this section. Examples include ranks, medals
won, research papers, scholarships, Olympiads etc.

• For each achievement, proof will be required for each and every numerical figure mentioned.
Since the facts and data points are normally not mentioned in certificates, you may have to
produce an email/letter from the relevant authority in your school/college/organization
certifying the information.

Example: Gold Medalist, ranked 1/4000+ among candidates who attempted the
International Physics Olympiad, 2010.

• Proof Requirement:
o In the above-mentioned example, the student needs to get the following information
verified:

Gold Medalist, Rank Position proof, 4000+ number of candidates who attempted INPhO

A hard copy of the certificate/e-mail from the relevant authority (School/College Principal, Department
head, Dean, Supervisor) clearly stating the role and responsibility held. In case of e-mail, you need to also
produce a proof of the authority’s id such as official id, visiting card, LinkedIn profile etc. You may also
present a signed and stamped letter from the relevant authority (School/College Principal, Department
head, Dean, Supervisor) on the relevant letterhead stating the role/responsibility and the data points).
Please note that any student representative or body does not qualify as a relevant authority for
certifying any of your credentials in this section.

• Certain estimates such as number of participants who attempted an examination can also be verified
through online articles and newsletters/magazines of the relevant Institution.

Extra-curricular Activities

• All-important activities/hobbies undertaken from school to your latest job like sports,
dramatics, literary, social service, etc. can be mentioned in this section.

• For each activity, proof will be required for each and every numerical figure mentioned. Since
the facts and data points are normally not mentioned in certificates, you may have to produce
an email/letter from the relevant authority in their school/college/organization certifying the
information. If it is a hobby that you wish to mention any tangible proof of your pursuit would
suffice.

Example: Winner, Essay writing competition, XYZ Fest, among 200 entries

Proof Requirement:

o In the above-mentioned example, the student needs to get the following information

verified: Winner, Number of entries, Name of fest


A hard copy of the certificate/e-mail from the relevant authority (School/College Principal,
Department head, Dean, Supervisor) clearly stating the role and responsibility held. In case
of e-mail, you need to also produce a proof of the authority’s id such as official id, visiting
card, LinkedIn profile etc. You may also present a signed and stamped letter from the relevant
authority (School/College Principal, Department head, Dean, Supervisor) on the relevant
letterhead stating the role/responsibility and the data points).

verified through online articles and newsletters/magazines of the relevant Institution.

Some important FAQs

Q-1. I have not made my resume ever before? I don’t know where to start from?
A. Please note that even if you have not made a CV before, you do not need to worry as there will be
enough support and guidance provided by your seniors at IIMV once you are here. At this stage, you
should not worry about articulation and start writing down in plain English all the possible credentials
which you might want to put in your resume. Include both the qualitative (promotions, accolades,
awards etc.) and quantitative (Ranks, number of participants, savings/size of a project) information and
collect relevant proofs as per the aforementioned guidelines. The earlier you start; easier it will be for
you at the later stage.

Q-2. If I have been promoted in the organization, what role can I mention in the resume?
A. If during the tenure of the work experience, you have been promoted / shifted. You are required to
write the most recent position held on the resume.

Q-3. Will Internship duration be included in the total number of months of work experience?
A. Any form of internships/in-plant trainings will not be considered as work experience, and the duration
of the same will not contribute to the number of months of work experience.

Q-4. Can I produce scanned copies/photos of certificates as valid proofs?


A. No. Only the following will be considered as valid proofs:
a. Hard copy of Certificates with sufficient detail
b. Hard copy of written proofs on signed and stamped letterhead by the relevant authority
c. Mail from corresponding authority detailing your achievement along with proof of
the authority’s position like visiting card, LinkedIn id or his/her mention in official
website of organization

Q-5. What is meant by ‘Certificate with sufficient detail’?


A. By ‘certificate with sufficient detail’, it is meant that all the data mentioned in the resume point
should be present in the certificate.

E.g. Core Head, Design Team, Wissenaire’13 – Lead a team of 30 associates


In the above case, if your certificate does not contain that you lead a team of 30 associates, then
you should get a separate proof for the point.

Q-6. Can I mention best of x/y (e.g. 4/5) subjects if my board has allowed to do so?
A. No. You will have to include all the subjects that you have attended for while calculating the
total percentage unless the mark sheet and pass certificate provided by the Board explicitly mentions
so.

Q-7. I am a fresher and have only a provisional mark sheet for my undergraduate records.
Will it suffice? A. Yes, provisional certificates shown during the time of admission should
suffice.

Q-8. My internship mentor might be difficult to reach out to now. Can I get the point approved by the
faculty of my institute?
A. If the internship is part of the institute’s curriculum and a presentation/report has been presented
to the institute, then the faculty corresponding to the project can approve the points.

Q-9. Will photos of award events suffice as proofs for my awards?


A. No. You will have to provide a written confirmation from the corresponding authority or a certificate
as a proof.

Q-10. If the total number of applicant’s detail is mentioned in the website, can I use that
detail in my resume?
A. Yes.
E.g. Achieved 99.87 percentile in CAT ’14 out of 1.98 lakh
candidates , the data on the web can be shown as a proof for 1.98
lakh candidates
Q-11. Will trophies and medals be accepted as a proof for my achievements?
A. They will be accepted only if your name and the details of the award are mentioned on them. However,
it is advisable that you get a written proof/certificate from the corresponding authorities.

Q-12. Can I get proofs from a student body regarding my achievements?


A. Most of the student bodies will be chaired by a faculty who is responsible for verifying credentials.
Also, the Dean, Head of Department can also attest your resume points. However, approval from
current or previous student representatives will not be entertained.

Q-13. How can I show proofs for websites that I have owned/designed?
A. The website should be registered on your name. Else, the person on whose name the website is
registered should acknowledge that you have designed the website.

Q-14. Does working in NGO counted as valid experience? What proofs do I need to verify NGO work
experience?
A. Yes, you can include full time working in NGO in work experience. The proofs for NGO are same
as working in any other organization. You need to produce original copy of joining letter, relieving
letter and last two months’ pay slips.
