Overview of QTO
Introduction to QTO

QTO provides fast and accurate measurement from 2D and 3D drawings. A full Bill of
Quantities can be measured in QTO or existing Bills of Quantities can be seamlessly
updated for progress or final quantities.

Objectives of QTO

 Measure quantities from 2D drawings and 3D BIM models


 Create or update a Bill of Quantities with all the functionality of Candy
 Update quantities after drawing revisions
 Measure for Bill, Final and Progress quantities
 Provide quantities for the BOQ and Valuations

Getting Started

Requirements
There are basic requirements to use QTO:
 to have a Bill of Quantities set up in the Candy job
 to have a basic knowledge of Candy
 to understand the principles of measurement

Creating a Bill of Quantities


If there is no existing Bill of Quantities, a BOQ document must be created, copied or
imported into the Candy job. QTO will use the BOQ items from this document to
create the new Bill of Quantities.
A bill of quantity document can be created by:
 Copying from another Candy job
 Importing from an external file such as Excel or WinQS
It would be preferable to have a Candy job with a BOQ document available in a
Candy directory. In this case, duplicate the job and rename. This job is now ready
for QTO.

Updating an existing Bill of Quantities


This job is ready for QTO as the Bill of Quantities has already been created.

QTO Manager
QTO Manager is the place where Takeoff packages are created, stored, renamed,
deleted, accessed and where the quantities from the Takeoffs are copied back to the
Candy Bill of Quantities.
Takeoffs should be organised in a structured hierarchy such as below.

QTO is accessed from Candy by going to Estimating > Bill Prep > QTO Manager. To
add a new Takeoff package, use the New button in the bottom right corner.

QTO Takeoffs can be organised under headings and sub-headings. To create a new
heading or sub-heading, use the New ⇧ button.

Takeoff packages can be opened by:


 Double-click on a Takeoff package line
 Click on the Takeoff package to Highlight and use the Select button.
Only one Takeoff package can be open at any one time.

QTO Layout
Once the Takeoff has been selected, the QTO interface is displayed. There are four
icons which, when selected, display:
 Measurement Bill
 Drawings List
 Template List
 Measurement Folder List

Customise the Display

Each document can be arranged to the preferred position on your screen or even on
separate monitors. This is done by dragging the Header to the required position.

Bill of Quantities
Use the “Measurement Bill” icon to display the QTO Bill of Quantities.
Bill Headings can be opened and closed to a specific level similar to Candy documents
by using the Right click menu of the Heading selector.
Another Candy feature is the Go to page which allows you to select which page to go
to.

The BOQ panel may be closed by using the Close icon on the Measurement Bill header
(see below).

Column Selector
The Measurement Bill columns may be selected or de-selected by selecting the View
tab, Add/remove columns and then the arrows to select, de-select and position.

Adding Bill Items
New items have to be created in the Candy bill to be displayed in QTO. Once the items
have been created, Go to Tools > Bill Items > Update to update the QTO Bill of
Quantities.

Deleting Bill Items


Delete the items in the Candy job, Go to Tools > Bill Items > Update and the items will
be deleted from QTO.
It is important to note that all records of the deleted items and any quantities previously
measured against them are deleted.

Measure Folders
Measure folders are used to organise Takeoffs into specific areas or locations. These
are clearly referenced when the QTO quantities are transferred to the Candy Bill of
Quantities.
Measure folders and Sub-folders can be created to your specific requirements. A
Measure folder can extend over multiple drawings. Many Measure folders can be
created and they will be listed in this panel.

Adding a Folder
To make folders and sub-folders, Right-click in the Measure folder panel at the required
position of the folder structure. Select new folder/subfolder.
Renaming a Folder
The default name for all folders that are created is “Measure folder”, click on folder to
highlight and rename.
Sorting Folders
Measurement folders can be “bubbled” by using Control with Right or Left arrow. This
enables you to rearrange folders. Please note that a Sub-folder cannot be organised
outside of its parent folder.

