Logging On

Logging On Use the table below to be able to log onto your PC.

Step Action
1 Window NT Workstation Version 4.00 will be highlighted on your
screen. Press Enter.
Results: There will be a pause then a blue window will appear
before the next window appears.
2 An Intranet Ware window will appear.
Press the Ctrl, Alt and Delete keys at the same time.
3 A network (Novell) log in box appears. Type in your network
password. Press Enter.
4 A Sign on box for AS/400 box appears. Press Cancel.
5 You are now signed onto the network, Windows NT and the
AS400 computer in Boston. You are now ready to access
Vantage, Client File, AWD, etc.

Opening a 3270 To log onto Vantage takes several steps. Refer to the instructions below to
Window open a 3270 window and log onto PMLCICS1 to maneuver to Vantage (VTG1).
Note: In order to be able to access Vantage and Client File within
PMLCICS1, you will need to open a 3270 window. Use the table below to be
able to open a 3270 window.

Step Action
1 Single click on the Start button, located in the bottom left hand
corner of the screen.
2 Move your mouse pointer (arrow) to Phoenix Desktop.
Result: An additional menu will appear.
3 Move your mouse pointer to E!PC Session.
Result: Another menu will appear.
4 Move your mouse pointer to E!PC TN 3270_A Session and single
click.
Result: A 3270 window appears.

Userid Field Input your acid. Press the Tab key.

Password Field Input your password. For first time users, your password will be your acid or
employee number. Press Enter. The system will request that you change
your password. Please refer to the New Password field on page 3 for
instructions. If you are not a first time user and do not want to change your
password press Enter.

Result: You will navigate to the PHL Menu which will list systems that are
available to Phoenix employees only if you did not change your password.

New Password Every 45 days the system will request that you change your password. Input
Field a word that contains at least 5 characters and press Enter.

Result: You will be asked to retype your new password again. Press Enter.
You will be navigated to the PHL Menu.

Command Line Your cursor will be on the command line. Input PMLCICS1 OR move your
cursor to the PMLCICS1 line and press Enter.

Result: You will be navigated to another sign on screen.

Userid Field Input you acid. Press the Tab key.

Password Field Input your password. If you have changed your password on the PHL
Network Screen, your password will be the one you just changed it to. Press
Enter.

Result: You will receive the following message, SIGN ON WAS


SUCCESSFUL - TYPE “INFO” FOR INFORMATION.

After Signing At this point, you are able to input the abbreviations to navigate to the

IRYE = Internal Revenue Year End (AKA SSI/IRS)

CICS Windows To be able to utilize the CICS Windows function, use the procedures that
follow:

After signing onto PMLCICS1, input WNDO,ON and press Enter


To “toggle” to CLNT from Vantage press the Shift key plus the F5 key.
To “toggle to VTG1 from Client File press the Shift key plus the F4 key.

Available Start Button. Move your mouse pointer to Phoenix Desktop and use the table

Navigation Tips

Introduction To navigate in Vantage you will need to use different keys depending on what
screen you are on and where you want to go.
In order to navigate to a different screen or change the policy number, it is
accomplished by changing the information on the Nxt Trx line.

Vantage Commands to Commit Transactions to Data Collect

Introduction Vantage requires transactions to be committed to data collect (DC) in


different ways.

Enter Key Single input screen transactions require pressing Enter to commit the
Processing transaction to data collect (DC). Pressing Enter, after input is complete, will
commit the following transactions to data collect (DC).

• Advance Notify Add - GEA


• Annual Statement Request - AN
• Cancellation - QA1
• Full Surrender - TA
• Issue Print - IP
• Loan Remittance - NE
• Policy Delete - BE
• Status Request - EM

Other add or change transactions require Enter and an additional step in order
to commit to data collect (DC). The following list of transactions requires an
additional step to commit to data collect (DC).

• Systematic Transfer Add - GC (also need to type Add on command line)


• Systematic Transfer Change - GC (also need to type Change on command
line)

F1 Key Multiple input screen transactions require pressing F1 to commit the


Processing transaction to data collect (DC). Pressing F1, after input is complete, will
commit the following transactions to Data Collect (DC).

