Preface
The purpose of this guide is to provide you with a complete guide to GTMailPlus.
The guide aims to comprehensively cover everything you need to know from downloading, installing
and initial configuration of the software, right through to detailed explanations of all operational
aspects of the software.
The images in this document have been captured from a Windows 7 Ultimate (SP1) operating
system. If you are using a different operating system to the above, the images in this document may
vary slightly.

While Microsoft .Net Framework version 4.6.2 is compatible with most modern versions of the
Windows operating system, there are some operating systems that it is not compatible with.

For the vessel to be able to connect to all the communications servers available, we recommend
opening port 27641.
This will ensure, if more servers are added in the future, there will be no need to reconfigure
firewalls or ISP trench rules for the vessel to benefit.
The servers sit behind the Global DNS address comms.gtmailplus.com which, at the time of writing,
will resolve to one of the below IP addresses

Downloading GTMailPlus
The latest version of GTMailPlus is always available for download from the GTMaritime Web Portal.
To access the Web Portal, go to: http://dashboard.gtmaritime.com and log in using the account
details you have been provided. If you have not been supplied with login details, please contact
GTMaritime Support.
Once logged into the Web Portal, click on the Downloads tab on the
right-hand side of the screen.
▪ Silent Install
Includes an additional file in the download
package that will install the software using
‘typical’ settings. The software will not prompt
the user for any information during a ‘silent’
install
▪ Initial Configuration
Includes an additional file in the download package that will automatically configure the
software with basic configuration details
▪ Extended Configuration
Includes an additional file in the download package that will automatically configure the
software with more advanced configuration details based on the vessels current Offline Remote
Configuration settings

Includes the GTMailPlus User Guide in the download.

Additional Items
At the bottom of the Downloads page is the Additional Items
section.
This section contains the option to download additional software
required for GTMailPlus to run.
From here you can select to include the .NET Framework prerequisites in your download package.
The required .NET software may already be installed on your machine.
While Microsoft .Net Framework version 4.6.2 is compatible with most modern versions of the
Windows operating system, there are some operating systems that it is not compatible with.
A full list of compatible operating systems can be found here (Internet connection required for link).
If your operating system does not support .NET 4.6.2, an earlier version of GTMailPlus is available to
download on the Previous Versions tab.
Select the download options applicable to you and click on Start Download.
The selections made on the Downloads page will be used to build the download file
(GTInstallerPlus.zip).

Installing GTMailPlus
1. Browse to the location of the software installer and unzip the contents of the file
GTInstallerPlus.zip to a location on the installation machine
2. Run the application file ‘AutoRun’
3. If prompted, click RUN to confirm
Microsoft .NET v4.6.2 MUST be installed on the machine for GTMailPlus to run.
If your computer does not have .NET4 and it was included with your GTMailPlus
software, you will be prompted to install it.

Automatic Configuration
There are 2 different automatic configuration options which need preparing in advance of
installation:
Initial Configuration
A small file is included with the download package will automatically enter the vessels account
details on installation.
Extended Configuration
A small file is included with the download package that fully configures GTMailPlus based on settings
entered in shore side Web Portal.
Initial Configuration
If your download included an Initial Configuration file with the download package, the GTMailPlus
Configuration wizard will open with all account details automatically populated.
Extended Configuration
If your software included an Extended Configuration (BCK) file with the download package, it will be
automatically detected during the installation process.

Configuring GTMailPlus
If there is no configuration file included with your GTMailPlus installer to automatically configure the
software, you will need to manually enter your vessel account details into the GTMailPlus
Configuration window.

Basic User Configuration
Using the Basic User Configuration option, you will be required to manually enter your GTMailPlus
account details.
1. Select the Basic User Configuration option
2. Enter your vessels GTMailPlus account details as
supplied.
Note:
The details entered opposite are for illustrative purposes
only. Please check and enter your vessel specific
information into these fields.
3. You will see that there are 4 user accounts automatically populated should you wish to use them
• Master
• Bridge
• Chief Officer
• Chief Engineer
5. Select the account you would like to set as the Default User
from the dropdown menu.
The Default User is the primary user account.
If you are unsure which account to set as the Default User,
please select ‘master’.