Drawings
Attach a Drawing:
Drawings are added to QTO by clicking on the Drawings List icon. Right click in the
panel, click on Attach and then use your browser to the required drawing.
Due to the size of drawing files, they are not saved inside QTO but are attached using
the file location. It is strongly suggested, (but not mandatory), that a separate directory
be made for all drawings.

File types
QTO accepts drawings in the following file formats - PDF, DXF and DWG. QTO will also
accept all image formats.
With the Navisworks integration QTO will accept DWF, DWFX and NWD formats.

Opening a Drawing
In QTO3 drawings with multiple pages are attached as one drawing, each page must be
opened separately. To open a drawing expand the document heading select the page
required, Right-click to open menu then select Open.

Convert PDF to Image
By default QTO will convert a 2D drawing to an image. Images are quicker to load and
use far less RAM, the downside is that snapping is limited as there are no vector points.
If you require full snapping functionality then untick the default setting.
Rotation
Rotation is set to zero, but if your drawing has been saved at 90, 180 or 270 degrees
orientation, you may correct this by selecting the correct angle of rotation.
Cropping
Cropping has been set to “Off”, but if a pdf drawing does not load correctly, try setting
the cropping to “On”.
Delete a Drawing
To delete a drawing right-click on the drawing reference and select Delete from the
menu. Be aware that when a drawing is deleted all Takeoffs measured from the drawing
are also deleted and the bill quantities adjusted accordingly.

Calibrate the Drawing
The scale is unknown in Images, PDF and some DWG format drawings, these have
to be calibrated.
Select the Calibration tool and click on the start point and end point that has a
defined dimension.
The dimension must be entered in the dialogue box to establish the scale. The
calibration accommodates different units of measurement, the default is mm but can
be changed using the drop down box.
Each drawing page has only to be calibrated once.
Drawings can be recalibrated by selecting calibration tool again. Please note that
quantities of take offs that have been recalibrated will be updated.

Zooming and Scrolling
The Rectangular Zoom tool is a quick way to zoom
to a selected area of a drawing. Select this tool and
drag to select the required section of the drawing –
this will then zoom and display the selected section to
fill the drawing screen area. The Reset Zoom tool will
Reset the zoom to the original setting.

Click on the Zoom in and Zoom out tool will Zoom


in and Zoom out of the drawing in equal increments.
Rolling the mouse wheel also expands or contracts
the drawing.

To move the drawing around the drawing panel, push


the mouse wheel in and move the mouse around, or
use the Pan tool, and hold Left mouse button and
drag.

2D Measurement Tools
QTO measurement tools are displayed vertically to the left of the drawing panel and
contain the tools required for measurement of drawings. These are displayed when a 2D
drawing or image is opened.

Count tool
Use the Count tool to count items such as windows, doors, openings, manholes. When
the Count tool is selected a dialog box will be displayed which gives you the option to:
 Name the Takeoff (Count tool is default)
 Select an alternate Markup colour from the Drop down selector
 Select Measurement Type from the Drop down selector
 The default size of the Markup is 300mm diameter, which is scaled as per the
drawing, this can be changed as required.

 Click on each item that is to be counted.


 End the Counting by right-clicking after the last measured item.

Line tool
Select the Line tool to start a linear measurement. When the Line tool is selected a
dialog box will be displayed which gives you the option to:
 Name the Takeoff
 Select an alternate Markup colour from the Drop down selector
 Select Measurement Type from the Drop down selector
 The default thickness of the Markup is 4mm, which is scaled as per the drawing,
this can be changed as required. If you are measuring a 230mm wall you may
want to change the thickness to 230mm.

Click on the start point of the length to be measured.


Click successively on each of the points of the length being measured.
End the linear measurement by right-clicking after the end point.

