CHAPTER I

THE PROBLEM AND ITS SCOPE

INTRODUCTION

Giving is loving. One of the most ideal characteristics of a person is giving

something without asking in return. They are so many people that are so blessed in terms

of wealth but they are not fulfilled of what they have because they are looking for someone

who are deserving to share their blessings.

CASA Cittadini Orphanage is seeking for kind people who are willing to share their

wealth and love to those children who are orphaned, abandoned and neglected girls by

their parents. But they don’t have enough tools to easily find a donor for the orphanage.

Their objective is to educate the children, provide them the love of family that they

have missed, and gave to them all they need to make them happy children of God. They

hope to develop in them the whole person and to mold them into becoming good and

responsible Christians capable of giving themselves in service to the Church and society.

This application is creating an important role for the lost, orphaned, abandoned and

neglected girls of the society.

Furthermore, this system is the answer to help the CASA Cittadini Orphanage find

solution on what their donor’s will use on how they will communicate in giving them

donations and what are the transactions of their donor’s system.

However, CASA Cittadini Orphanage needs donors to support educational and daily

needs for the children. To develop and mold them into a whole person, to make them

responsible and God fearing.

STATEMENT OF THE PROBLEM

The study aims to help the CASA Cittadini Orphanage donor’s to access easily the

transaction in donating to CASA Cittadini Orphanage; Design and develop a Donor’s

System to lessen the time span of donating; and implement a useful and reliable Donor’s

System.

Specifically, this study sought to answer the following questions:

1. What are the current problems encountered in CASA Cittadini Orphanage?

2. How can waterfall model be used in analyzing, design, development, testing, and

maintenance?

3. What are the necessary functional and non-functional requirements needed in the

design and development of the CASA Cittadini Orphanage Donor and Record

Management System?

4. How will CASA Cittadini Orphanage Donor and Record Management System

Application be implemented in android and web?

How the CASA Cittadini Orphanage Donor and Record Management System performs as

rated by both IT experts and users in terms of reliability, maintainability, functionality,

graphical interface and design, and security?

SIGNIFICANCE OF THE STUDY

The development of the system is intended to be used for the donors of

CASA Cittadini Orphanage in order for them to donate easily and not time

consuming especially donors who are far away. The results of the study would

benefit the following:

To the Orphans. The result of the study would give them a support for

their daily lives.

To the Staff of CASA Citttadini Orphanage. The result of the study

would give them a system wherein they can monitor every donor’s donations.

To the Future Researchers. The study serves as the reference to the

future researcher who has the same goal in developing a system. Through this

study, future researchers will have an idea in developing an online system and be

able to add some features by referring to the Recommendation page

To the BS Information Technology Students. This study will serve as

a guide in doing research of their system. Through this study, the BS Information

Technology students will have an idea on how to design and develop a system and

will help them make a good research.

Scope and Limitations of the Study

The study focuses on the donor record management system for CASA

Cittadini Orphanage which will help the staff to monitor, find donors and easily

access donations from other people who are not in the locality.

The application has a web-based system for the CASA Cittadini staff to

maintain, update and utilize the platform for finding sponsors. It will also have a

detailed inventory and will constantly update the donor on what happens to the

money they give. With the help of this application, donors can download and

easily manage their donations with the application with one click. This will save

more time for both the donors and the staff of Casa Cittadini Orphanage. Since

most people have a hectic schedule, they cannot visit the Orphanage due to that

fact. Aside from that, this system will record the logs of the donors and the details

of their donation for their inventory. The staff of CASA CIttadini will be able to

have better grasp of who, when and how much their donor has donated to the

orphanage.

Furthermore, the method of donation deposit will give options of picking

the goods, services and money from the nearest branch.

However, this application has limited setbacks. It only focuses on the

Donor Record Management for CASA Cittadini Orphanage since CASA Cittadini is

the client of the researchers for this study.

DEFINITION OF TERMS

For an easy understanding, the researchers provide the definitions of some

technical terms used in the present research.

Orphans. Children who are orphaned, abandoned and neglected girls by their

parents.

Orphanage. A group home and devoted to care of orphans and other children

separated by their biological parents.

IT experts. Professionals who have a knowledge in the field of IT.

Waterfall Model. Is a linear sequential (non-iterative) design approach for

software development, in which progress flows in one direction downwards through all

the phases.

