Flowcharts

Definition/Purpose: Flowcharts are tools that illustrate the sequence of steps in a process. Helps to
identify redundancies, inefficiencies, misunderstandings, work-arounds, hand-offs, value and non-value
added steps. Flowcharts are useful in the Define, Measure, Analyze, Improve and Control phases.
Flowcharts provide four different perspectives on a process:
 What you think the process is
 What the process really is
 What the process could be
 What the process should be

Two Types of Flowcharts:


 Activity Flowchart – Shows detailed, specific steps in a process. Often captures decision points,
rework loops and other complexities. See next page for example
 Basic or Top Down Flow Chart (TDFC) - High level flowchart, depicting the major steps of the
process. See last page for template.

Instructions: To use as a template, please save a copy by clicking on the save icon.
1. Work with a group who is knowledgeable about and directly involved with the process.
2. Identify start and stop points in the process
3. Brainstorm action steps (make sure to include steps that occur when something goes wrong, i.e.
includes steps that actually occur, not just those that are supposed to occur and in the sequence
of how they actually occur.)
4. Select type of flowchart to be used
5. Arrange steps in the appropriate order
6. Identify the author(s) and date of creation
7. Consider numbering the steps. This will make it easier for the team to communicate about
specific steps being discussed.