• Client/Case Add - DA1-DA2


• Loan Initiation - TC1-TC2
• Fund Transfer - OE
• Partial Surrender - TB1-TB2
• Policy Add - EA1-EA9
• Premium Remittance - NA1-NA2

F4 Key F4 invokes the change command. Make changes on the following screens
Processing and press F4 to commit to data collect (DC).

• Beneficiary Index - BD
• Billing Information - BI
• Allocation Change - ALCI
• Contract Segment CI4
• Process Code Change - PD (through PG)
• Producer Group Change - PD
• Role Inquiry - RI1 (owner change completed in Client File first)

Multi-screen transactions require that you begin on the first screen, making
any changes necessary then press F4. Press Enter to page through the rest of
the linked screens making changes where necessary. The following screen is
a multi-screen transaction:

• Contract Segment - CI1-CI4

NOTE: Another way to accomplish a change is to type the word CHANGE


at the command line, make the changes and press Enter to commit to data
collect (DC).

Vantage Keys

F2 Key Pressing the F2 key, Vantage will automatically navigate you to the Main
Menu.

F11 Key Pressing the F11 key will position your cursor at the Nxt Trx field.

End Key The End key will erase the field where your cursor is positioned.

Tab Key Pressing the Tab key will move your cursor to the next available field for
input.

Shift + Tab Key Pressing the Shift plus the Tab key (at the same time) will move your cursor
back to the previous field for input.

Pause Break Pressing the Pause Break key will clear your screen and totally take you out
Key of Vantage (VTG1) but does not log you off PMLCICS1.

Logging Off

Introduction When you are leaving for the day, you must sign off each system/application
that you are logged into.

Logging Off At the end of every day you MUST sign off each system. At the end of the
PMLCICS1 day use the procedures that follow:

If you are in CICS Windows use the following instructions first.


• Clear your screen (press the pause break key) and input WNDO,OFF and
press Enter.

• Clear your screen (press the pause break key), and input LOGOFF.
• If you are brought to the PHL Menu, input a K and press Enter.
• To close the window, press the ALT key and the F4 key OR double click
in the upper left-hand corner of the window.
• A message box will appear, to close press the ALT key and the letter Y
and press Enter. Press Enter again to completely close the 3270
Emulator Window.

Shutting Down Use the table below to shut down your PC at the end of the day.

Step Action
1 Log off PMLCICS1. See instructions above.
2 Close all your AWD windows. Log off AWD by double clicking
on the Exit icon in the AWD folder. Click Yes.
3 Log off any additional applications/systems that you are signed
into.
4 Single click on the Start Button.
5 Single click on Shut Down.
6 A shut down box appears.
Single click on the radio button “Shut down the computer”.
7 Single click on Yes or Press Enter.
8 When the message, “It is safe to turn off your computer” appears,
turn off your tower. Leave your monitor on.

Systematic Transfers

Introduction A Systematic Transfer, a.k.a. Dollar Cost Averaging, is an automatic system


generated transfer of funds among sub-accounts on a monthly, quarterly,
semi-annual or on an annual basis.

A systematic transfer add is set up by entering information on the GC screen.


The input will create a GC segment. When Vantage initiates the transfer, it
creates an OE AUTOGENI transaction. The memo code on the FLOW
screen shows as an ST.

Minimum In order to qualify for the systematic transfer program, the policy must have
Value an initial value of at least $2,000.00 in the sub-account that funds will be
transferred from.

Minimum The minimum initial and subsequent transfer amounts are $25.00 monthly,
Transfer $75.00 quarterly, $150.00 semi-annually and $300.00 annually.
Amount

Sweep Feature When the policy value goes below the transfer amount in the sending sub-
account, the entire balance will be transferred out. The systematic transfer
program will terminate. However, the GC segment will remain on the policy.

NOTE: If additional funds are received in the sending sub-account, the


systematic transfer will NOT automatically restart.

Memo Cd This is an informational field. Field values are as follows:

• 98 = Payouts are being electronically transferred to the client’s savings or


checking account.
• Blank = Payouts are not being electronically transferred.
Note: If you are changing from EFT payouts to payouts that produce a check,
you MUST erase the memo code of 98.

Surr Pen O/R This field determines if the surrender penalty deductions will occur on the
payouts. Field values are as follows:

• Y = Yes, override the surrender penalty deduction.


