OBJECTIVES:
 To use the correct format in writing notice, agenda and minutes of a meeting.
 To use appropriate language and correct tenses in writing notice, agenda and
minutes of a meeting.
 To demonstrate the ability to participate effectively in a group meeting lasting
not more than 15 minutes.
 To express ideas effectively in a group meeting using appropriate language
expressions in meetings.

SCENARIO:
1. You are a member of a committee at your workplace. The committee is required to
conduct a formal problem-solving meeting to discuss two issues at your workplace.

INSTRUCTIONS:

1. In a group of four to five members, conduct a 15 minute meeting. In preparing for


the meeting:
a. Name your committee (e.g. Workers Welfare Committee etc.).
b. Choose a role for each committee member (e.g. chairperson, health and safety
officer etc.).
c. Choose two issues at your workplace.
d. Prepare a meeting notice with an agenda. Send the notice via email to multiple
recipients (include all committee members as primary recipient, chairman as CC
recipient and your course teacher as BCC recipient) at least 5 days prior to the
date of the meeting.
e. Write a complete script of the meeting based on the prepared agenda.
Additionally, include the following:
- Discussion on the issues, possible solutions and the best action(s) to be
taken.
- One example of a negative behaviour in a meeting and how it is handled
professionally.
- One example of effective use of visual aid (e.g. graph/chart/pie
chart/diagram/photograph/table/drawing etc.) to enhance audience
understanding in the meeting
2. Based on the script (1e), you are required to role-play the meeting and
demonstrate the effective meeting skills. The role-play can be carried out either
during the class sessions (with your course instructor) or at your own convenience
in week 14/before the deadline.
- If your group decides to carry out at your own convenience, you must
record the role-play (e.g. google meet video call recording/meeting video
recording). Essentially, you should ensure the highest quality of the video
recording which includes a clear sound and picture.
3. After the meeting role-play, in your respective group, do the following:
a. Prepare minutes of resolution of the meeting based on a contemporary format.
b. Submit the following documents (to be submitted by group via e-
mail/Edmodo/Google Drive etc. or as prescribed by the course instructor)
latest by Tuesday, 4 August 2020:
i. The notice with agenda via email (should be submitted at least 5-7
days prior to the date of the meeting)
ii. The meeting script
iii. Minutes of the meeting
iv. Meeting video recording / google meet video call recording (if you
carry out the meeting role play at your own convenience)
