E-MAIL WRITING
The e-mail is the mainstay of modern, corporate communication and as such, anyone and everyone must
possess some degree of proficiency in the art of writing e-mails. This section of the Business Communication
handout will provide you with the vital do(s) and don’t(s) of writing e-mails, guidelines to be followed while
writing e-mails which you may use as a guiding light in all your future electronic communication.

GUIDELINES
 Every e-mail is addressed to someone. This individual’s e-mail address is entered in the TO: dialogue
box.
 Some e-mails need to be forwarded to interested parties, who would want to remain updated about
inter-departmental and team dispatches. When forwarding e-mails, use the CC: dialogue box to insert
additional e-mail addresses. CC stands for ‘Carbon Copy’.
 Sometimes, if you do not want the recipient to know that an e-mail has been forwarded to another
party, then utilize the BCC: dialogue box to insert additional e-mail addresses. BCC stands for ‘Black
Carbon Copy’ and all e-mail addresses inserted in this box are hidden from the recipient’s view.
 The subject of the e-mail (the purpose, for which the e-mail is being written) must be typed in the SUB:
dialogue box. It must be concise, only one sentence, and grammatically complete. When replying to
forwarded e-mails, change the subject. When using the REPLY option in a previously received e-mail,
if the subject matter of the current e-mail is different, change the subject.
 Your name, designation, and address need NOT be mentioned in the conclusion. This guideline has its
origins in the 'signature' option. The signature contains any text you desire and this text is embedded
in each and every e-mail, which you send from your e-mail account. Therefore, your e-mail account's
signature should contain your name, designation, and contact information. This will automatically be
appended to every e-mail, by checking the option 'append / attach / include signature in all e-mails /
at the end of each e-mail'.The signature must be used in corporate e-mail accounts.
DO(S)
 Keep it short and to the point.
 The purpose of e-mails is to enable swift, small-scale communication across the globe.
Therefore, do not write novel sized letters or manuscripts in an e-mail. Keep in mind, however,
that wherever details are required, they must be given. The length of the e-mail is not a
challenge in such cases.

 Be courteous and pay attention to your grammar.


 Correct sentences, with proper punctuations and grammar, are an absolute MUST. An e-mail
lacking proper punctuation will not be considered seriously or it may be sent to the Trash folder,
if it is unintelligible.

 Fill in the 'SUB' (Subject) box with a proper subject.


 The subject must be a single sentence, which conveys the gist of the e-mail to the reader.
 The subject must be changed in accordance with the subject matter of the e-mail.
 The same subject of forwarded e-mails cannot be used, when sending a new e-mail.
 Do not use unconventional abbreviations / short-forms in the subject line.

 Double check the recipient's e-mail address, the attachments and the e-mail's
contents.

 Use "CC" to forward copies of your e-mail to your superiors and other
concerned colleagues and company personnel.
 The abbreviation 'CC' stands for carbon copy, which means that a copy of your e-mail will be
forward to all the e-mail addresses mentioned in this box. The recipients, to whom e-mails are
forwarded, will also be visible to the original / primary recipient of the e-mails. This feature
is used primarily in corporations, where copies of important e-mails must be shared with one's
superiors and employees.

 Use "BCC" to forward copies to your superiors, colleagues and friends, without
letting the original recipient know that the e-mail is being forwarded.
 The BCC feature is used while forwarding extremely sensitive information to one's superiors
and / or colleagues, where it is essential that the original recipient of the e-mail be kept in
the dark about the forwards being carried out.
DON'T(S)
 Do not use abbreviations for general words.
 For example, it is not acceptable to use 'u' for the word 'you', or 'r' for the word 'are'.
 General words must be used in FULL.

 Do not write incomplete sentences.

 Do not write sentences without beginning them with a capital letter.

 Do not write names of landmarks, people and places without starting with a
capital letter.

 Do not write your e-mail address, date and correspondence address at the
beginning of the e-mail.
 The sender's& recipient's e-mail addresses and date are already mentioned in the e-mail's header
and thus, there is no point in restating them again.
 The correspondence address is not necessary, unless you require a hand-written note or letter from
the recipient of the e-mail, or you are placing a purchase order.

 Do not write the recipient's name separately, before the salutation, at the
beginning of the e-mail.
 'To: Mr.Subhash Reddy' or 'Attention: Mr.AmolPandey' are not required in e-mails, as the
recipient of the e-mail is also the sole owner and manager of the e-mail address.

 Do not use the same subject line, when using forwarded e-mails to compose
new mails.
 ‘FWD: Team meeting notice’ is NOT the appropriate subject to be used for an e-mail, which
communicates ‘Completion of assigned project work’.Using incorrect subject lines is simply
confusing for everyone involved. Change the subject to something appropriate, according to the
purpose of the new e-mail.

 Do not fail to REPLY to an e-mail, which has been received by you.


 This reply is an acknowledgement of the receipt of the e-mail. Unless it is SPAM, an
acknowledgement of receipt must be sent. You may send a simple one or two line e-mail, with the
reply that you will shortly revert to the sender with an answer.
Email Structure

When emails are structured, people perceive the content and its sender well. Good emails help
develop good perceptions. A structure in an email projects the organization in good light, helps the
receiver develop confidence in the sender and ensure smooth communication between the sender
and the receiver. The process leads to the formation of culture that runs deep into the system and
cements the organisation and its values. It is vital to safeguard the culture in the organisation as it
influences and inspires others to follow suit.

Introduction – An introduction is the section of the email where the purpose of writing is introduced
by the sender. The easiest way to start with the introduction is to look for a past reference. A
reference makes it easy for the receiver to recall the reference and connect with the purpose of the
email. A reference that is explicit leaves no ambiguity in the mind of the receiver. An introduction must
contain maximum two sentences.
Examples: -

With reference to our telephonic discussion regarding the changes in the XYZ proposal on 15 th June
2018, I would like to discuss some important points in this email.

With reference to our meeting regarding the frequency of post installation checks on 17th April 2018,
I’m writing this email to suggest strategies that can help us improve the frequency of the checks.

This is to inform you that we are now taking a plunge into the automobile sector and are planning to
collaborate with some giants in the industry. We would like to introduce our offerings to you so that
we can avail your valuable support once the operations are underway.

I’m writing this email to discuss the benefits of our new venture that will strengthen the purpose of the
initiative thereby allowing us to strategise effectively.

Details – The detail section of the email is exclusively to inform details about the project or concerned
task. It follows the introduction after proper segmentation. It purely focuses on information that is
available and needs to be shared.
Examples:

The agenda of the meeting is as follows:
The dimensions and special features of the MNO equipment are as follows:

Action- After the detail follows the action. Actions demand courtesy and politeness from the sender.
An action can be written in a persuasive language to highlight the importance of the task

Closure – Closures contain the concluding statements and the signature. Closures help
communicate positivity to the receiver.

Looking forward to a long lasting association with your firm.

E-MAIL WRITING – EXAMPLES


The following are sample e-mails, which you may use as guidelines while composing your own electronic
communiqués. A diverse range of subjects have been covered in this section.

SAMPLE #1: ASKING SOMEONE TO RECOMMEND A PROFESSIONAL

Dear Rajesh,

We will be beginning a very important equipment installation project (describe the project) within the next
week. The issue is that we don't have the skills we need in-house and we don't know of any freelancer with the

The project will begin on the 20th of January, 2011 and it will need to be completed by the 23rd of January,
2011. If you have used anyone, whose work you trust and who would be available for that period, please have
