Overview of Event
On October 26th 2018, Discovery Elementary hosted their annual
Halloween Carnival with the assistance of the COMM339 students
from BYU-Idaho. The Halloween Carnival is an opportunity for the
community to help support the elementary school. All of the mon-
ey made on the night of the carnival goes back to the school and is
used to help the teachers and the school provide the things that the
elementary school students need. The event consisted of 14 different
activities located in different classrooms inside the elementary school
with a hayride located outside. The event also included a bake sale
with an assortment of desserts made by parents of the students. The
most popular activity by far was the Spookally. At last year’s carnival
there were specific concerns that the teachers and guests had that the
team focused on improving for this year. The major concern being
the line for tickets because last year many guests had to wait nearly
45 minutes in line before they could purchase their tickets. At this
years carnival, however, the average wait time for purchasing tickets
was less than a minute. The team of 6 BYU-Idaho students, Malarie
Hahn, Bethany Bertagnole, Brenna Fronk, Lilibeth Vasquez, Jenna
Peterson, and Bobie Breitwieser, began planning a organizing the
event in September. I was the volunteer coordinator. The first step
was to contact Discovery Elementary and pitch their ideas to teach-
ers Shantay Ames and Marlyce Friess, the event managers, and gain
approval. The team met together multiple times every week leading
up to the event. Each member had specific responsibilities. They
discussed sponsors, decorations, activities, and volunteers. Sponsors
included Cocoa Bean, Texas Roadhouse, and Kiwi Loco. On the
day of the event, the team met at Discovery Elementary at 2 p.m. to
work with 30 teachers and staff to set up the activities. Five volun-
teers came to help with the set up, the event, and the take down. The
event was attended by 700 people which included the elementary
school students and their families.

people to get the event organized.
Solution: Our team will be at the elementary school earlier to en-
sure everything gets set up.

We don’t get a sponsor to supply the cupcakes for the cake walk.
Solution
Our team will all pitch in some money and we will go get cupcakes at
Walmart.

The weather could be bad while they are standing in line to get their
ticket.
Solution
Bring the line inside somewhere, so no one has to stand outside at all.

There are long lines for activities and kids are getting impatient
Solution
Have volunteers entertain them or interact with them by asking them
questions about their costume or what activity is their favorite.

Problem
Not many parents/kids are purchasing tickets for teacher date night.
Solution
Have a sign or place table where guests can see it. Have a volunteer
greeting guests as they come in and reminding them to purchase tick-
ets for the teacher date night.

Problem
There won’t be enough prizes on the night of the event.
Solution
Make sure to get the number of students who have come in the past
and plan on getting more prizes donated than what has been before.

Problem
Kids won’t be able to find the games they want to go to.
Solution
Create an easy to read map that will direct them to each event and
have signs on the outside of the classrooms indicating which activity
they are at.
