Abstract

This project works on designing and constructing Hospital Management


System .The system provides the benefits of streamlined operations,
enhanced administration, control and superior patient’s care. The system uses
JAVA as the front-end software which is an Object Oriented Programming
language and has connectivity with the back-end software. Our main focus is
designing a unique Hospital Management System that will improve hospital
experience for both patients and the hospital authorities. The primary target
is to focus on every user who can get our service and get benefitted.
It allows all employees to work within this system with high efficiency
beside providing comfort to the patient as he takes care of his needs without
the extra work. This system is designed on the basis of high security method,
where patient’s data is saved and secure in the system database while they
are staying in the hospital but once the patient is discharged out of the
hospital his data will be deleted.

1 Introduction
1.1 Overview
Before computerized Hospital Management System came into practice, it
was difficult to keep proper records of the daily activities of hospitals, patient
information, maintenance schedule of equipment's in the hospital, and how
funds are being allocated and used. This resulted in waste of money, time
and manpower. Hospital Management System is an information management
system designed to help manage the various aspects of a hospital
(administrative, clinical and financial).It helps in monitoring and controlling
the hospital’s daily transactions, as well as the hospital’s performance. It also
helps to address the critical requirements of the hospital. Hospital
Management System enables access to the right information and automation
of complex task, thereby allowing staff to spend more time caring for
patients. Hospital Management System is custom built to meet the specific
requirements of the medium and large size hospitals across the globe. [1]

Current Management System Most hospitals face several challenges with


Hospital Management System because some of them are still using manual
processes, while the ones that use the computerized method are also faced
with the challenge of adjusting to it. Such problems include:

1. High cost of software development, deployment and improvement.

2. Difficulty in migrating from manual processes, because both staff and


patients are used to the manual processes and so are unable to speedily
cope with the new system.

3. Lack of IT friendly medical personnel is also presenting several


challenges.

4. Huge influx of patients visiting government hospitals makes the


process of migrating to automated processes highly difficult. They do
not have the patience to wait for registration and data entry and often
fail to understand the functioning of automated processes.
Considering the above, there is need for the improvement of
computerized hospital management system to such hospitals as it
would help provide and customize clinical data, enable faster
diagnosis with ready-made templates, allow doctors to follow
advanced medical prescription patterns, and so on. [2]

1.2 The Problem of the project


Problems with conventional system
1. Lack of immediate retrievals: -The information is very difficult to
retrieve and to find particular information like- E.g. - To find out about
the patient’s history, the user has to go through various registers. This
results in inconvenience and wastage of time.
2. Lack of immediate information storage: - The information generated
by various transactions takes time and efforts to be stored at right
place.
3. Lack of prompt updating: - Various changes to information like patient
details or immunization details of child are difficult to make as paper
work is involved.

4. Error prone manual calculation: - Manual calculations are error prone


and take a lot of time this may result in incorrect information. For
example calculation of patient’s bill based on various treatments.
5. Preparation of accurate and prompt reports: - This becomes a difficult
task as information is difficult to collect from various registers.

1.3 Aim of project


The goal of the project is that the staff of the hospital are working under one
system that brings them together in addition to facilitating the procedures of
the patient
1- Planned approach towards working: - The working in the
organization will be well planned and organized. The data will be stored
properly in data stores, which will help in retrieval of information as well
asits storage.
2- Accuracy: - The level of accuracy in the proposed system will be
higher. All operation would be done correctly and it ensures that
whatever information is coming from the center is accurate.
3- Reliability: - The reliability of the proposed system will be high due to
the above stated reasons. The reason for the increased reliability of the
system is that now there would be proper storage of information.
4- Immediate storage of information: - In manual system there are many
problems to store the largest amount of information.
5- Easy to Operate: - The system should be easy to operate and should be
such that it can be developed within a short period of time and fit in
the limited budget of the user.