No Configuration/Retrieve from Server
If your vessel has been pre-provisioned on the shore side server using the Offline Remote
Configuration feature of the GTMaritime Web Portal, you can select the No Configuration/Retrieve
from Server option in the Configuration Wizard window.
The No Configuration/Retrieve from Server option gives you a reduced version of the GTMailPlus
Configuration window.
You will be required to enter your GTMailPlus account information and configure a new Connection
to collect your full configuration from the shore-side server.

Starting GTMailPlus
To start the GTMailPlus mail client double-click the GTMailPlus icon on your desktop.
Logging In
When the GTMailPlus software starts, the Login window will
display requesting Client, Username and Password information

Is the name or IP address of the main GTMailPlus installed
machine
Click on the pull-down arrow to reveal a list of machines the
software detects

Dashboard Icon
The GTMailPlus icon will display in your System Tray when a user is logged in
to the GTMailPlus Dashboard.
Right Click on the GTMailPlus icon to display the menu.
Dashboard Menus
Launches the GTMailPlus Webmail client in a new window.
Webmail can be accessed from any PC on the network by browsing to the
GTMailPlus PC on port 8080 (default).
Opens the Outbound Messages page, displaying a list of all E-Mail messages
waiting to be transferred from the vessel in the next Data Transfer session.

Opens the Data Transfer page used for transmitting and receiving messages
(Access to this window may be restricted by owner set policies)

Webmail
GTMailPlus has an inbuilt email client that allows anybody with a user account
in the local GTMailPlus system to access their emails.
Webmail can be accessed either by clicking the Launch Webmail button on the
GTMailPlus Dashboard, or by browsing to the GTMailPlus PC on port 8080

Outbound Messages
The Outbound Messages page allows you to view and control messages sent
from the users on-board.
If you do have access to the Outbound Messages page it will open as below:
From this page, you can monitor and manipulate messages queued to be sent out.
Messages (Non-system messages only) in the Outbound Messages queue can be held for later
transmission or rejected.

View an Outbound Message
Access to the contents of Outbound Messages may be restricted by owner set policies.
If your policy settings allow you to view the contents of Outbound Messages, the message will open
in a preview window showing the following details
- Sender
- Recipients
- Date and Time Sent
- Subject
- List of Attachments
- Message body

Cancel an Outbound Message
Access to the Outbound Messages page may be restricted by owner set
policies.
To prevent the software from dropping more messages into the outbound list while you are making
changes to it, you must ensure the you Lock the mailbox.
While the mailbox is manually locked, the software will not be able to complete a Data Transfer
When you finish making changes, you MUST unlock the Mailbox to allow the software to resume
normal operation.
When complete you MUST unlock the Mailbox to allow the software to resume normal operation.
Silently:
The message will be deleted from the outbound queue.
No message/notification will be issued to the sender of the
message.

With NDR:
The message will be deleted from the outbound queue and a
system generated Non-delivery report sent back to the sender.
With Note:
Message will be deleted from the outbound queue.
A pop up window will appear allowing you to enter a short
message explaining the reason for rejection to the sender.

Holding Outbound Messages (Deferred Delivery)
Access to the Outbound Messages page may be restricted by owner set
policies.
To prevent the software from dropping more messages into the outbound list while you are making
changes to it, you must ensure the you Lock the mailbox.
While the mailbox is manually locked, the software will not be able to complete a Data Transfer

Re-Queuing a Message
Messages held back from transfer will remain in the Holding state until they are re-queued.
To place a held message back in the outbound queue to be transferred follow the steps in Holding
Outbound Messages, setting the State from Holding to Queued in Step 5.

Data Transfer
The Data Transfer page is where you can control manual connections to send
and receive emails.
To access the Data Transfer page, your owner set policy must allow you access
to Remote Communications.
To manually initiate a Data Transfer:

Message Preview Connection
To initiate a Message Preview Connection, your owner set policy must be set with Allow Message
Preview Connections option enabled.
Note:
You can stop the preview session at any time.
Session will be automatically disconnected after 60 seconds of inactivity.

