Knowledge management system
Definition:

It is a system that stores, retrieves knowledge, improves collaboration, locates knowledge sources, mines
repositories for hidden knowledge, captures and uses knowledge, or in some other way enhances the
knowledge management process.

Forms of knowledge management

a) Process- driven applications


b) Automated data integration
c) Data capture and workflow solutions
d) Purpose-built databases
e) Content life cycle management
f) Automated content and classification solutions
g) Document, content and imagine solutions
h) Secure file sharing
i) Optical character recognition
j) Social analysis and engagement solutions

Examples of knowledge management solutions

a) Feedback database
A company may have databases of feedback from customers and employees and share this
feedback with their design and research and development departments
b) Shared project files
An employee’s team can work collaborating on a project. They have a system of shared files and
information that allows everyone on the team to comment on work performed by others
c) Research files
A company developing new products conducts research on their competitors and conducts focus
groups to find out what is needed in their product or market niche

Knowledge management tools

They are systems organizations used for sharing information internally and externally.

Examples are:

a) Customer relationship systems


b) Learning management systems and knowledge bases

Characteristics

i. Difficult to transfer, capture and distribute knowledge


ii. Its developed through a learning process
iii. Depends on memory, past experience, expertise, knowledge transfer mechanisms, opportunities,
facilitates effectiveness and ‘sense-making’

Functions

a) Finding, mapping, gathering and filtering information


b) Developing new knowledge
c) Converting personal knowledge into shared knowledge resources
d) Understanding and learning
e) Adding value to information to create knowledge
f) Enabling action through knowledge
g) Processing shared resources

Advantages

i. It creates better products and services


ii. It develops better strategies
iii. Improves profitability
iv. Increases operational efficiency and staff productivity
v. Reuses existing skills and expertise
vi. Recognize market trend early and gain an advantage over your rivals
vii. Bench mark against your competitor
viii. Makes the most of your collective intellectual capital

Disadvantages

i. Dependency on knowledge contributors


ii. Creates confusion among managers and employees
iii. Mishandling of valuable company information
iv. Failure to use company knowledge properly can lead to a great loss of time, resources and even
organizational failure