1.4 . LITERATURE SURVEY


Hospitals can also be regarded as organizations based on high technology
and information intensive processes. According to Lawrence and Dyer
(1982), such organizations are not hierarchically structured bureaucracies,
but are often based on democratic control mechanisms with institutionalized
stakeholder influence in decision processes. A survey under 2752 European
hospital managers indicates that technology can substantially influence
hospital activities and services (Anderson, 1993). It is also expected that
health care budgets and funding will depend significantly on sophisticated
patient and diagnosis classifications. The use of IT in diagnostic and
treatment processes will add to the development of networks of clinical,
hospital and health care processes (Smith and Gert van der Pijl, 1999).
Healthcare management is a growing profession with increasing
opportunities in both direct and nondirect care settings. As defined by
Buchbinder and Thompson (2010), direct care settings are those
organizations that provide care directly to a patient, resident or client who
seeks services from the organization. Non-direct care settings are not directly
involved in providing care to persons needing health services, but rather
support the care of individuals through products and services made available
to direct care settings. The construction of medical information is important
to improve the hospital medical care capability, the management decision-
making level of health and the hospital operational efficiency. Nowadays,
comprehensive hospital information services and management platform have
been established, centering on electronic medical records and clinical
pathway. The establishment and use of these information systems played an
important role in improving the degree of patient satisfaction, enhancing

hospital efficiency and healthcare quality, protecting the safety of healthcare,


and reducing healthcare costs. Hospital Management System (computerized)
is increasingly becoming an emerging tool in health care arena to efficiently
enable delivery of high quality health services. These systems have large
computerized data bases intended primarily for communication and storing
health and administrative information. HMS has different components and
includes broad scope and level of systems from departmental (a system
limited to a specific clinical or financial domain) to knowledge based
systems that provide diagnostic support and intervention for patient care
activities. It is believed that HMS implementation is an organizational
process conducted toward information technology within user community.
User community in health care arena consists of many different user groups
(physicians, nurses, administrators, managers, researchers, etc.). Neglect of
any of these parties imply to missing related expertise, skills, knowledge,
requirements and expectations. Expectation and requirement arise from what
users see and hear about the system and interpret the ways the system will
work for them. Studies indicated that addressing user expectation is a distinct
element to ensure the successful adoption of the HMS (Farzandipour,
Sadoughi and Meidani, 2010). In health care organizations, many different
user groups (physicians, nurses, administrators, managers, radiologists,
pharmacists, etc) with variety of backgrounds and conflicting interest exist.
Implementation of a hospital information system could not happen without
an analysis of the feelings and perceptions of individuals who make use of it
(Ndira, Rosenberger, and Wetter, 2008) [3] [2] [9][10][11]

1.5 Outline
In addition to what explained above, this research will show the theory
part in chapter two, the practical part in chapter three, the result and
experiments in chapter four, finally this research will finished with
conclusion and future works.

2 Theory Part
2.1 Introduction
The previous chapter discuss an overview about the project, the
problems that can be solved with it, brief description about similar projects
and lastly the main goal of it.
This chapter will discuss what was used to build and achieve this project
from Java, SQL, XAMPP.

2.2 Hospital Management System


Management has been defined as the process, comprised of social and
technical functions and activities, occurring within organizations for the
purpose of accomplishing predetermined objectives through humans and
other resources (Longest, Rakich & Darr, 2000). Healthcare quality and
patient safety are the common mantra of all primary and secondary health
care providers. In hospitals, over the years, a variety of models and schemes
for hospital interventions and development have been deployed (Friesner,
2009). Hospital Management System provides the benefits of streamlined
operations, enhanced administration & control, superior patient care, strict
cost control and improved profitability. There are different modules in the
process of Hospital Management System. These include:
1.Patient management
2.Services management
3.Appointment scheduling
4.Store management
5. Pharmacy management
6. Admission management

2.3 Xampp
XAMPP stands for Cross-Platform (X), Apache (A), MariaDB (M), PHP (P)
and Perl (P). Since XAMPP is simple, lightweight Apache distribution it is
extremely easy for developers to create a local web server for testing and
deployment purposes. Everything you needed is to set up a web server –
server application (Apache), database (MariaDB), and scripting language
(PHP). XAMPP works equally well on Linux, Mac, and Windows. [6]

