The first example follows a direct pattern of memorandum writing as the purpose
or the intention is directly written in the beginning. It begins with the main subject
followed by the supporting details then request for action. The latter examples are
the other way around and it follows an indirect pattern. The examples begin with
supporting details and background, then the bad news is placed in the middle.
Lastly, positive statement and request for action.

Activity 3: USE OF FRIENDLY AND BUSINESS TONE

Directions: Try to note the difference in tone in the following examples:

The order will not be delivered today

Activity 4: WRITING A MEMORANDUM-Positive News- 20 minutes-Formative


Assessment

Directions: Write a one-page memorandum on any of the given scenario. Use


this template:

SUBJECT: Product Campaign
As per our market survey we have inferred that people are becoming more open to
online shopping. With that, for our new product we need to launch a new digital
marketing campaign.

For now, we need to focus advertising on internet sites that appeal to young people as
they are our main target. We also need to put efforts in other media sources such as
radio and magazine. These all will effectively promote our product.

By refocusing our advertising efforts of our product we will be able to increase our sales.
Since, most of our customers can be found online, most of our focus must be on the
promotion of our brand and products on the web. With that, please be informed that
you are assigned to lead the advertising in our facebook page starting Monday, May 25,
2020. Your full cooperation and commitment is hereby enjoined.

Activity 5. WRITING A MEMORANDUM-Negative News (20 minutes)- Formative


Assessment

Directions: Write a memorandum informing one of your subordinates about


his/her unsatisfactory work performance based on his Individual Performance
Commitment and Review Form (IPCR). Use the indirect approach in writing the
message. Please be guided by the following flow of organization inside the box.

The Indirect Approach in Memo Writing

1. Open with a buffer statement.


2. Build the reasons for the situation or decision.
3. Present the negative news.
4. Offer any additional information that will help the reader or audience.
5. Close in a respectful tone.

JKL Company has been successfully serving a lot of customers with its remarkable image
and it has already established a good reputation.

However, it has been reported to the Management on May 5, 2020 , you allegedly failed
to exercise due care and attention in the performance of your duty , and the said
negligent conduct caused chaos to our customers.

This letter shall serve as a formal warning for your unsatisfactory performance we have
observed in the past few weeks. This means that you must make up for it for we have

given you a second chance. You are also being ordered to show professionalism while
dealing with customers and while working with your colleagues. You need to be
competent to indemnify what you have done to our company. We are hoping to regain the
