1 Hotel-lock Summary

1-1 Features

Lock latches meet international standard, safety and reliable. ;


ii) Inner real time clock; guest card will terminate automatically when leaving time;
the staff card can choose unlocking time.
iii)The card has logistic protection of password.
iv)Imported micro motor are reliable and of low power consumption.
Key cards can be used to consumer, entertainment, etc., such one card
administrative system function; through card, staff card can realize consumption and
attendance function.
v)The lock can memorize the latest 200 entries (including unlocked by mechanical
key, Card, door not properly closed etc.) in order to check and print.
vi)Through cipher (system) card, the cipher of the whole lock system can be
modified quickly and easily, effectively enhancing the safety of hotel door locks

1-3 Lock type and card features

Using mifare card as its key.

Each card has a only 32 sequence number;
Divided into 16 sectors with 4 blocks each(one block consists of 16 byte)

3 . Hotel-lock management software

LOCK MANAGEMET SYSTEM(BWHLM8.01), one of the IMS software, Sensitive、fast、stability,


suitable for different grades hotels,
The system base on the managements experience of lots of the hotels, the main function : Front
Desk Team/ independent traveler register、check in、check out、change room、extend stay、
book management、deposit、account management,issuing/logout various kinds of the function
cards,staff management、permission management, report management: issue card record,
unlock record、check in record、maintain record、deposit and consumption report、handset
management and so on, the classification management function module offer the stable、fast
data service and data inquiry, at the same time, it laid the groundwork for improve the service
quality & efficiency, it help hotels to reduce the service cost also.
The system supply 32 Windows Interface Library BwMultUsbApi.dll , , It’s easier for the
secondary development of hotel management system; Software in a CD-R disc, using standard
CD wrappers. 8.01 is the common use version of hotel locks, it support the USB reader

3-1 Requirement of the system

Software supports USB serial encoder; RF Card Encoder; USB cable connect between the
Encoder and PC correctly

3-2 USB Encoder driver installation


Remark: 2017 year new locks orders, the encoder no need any driver
Connect the USB to the computer, computer show that : ‘found new hardware’ as Fig 2-1
showed, select ‘No’ then click ‘Next’; when the ‘From the list or the assign position to set up
(high-level) ’as Fig 2-2 appeared, ‘Next step’, Fig 2-3 appear

When Fig2-3 appeared, select “don’t search”, at the same time click “Next Step”; then the
Fig2-4 appeared, select “click Have Disk”; when Fig 2-5 appeared, click “browse”;
If the computer is 2000 or XP system, select setting CD\BWUSB Driver\
WIN2K_XP\D12TEST.INF;click “open”, then click “Confirm” in the Fig2-5; it will appear Fig
2-7,click “next step”; system start setting USB Reader’s Driver.
System will remind after the User installation completed, click “finish”, the reader stop
buzzer, at the same time green light up , the Card can been read and write now.

★ Attention:Please do not install the software into your system disk (C disk).
The other disks can be installed the software.

Instructions:
1. If the USB connected with computer without the Driver, the encoder have uninterrupted faint
buzzig, when the driver installed successfully, the encoder stop buzz
2. Installed success, the encoder will always green light up, if no green light up, please plug
the USB cable again, if the green light still not appear, please recheck whether the Driver is
installed successful or not.
3. If can not enter into the Fig 2-1, you can enter into ‘control panel’-‘system’-‘hardware’-
‘device manager’, then ‘USB controller’,find the unknown ‘USB DEVICE’,right click
‘unload’,then ‘Scan Check hardware modify’ again,the Fig 2-9 will appear, reinstall the
Driver
4. If the old install CD lost, or can not find the directory of install Driver, please search the
‘BWUSB Drive Directory’ under ‘BW Lock system’.

3-3 Steps of the software installation

i) Insert CD-ROM(supplied) into CD-ROM drive, open CD-ROM, double-click


“Setup.exe”.( Fig 3-1)
ii) Click [Next], the installation starts.
iii) Click [Finish], to complete setup.
iv) Normally “Hotel-Lock” folder is created inside the “Program Files” folder.
Start up “BWHLM8.01“Shortcut, or start up “c:\Program Files\
BWHLM8.01.exe” file.

