Date : 23 October 2018

Introduction

1.0 1.1 Address by the Chairperson

The Chairperson called the meeting to be in the


session and thanked everyone for present.

1.2 Purpose of the meeting

The Chairperson enlightened the purposed of the


meeting are :

1.2.1 To know the progress of each task that has been


given.

1.2.2 To discuss more about the upcoming events.

1.2.3 To discuss about overall budget for upcoming


events.

1.3 Chairperson recall back the duty of each person

The Chairperson recall back the duty of each


person and the need to be present the progress.

1.4 Approval

Mastura Abdullah noticed the mistake of her name


during the recall from Chairperson.

2.1.2 Date of event

The event will be held on 3rd November 2018 at


Lestari Hall, Unikl MICET. On that day, there will be 14
group including new student of September Intake and
Malay Team will be on booth 7.

Progress Task

3.0 3.1 Fundraising & Sponsorship Team

The purpose of fundraising is to help the event and


have collected RM10 from each of the member. The
fundraising team have planned activities such as selling
snack at the hostels and movie night. The suggested
movie was Munafik 2 and Polis Evo 2.

For the sponsorship matters, the budget was exceeded


from the estimated one. Thus, the team need to find
another solution. The team has sent a sponsor letter to
the Koperasi Teluk Jaya Ramunia. The company has
agreed to sponsor our team by giving RM500.

3.2 Production Team

Kuih Keria have been selected by our group as our


product food that we will be sell on the event which
represent our theme, Malay Culture. We will use sweet
potatoes with additional topping on top. The topping
that will use are chocolate and castor sugar. The
product will also prepared on frozen.

Next, for the packaging, the plastic that we will use is


Polyethelene Terefelate which is common types of
plastic used in food industry. The plastic also will
increase the shelf life and will act as non-reactive
properties.
3.3 Decoration Team

Decoration team will explain about booth and props that


will needed during the performance. The team have
decided to use yellow, red and gold colour as our theme
colour. There will be also a dowry and “Bunga Mangga”
as a symbolic of a wedding house and also “Tepung
Tawar” ritual which means the parents gives their
blessing to the bride and groom.

For the booth, there will be a board to paste the


information regarding Malay traditional wedding and
games.

3.4 Multimedia & Graphic Team

The poster will be print out and paste it on the


information board at hostel. There will be also a poster
of A7 size which will be paste on each door room. Next,
the brochure will be print out about 50 copies to put
during the event.

3.5 Performance Team

The performance that will be carried out required 10


person. The scene will started from the couple meet
until the wedding ceremony is held which suits with the
objective to reminisce Malay traditional wedding.

3.6 Activities & Games Team


There will be four activities that will be held during the
event which are “ Congkak, Batu Seremban, Guess the
Word and Lari atas Tempurung”. All the meeting
member have agreed to take safety precaution when
doing “Lari atas Tempurung” activities. Therefore, the
Chairperson added that the team should put up the
information of background history regarding to Malay
ethnic.

Budgets

4.0 4.1 Conformation of budgets

This is the list of overall budgets that are use during the
event:

1. Goodies and door gift - RM 55.50

2. Frozen food for selling - RM 130.00

3. Performance - RM 152.50

4. Product - RM 75.00

5. Decoration - RM 31.00

The total for all item is RM 444.00

Matters Arising

5.0 The chairperson highlight to improve the multimedia


team to varies the marketing strategies such as post on
the social media. Next, the decoration team was asked
to improve the decoration on the booth.

6.0 The chairperson thanked all the members for their


participation during the meeting and bring to an end at
12.40 pm.