• N = No, do NOT override the surrender penalty deduction.

Cum P/O Net This field identifies the total amount of payouts net of surrender penalties,
fees and taxes.

Cum P/O Gr This field identifies the gross amount of payouts which includes surrender
penalties, fees and taxes.

N/G Ind This field is the Net/Gross indicator field. Field values are as follows:

• G = Withdrawal is a gross amount.


• N = Withdrawal is a net amount.

Disb Ind This field determines how the payouts will occur. Field values are as follows:

• C = Cash (check)
• E = EFT (payout sent directly to the client’s bank account)

Tax O/R This field determines if withholding occurs on the payout or not. Field values
are as follows:

• N = Do NOT override the normal 10% withholding. Proceed to the check


writing fields.
• Y = Override the normal 10% withholding. Federal withholding amount
field or Federal withholding percent field value is required.
Note: Line of Business 003 does NOT allow withholding, this field must be
an N however, the 10% withholding will not occur.

Fed W/H % This field determines if the withholding amount is a specific percentage.

Fed W/H Amt This field determines if withholding is a specific dollar amount.

MVA O/R Ind This field is for Big Edge Choice ONLY. The default value for this field is
an N.

The only circumstances when you would change the value to Y in order to
override the market value adjustment for Big Edge Choice contracts are as
follows:

• During the 15 day window immediately prior to the end of the guarantee
period.
• If an exception is made to waive the market value adjustment.

EFT Type This field determines the type of account that the payouts are being
electronically transferred to. Field values are as follows:

• C = Checking account.
• S = Savings account.
• Blank = Payouts are not being electronically transferred.

Acct No This field identifies the account number that the payouts are being
electronically transferred to.

Transit No This field is the nine-digit bank routing number. This information is found on
the bottom of the void check or deposit slip sent in from the client.

Acct Name This field identifies the name on the account that the payouts are being
electronically transferred to.

Trans Type This field determines if a check is being produced through the Vantage feed.
Field values are as follows:

• C = A check is produced when the systematic withdrawal is processed.


• N = A check is not being produced through the Vantage feed.

Address Ind This field determines the address that is printed on the check. Field values
are as follows:

• 0 = Annuitant’s address
• 1 = Payor’s address
• 2 = Owner’s address
• 3 = Alternate address 1 address
• 4 = Alternate address 2 address

Approver Id 1 This field indicates the employee number of the processor that added the
systematic withdrawal or made the last change to the systematic withdrawal
segment.

Manhattan Bank.

Draft Amt This field can not be changed. This field is system populated with the amount
drawn on the extract date (a.k.a. Scan hit day) and stays in the field until the
PCS apply date, then the field will be blank again.

Pac Type Valid entries are as follow:

E = EFT (Electronic Fund Transfer) will change to a 5 once the first draft has
been completed.
0 = Paper draft, credit unions or thrift banks using a payable through bank.

Fed Resv No The Federal Reserve number may be found in the denominator portion of the
fractional ABA number or it can be found in the first four positions of the
Transit/Routing number on the MICR line. This is a four-byte field.

ABA No The ABA Bank Number consists of the hyphenated numerator portion of the
fractional ABA number. The city/state prefix is the first portion and must be
entered as a three-byte field. Precede the number with zeros to fill the three
bytes. The ABA institution number is the last portion of the numerator (and
must be entered with preceding zeros to fill four bytes) and also appears in
positions 5-8 on the MICR line. This is a seven-byte field.

Acct No This is the customer’s individual account number. Enter spaces, slashes and
dashes, just as it appears on the check.

Contingent Deferred Sales Charge Free Amount

Introduction Effective December 15, 1997, the VALM A screen will display the total
contingent deferred sales charge (CDSC) free amount. A new field has been
added to the VALM A screen to show the total CDSC free amount. The Fund
Values screen shows the 10% free amount and the CDSC free amount per
sub-account.

Important: The total CDSC free amount should NOT be given out as a
normal procedure but only if the client specifically requests the total
surrender charge free amount.