3-4 Login and Setting

3-4-1 Login
Start the” BWHLM8.01.exe”, Login Prompt screen appears. (Fig3-2)

3-4-2 Main Interface


Default User code and password was “123” , enter into the Fig 3-3 as
administrator, it can been revise the user name and the password after login
successful.

 The left part is used for choose or input the effective basic info of the room., nether area is
the Room Status Statistics and the Room diagram Screening

 Bottom of the main interface is the “statusline” of the software, it including the SW condition、
Door Lock Type、Reader Type、operator Name、operator right grade and the version of the
software.
 The middle area is the Real Time Room Status and the Future Room Status, right click, you
can find the kinds of the Room Status options for choose. Double click, the prior selected
option will default started
 When the cursor moved to a room, the rooms status and rooms type showed

 the button which in the right upper area, is the “refresh button ”and the “Room
Status introduction button ”. click the “Room Status Instruction ”button , it will appear Fig 3-4

3-4-3 Hotel Setting
Select “Setting” item, click “Hotel Setting”, Hotel Setting Windows appears
(Fig3-5).

1. Basic info
 Lock type: According to provided locks to setting.
 Check-out time: Default check-out time.
 if SN is invalid, Please apply again, otherwise it is not possible to issue cards.

2. System Cipher
Hotel cipher is the basis for security of locks, The length of hotel cipher
must be 8 numbers,. The cipher is no need revised as normal, if do need
revise it, you must find “Data maintain”, find the current system cipher, then
revise the cipher. Confirm success, input the new password (number). Keep
your new password carefully.After input current cipher, Click “Check”, if it
being confirmed successfully, then input new cipher.
At first click “Edit”; Click "save", settings enter into force;
If SN is out of date, basic info and the system password can not been revised.

3-4-4 communication parameter


Select “Setting” item, click “communication parameter”, Encoder Option
Windows appears (Fig3-6). When SN is being changed, the encoder must be
re-set.

1. if it is serial port reader, selected the port, at the same time check whether it is
connected with the computer or not, then click “test”
2. If it is USB , check the driver is installed or not, then click “test
Test: Remind the Reader connected success or not; save it after success.

3-4-5 Room setting
Select “Setting” item, click “Room type / floor setting”, display Fig3-7. it including:
Building setting、floor setting、room type setting, it can been add、revise、delete, if
set up the room already, the related building, floor, and room type can not been
deleted, the occupied room is not allow to deleted.

Open the “room setting ”of the “system setting”, the Fig 3-8 appeared: when
Room setting, it need select the information for example: Floor、room type、room
number、bed number、mix issue card number and so on.
If it is in same building and the same floor, the room number can not been repeated.
Selected the “whole day room price” or “hour room price” from the “Room Type”.
You can add the room by two ways: “one by on add ” or “bulk add”

One by one add

Click button "Add", Open the form of "One by one add "

 Input the room code, beds, maximum-card etc;
 Select Room type, Building, Floor, and you can select "Add..." and add buildi
ng, floor, room type;
 Click "Save".

Bulk add

Click button "Bulk add", Open the form of "Bulk add " as fig 3-10 show.

 Enter the prefix of the room code, Example '8' or 'A';
 Select room type, maximum-card, beds number;
 Select start's building and end's building, Example: from 1 building to 2 building;

 Select start's floor and end's floor, Example: from 1 floor to 2 floor;
 Enter the room number on each floor, from the first few rooms to the first few r
ooms, such as from the first one room to the first 20 rooms, it is recommend
ed: If there are 20 rooms on each floor you choose from the first one room t
o the first 20 rooms;
 Click Save to complete batch adding;
 You can select one or more room to delete or modify.

3-4-6 Other setting:


Open the “other setting” of the “system setting”, appeared the Fig 3-9, it including the Staff
Department, position, credentials type setting, room status setting, payment method and the
Area Setting of the customer source. Room Setting is the default double-click.

3-4-7 Personnel Management


The personnel management including: operator authority management, operator
management and the staff management

1. operator authority
Open the “authority management” of the “staff management”, the Fig 3-10 appeared.
Select “Setting” item, clicks “Operators”, display Fig3-10

Select a Level, click “Modify” Click “save”, after “Re-login”, settings enter into force.

