Progress Report

The Chief Technical Officer submitted a progress report on the installation of an aquaponics system at UrbanFarms. Phase 1 and 2 are complete, having installed rearing tanks for fish and a biofilter. Phase 1 encountered issues when their tank supplier backed out, but a local producer provided better quality carbon fiber tanks on time. The biofilter installation was overseen by experts who recommended adjustments to optimize the nitrification process. Phases 3 and 4 involve installing settling basins by October 20th and testing the hydroponics system by October 28th to submit a final report by October 29th. The project is progressing smoothly and anticipated to establish UrbanFarms as a pioneer in aquaponics and vertical farming in Pakistan.

MEMORANDUM

TO: Muhammad Faiq Raoof, Chief Executive Officer

FROM: Abdul Momin, Chief Technical Officer
DATE: October 6,2020
SUBJECT: Progress Report for Aquaponics System Installation

INTRODUCTORY SUMMARY
Following the core team’s finalization of installing the Aquaponics system, you asked me to submit progress reports at
certain intervals pertaining to different stages of installation. Therefore, I am writing you this report to keep you updated with the
recent advancements about the project. We agreed that the installation would take about nine or ten weeks and involve the
following four phases:

Phase 1: Rearing multiple carbon fiber tanks for raising and feeding fishes
Phase 2: Installation of the Biofilter
Phase 3: Installation of ‘settling basins’
Phase 4: Testing of Hydroponics subsystem via the Sump

The technical team have now completed Phase 1 and Phase 2 before due date of 14 th of September and are now well preoccupied
towards the completion of remaining phases. My observation thus far is that the project will help UrbanFarms become a pioneer
in aquaponics technology in Pakistan alongside boosting our vertical farming endeavors.

WORK COMPLETED
In the first week of the project, the tanks for raising and feeding the fishes were successfully installed in the north side
of the warehouse. Subsequently, in the following three weeks, the Biofilter for the nitrification of bacteria was put in place aided
by the ByCrust construction firm.

Rearing Tanks
This phase of the installation ran into a number of issues as our previously contracted firm for the provisions of carbon
fiber tanks pulled out of the agreement exactly at the last moment. Mr. Haseeb Shams, Chief Financial Officer, was informed of
the situation and Master Chemicals, a local producer of tanks, was brought in to provide for tanks.
A total of 32 three square foot tanks were ordered and duly provided by the local producer. The monetary details
pertaining to the order was compiled and sent to your office on 1 st of September. I am pleased to inform you that the tanks are
made from carbon fiber having 92% pure polyethylene oxide (PEO) and 78% polyvinyl alcohol (PVA) which is actually better
than the one previous firm was providing. Import costs were saved and this added with fewer foreign taxes helped the company
save money.

Biofilter System
This was anticipated to be the most methodical part of installation. As per your suggestion, a group of professors and
field workers were flown in from California Institute of Technology to foresee smooth progress. The team was given proper
accommodations at the Faletti’s Hotel and complete control over the installation process. Upon the recommendation of Dr.
Andrew Pudolski, the pre-setting basin for the collection of nitrification bacteria was lowered down to a minimal height of 9
inches from the ground. This allowed the nitrification process to increase yield from 21% to 32% which is great.

WORK PLANNED
With the successful installation of rearing tanks and biofilter system, I foresee the following schedule for the
completing the entire installation process:

October 7: Ensure smooth provision of Settling Basins from Sinopec International

October 8-20: Successful installation of Settling Basins in the east side of the warehouse
October 23: Interview of potential testers for the testing of Hydroponics System
October 25-28: Testing of Hydroponics subsystem via the Sump
October 29: Submission of final project report to you

CONCLUSION
The smooth progression of the project has the entire technical and construction team in high spirits. Now I am hoping
that this project will help us truly become a one of a type vertical farming company and will also help keep UrbanFarms
pioneering spirit alive. This project will lay down a good foundation for the construction of the first ever completely self-
sustainable vertical farm in Pakistan. Also, this project is already helping increase technical expertise of my team, and is also
opening up UrbanFarms to the world, something the investors will love.
I would be glad to hear any suggestions you may have about my work or my team’s work on the rest of the installation
process. For example, please call me if you have any particular question about any technology, or want things done a certain way
(ext. 12334).