AWD The Automated Work Distributor (AWD) system must be documented that a

Same Sub-Account Transfers

Introduction Effective Tuesday, June 9, 1998, “same” sub-account transfers will be


allowed to process through Vantage. Only percentage “same” sub-account
transfers will process. No dollar amount same sub-account transfers will be
allowed. This enhancement will cut down on gain/loss due to the requests of
clients for a reallocation of their value.

Note: This enhancement is for all Variable Products including GSE A4,
Anchor (company code 005) and Bessemer (company code 966).

Same Sub- Clients request a transfer to result in a certain ending value percentage that

When To Use When a request is received to transfer a percentage or a dollar amount for the
entire participant account, the OEG transaction should be used. If the request
indicates specific asset accounts and not all asset accounts, than the OE
transaction must be used (separate OE’s for each stipulated asset account).

Reversing a Occasionally, a transfer needs to be reversed. This may need to be done when
Transfer one of the following two situations occur:
1) the transfer was processed incorrectly, or
2) another transaction, such as a payment, needs to be backdated

Note: You cannot backdate over an OEG. This is a 2-day process.


On the 1st day, you must reverse the OEG and backdate the other transaction.
On the 2nd day, reapply the OEG with the original date.
Reversals must be done at the participant level.

Reversal Below are procedures to reverse an OEG transfer. This will reverse all

Revising Transactions in the Revolving Error File (RC) or in Data
Collect (DC)

Revising Use the following instructions to revise information on the Revolving Error
Transactions File (RC) or Data Collect (DC) to send the corrected transaction to data
Collect (DC) which will include suspense information, if applicable. When
revising the transaction in revolving error file (RC), BEFORE committing
the transaction to Data Collect (DC), you MUST correct the input that
resulted in the original error.

Step Action
1 The cursor will be positioned at Selected Sequence field. Input the
letter of the Seq Id that corresponds to the Trans Type that you
want to revise. Press Enter.
2 Vantage will bring up the transaction that needs to be corrected.
To correct the transaction, type CHANGE on the Command line.
3 Correct the input on the transaction. If the transaction is a multi-
screen transaction, press Enter to proceed to the 2nd screen.
Correct the input, if applicable. Continue to press Enter until you
have proceeded to all screens for the transaction. When you have
corrected ALL the input on the transaction, press F1. If
edits/warnings appear, correct the input and press F1 again.
4 Vantage will respond with Transaction Accepted.

NOTE: If you go to the Revolving Error File (RC) or Data Collect (DC),
once a revision has been completed, an R will display in the DEL/REV field.
The R means that the transaction has been revised.

NOTE: If you do not press F1, after CHANGE is typed on the command line,
the only transaction will be the revision. There will NOT be a corrected
transaction to process in the nightly batch run. The transaction will be lost.

NOTE: With the 12.0 Vantage upgrade, the suspense information, (the ticket
number and suspense amount), on the premium payment (NA) will be
preformatted for you on the Revolving Error file (RC). Therefore, if you
revise the NA on the Revolving Error File (RC), you will not need to do a
suspense refund (SR).

VA Transfer Cheat Sheet

Introduction The VA Transfer Cheat Sheet is designed for VUL personnel to be able to QC
VA transfers (OE’s).

Guaranteed There are limits on the amount of value that may be transferred out of the
Interest GIA every policy year. Only one transfer of 25% or $1,000.00 (whichever is

maximum amount is transferred in a policy year, then the 2nd consecutive
policy year they may transfer 33% of the value, 3rd consecutive policy year
they may transfer 50% of the value and the 4th consecutive policy year they
may transfer 100% of the value in the GIA.

Coding an If a transfer is moving more than 25% of the value out of the GIA (and the

Hints • To end a GC, the end date must be at least one day before asset rebalance
start date.
• The AWD work type will be a SA Transfer.
• If the asset rebalance segment add needs to be reversed, the rebalance
transfers (OES) must be reversed on the OE screen.
• A policy add (EA) and an asset rebalance add (RB1-RB2) can be processed
on the same day.*
• A manual transfer (OE) and a scheduled asset rebalance (OES) can process
in the same day. The manual transfer will process first then the asset
rebalance transfer.
• If the OE requires correction, the OES must be reversed, the OE reversed,
and the OE reprocessed. The OES will automatically reprocess.
• An unscheduled rebalance can NOT be stopped.