2. Operator Management
Open the personnel management, then open the “operator management”,Fig 3-11 appeared,
you can setting the User Name, password, authority.

 ADD: You can set the info: name of the new operator、user name、password、
authority. The user name、password、authority must be field.
 Delete: cancel the selected operator login name and the password

 Modify: modify the selected operator login name, name, authority, password restoration, the
restorative password is “123”

Remark:
1. please set a operator who have the management authority at first
2. The operator password can been modified by “modify log password” of “basic
operation”

3. Staff Management
open the personnel management, open the staff management, 3-12 appeared, you
can add, search the staff info here, the staff info allowed add ,modify, demission,
restoration,but it is not allowed to deleted, since may be you need check info in the
future.
Right click “hold card checking” to check the function card.

3-5 Card Management

3-5-1 Issue Card


Open the “Card Management”  “make Function Card”, (Fig 3-13). You can see there are
setup card、system Card、time card and so on totally 16 types cards.
Select the card type which you need, fill the information, click “issue card” button.
Remark: the occupied guest card can not been made into above cards unless the guest
check out. Above cards can not been made into guest card unless it logout

1、 Setup Card: the card including the basic information of password, clock, room number
and so on, can been one-off set up in the lock. it also can instead of the room number
card, clock card to adjust the time of the lock, the card is not influence the symbol of
locking room, when the system changed , the card will delete the locking status.
Remark: when you want to make the setup card, need select the related room
information then you can start issue it.
As for the new locks, it need setup room number info into the locks, for example you
want make a setup 101 room info into the lock, the steps as following:
Make a system card, make a 101 setup card.
swipe system one time the lock swipe the system card againwhen the two
color flash appears, swipe the 101 setup card on the lock  the lock will
remember it only works for the 101 room
2、 System card: Is used for pass the “system cipher”, find the cipher (system) card Fig,
click “issue card”, input the card number, display. System shows that the password
changed , it can delete the locking status at the meantime.
3、 Time card: is the medium of the synchronous lock time, the lock time must same to the
actual time, then the lock can been worked normally.
4、 Room number card: set the location and function to the lock

 if selected “common type”, find the left side room list , select the floor and room
which you needed, click the room number which you need, click “issue card”
 If select “passage lock”, select the passage lock type according to your need
 “Locks of the Floor passage ” it can been opened by the card which is same floor
number, same building number.
 “Lock of building passage” same building number effective card can open it
 “Hotel passage” effective card of the hotel can open it
 “room passage” can be opened by the effective cards which match the appointed
range
It is suitable for the suite type lock
5、 Lock room Card: used for lock the room, it can not been unlocked except the
guest card or emergency card. If it been sweep by guest card or emergency card,
the lock status disappeared automatically Remark: Before unlock the room, the
occupied room can not been check-out, change room or extension stay, but it can
operate the Account Management
Remark: only the BW801 lock need use the “Room number card”,
BW803 lock system no need use “Room number card”(because the setup card
included the room number info already when you issue it)
5. Flooring Card: Can open the locks of the sequential doors. (e.g : number
8101-8109 ), select the range of the unlock rooms, other operate method can
reference the emergence or master card.

6、 Supervisor Card: Can open all the locks of the designated floors.(Fig 3-17), It
mean this card can open many floors’ doors.

7. Emergency Card: Can open all the locks in emergency occasion, even including
deadlocked door.

8. Master Card: Can open all the locks iexcept double-locked door

Now use emergency card as example(as Fig 3-16)

 click the button which behind the “staff empID” , selected the registered staff, if
the staff is not exit but the operator have the operation rights, then the operator can
add the staff info; if have time limitation, please select the invalid date and time; if
need limit the unlock time, please select the unlock and lock time range.

