Solasta  was  a  celebration  of  the  individual  and  collective  struggles  and  triumphs  of  the 
Ateneo  de  Naga  University  Senior  High  School  Class  of  2019.  It  would  not  have  been

ABOUT SOLASTA 
 
Solasta,  the  2nd  Ateneo  de  Naga  University  Senior  High  School  Graduation  Ball,  is  a 
tribute  gala  for  the  achievements  of  the  Class  of  2019,  and  for  the  culmination  of  their 
two-year  journey.  This  was  held  on  March  23,  2019,  at  the  Tent,  Avenue  Plaza  Hotel, 
attended  by  430  then-graduating  students,  together  with members of the administration, 
faculty, and staff. 
 
This  year’s  theme  is  “Magis  Masquerade  Madness,”  reflecting  the  individuality  and 
uniqueness  of  each  student,  as  well  as  their  similarities  and  collectivity--especially  their 
pursuit  of  excellence  with  a  greater  purpose.  The  name  Solasta  is  a  Scottish  term  that 
means  “luminous”  or  “shining,”  symbolizing  the  rise  of  the  batch  from  the  darkness 
experienced by the pioneers. It is a clear contrast to last year’s midnight forest theme. 
 
Below are notable items that made Solasta unique:

The  logo  this  year  was  drawn  from  submissions  by  several  grade  twelve  students  from 
the  2D-AVFX,  the  one  above was chosen best. It was designed by Zoe Gabrielle Sarte of 
AN21.  Modifications  were  made  by  the  Media  and  Public  Relations  Committee. Although 
purposely  patterned  to  last  year,  the  logo  served  its  purpose  and gave a distinct identity

Proxima  Nova  by Mark Simonson at Adobe Fonts available at Google Docs. This font was 
used  for  official  documents.  These  were  the  other  fonts  used  in  publication  materials: 
Roboto Condensed (Bold/Light), Roboto Bold, Trajan Pro, Lilypaly, and Julietta Messie.

Social  media  accounts  were  used  to  promote  the  event  and  make  information 
dissemination  faster  and  more  convenient  for  the  public.  The  Facebook  account  was 
created  while the Twitter account was reused, both under the username AteneoGradBall. 
These  were  utilized  to  involve  and  engage  with  the  community  in  social  media  through 
various forms of information materials and graphics.

The  GMail  account  was  set  up  this  year  to  serve  as  another  platform  for  information 
dissemination  and  also  as  a  email  synced  for  the  social  media  accounts.  In  late January, 
the  Media  and  Public  Relations  Committee  requested  from  the  Management Information 
System  Office  for  them  to  setup  a  GBox  account,  the  request  was  approved  but  due  to 
the  time  constraint,  the  account  was  never  set  up  and  used.  Please  see  appendix  for

COLLECTION PROCESS 
 
The  distribution  and  collection  of  the  participants  letters,  waivers,  and  payment  was 
handled  by  the  Secretariat  Committee  together  with  the  Finance  Committee.  These 
requirements  were  due  on  March  8  but  extended  due  to  lack  of  attendees.  The  task  of 
distributing  and  collecting  these  documents  were  delegated  to  the  class  presidents. 
Please see attached powerpoint in appendix.  
 
PARTICIPANTS’ FEE & BUDGET 
 
The  fee  approved  in  the  proposal, which was already announced to the public,  was nine 
hundred  pesos,  an  additional  one  hundred  pesos  from  last  year.  Around  mid-February, 
before  release  of  the  letter  to  parents,  and  after  thorough  evaluation  by  the  External 
Head  with  the  Finance  and  Sponsorship  Committee,  the  fee  was  reduced  to  seven 
hundred  pesos.  It  was  discovered  that  increase  in  the  fee  was  due  to  the  mistake  in 
computation  by  choosing  the  six  hundred  fifty  pesos  meal  package  instead  of  the  four 
hundred  fifty  peso  option.  The  reassessment  of  the  budget  paved  way  for  necessary 
adjustments  to  reinstate  budget  allocations  for  essential expenses. Despite the efforts to 
reduce  the  fee  for  the ball to encourage more participants, it did not succeed because of 
the drop in the number of participants due to the delay in releasing the parent’s permit. 
 