Non-Functional Requirements. This is a requirement that specifies criteria that

can be used to judge the operation of a system, rather than specific behaviors.

Functional Requirements. It is a requirement that defines a function of a system

or its component.

Application. A computer program that is designed for a particular purpose.

System. Any collection of things that interact together to produce a unified

behavior.

THEORETICAL FRAMEWORK OF THE STUDY

The present study is anchored on the Diffusion of Innovation Theory serving as

the foundation of the study. This chapter discussed theory about CASA Cittadini

Orphanage Donor and Record Management System and exploring the concept of its

development. This theory reviews as the system adapt to the new trend and social

change. (Roger, 2003).

In this study, the researchers used the Diffusion of Innovation Theory to provide

better understanding on the system. This theory helped the researchers construct and

design CASA Cittadini Orphanage Donor and Record Management System. The adoption

of the new technology plays a vital role in the performance of work and processes

specifically in this digital era. In connection with this theory, the researchers had

developed a system that could improve and upgrade the traditional way of Donating in

CASA Cittadini Orphanage.

Diffusion of Innovations Theory plays a key role in developing the system for it

explains how the staff in CASA Cittadini will adapt to new ways of public information. The

CASA Cittadini Orphanage Donorand Record Management System used this theory as it

explains the diffusion, widespread dissemination and broad delivery of information, events

and important notices and announcements as it remains a foundational piece in

subsequent studies of innovation. Figure 1 below shows the schematic diagram of the

Theoretical Framework of the study.

CONCEPTUAL FRAMEWORK OF THE STUDY

The study was based on the concept of effective analysis, designing,

prototyping and development that would lead to successful implementation of CASA

Cittadini Orphanage Donor and Record Management System for more reliable and better

interface. The Incremental Model of the Software Engineering Process was used to focus

on an initial, simplified implementation, which then progressively gains more complexity

and a broader feature set until the final system is complete.

The sequence of the steps involve in Incremental process starts with a simple

implementation of a subset of the software requirements and progressively enhances the

evolving versions until the full system is implemented. The sequence of steps involved in

an early and comprehensive identification of goals; the concept operation describes the

operating issues and the environment the CASA Cittadini Orphanage Donor and Record

Management System be deployed; thorough system requirements; detailed design of the

system; implemented through rigorous testing (system verification); measured its

effectiveness and efficiency in deployment and dissemination of information based on the

Software Criteria Evaluation Tool; and finally evaluate feedback that is crucial for

maintenance, upgrading, and eventual system retirement in the future.

For each cycle of the model, a decision must be made whether the software

produced by the cycle will be discarded or kept as a starting point for the next cycle

(sometimes referred to as incremental prototyping). Eventually a point will be reached

where the requirements are met, and the software can now be delivered, or it becomes

impractical for the software to be enhanced as required, and a fresh start must be made.

Finally, the result of the study would direct to a successful CASA Cittadini

Orphanage Donor and Record Management System. Figure 2 below illustrates the

schematic diagram of the Conceptual Framework of the study.

REVIEW OF RELATED LITERATURE

This research study cited books and articles which are relevant to the present

investigation. It is composed of related studies, both local and foreign, which contain facts

and information on the research problem at hand. It also provides explanations and logical

connections between previous researches and the present work.

Pomeroy and Carlos (2007) Stated that, Donors understandings and

approaches to human rights vary, although they often have core themes and

principles in common. The policies range from right-based approaches

emphasizing power and participation, to rights associated with democracy and the

rule of law, to approaches that use rights implicitly.

According to Doyel, A.W. (2010), projects need such resources and the

usual way of acquiring them is through donor funding and collaboration. Secondly,

the Project team needs to have adequate knowledge and skills to run the projects.

This kind of resources cannot be purchased but may be acquired through staff

training.

According to Nturibi (2009) for development projects to be financially

sustainable, it requires a sound financial base arising from reliable sources of

funding, financial systems to facilitate accountability and cash flow projections

and development of marketable products/services to generate excess incomes

over the expenditure of the project.

In addition, Project financial systems refer to accounting procedures,

records and financial statements showing performance and cash flow statements,

projections that determine financial sustainability of donor funded projects. Project

that do not deliver clear and equitable financial or economic benefits, which are

apparent to the stakeholders, it is most unlikely to be sustainable after donor

funding is withdrawn (OED, 2009).