 “issue card” if selected the registered staff, click issue card, the card reader buzz,
and prompt issue card success

9. Backup Card: when the management software happens any unexpected mistake, it can
be used as the guest card. We make 1~2 backup card for each lock normally, when the
system have problem, it can been used instead of the guest cards. If the backup card lost,
can been made new ones. Once a new back up card issued the old backup card will invalid.
Remark: the guest card, always open card have the same replacement method as the
backup card

10. Temporary Card: Can open the designated door only once.

11. unlocking card(Always open card): normally used for public meeting or office door,
sweep this card let the door lock always keep open or close status.
12. Disable card--- if a guest card be lost, make a Disable card then sweep on the room one
time, the lost guest card will invalid automatically.
13. Lock card---let the room always closed and only can be opened by the related guest
card
14. Clear card----use for clear the info from the lock, which can clear the records, but can
not unlock door lock.
15. Query Card (data card)---- used for download the unlock record form the lock (3pcs
query card can download the recently 200pcs records from the lock)
Buyer also can buy a handset device to instead of the query cards to downloading records
16.Terminating Card----use for report loss of the management card
(e.g: master card, floor card, emergency card and so on the management type card lost,
please make a ” Terminating Card immediately” swipe it to all relevant door locks the
lost management card will become invalid automatically

3-5-2 Read card : Open the “card management”, you will find the “read the card ”, as Fig 3-18
left part shows. Place the card to the Reader Area, click “Read” button.

3-5-3 Card logout: Open the “card management”, you will find the “Disable card”, as Fig 3-18
shows. Logout the card’s functions (the card is not a guest card), the card will been blank after
logout.

Open the Front Office Management, and open the independent traveler register, Fig 3-19
appeared.

 Guest info: the guest name must been input, or you can search the history information
of the guest as Fig 3-20 showed. Guest Source and the credentials type can been added in
other settings, or you can click the “input Frame” to select the ‘Add…’ for example:

 CHECK IN: Select the room type: day room or the hourly paid hotel room. default
quantity for the hourly paid hotel room is 3 hours. The default quantity Day room is one day.
If you selected the radio which behind the Arrive Date, then the read time is the issue card
time, otherwise it will be the input time. Before you open the register window, if the selected
room is a useable room ,then the room info for example the room number, room price and so
on can been automatic input, also can been modified manually. But the room type、bed
number、issued card quantity、allowable issue card quantity can not been revised.
Arrange Room: it will be the list-style if the input room quantity is bigger than “1”,listed the
arranged room, click the button as Fig3-21,3-22 showed, the left part of the window is the
optional rooms, default the selected room list which is the same build、floor、type room, right

parts is the selected room, you can use “icon view” or the “list view”. means the

selected room, means the automatic selected rooms, means the deleted rooms,

means the delete all of the arranged rooms. You can double-click to select or delete.

Bill information : the bill number will been automatically generated once register, the number
format is year month date add the sequence number, can not been revised. The charge for
rooms is the default room unit price, it can been modified manually according to the season
changed. If you selected the radio which behind the Deposit Input Frame, it means deposit, the

deposit is the hundreds amount, you can select or add the payment method also.
 Issue Guest Card: Click the issue card button or double click the room list, the first card
of the room is the Guest Card A, others is the guest card B. issued success, it will show the
room cards’ start time and the finish time and a success prompt appeared also. You can click
the issue card button to continue make the guest card or use the “↑↓”keypad of your
computer to select the next room to issue card, as Fig 3-21 showed.

3-6-1-2 Team Register:


Team Register: open the Front Office Management, find the “Team Register”, open it
as Fig 3-23 showed, select the team then enter into the room register window as Fig 3-24
showed. The steps and issue card steps is same to the individual travel register except have the
team information, the room type is default day room, can not been hourly room. click the booking
information can revise the booking team.

3-6-2 Check Out

open the Front Office Management, find the “Guest Check out”, as Fig 3-25 showed.
Click the Read Card Button ,then you can get the Room Card、Room、Guest information as the
top part of the picture shows, under-part is the room type and the room info. The room can been
occupied room or empty room but the new room must been have the useable issue card quantity.
If all cards of the original room been changed, the original room became the empty dirty room,
the charge of the original room still been kept. If the new room is empty then it will automatic
generate a new room charge, which can been deleted or add by the account management. Input
or select effective new room then click the confirm button, changed success, appeared the new
room information, also appeared a success prompt.