Settings
The Settings page is where user level configuration changes can be made to
the GTMailPlus software.
To access the Settings page, your owner set policy must allow you access to
Settings.
The Settings page is divided into 3 sections: System, Communications and Accounting. Each section
is explained in full later in this guide, but briefly the sections consist of the following:

System
The System section of the Settings page is where the operational aspects of your GTMailPlus
software can be configured.
This section covers Users, Shared Folders, Mail Gateways, User Policies, Outbound Filters, Tracking
and Alerts.
Users
The Users page is where you will find a list of the User accounts currently can be created in the
software to allow individuals to send and receive mail.
Users accounts can also be created to allow other applications IMAP or POP3 email access to shore
via GTMailPlus
System User accounts are created and used by GTMailPlus and/or other GTMaritime applications to
send data from ship to shore.
System User accounts are flagged with a Policy of <SYSTEM> and cannot be edited or deleted.

Edit a User Account
You can Edit user accounts to change password and display name, add or remove email addresses
and change the mail gateway and policy settings.
To access the Users page, your owner set policy must allow you access to Settings.

Delete a User Account
If you need to Delete a user account to change a user’s password and display name, add or remove
email addresses and change the user’s gateway and policy settings.

Shared Folders
Shared Folders can be used to share the contents of a mail folder or subfolder other users
configured on board, allowing them to view, reply, move or delete the messages.
To access the Shared Folders page, your owner set policy must allow you access to Settings.
Sharing Folders from the GTMailPlus dashboard is only possible if you are accessing your email using
the IMAP protocol.

Add a New Shared Folder
Shared Folders are only applicable if you are accessing your email using the IMAP protocol.
To access Shared Folder settings, your owner set policy must allow you access to Settings.

This action only removes the Share for the folder – it does not delete the folder

Mail Gateways
A Mail Gateway is used in more complex installations to connect GTMailPlus to a 3rd party mail
server. This allows GTMailPlus to route messages to an external server for delivery.
To access the Mail Gateways page, your owner set policy must allow you access to Settings.

For a Mail Gateway to be effective, it must be assigned to a User.

User Policies
User Policies give you control over User level access to Configuration, Settings and Data Transfer as
well as allowing you to set restrictions on outbound messages.
To create and edit User Policies, your owner set Policy must allow you access to Settings.
GTMailPlus has example Policies upon installation that can be edited or copied to create your own
custom policies.

Outbound Filters
Outbound Filters are one or more rules that can be configured to regulate mail sent to specific
addresses or domains. These rules block mail before it can be queued for transmission from the
vessel, returning an NDR to the sender.
To create and edit Outbound Filters, your owner set Policy must allow you access to Settings.
In the above example, the top filter ensures that all messages to the domain @example.com will be
blocked by the software.
The additions of the 2nd filter will ensure that all messages to the domain @example.com are
blocked, except for those sent specifically to [email protected].
Messages up to 100kilobytes will be Allowed to this user.
Individual size limits can be specified for any Allow action filter, enabling the vessel to have a client
side approved recipient list.

The Filter Check feature allows you to test your Outbound Filters against recipient addresses to
ensure mail flow is how you expect it to be.

Tracking
The Tracking section is where you configure GTMailPlus to obtain GPS position information from
your on-board equipment.
You can configure GTMailPlus to obtain GPS information from 2 different sources.
These sources can be a serial GPS device or any compatible satellite equipment on board.
To access the Tracking page your owner set Policy must allow you access to Settings.
GPS information obtained from on-board equipment is displayed on the Tracking page and
transmitted to shore at configurable intervals.
The position information is then imported into a shore-side tracking system used by vessel owners.

Serial GPS Setup
If using a standalone external GPS, the top section of the Tracking Setup page is to set the software
to communicate with your device.
The bottom section defines the frequency the software will
poll the device for GPS information.
All other fields, Data Bits, Parity Stop Bits and Flow Control
are default.
No changes should be required to these options unless
otherwise stated in your device documentation

Fleet Broadband GPS Setup
If you wish to retrieve GPS information from your Fleet Broadband terminal, the top section of the
Tracking Setup page is to set the software to communicate
with your terminal.
The bottom section defines the frequency the software will
poll the device for GPS information.
Below is a list of the more common terminals and the factory default IP address and port number
they use.
Note:
It is possible that the IP Address and IP Port number may have been changed from the above default
settings since the terminal was installed.

