Quarter 1 – Module 2: Common Elements in a Program

I. Introduction
Internet and Computer Fundamental (ICF) is one of the subject taken in Technical
Vocational Education. It is one of the introductory subject which is required for the students
in order to be ready in Information Communication Technology (ICT). It is one of the skill
developed so that students may achieve more productive and efficient knowledge in dealing
with the computers because nowadays computers are more important.
The purpose of this subject is to provide the students on the basic knowledge about
the software they use and gives them the idea of the different software used in Computer
Operation.
Internet and Computer Fundamental is the subject taken from Grade 8 Junior High School to
be able for them to recognize the software used which is accommodated in the Microsoft
Office. Software one of the basic component of computer and as the student, they need to
learn more because as of this time it is very much important in handling computer.
This module, covers the continuation of ICF 7 which covers all about the software
used in computer operation, the Microsoft Word, Microsoft Excel, the Desktop Publishing
and the Microsoft Publisher.
This also trained the students on how to cope up with the new trends in software
application which they need to learn more.

II. Objectives
At the end of this module you are expected to;
 Identify the common elements in a program.
 Use the common features in the program.
 Show how application programs of the same type share the same concepts.

III. Vocabulary List


 Elements
A component or constituent of a whole or one of the parts into which a whole may be
resolved by analysis.
 Microsoft Word

MS-WORD (often called Word) is a Graphical word processing program that users can type
with. It is made by the computer company Microsoft. Its purpose is to allow users to type and
save documents and it has helpful tools to make documents.
 Microsoft Excel
It is a program produced by Microsoft that allows users to organize, format and calculate data
with formulas using a spreadsheet system.
 Microsoft PowerPoint
A software package created by Microsoft. Users create a presentation with a series of slides
 Menu bar
It is a thin, horizontal bar containing the labels of drop-down menus in an operating system's
GUI. It provides the user with a standard place in a window to find the majority of a program's
essential functions.
 Toolbars
(Originally known as ribbon) is a graphical control element on which on-screen buttons, icons,
menus, or other input or output elements are placed. Toolbars are seen in many types of
software such as office suites, graphics editors and web browsers.
 Files
It is a collection of data stored in one unit, identified by a filename. It can be a document,
picture, audio or video stream, data library, application, or other collection of data. Window
 Window
It is an area on the screen that displays information for a specific program.

Common Elements in a Program:
 Need for consistency between programs and becomes more prevalent for assisting
users in learning features in new operating systems or desktop applications.
 Microsoft has helped ensure these elements are common to all programs installed on
Windows system.
 Concepts remain the same for application program types and the Microsoft Office is
one of the most popular suite program.
Starting Word/Excel/PowerPoint
 To start a program:
– Click Start button. Then select Microsoft Word, Microsoft Excel or Microsoft
PowerPoint from submenu
– If you have shortcut icon on desktop or Quick Launch toolbar for program,
double-click on appropriate icon

Exiting Word/Excel/PowerPoint
 Remember to always exit the program before you turn off your computer
 To exit the program:
– Select File, then Exit
– Click on (Close) button at far right corner of title bar
– Press +
 If any files currently open on screen, program will ask for confirmation to save or
abandon any changes made.
 Many application programs share same elements, regardless of software vendor.

Most Common Elements


 Control Icon Located on far left side of title bar, allows you to perform
Important functions such as sizing, moving, and closing
application windows.
 Title Bar Located at top of window, displays name of selected
application. If document window maximized, title bar includes
name of file.
 Menu Bar Located below title bar, contains document processing
commands. Each menu item contains different set of
commands.
 Ask a Question Located at far right side of menu bar, allows you to request help
at any time simply by typing in the question.

 Minimize, Can minimize ( ) application window to button on taskbar,
Maximize/ maximize ( ) program to full size, restore ( ) window to
Restore, Close original size, or close ( ) application window.
 Toolbar Provides quick access to frequently used commands, menus,
and macros.
 Scroll Bars Use vertical scroll bar to scroll up or down, and horizontal scroll
Bar to scroll left or right.
 Status Bar Displays messages and system information.
 Task Pane Designed to help you navigate or choose items quickly by
displaying items here for easy access.
Using the Menus
 Displays the menu command, and may also display corresponding toolbar button or
keyboard shortcut.
 Short cut menus, if activated, show only most commonly- or recently-used menu
commands.

Using the Toolbars/Ribbons


 Provides shortcuts to access features and can only be accessed using the mouse.
 Several toolbars available; can also customize and create own.
 To choose button, click on it with left mouse button.
 Some buttons toggle - click once on button to turn feature on, or click on same button
to turn feature off.
 If Standard and Formatting toolbars displayed on same line, use (Toolbar Options)
button for additional buttons.

Getting Help
 Numerous methods of obtaining software support
– In an office, someone there can answer questions regarding specific tasks or
features for program
– User’s Guide included with software
– Books developed by third-party vendors
– Technical support options with Microsoft
 Which method to use will depend on type of help you need or what may be set up for
your company

 To get contact information for Microsoft Technical Support, select Help, About
Microsoft Word and then click on Technical Support button
Working with Files
 Can be saved in a variety of formats, as needed
 Can be saved in any location or create new folders
 Can be opened from any location on your computer or network
 Both Save and Open dialog boxes provide location bar to quickly access files
 Can open as many files as needed
 Can be viewed at different magnifications or modes
 Programs have variety of pre-designed templates to help create new documents
 Editing and formatting tools similar between applications
 May be corrupted and will not open on the screen
 File type saved for file may be missing or is saved in different format
 File may be saved in different format and may change in its formatting or
layout/design to match that file type
 Watch where you save files
 If compatibility error message, could be due to version of program used to save file
 If share files with others, may see message indicating file is read-only or that someone
is using file
 If file type incorrect or missing, use Windows Explorer to review details for file and
then rename file
 If cannot see file at all in Windows Explorer, could be platform incompatibility problem
 If compatibility error message, will need someone with higher version of application
to save file in version suitable to your computer
 If file is corrupted, will have to use a utilities program to run a repair utility on the file
 Regardless of error type, can always request help from technical support person
Printing Files
 Printed copies do not show all information from original file
 Printed copy shows text that goes beyond edges of paper or do not print at edge
 If error messages continue from printer, check printer is connected correctly
 If printer connected correctly, check if anything on your computer was changed
 Colors may not match exactly what is shown on screen
 If printer has multiple trays or duplex printing capabilities, check settings for file before
you send document to print
 Become familiar with printer and its settings
 For more technical problems, get help from technical support