3-6-3 Change room


Open the Front Office Management, find the “Guest room change”, as Fig 3-26 showed.
Click the Read Card Button ,then you can get the Room Card、Room、Guest information as the
top part of the picture shows, under-part is the room type and the room info of the room which
you want to change. The room can been occupied room or empty room but the new room must
been have the useable issue card quantity. If all cards of the original room been changed, the
original room became the empty dirty room, the charge of the original room still been kept. If the
new room is empty then it will automatic generate a new room charge, which can been deleted
or add by the account management. Input or select effective new room then click the confirm
button, changed success, appeared the new room information, also appeared a success prompt.

3-6-4 Extend Stay


open the Front Office Management, find the “Guest room extend stay”, as Fig 3-27 showed.
Click the Read Card Button ,then you can get the Room Card、Room、Guest information as the
top part of the picture shows, under-part is the extend stay date and the time. Input extend stay
date and the time, click the confirm button, the room card’s dead time will changed once it
success.

3-6-5 Replacement the guest Card


If you have not made the enough card when the register. You can replace the room card by
“room card replacement”, open the Front Office Management, find the “Card replacement”, as

Fig 3-28 showed. The room must have the usable issue card quantity. Input or check to select
the history guest information then click issue card, update this room information after success,
it have a success prompt.

3-6-6 Guest Room information


Guest Room Information: open the Front Office Management, find the “Guest Information”, as
Fig 3-29 showed. You can see the basic information of the guest, it listed the issued card and
guest information of this room at the same time. If the operator has the right of “check out without
card”, then the operator can click the “check out without card” button to arrange the check out.

3-6-7 Booking Management

Open the Main Form, the second page of the “Room Status Chart” is the “Future Room
Status” ,as Fig 3-31 shows, you can see the each room’s occupy and booking status of each day,

room status shows that: 。 Press and hold the left mouse button, drag it to select the
rooms and dates which you need, right mouse button to select the new booking, just need fill in
the booking information then save it, as Fig 3-32 (left) showed. Menu select、Toolbar click oar
right button future room status chart select the booking, can open the booking management
window, as the Fig 3-32(right). The booking can been added, revised, or canceled. Booking
Check In means input the booking information (person & room info) to the register window,
selected the room then click issue card.

3-7 Report Query

3-7-1 Unlock Record


Open the “Report Query”, find the “unlock record”, Fig 3-33 appeared, read the unlocking
records and the lock status from the recording equipment, save、check、print at the same time.

All of the reports can been searched the information that you needed according to the
date、operator info, reports can been printed as kinds of formats : txt, doc, xls, html, csv
and so on.

3-8 Handset
When the handset is communicated with the computer success, it can been operated as
following:

3-8-2 Download the room information


Open the “system set up” see the “room management”, click the “download ”button as
the Fig 3-37 showed, then you can download the room information to the handset

3-8-3 Extract the unlock record


Click the extract button as Fig 3-33 showed, as Fig 3-37, select the extract way,
connect the recording equipment, then press “next” “extract”, save the data into the
unlocking record、lock info、black list of the lock

Open the “check info”, find “handset info”, as Fig 3-38 showed. Click “extract info” , you can open
the “info extract guide”, pick up and showed the room info, report the loss info, authority info.
Click the “save” of the room info page, then can save the room info of the handset to the issue
card system’s database, then can revise the build, floor, room type and so on in the issue card
system.

Remark :you can not operate the software when the data backup or recover( will break the data

3-9-2 Data clear


You can clear the test data or the overdue information by “data clear”.
Remark: it is a dangerous operation, please arrange the backup before you clear them.

3-9-3 Data recover: click button, open the back up document path, select the document to start
recover. Remark: it is a high-risk operation , please arrange the backup before you clear them.

4 Locking system operation

Hotel-Lock is mainly composed of a front cover, back cover and mechanical lock
etc.
The mechanical lock is the main component and from its appearance you can see
the shell, main latch, dead latch and stop latch etc. An electric motor is located
inside the lock and by which the lock can be driven to open or close automatically.
Then, use card (e.g.: Key Card) slightly touch the inductive window, the main
board inside the lock will read the card, by logical analysis to judge whether this card
is legal or not (including whether the Cipher, Room number or Time is correct or not),
meanwhile, replies with output various corresponding signals to drive signal light,
buzzer and lock motor to work.
If the card is legal, the lock motor will run clockwise, you push the door handle,
door can be opened, then, loosen the handle, the computer control board inside the
lock drive the motor run anti-clockwise, the door closed.