Area tool
Select the Area tool to start the area measurement. When the Area tool is selected a
dialog box will be displayed which gives you the option to:
 Name the Takeoff
 Select an alternate Markup colour from the Drop down selector
 Select Measurement Type from the Drop down selector

 Click on the start point of the area to be measured


 Click successively on each of the points of the area being measured

 End the area measurement by right-clicking after the end point (or right-click
anywhere and the line will connect to the origin)
The points that are recorded on the drawing are subsequently referred to as “Grip
points”

Arc Tool
Select the Arc tool to measure the length of the Arc and Area of the segment. When the
Arc tool is selected a dialog box will be displayed which gives you the option to:
 Name the Takeoff (Arc tool is default)
 Select an alternate Markup colour from the Drop down selector Select
Measurement Type from the Drop down selector
 Change the Quantity type from the default

 Click on the first point and then the end point of the chord and finally click on any
point of the arc. QTO will calculate the Arc length and the Segment area

Updating and deleting Markup
Undo Feature
Pressing ESC while measuring will delete the last measured point, this can be repeated
until you are back to the first point. This feature is particularly useful as it is not
necessary to wait until the end to make corrections. The “Undo” feature can be used with
all the drawing tools.
Moving a Point
Position the cursor on the Mark-Up that is to be changed and click to display the Points
currently used. Select the Point to be moved and click, position the cursor in the new
position and click again, the Point has now been relocated. Double-click to display the
revised Mark-Up.
Adding a Grip Point
Position the cursor on the Mark-Up where the additional Point is required and right-click
to display the dialogue box, select Insert. The point will be inserted between the two
nearest points of the cursor position.

Deleting a Point
Position the cursor on the Point that must be deleted, right-click to display the dialogue
box and select Delete Point.
Delete a Mark-Up
Position the cursor on any position of the Mark-Up that needs to be deleted, right-click to
display the dialogue box and select Delete Key.
Editing the Markup
Edit the markup by the Right click menu on the Takeoff List or the Markup, this will
display the initial dialog settings for the Takeoff enabling the Name, Colour, Type,
Lineweight or Thickness to be changed.

Takeoff List
The Takeoff List tab is located to the left of the Measurement tools

Click on this Tab to display the Takeoff List related to the current Drawing and
Measurement Folder.

Name
The default name of each Takeoff is the tool name ie Area Tool, this can be changed by
clicking selecting (Left click) the name and re-typing.
State
Each Takeoff can be marked as Included or Excluded, by default each is Included but if
you need to exclude the Takeoff from the QTO BOQ, use the Dropdown selector and
mark it as Excluded.
Continue
There will be occasions when a Takeoff is not completed and has to be continued.
Typical examples are when counting columns, windows or doors on a large drawing.
Instead of starting a new Takeoff each time, select the continue button and continue with
the Takeoff. Or right click on Takeoff and select continue.
Continue is also used when a 2D template is to be applied, this is explained later under
Templates.
Is Complete
This is a user reference that a Takeoff has been completely measured, use the tick box
to mark “Is complete”.

Mark-up
Takeoffs are identified on the drawing by using different colours for the “Mark-up”.
The colour of the Mark-up used to represent the measurement is changed by right-click
on the colour sample and select a new colour from the colour chart.

Quantity Type
The Type identifies whether the measure is for Bill, Claimed, Actual or Final Quantities.
To change the default type go to Views > Takeoff Headers > Quantity type > Default
quantity and change as required.

To change the quantity Type for an individual Takeoff, use the Dropdown selector and
change as required.
Code
The Code records the Template code used for this Takeoff, the use of Templates is
explained later in this manual.

Takeoff Sheet
The Takeoff sheet can be accessed by selecting the required Takeoff from the Takeoff
list:

The Takeoff sheet is divided into three panels:


 Dimension panel where the dimensions applicable to the Takeoff markup are
displayed
 Variables panel where you can input all the required Variables applicable to your
Takeoff
 Detail panel where BOQ items are allocated with a formula using data from the
Dimensions and Variables, as well as Mathematical and Trigonometric functions
and simple values.