According to Rivas (n.d), Innovation through technology has helped the

world take a big step into evolution. Technology has radically transformed the way

nonprofit - its interaction with donors, particularly via the Web. One of these steps

is the transcription of donor management online. As Tom Lehmann says, “We’re

moving from a phase where technology was primarily a productivity tool to do

what we already do faster and cheaper, and into a phase where technology is

transformational.” However, there are certain constraints that are placed.

Furthermore, Stein (n.d) pointed that Donor management needs have

always been a function of organizational size, budget, and management’s appetite

for growth. However, digital fundraising only represents, on average, less than 20

percent of total donor revenue. Website donation pages have been the digital

fundraising workhorse for years. Modern versions are expected to be fully mobile

responsive for all size screens, capable of accepting both one time and monthly

gifts paid via credit cards, PayPal payments, and checking account withdrawals.

Dollar amount gift strings are expected to properly reflect the correct giving level

of each donor, which involves coordinating data with the organization’s donor

database.

RELATED STUDIES

A software implemented called DonorSnap provided a number of NGOs an

easier and more sufficient way to manage donors and other fundraising

operations. According to Anonymous (n.d.) the software is a cloud-based

application which provide for those nonprofits who are having problem with donor

tracking, spreadsheet or homegrown databases. The software also provides users

database features such as the adding of custom fields to any area of the database

and can set up data tracking specific to the unique needs of the organization.

RESEARCH METHODOLOGY

This study will utilize the Advanced Waterfall Model

process to summarize the main steps to be taken in conjunction with the

corresponding deliverable. The new waterfall model, which is known as the

Advance Waterfall Model have been explained in the Figure 3 (Gary, 1999).

It allows returning to the previous stage when the need arises but this

provision should be used with care. This advantage is important in software

developments as it is considered a plus point of this model. It is undesirable to

change the specifications of the previous phases to accommodate new

requirements. However, this model does allow this to provide the flexibility to

incorporate important requirements found later in the development process of

RESEARCH ENVIRONMENT

The research environment of the study is in Valencia, Negros Oriental. The

CASA Cittadini Orphanage Donor and Record Management System is exclusively for the

staff of the said orphanage. For this reason, the researchers chose Valencia to be

the basis of the study. The researchers wanted to help the said orphanage to

utilize a donor record management system of their own. This new innovation can

greatly help the staff to acquire donors for the CASA Cittadini Orphanage

fundraisings. With this study, both the said orphanage’s staff and the donors will

benefit.

Research Design

The researchers decide to use Software Development Life Cycle in making

the Barangay Sundo-an Record Management System (SDLC). SDLC is a framework

defining task performed at each step in the software development process and is

a structure followed by development team within the software organization. Under

the Software Development Life Cycle is the Waterfall model which is the most

common and basic type of SDLC.

The study was based on the concept of effective analysis, designing,

prototyping and development that would lead to successful implementation of a

cemetery information system.

The focal point of the study is the Waterfall Model of Software

Development process. This is to summarize and show easily how the system is

being generated.

RESEARCH INSTRUMENT

The researchers utilized surveys and questionnaires to gather required data and

information for this study. This method is used as the main data-gathering technique in

this study to assess the possible solutions and outcome about dissemination of

information, events and announcements; Likewise, it will adopt the Software Criteria

Evaluation tool developed by Mike Jackson, Steve Crouch and Rob Baxter of Software

Sustainability Institute to assess the quality of the software in the following areas derived

from ISO/IEC 9126-1 Software engineering — Product quality and include usability,

sustainability and maintainability. It also involves checking whether the software and the

project conforms to various exhibits that are expected in sustainable copyright security

software. The ISO 9126-1 software quality model identifies 6 main quality characteristics,

namely: Functionality; Reliability; Usability; Efficiency; Maintainability; and Portability.

Finally, four choices for every question or statement were provided which corresponds to

the degree of agreement each respondent has on the given question. The scale below

was used to interpret the total responses of all the respondents for every survey question

by computing the weighted mean.

The study also adopted questionnaires on Perceived Usefulness, Perceived Ease-

of-Use, and User Acceptance of Information Technology published in the MIS Quarterly

Volume 13, No. 3 p.319-340 to evaluate user experience on the usefulness and ease-of-

use of CASA Cittadini Orphanage Donor and Record Management System. Below is the

rating scale.