4-1 Functions and classifications of various cards

1) Setup Card: set up the system password, room number, clock, can not open door
2) System Card(cipher card): Set the lock Cipher (Hotel ID) after installation.
3) time Card: Set and adjust the inner clock time correct.
4) Room NO Card: Set the room No. to its relating lock.
5) Floor Card: Can open the locks of the designated doors of the same floor.
6) Supervisor card (Multilayer Card): Can open all the locks of the designated floors.
7) Emergency Card: Can open all the locks in emergency occasion, even if double-locked
8) Master Card: Can open all the locks in the unit.
9) Backup Card: when the management software has any unexpected mistake, it can be
used as the guest card.
10) Temporary Card: Can open the designated door only once.
11) unlocking card(Always-open): Set the door in Always-opening
12) disable Card: used for invalid the lost management card
13) Lock card---use for let the room locked temporary, this card can not open the door, if
want unlock, it must been sweep by the guest card or emergency card.
14) Clear Card: To delete all user information except system cipher, room number and
passage mark.
15)Query Card: Extract the trial of latest 200 entries (including the time, room number, card
type, mechanical key or door closing etc.)
16)Terminating Card---avoid the lost guest card to open the related room
Remark: Guest Cards---- Can open the designated lock within the scheduled time.

4-2 Initialization of door locks

Initialization must be done when first installation or changing main board. The
detailed procedure is as follows:
i) Use “Cipher Card” to set lock with system Cipher.
ii) Use “Room No Card” to set lock with its relevant room name.
iii) Use “Time Card” to adjust the clock inside clock into current time.
After these three steps, the initialization finished the door locks can be put into
use.
Attention:
(1) One “System Card” can only be input once, if input the second time, red
light will flash twice.
(2) In case same “Room No Card” is input repeatedly, the yellow light will
flash three times.
In case room number changed or passage function need to be changed; only
input the Room No Card can be done.

4-3 Daily operation

4-3-1 Always-open status:

Apply always-open card to the lock, green light flashes once, then, the lock

is in unlocking status.

4-3-3 Dead locked:


When enter into room, push and make dead latch works, the door will be
deadlocked. Only mechanical key, Emergency Card and Key Card can open the
deadlocked door from inside or outside, if use any other card, the lock will output
warning signals.

4-3-4 Mechanical key (To lock and deadlock)


No matter whether the door lock circuit works normally or not, mechanical key
can be used to open the door. Mechanical key can also be used to make the door
deadlocked or open deadlocked door from outside.

4-3-5 Report lost


When Guest check out earlier than expected time, in consideration of security,
the waiter can apply “Report Lost Card” to the lock, the current “Key card” will
become invalid automatically. For next new guest, he can direct get new card from
operator.

4-3-6 pastdue
If the card invalid time small than the lock time, the lock will report error.
Lock time without the time range of the emergency card, master card, multi-floor card, floor card,
staff card, the lock will report the time error. Time accurate to the minute
(year/month/date/hour/minutes)

4-3-7 Terminating:
When found the high level management card lost, must report to lose at once.
First, make one “Terminating Card”, and apply this card to all relevant door
locks to this lost card, the lost card will become invalid automatically.
Passage Locks cannot be reported lose.

4-3-8 Adjust time:


Lock inner clock time shall be set to be correct after installation. The relating
people shall check and adjust the clock time periodically (once every month).
Before time setting, a “Time Card” shall be made just in time, then, apply it to
locks ASAP.
Time Card must be set as current time to ensure the time of the system is
assorted with the real time, Make sure the computer time is right.
Time Card can be used to all locks, unnecessary to make it for each lock
separately.