Schedules

Mailbags

Accounting
The Accounting section gives you access to create and assign Tariffs to Connections to assist with on
board communications cost calculations.
Tariffs
Tariffs are sets of costs you can apply to your Connections to assist you with on board cost
calculations.
When selecting a Connection from the Data Transfer window that has a Tariff associated with it,
GTMailPlus will use the information in the selected Tariff to display an estimated cost for
transferring your Outbound data over the selected Connection.
To create Tariffs and assign them to Connections, your owner set policy must allow you access to
Settings.

Help
The Help page contains an at-a glance view of the status of the GTMailPlus
software and contact information for your support team should you have any
issues with the software.
The left side of the Help page shows you the status of all the GTMailPlus components.
• Green check-mark – Component running normally.
• Red Cross – Components not running correctly will be marked with a red X.
The right side of the Help page is where you can generate a message to your Support team.

The Help page can also be used to generate an email message straight to your support team with
options to include important information about your installation that will aid in the quick diagnosis
and resolution of any issues with the system.

Toolbar
The Dashboard Toolbar contains links to all the previously
mentioned sections with some additional features.
File Menu
The only option in the File menus is Exit.
Clicking on Exit will log you out and close the dashboard
interface.
View Menu
The View menu bar contains to all the pages available in
the GTMailPlus dashboard.
Tools Menu
The Tools menu gives you options to view and change
system level configuration settings, create, schedule and
restore backups and change the password for the current
user.

System Configuration
The System Configuration option allows you to view and change your GTMailPlus configuration
settings.
General
The General tab holds system email settings.
Default Username
If your vessel receives mail for user that does not exist on
board, the software will forward the message to the Default
Username selected here.
Postmaster
This account will be used to send system messages (NDR’s etc.)
to other users on board the vessel or to external senders. The suggested default is the Master
account.
Enable SMTP Authentication
SMTP Authentication may be required for certain email clients for them to communicate with
GTMailPlus. Please check your email client documentation and enable if required.
SMTP Maximum Message Size (MB)
Sets the maximum individual message size the software will accept
Individual User limits may be lower.
Enable Scheduler
Enable or Disable all configured schedules
Enable Alerts
Enable or Disable all configured alert

Account
The Account tab contains your vessel account information.
The information on the Account tab is used during Data Transfer sessions to validate your vessel
with the shore-side server.
Please do not make any unauthorised changes to the Account tab as incorrect information here
could result in you not being able to communicate with the shore-side server.

Account details are available from the GTMaritime Dashboard (shore) or by contacting your office.
Ports
The Ports tab is where the email communication ports used for GTMailPlus are specified.
Dashboard
The Dashboard tab controls whether you have GTMailPlus Dashboard notifications on or off and

Create Backup
The Create Backup option can be used to take an immediate backup of the GTMailPlus configuration
and emails (IMAP).
Backups are automatically stored on the local machine.
There is also option to Export a Copy of the Backup to a location of your choice.

Click on Create Backup
While the Pending status shows Yes, the backup has not
yet run or completed.
Completed Backups will show No in the Pending column.

Backup Scheduler
The Backup Scheduler option can be used to automatically take backups on a fixed schedule
between 1 and 14 days.
Scheduled backups are automatically stored on the local machine and there is the option to Export a
Copy of the Scheduled Backups to a location of your choice.
1. Go to Tools menu
2. Select Backup Scheduler
3. Click to Enable the scheduler
4. Select Backup frequency
5. If required, click Export a Copy and specify
exported copy location
6. Click on Save Schedule
After clicking on Save Schedule, a backup will be performed immediately and repeated at the
frequency specified.
While the Pending status shows Yes, the backup has not

Restore Backup
The Restore Backup option allows you to restore GTMailPlus configuration and email (IMAP) back to
the point where the backup was taken.