RESEARCH PROCEDURES

A written proposal was presented to the research adviser. After the proposal has

been approved, the researchers conducted an in-depth study which comprises surveys

and questionnaires and aims to understand the Norsunians opinion on the research.

Questionnaires and surveys were answered, analyzed and thoroughly organized, tallied

and tabulated to be used for presentation, analysis and interpretation.

STATISTICAL TREATMENT OF DATA

A statistical tool like the percentage and weighted mean were used to evaluate

the ratings on the software usability, sustainability, and maintainability, as well as the

user’s perceived usefulness and perceived ease-of-use can give an in-depth analysis on

the project. This will be used to solve for the percentage on the Software Criteria

Evaluation result, the tabulated data or the frequencies in the table were converted to

percentages utilizing this formula:

CHAPTER II

TECHNICAL BACKGROUND

The chapter presents the system analysis and design that deals with strategic

planning of the development of CASA Cittadini Orphanage Donor and Record Management

System through understanding and specifying the details on what the system should do

and how the components of the system should be integrated together.

SYSTEM ANALYSIS AND DESIGN

This section serves as a guide for the developers for the project to be successful

on-time. This section includes project schedules and project activity in developing CASA

Cittadini Orphanage Donor and Record Management System application. It also highlights

the overview of how and when certain tasks should be executed and performed by the

future developers. The developers must strictly follow and accomplish each task step by

step. The scheduling will help the developers understand what to do now and what to do

next.

PLANNING

Planning is part of the project management which relates to the use of schedules

in developing a certain project. Planning involves selecting organizational objectives in

application. The plan is considered to be a dynamic document and will be updated monthly

This second phase addresses security problems. The key activities were: 1.)

requirements; 2.) perform functional requirements and security testing; and 3.) prepare

the initial documents for system accreditation.

FUNCTIONAL REQUIREMENTS AND NON-FUNCTIONAL REQUIREMENTS

Functional requirements define precisely what inputs the system expects, what

outputs will be generated by the software, and the details of the transformational function

user-friendly and requires no additional technical know-how to use it. The system that will

This system will provide a fast, reliable, and easy way of bridging communication

for donors and the staff of CASA Cittadini Orphanage. But if the user is out of signal or

Wi-Fi range is not available, the user cannot check the updates. Non-functional

requirements are requirements that define the overall qualities or characteristics of the

resulting application. They place restrictions on the system being developed, the

development process, and they also specify external constraints that the application must

meet. Non-functional requirements can be further divided into system, process and

external requirements. While product requirements detail the desired characteristics a

system or subsystem must possess, process requirements specify constraints on the

development process. External requirements are constraints derived from the

environment in which the system is developed and deployed.

The figure shows the use case diagram for CASA Cittadini Orphanage Donor and

the users and the administrator.

DESIGN

System architecture was designed, and operations were described in detail in this

phase. CASA Cittadini Orphanage Donor and Record Management System’s architecture

describes the structural properties on how it was developed. For the analysis of the system

architecture, it was convenient to consider the components required for CASA Cittadini

IMPLEMENTATION

System Implementation is the process of: defining how the information system

should be built (physical system design), ensuring that the information system is

operational and that the information system meets quality standard (quality assurance).

In this phase, the system was installed and evaluated in the operational environment.

MAINTENANCE

System Maintenance tackles about the process of monitoring, evaluating,

and gradual incrementing and iterating the existing application to meet the

required or desirable improvements needed. Maintaining the system is most

important in this chapter of the system cycle. There are different ways on how to

maintain a system depending on the evaluation that had been done. The

maintenance of the security of the system, maintenance in documenting the

changes and upgrades of the system. Changing/Upgrade of the User Interface and

limits of the system are being analyze.

In this phase, the system was in-placed and operating but still undergoing

incremental changes, further enhancements and/ or modifications to the system

were developed and tested, and hardware and/or software were added or

replaced. The system was monitored for continued performance in accordance

with its requirements and needed system modifications are incorporated. The

operational system was periodically assessed to determine how the system can be

made more effective, efficient and secure.

CHAPTER III

PRESENTATION, ANALYSIS AND INTERPRETATION OF DATA

In this chapter, the results gathered from the survey is being presented. Provided

the gathered information and the researcher’s analysis and interpretation of the results of

the distributed surveys.

