INFORMATION SHEET 5.1

PREVIEWING A WORKSHEET

Before you actually print, it¹s a good idea to preview your


output on the screen. Choose Print Preview on the File menu to
preview your output on screen.

Excel¹s Print Preview screen displays how the document will


print on the page, but it is difficult to actually read the text. Notice
that the mouse pointer takes the shape of a magnifying glass. You can
enlarge the printed image by clicking the Zoom button or by using the
magnifying glass. Simply click the magnifying glass on a part of the
page you want to enlarge.

The Print Preview screen also has several buttons at the top of
the screen for making adjustments namely: Next, previous, Zoom,
Print, Setup…, Margins, Page Break Preview, Close and Help. For
instance, the Setup button opens the Page Setup dialog box and the
Margins button lets you change page margin and column widths to fit
more information on one page.

It is best to check the spelling in a worksheet before printing it.

Click the spelling button on the standard toolbar to begin checking


the worksheet.

If you are satisfied with how the output appears in the Print
Preview screen, the Print button lets you send your output directly to
the printer. When you’re ready to print, you may decide to print the
entire workbook, a single sheet in a workbook or just a selected range
of data. You may select the range of cells you want to print before
displaying the Print dialog box, or you can specify the range you want
to print in the Print dialog box.

When printing a spreadsheet that is several pages long, you may


want to repeat the same information (such as column and row
headings) on each page. You can use Print Titles to accomplish this.
You create print titles from the Page Setup dialog box by selecting the
Sheet tab (the Page Setup dialog box can be accessed by selecting
Page Setup from the File Menu). The following dialog box will be
displayed:

To repeat a row heading across several pages, click on the icon


to the right of the Rows to repeat at top:. You can then either type in
a reference for the row or highlight the row(s) you want to repeat at
the top. In the following example, row 1 would be repeated on each
page:

If you want to repeat a column across several pages, the
procedure is the same as above, except you would click on Columns
to repeat at left:.

Repeat Row Titles or Column Titles on Subsequent Pages

If the printout of a worksheet continues to a second or


subsequent page, it’s better to repeat the row titles or column titles (or
both) on each page after the first to make them easy to read.
Otherwise, you’ll see your readers carefully folding the second sheet
over at the end of the white space and lining up the crease with the
columns on the first sheet so that they can see what’s what.
To repeat row titles or column titles, follow these steps:
1 Choose File | Page Setup to display the Page Setup dialog box, and
then click the Sheet tab to display its contents.
2 Click the Collapse Dialog button in the Rows to Repeat at Top box
and select the rows that you want to repeat.
3 Click the Collapse Dialog button in the Columns to Repeat at Left
box and select the columns that you want to repeat.
4 Click the OK button to close the Page Setup dialog box.

Choose Which Items to Include in the Printout

Excel’s default settings can print the contents of cells in the


print area that you specify but does not print items such as gridlines,
row headings and column headings, or comments attached to cells in
the print area. You can change these settings, and choose further
options, on the Sheet tab of the Page Setup dialog box (choose File |
Page Setup).
The Sheet tab enables you to:
 Print gridlines, and row and column headings.
 Print colors as black and white (for a
monochrome printer).
 Use draft quality for faster printing and lower
ink use.
 Include comments. If you do, choose whether to
print them at the end of the worksheet or in the positions in
which they appear on the worksheet.
 Specify how to deal with cells that contain
errors: display them, print blank cells, print two dashes (--), or
print #N/A to indicate that they’re not applicable.
 Change the page order from Down, Then Over

(the default) to Over, Then Down to specify how Excel paginates
and numbers multipage printouts.

Specify Print Area

By default, Excel prints the entire worksheet. If you only want


to print a portion of a worksheet, you may select a print area.
Highlight the cells that you want to print. From the File Menu, select
Print Area, and Set Print Area. A box will appear around the selected
area.

To clear a print area, select Print Area from the File Menu and
Clear Print Area.

PREVIEWING WORKSHEET

Directions: Do the following as directed.

1. Open My Physical Activity file. Click the Print Preview button on


the Standard toolbar. The file appears in the print Preview
window.
2. Click anywhere in the worksheet. The zero factors are
increased, and the preview is enlarged.
3. Click anywhere in the worksheet again. The zoom factor is
decreased, and the preview is reduced.
4. Click the Close button on the Print Preview toolbar. The Print
Preview window closes.
5. Click the Save button on the Standard toolbar. The worksheet
is saved using the current name.

PRINTING WORKSHEETS

When a worksheet is ready to print, you can either print it


instantly using the default print settings or choose any further options
necessary in the Print dialog box.

Print Instantly with the Default Settings

Once you choose a print area and suitable print settings for the
worksheet, you can print instantly by clicking the Print button on the
Standard toolbar. Excel prints the active worksheet without displaying
the Print dialog box. You may also print by clicking the Print button
without explicitly setting a print area or other settings. Excel prints
the worksheet up to the last cell that contains data, using automatic
page breaks and the default paper size. For a small worksheet that
occupies less than one sheet of paper, printing this way can give
tolerable results. In most cases; however, you’ll do better to set up the
printouts manually.

Control Printing Using the Print Dialog Box

Printing via the Print button on the Standard toolbar can be


quick and convenient but in most cases you’ll probably prefer to
exercise more control over printing by choosing File | Print and using
the options in the Print dialog box.

Choose Options in the Print Dialog Box

In the Print dialog box, you can:

 Choose the printer in the Name drop-down list. You may click
the Find Printer button and use the 6 Find Printers dialog box
to locate available printers. Specify which pages to print in the
Print Range group box. The default is to print all pages in the
print area. To print only some pages, enter the starting number
in the From box and the ending number in the To box. When
you enter the first of these values, Excel selects the Page(s)
option button automatically.

 Choose what to print in the Print What group box. The default is
to print the active worksheet. You can also choose to print the
current selection, the entire workbook, or the current list (if
one is selected).

 Set the number of copies to print in the Number
of Copies box. The default is one copy. If you print multiple
copies, select the Collate check box to print the full set of each
copy at once (followed by the next copy), or clear the Collate
check box to print all of the copies of each page together
(followed by all of the copies of the next page).

 To print to a file instead of printing to paper (or to


a fax printer), select the Print to File check box. When you click
the OK button in the Print dialog box, Excel displays the Print
to File dialog box. Enter the path and file name for the print file
in the Output File Name text box, and then click the OK
button. Excel then creates a print file that you can send or take
to another computer (for example, to a specialist print shop for
high-quality printouts) for printing.

Directions: Do the following procedure as directed.

1. Open the My Physical Activity file, one that is ready to be


printed or the one you have used in the previous activity.
2. Click Print Preview button or go to the File menu then go to
Print Preview.
3. Click the margins button. Adjust your columns and margins
by dragging their handles.
4. Click the Zoom button and when you see the Zoom icon,
click on any part of the worksheet.
5. When your printer is ready try a print out copy.
6. Submit your output to your teacher for checking.