PARENT’S AND PRE-EVENT ORIENTATION 
 
The  parents  and  guardians  were  presented  with  the  important  details  regarding  the  ball 
by  the  External  Head  held  on  February  22  during  the  graduation  orientation  at  the 
gymnasium.  Please  see  appendix  for  reference.  Later  on  March  22,  two  days  before the 
ball,  a  pre-event orientation was held at the Instructional Media Center. Due to the limit in 
seating  capacity,  the  orientation  was  held  by  batch.  Please  see appendix for powerpoint

Over all, the event was successful; however, there are few things to improve such as 
the implementation of the dress code, relevance of the theme, and improvement of 
venue.

Next time, make sure that everyone is following the guidelines provided by the event 
organizer. Moreover there has to be improvements on the flow of the program. The 
songs choice must be a balance of fast and slow songs

RECOMMENDATIONS 
 
1. THEME & COLOR MOTIF. On the theme, makes sure that the students would 
observe and feel the theme of the event. It could done by following the color 
pallete of the theme provided or by designing the venue related to the theme. 
Committee should impose dress code with common colors found in gown rental 
shops for the convenience of the participants. 
2. DRESS CODE & GUIDELINES. It is recommended to revise and modify the whole 
document. Lessen the use of pessimistic words. 
3. DATE. It is highly recommended to consider dates wherein it is not too late after 
clearance period and not too early for graduation day. It was noted that the ball 
this year was held on the same date of the commencement exercises of two big 
universities in the city. 
4. INFORMATION DISSEMINATION. Any form of communication and information 
must be propagated to everyone. Make sure the the most important information 
would be delivered to the participants earlier. Poster and room-to-room 
announcement remains the best avenue for it. 
5. ATTIRE CONSULTATION. It should not be mandatory but rather by choice. Assign 
one officer per strand for easy access to students and delegation of authority. 
6. DRY RUN. It is recommended continue the dry runs held in campus. Also, it is 
suggested to request a water dispenser from the Hotel venue during the practice 
at the venue. Bottles or jugs shall be brought by the performers.  
7. DISTRIBUTION AND COLLECTION. It is recommended to set up a booth an area 
for distribution of ticket. The booth shall serve as an information desk. 
8. FINANCE. It is recommended to make use of the services of the Treasurer’s office. 
It should be noted and be added in the computation of the budget the amount 
deducted by the Treasurer’s office so that there would be no deficit. 
9. FEES. It is recommended to make a Reservation and Confirmation Fee. The former 
will be equivalent to the amount of one meal while the confirmation fee shall 
constitute less than the latter. This scheme may ensure funds for preparation and 
as a security deposit should participants decide to backout. 
10. TICKET AND INVITATION. It is recommended to create a ticket which will include 
a perforated portion for a food and souvenir stub for the ticket. This ticket will be 
given after participants pay for their slot. The invitation will be a more detailed 
version with a list of performers, sponsors, etc.

11. VENUE. For the venue, it is recommended to choose a larger place with a larger 
dance floor without the need for sacrificing the table area.  
12. SEAT PLAN. Should the committee decide to continue the present seat plan in 
The Tent, it is recommended to have a free seating scheme so early birds have 
the privilege to choose and late comers may not disturb the program.  
13. EVENT PROPER. It is recommended to have a floor director as planned. The floor 
director shall manage the blocking and entrances and exit of performers. 
14. PROGRAM & AWARDS. Improve the list of songs in the event. According to one of 
the awardees, the awarding proper must not be simultaneous with the dinner. 
15. FOOD. The meal should have been platted. 
16. COMMITTEE MEMBERSHIP BENEFITS. Participant’s fee is suggested to be waived