2.4 Java Language


Java is a programming language that produces software for multiple
platforms. When a programmer writes a Java application, the compiled code
(known as bytecode) runs on most operating systems (OS), including
Windows, Linux and Mac OS. Java derives much of its syntax from the C
and C++ programming languages.Java was developed in the mid-1990s by
James A. Gosling, a former computer scientist with Sun Microsystems.[7]

2.5 JDK and JRE


The Java Development Kit (JDK) is a software development environment for
developing applets and applications written in Java. It consists of an
interpreter, a Java compiler, a documentation generator (JavaDoc) and
several other tools for building Java applications. The Java Runtime
Environment is a component of JDK, and it consists of the Java Virtual

Machine (JVM), libraries, files and other components for running


applications written in Java. JVM is an implementation of JRE for running
Java bytecode.[7]

2.6 MYSQL
MySQL is a free, open source relational database management system
(RDBMS) that supports Structured Query Language (SQL). An RDBMS is a
system used to manage databases, and it is made up of tables containing
columns and rows, where the tables are related by keys. MySQL DBMS is
the world’s most popular open source database system and one of the most
commonly used database systems for Java web applications. It is one of the
fastest RDBMS and it is easy to use. Also, it runs on almost all platforms,
such as Windows, Linux and OS X.[6]

2.7 NetBeans
NetBeans is an integrated development environment (IDE) for Java
NetBeans allows applications to be developed from a set of modular software
components called modules. NetBeans runs on Windows, macOS, Linux and
Solaris. In addition to Java development, it has extensions for other
languages like PHP, C, C++ and JavaScript. Applications based on Netbeans,
including the NetBeans IDE, can be extended by third party developers. The
latest release of NetBeans is NetBeans IDE 10.0, which was released in
December 2018.[8]

3.1 Introduction
The previous chapter discuss what was used to build and achieve this
project .This chapter will discuss the main design of the project, simulation
of the circuits, and last thing is all the steps to build the whole project.

3.2 Diagram of the Project


1. In this Figure is the main Diagram of the project, Explain the role of
Admin, X-ray, Anlaysis ,Doctor and Reception within the system.
In this chart, it is explained how the total management is done by the addict
where it is possible to control the larger part of the system

2. In this diagram is illustrated how Dr. The work between the
Department of Analysis and the Department of X-ray considered as
main parts of the system of the hospital

3. In this diagram, Dr. How shows how the work between the analysis
department and the x-ray department and the reception section where
there is a link between them in the hospital database has been
determined by the programmer

3.3 Main design


This figure is the main design of the project, Which have five section Admin
,Doctor, Xray, Receptionist and Analytical section.

3.4 The implementation of the project


The implementation of the project have more than one section:

3.4.1 Admin Interfaces


First thing, must the admin entering the username and password to access to
the system.

include Doctors information, X-ray information's, Receptionist information's
, Analytical information's and Patient Information.

The admin in this figure can see the information of all doctors in the hospital,
also can make any change on their information or delete any one of them
from the system.
Also can adding an new doctor information to the system

3.4.2 Analytical Interface


After entering the username and password into login interface ,like the admin
login this interface will be appeared. This interface refers to the types of
analysis every patient analysis

personal information, the results of radiation and sonar, as well as his
analysis

login this interface will be appeared.

4 Conclusion & Future Work
4.1 Conclusion
Hospital Management System not only provides an opportunity to the
hospital to enhance their patient care, but also can increase the profitability
of the organization. Hospital administrators would be able to significantly
improve the operational control and thus streamline operations. This would
improve the response time to the demands of patient’s care because it
automates the process of collecting, collating and retrieving patient
information

4.2 Future work


The proposed system is Hospital Management System. We can enhance this
system by including more facilities like pharmacy system for the stock
details of medicines in the pharmacy. Providing such features enable the
users to include more comments in the system.
