Communication

Communication is the activity of conveying information through the exchange of


thoughts, messages, or information, as by speech, visuals, signals, writing, or behavior. It is the
meaningful exchange of information between two or more living creatures.

Communication is the process of sharing ideas, information, and messages with others in


a particular time and place. Communication includes writing and talking, as well as nonverbal
communication (such as facial expressions, body language, or gestures), visual communication
(the use of images or pictures, such as painting, photography, video, or film), and electronic
communication (telephone calls, electronic mail, cable television, or satellite broadcasts).
Communication is a vital part of personal life and is also important in business, education, and
any other situation where people encounter each other.

Communication is the exchange and flow of information and ideas from one person to
another; it involves a sender transmitting an idea, information, or feeling to a receiver. Effective
communication occurs only if the receiver understands the exact information or idea that the
sender intended to transmit.

It is important to communicate well. It can help us to understand what another person is


saying. It also means that we can express our own needs and concerns. Communication involves
both verbal and non-verbal messages and is required in all situations in life when people interact.
Communication plays a key role in the success of organizations. There are various channels used
for communicating messages. These include face-to-face conversations, emails, phone calls, and
internet based channels like chat and web conferences. Communication within an organization
provides the basis on which the daily work operations of an organization occur. Communication
is used to instruct employees on their job duties and expectations. Employees use communication
to share information with fellow workers as they carry out their work processes. Management
uses communication to impart the values and mission of the organization to the workforce.
Communication is also used by management for planning and implementing both the short-term
and long-term goals of the organization. Communication provides a channel through which
employees can give and receive feedback. Through communication, top management can be
made aware of areas that are lacking within the organization. This is critical as it ensures that
problems affecting the running of an organization are identified and remedied quickly as they
arise. Communication helps in the growth of an organization through input received from
customers. Both existing and potential customers constantly communicate how they feel about
the products or services of an organization. By acting on feedback from customers, organizations
can position themselves to advantage of opportunities for growth and expansion. Communication
is useful for clarification of information and helps with diffusing conflict within organizations.
Lack of communication in an organization can create confusion and misunderstanding leading to
undesirable outcomes. Communication enables messages to reach the targeted recipients in a
timely manner as intended. Communication also reduces ambiguity and creates cohesion in the
workplace, which is essential for achieving the goals of an organization.

Businesses are concerned with communication in several special ways. Some businesses build and
install communication equipment, such as fax (facsimile) machines, video cameras, CD players, printing
presses, personal computers, and telephones. Other companies create some of the messages or content
that those technologies carry, such as movies, books, and software. These companies are part of the
media or telecommunications industries. Organizational communication is important in every business.
People in organizations need to communicate to coordinate their work and to inform others outside the
business about their products and services (these kinds of communication are called advertising or

Written communication is a form of verbal communication. The name speaks itself! The
communication which is performed through various written documents is called written
communication. It is a word based communication that takes place in a written form. the
instruments of this type of communication are follows:

 Letter
 Memos
 Written Instruction
 Notes 
 Reports
 Journal etc.

Every organization uses written communication comprehensively. There is continuous


written communication overflow from boss to subordinates or subordinates to boss.

Consequently, when communication happens in written form, it is called as written


communication. Written communication is widely used in organization because these written
documents can work as reference and evidence of any transaction or organization activity for
future at any time.

Written communication involves any type of interaction that makes use of the written
word. Communication is a key to any endeavor involving more than one person. Communicating
through writing is essential in the modern world and is becoming ever more so as we participate
in what is now commonly called the information age. In fact, written communication is the most
common form of business communication. It is essential for small business owners and managers
to develop effective written communication skills and to encourage the same in all employees.
The information age has altered the ways in which we communicate and placed an increasing
emphasis on written versus oral communications.

Written communication is the most popular mode of communication in the business


world. It has got some special qualification that made it popular among people engaged in
organizational management. Its importance can be known from the following list of advantages
and short discussion with each:

1. Authoritative Document: In case of difference of opinion in certain important matters of


communication or in need of submitting any evidence in the court, written communication is
considered to be authoritative because it is acceptable as a legal  document.

2. Easily Understanding: Written communication gives the receiver an opportunity to go


through the message again and again until he understands the message clearly. Clear and
complete understanding of the message is possible under such communication system.

3. Permanent Record: Written communication is a source of permanent record and can be used
as a reference for future activities . So, fresh and new decision can be taken based on old orders
and decision.

4. Acceptability: Written communication is reliable because anything written becomes authentic


in the eye of law. For this reason, Organization always prefer written communication rather than
oral communication.

5. Effective Communication System: Many persons can not effectively present their statements
orally. First a draft of the message is prepared and after final adjustment the message is made
attractive, well organized and easily understandable. Thus written communication can be done
effectively.

6. Reduction of Risk: As written communication acts as a document, i.e. letters, memos, reports
etc. it can help for a careful comparative study of documented information of several years. This
will help to reduce the unexpected risk or loss.

7. Alternative Method: Business activities rely on written documents or information and


superiors remain too busy for which they do not have much time to hear problems and
complaints of their subordinates. Therefore, such communication is proved to be best alternative
to serve the business purpose.

8. Less Possibility of Distortion: As written communication remains as evidence, there is less


probability of distortion and it cannot be presented in a distorted way.

9. Delegation of Authority: Written communication facilitates the delegation of authority. From


the written message, the employees who are delegated authority can clearly know their span of
activities, authorities and responsibilities It is possible because these matters are clearly defined
in the written message.

10. Effective Control: As written communication  is more reliable, it ensures effective control.
Naturally,  supervisors feel more secured in discharging their controlling job with written 
communication.

11. Personal Image: When there is written communication, the sender's personal image is also
transmitted to the receiver and he gets better idea regarding the efficiency of sender. This helps a
lot to make an effective communication.

12. Wide Access: Written communication enjoys a wide access to the communication world
because of communication media having been very fast. The sender and receiver living at a far
distance can exchange their written message through postal, Fax, Telex or Internet service.

Such communication is well accepted and considered as best way to all corporate organization
and official working process. The above mentioned advantages of written communication
justify the existence of written communication.
