Attendance Tracking System is a tool developed to minimize lecturers’ or teachers’
work in implementing procedures which deal with student attendance. Most
educational institutions have their own regulations to produce quality students. One
of the most common regulations concerns student attendance. Usually, students are
required to attend a certain minimum (in percent) of classes to entitle them to sit for
an examination without giving them any warning. This system is produced to monitor
student attendance in a classroom and send warnings to problem students
automatically by SMS. Two warning will be sent to problem students before they are
barred from examination. By default, this system will divide the attendance into three
sections (time period). Time period 1 is for warning 1, time period 2 is for warning 2
and time period 3 is for bar. By implementing this system, lecturers or teachers can
minimize the time in identifying problem students, and also avoid calculation errors in
the process.

Objective:
1. To produce an effective method to monitor student attendance
2. To minimize lecturer’s / teacher’s work in non relevant area other than teaching
and research
3. To minimize clerk work in generating warning letters manually

Novelty:
1. Automatically generate warning.
2. Automatically calculate the student status

Usefulness:
Help lecturers and clerks to minimize their work. Due to the effective method, the
responsibility in giving warning to students can be directly assigned to lecturers
because they know their students well.

Commercial Potential:
Can be used in higher learning institutions and schools.

7. Description of drawing
Figure 1 shows the process flow for user. There two different processes to be fulfill.

The first process is to key-in the class data which is done in early semester. The class data
include the followings:
1. Course Code
2. Course Group
3. Student’s Name and ID: This data can be copied directly from SIMS (Student Information
Management System). SIMS is a system that is owned by UiTM.
4. Student’s Mobile Phone Number (latest): Get during first meeting with student.

The second process is monitoring process which is done throughout semester.


Lecturer or teachers can have two options whether to key in the student attendance or
monitor student status.

Key In The Student Attendance


After every class (meeting), lecture or teacher have to key-in certain data (date and slot hour)
and then they are required to select absent students by thick a box for an appropriate name.
After the process the student status for the whole group will be displayed for view and allow
any required action (a button will be visible for problem students only). This key-in process
can be done after every class (meeting) or after two or three class (meeting). The best is after
every class (meeting), so that lecturer will alert with the status change.

Monitor Student Status


This is just a process that display the student status and allow for any required action (a
button will be visible for problem student’s only). The different with key-in process is that this
process just skips the key-in process to allow user to view the student status every time they
want.