4-3-9 Change Lock Batteries:


The lock accepts four AA size high function alkaline batteries to supply the unit
with power, while other types of batteries are not suggested to use. While open
door with card, in case low voltage warning sound and light signal give out, shall
replace new batteries, otherwise, although the lock still can be opened for 30 times,

however, after 30 times, it will refuse to be opened by any cards and will give
warning signal when card touch it.
During examine and repair, if battery voltage were found below 5.2V (the limit of
low voltage is 4.8V), still suggest replacing the batteries. If poor quality battery is
found (leakage), please change it immediately.

4-3-10 Resetting:
Under specially condition (User’s data confusion in lock memory), “Clear Card”
Can be used to delete all user information except system cipher, room number and
Passage sign. Normally please don’t use “Resetting Card”.

4-3-11 Change system Cipher:


If system cipher need to be changed under special condition, please first change
system cipher in software, then, make a new “System Card”, use this “System Card”
to set each locks once, thus, the old cipher is invalid.
Please don’t change “System Cipher” except emergency, for if the cipher
changed, all cards must be re-issued.
Attention: “System Cipher” is strictly prohibited to be changed twice or above
continuously for which will arouse system confusion.

4-4 Records pick-up

The latest 200 times records on opening/closing the lock include: unlock with
mechanical key and card, door is not closed completely, the inside clock, room
number and so on. As long as a query card is made, it can be used for repeatedly.
Operations are as below:

4-5 Judgments and solving ways for common troubles

Before operating, we must grasp the different means of all sound and light signals
in order to have correct judgment during operation.
The detailed signals are listed as follows (In normal status and abnormal status).

Successful Hint (The main indicator light is green):


i) Green light flash and buzzer beep twice: set the cards (System Card, Room
No Card, Clock Card, Clear Card, Report Lost Card, Terminating Card, Query
Card etc.) successfully.
ii) Green light while the motor go back: Key Card opens the door successfully.
iii)Green light flash once: Record mechanical key.
iv)Buzzer beep once: Read card successfully.

Error:
1. Red light flashes twice: Cipher error (or use “System Card” set lock for the
second time)

2. Red light flashes three times: Room number error
3. Red light flashes and buzzer beep once: card is broken.
4. Red light flashes and buzzer beep three times: Operation “Query Card” failure.
5. Red light flash and buzzer beep five times: card is overwritten and invalid.
6. Red light flashes six times: clock or other circuit error.
Warning:
1. Yellow light flashes twice: The data in “Room No Card” is the same as that in
door lock.
2. Yellow light flashes four times: door is deadlocked.
3. Yellow light flashes and buzzer beep twice: The lock is in unlocking status.
4. Yellow light flashes and buzzer beep four times: card is forbidden and invalid.
5. Yellow light flashes six times last 2 seconds: Card is been reported lose and
invalid.
6. Yellow light flashes and buzzer beep six times: Card is not pulled out.
7. Yellow light flashes once: The relevant switch inside mechanical lock is turned
on by mechanical key.
Explanation:
1. When using cards to the lock, if weak light or beep signal appears, this is not
belonging to the above signal list.
2. Yellow light is same with red and green lights.

5 Management suggestion

5-1 Suggestion

i) IT department be responsible for the installation, maintenance and technical


support of Card-making system and software
ii) The management level responsible for make, keep and manage all kinds of
cards.
iii)Common operators make the cards with low level.
iv)The high level cards are to be made only by the specially assigned people.
v) System Cipher and all passwords must be kept confidential.
vi)Adopted cards and mechanical key must be registered for record.
vii) Special people in engineering department shall be assigned to responsible
for door lock repairing and maintenance, feeding back the running status of
door locks.
viii)After the locking system installed, one person familiar with mechanical and
electric must be assigned by user to take charge of the lock running process,
this person shall received the manufacturer’s training.
ix)In trial running, it’s better to use the system in a easy way, for example, don’t
make cards with time limit (default time limit is 12:00 Dec. 30th, 2099), in order
not to arouse unnecessary trouble. Try other functions after familiar with the
system.
x) Some trouble may happen in trial stage, such as inflexible handle caused by

distortion of door board, operation error etc., in case trouble occurs, be calm
down to analyze its reason and try to cooperate with manufacturer to solve it.
xi)Adjust the clock monthly at fixed period to avoid clock mistake.