Variables
Variables will be required in the measurement to calculate the correct quantity for
multiple Bill items using one Takeoff measurement.
For example, the Area of a building will give the area of the floor and ceiling but requires
a variable (thickness) to calculate the volume of concrete in the concrete slab.
To create a Variable:
 Name column, define the Name of the Variable (ConcT)
 Quantity column, enter a value (0.35m) this may come from a section or
detail
 Unit column, select the unit of measure from the dropdown selector
 Formula column, the value of a Variable can be derived from a formula using
a combination of values from the Dimension panel and the Variable panel. In
the example below the Volume is derived from the Area (Dimension panel)
and ConcT (Variable). It is good practice to leave the Quantity column blank
as deriving the Value from a formula will overwrite a value in the Quantity
column. It is important to note that formulae can only refer to Variables above
the current line

 Factor column, left blank will make no adjustment to the line result but any
value entered will multiply the quantity or formula by the Factor amount. This
can be used when measuring for Actual work done when a particular line
item has not commenced (enter 0) or is incomplete (enter for example 0.50)
 The Result column is a no entry column and will display the Result

Adding Bill Items to the Takeoff Sheet

The Bill of Quantities should be displayed so that bill items can be dragged onto the
Takeoff.
There are two ways that Bill items can be added to the Takeoff Sheet:
 Locate the item from the QTO BOQ and drag onto the Detail panel. The
selected BOQ item will be placed at the bottom of the Takeoff detail
 Use the Drop down selector in the Takeoff detail panel. Headings are now in
Bold and predictive text (after 3 characters) can be used to aid selection

 The Unit, Formula, Factor and Result columns operate in the same way as
the Variables, referred above

Formulae
Formulae are entered by select and Drag the required Line item into the formula area,
Drag subsequent Line items the same way and then apply the operation sign by
selecting from the dialog.

Formulae can make use of Dimension names, Variables and support the following
Mathematical & Trigonometrical functions.

 Radians: Converts Radians to Degrees


Example Radians(3.14) = 180
 Degrees: Converts Degrees to Radians
Example: Degrees(180) = 3.14
 Sin() and Asin()
 Cos() and Acos()
 Tan and Atan()
 Abs Converts any number to a positive
Example: Abs(-4) = 4
 Pow: Raise to the power
Example: Pow(2,4) = 16
 Round: Round to a whole number
Example: Round(10.2) = 10
 Sqrt: Calculates the Square root
Example: Sqrt(4) = 2
 PI: The ratio of circumference of circle to diameter, PI = 3.14

Templates
The most efficient way to measure the job is to make use of Templates. Templates can
be created to include variables, formulae and Bill of Quantity items in the same way as
used in the Takeoff sheet as described above. Templates are used for typical Takeoffs
which are needed many times to measure the job.

Create a Template
To create a new template click on the Template icon to select, in the Template List
Right-click in the open panel and choose “New Template”, enter a template code, name
and select the Measurement type as below.

Copy Takeoff to Template
Templates can be copied from a Takeoff Sheet by Go to Tools > Copy to Template

The Template is then created, given a unique Template code and added to the Template
List.
The Template name will adopt the name of the Takeoff by default, the Template Name
and Code may be changed by clicking on the Name and Code respectively.
Templates can also be copied.

Copy Templates
Templates can be copied to create another Template from either:
 Template List, Right Click on the source Template and copy, then Right click
on the Template List panel and paste
 Template Sheet by Go to Tools > Copy to Template

The Template Name and Code can be changed as described above.

Template codes

The use of template codes is a new feature in QTO 3.