Respondents perceived problems are shown in Table 3 above are current problems

encountered in donor transaction. The result of the study implies that the CASA Cittadini

Orphanage Donor and Record Management System can help in reaching donors and

speed-up donor-client transaction.

The user can use the application but only an admin has privilege to access the

database and have full control over the system such as managing the donor’s logs/

Measurement for the user’s satisfaction of the system is based on the quantitative

data that respondents gave during the demonstration and survey of the researchers.

Shown in Table 5 above is the efficiency and effectiveness of CCO Donor and Record

Management System Application. The result revealed that the system to be “Very Useful”

with the grand mean of 3.40. The result indicates that using the system enables the users

to faster transactions with donations to the orphanage.

Measurement for the user’s satisfaction of the system is based on the quantitative

data that respondents gave during the demonstration and survey of the researchers.

Shown in Table 5 above is the efficiency and effectiveness of CCO Donor and Record

Management System Application. The result revealed that the system to be “Very Useful”

with the grand mean of 3.40. The result indicates that using the system enables the users

to faster transactions with donations to the orphanage.

Finally, the data gathered by the researchers have concluded that the implementation the

said system is highly beneficial and very effective in donor transaction.

SUMMARY OF FINDINGS, CONCLUSIONS AND RECOMMENDATIONS

This chapter deals with the summary of findings, conclusions and

recommendations based on the statement of the problems formulated by the researchers.

RESTATEMENT OF THE PROBLEM

The present undertaking analyzes how CCO Donor and Record Management

System and specifically this study sought to answer the following questions:

1. What are the current problems encountered in CASA Cittadini Orphanage?

2. How can waterfall model be used in analyzing, design, development, testing,

and maintenance?

3. What are the necessary functional and non-functional requirements needed in

the design and development of the CASA Cittadini Orphanage Donor and

Record Management System?

4. How will CASA Cittadini Orphanage Donor and Record Management System

Application be implemented in android and web?

5. How the CASA Cittadini Orphanage Donor and Record Management System

performs as rated by both IT experts and users in terms of reliability,

maintainability, functionality, graphical interface and design, and security?

FINDINGS

The following are the findings in this study:

After careful treatment of data, the following are the salient findings as

perceived by the respondents:

Current problems encountered in CASA Cittadini Orphanage.

The main problem of the client was reaching donors throughout Dumagute City

with the current process they have. Also, the transaction process takes a lot of time for

both the client and donor with the donor only having the option of visiting the orphanage.

With the traditional record keeping, tracking of donor records has been major a problem

for the orphanage.

Waterfall model be used in analyzing, design, development, testing, and

maintenance of the system.

It allows the developer to return to the previous stage when the need arises.

This is the main advantage of this model. The model does provide the developers

the flexibility to incorporate important requirements found later in the development

process of CASA Cittadini Orohanage Donor Record Management System.

Functional and non-functional requirements needed in the design and

development of the system.

The functional and non-functional requirements are centered on the

features that are necessary for a CASA Cittadini Orphanage Donor and Record

Management System to fully function.

The IT Experts and Users rated the CASA Cittadini Orphanage Donor and Record

Management System as efficient and effective. The IT Experts concluded that the

application developed could bring significant change in the area where the system is to

be deployed and Users finds the system very useful for future transactions with the

orphanage with the system.

The planned system will observe the following steps to ensure smooth

implementation: 1. Analyze, Plan and Understand, 2. Design, Develop and

CONCLUSION

Based on the findings obtained, this research study concludes that the

system can perform the following operations and the future scope also relies

on the functioning of the system as expected. The system is able to process

donor transaction on web and on mobile phone, and staff can track records in

a short period of time. The system is able to send information to donors

through SMS; the group function is a feature

CONCLUSIONS

The following are the conclusions.

1. CASA Cittadini Orphanage Donor and Record Management System would

help the donors of Dumaguete City in accessing the orphanage and

process make donation online.

2. CASA Cittadini Orphanage Donor and Record Management System would

help the donors in Dumaguete City in giving donations through mobile

application.

3. The CASA Cittadini Orphanage Donor and Record Management System is

significantly useful both the orphanage and donors of Dumaguete

City. Through this, the users will be less of a hassle, thus, more

people will be encouraged to partner with the orphanage to sustain

the establishment.