Each Template has to be given a unique code when a new Template is created, this
code will be stamped against each Takeoff to identify which Template was used.
The Template codes are useful for the following reasons:

 After creating several Takeoffs from a Template and a revision is issued. The
Template can be updated and then re-applied to all the Takeoffs. The
method would be to update the Template and then Go to Tools > Overwrite
Template Headers, this will update all measures using this Template to the
latest version

 If you have a measure and want to change to using a different Template,
simply change the Template code of the Takeoffs that need to be changed.
You may only change the Template code to one using the same
Measurement type

Measuring from the Template


To measure from a template, drag the template name onto the Takeoff List and select
the Continue (tick) and measure as described previously. When the measurement is
complete go to the Takeoff List where the Takeoff will be listed with other Takeoffs. The
default name on the Takeoff List will be the name of the Template that was used, it is
important to change the name of this Takeoff to identify what was measured.

Using Templates
The use of templates will save time as it eliminates all the preparation work for repetitive
type measurements.

Typical examples of templates:


 Internal Perimeter - including all Bill of Quantity items that require a perimeter
measure, a good tip is to select the Area type for this template, as this will also
give the internal perimeter and by the use of formula in variables, the centre line
and external perimeters can be used

 Window - including all Bill of Quantity items that will be affected by the installation
of a window. The Number type would be selected, counting the Window type and
with the use of variables, deductions for external walling, internal and external
finishes are made and items such as lintols, reveals, cavity closers, cills can be
attached

 Door - including all Bill of Quantity items that will be affected by the installation of
a door. The Number type would be selected, counting the Door type and with the
use of variables, deductions for walling, internal and external finishes are made
and items such as frames, ironmongery, lintols, reveals, cavity closers can be
attached

 Down stand Beam - The linear tool would be selected, and with variables will
measure the concrete volume, formwork to the sides and soffit of beams and
make deduction for the formwork to soffit of slabs

Sorting Templates
Templates can be “bubbled” by using Control with Right or Left arrow. This enables the
organisation of Templates into a specific order.

Revised Drawings
When a revised drawing is issued, it is not necessary to start the measurement process
from the beginning.
The following steps should be taken to update measurements of the revised drawing
using the procedures explained previously:

1. In the Drawing List tab Right click on the drawing you would like to revise
2. Select Revise
3. In the browser select the revised drawing
4. Calibrate the drawing

The original Mark-Up is now visible on the revised drawing and can now be revised to
match the revised layout.
As explained above, the Takeoff can be revised by using the Continue button or adding,
deleting and moving the Grip Points.

Note: Revising drawings is only available for the pdf and DWG file formats.

Annotation
Text can be added to a drawing by selecting the Annotation tool, and then position the
text on the drawing. Once the position has been selected a dialog box will be displayed
where the text can be entered and the size of the text selected. The text will be
displayed to the right of the selected position.

The text or size of font can be edited by:


 Double click on the annotation on the drawing or
 Right click on the annotation which is recorded in the Takeoff List

Both of the above will bring up a dialog box (shown below) where the text may be edited
and the font size changed by the dropdown box selector.

Measurement in 3D format using Navisworks integration
Requirements:

1. The integration requires a licenced copy of Navisworks Simulate or Manage


2015-2018
2. Navisworks files must be published in the NWD file format, which includes the
loaded models, the scene's environment, the current view, and favourite
viewpoints (including redlines and comments) which are all saved to a single file.
3. Objects in the model must include a GUID (a unique ID to identify it) from the
original publishing application such as Revit
4. Both QTO and Navisworks must run on the same platform i.e. x64

Method in Navisworks to publish the NWD file:

1. Open the model that you want to publish

2. Click the application button Publish


3. Use the Publish dialog box to enter the document information, and specify the
required document protection. The text boxes in this dialog box remember
history of up to five last entries. Clicking the down arrow on the far right side
of the text box lets you select an entry instead of re-typing it
4. Click OK
5. In the Save As dialog box, enter the file name, and specify the file location
6. Click Save. Your file is now published

Opening a Navisworks nwd file
Open and browse to the relevant NWD file. (For more information on opening files see
the “Drawings” section above).

View tools and Navigation

Create take off - opens a dialog with all the components in the 3D rendering

Select all will create a takeoff for all items in the 3D model, press OK.

Select tool - Selects and highlights objects in the model

Select box- Selects multiple objects inside the given area

Quick length - Calculates the distance between two points

Quick area - Calculates the area of a 2D polygon

Orbit tool - Changes the orientation of a model

3D Pan - Pans the view in 3D models

Reset all – Resets the colour and transparency of all the objects in the model

Transparency- Changes the transparency of objects in the model

Background colour - Changes the model background colour

Sheet selector - Changes the current sheet

Creating Takeoff items from the model
Once the takeoff has been created the Measurement tree will be displayed. Folders can
be expanded to display more level headings and the individual takeoff items.

The above screenshot shows one set of elements expanded to display the book
icon.
Click on the book icon and the related takeoff sheet will be displayed.

Selecting 3D items
Measurement items are selected by clicking on the selection box for:
 an Element Group
 selected Element items

Assigning a 3D Takeoff sheet

On the Takeoff List, click on the small book to open take of sheet.

The 3D Takeoff sheet is used in exactly the same way as a 2D Takeoff sheet, the
difference being is that the dimensions of a 3D Takeoff sheet are created by the model
and do not have to be measured. A 3D model may well have additional dimensions, this
is dependent upon the architect or technician that created the model.

3D Templates
Creating a template from a Takeoff sheet

The power of 3D takeoff is in the use of templates. Templates are created in the same
way as 2D templates but by selecting Measurement Type Object3D.

Templates are created in exactly the same way as 2D templates (refer to previous
section of the manual).

Applying templates to the 3D Takeoff items
1. Select the 3D items that are to be measured (as described previously “Selecting
3D items”
2. Right click on the Template that you want to use
3. Select “Apply template to selected Takeoff Headers”

Once the template has been applied, the Template code is inserted against each of the
selected 3D items (see below).

Updating Measurements from Templates
Templates can be updated and then re-applied to 3D Takeoffs. The method would be to
update the Template and then Go to Tools > Overwrite Template Headers, this will
update all measures using this Template to the latest version.
To change the template for selected 3D items:
1. use the selection box to select the 3D items as described before

2. Right click on the required template from the Template list


3. Select “Overwrite template headers

Reports
By selecting the Documents>Reports>Reports manager tab on the menu bar, there
will be a drop down box which allows a variety of reports to be selected.

Updating the Bill of Quantities in Candy
When the measure is complete, the QTO quantities can be synchronised with the Bill of
Quantities by right-clicking on the selected file and using “Copy Quantities from QTO”.

After this process all the QTO Takeoffs are visible in the Bill of Quantities stating the
QTO type, QTO quantity, drawing, Measure folder and Takeoff references.

The quantities can then be copied into the relevant columns in the Bill of Quantities.
In this example the Final Quantity is copied into the Bill of Quantities by right-click in the
column heading “Final Quantity” and selecting, “Copy Final from QTO”.

On the screen-shot below, only the Takeoff marked Final is transferred.

Tips
Progress existing Takeoffs
Existing Takeoff sheets can be copied and used to measure progress quantities for
Quantity type “Actual” or “Claimed.”
1. Create a Measurement folder named Bill or Final Measures with Sub-folder
structure under
2. Create and measure your Takeoffs in the relevant Sub-folders for Quantity type
“Bill” or “Final”
3. Create a Measurement folder named Progress Measures with the same Sub-
folder structure as 1 above
4. Open the Takeoff List created in 2 above and Right click Copy each Takeoff from
those Lists
5. Open the Takeoff list in the relevant Subfolder created in 3 above and Right click
Paste
You will then have duplicate Measurement Folders:
6. Open Measurement folder named Progress Measures and change each Takeoff
to Measurement type “Actual”
7. Add the Column name “Factor” to the Takeoff Detail Header
8. Open each Takeoff in ”Progress Measures” and apply a Factor of 0 (zero) to
each Bill item
Once this has been completed for all Takeoffs, Measurement for progress quantities is
very easy by allocating a progress Factor between 0 and 1 to each Line item as the work
progresses.
