PROCEDURES

1.1 Introduction
DPGS was established in 1981 as one of the departments under the
office of the Chief Academic Officer (CACO). The directorate was,
made up of three sections, namely, Staff Development (SD), Higher
Degrees Office (HDO) and Links and Projects (L & P). In view of
the rapid growth of the postgraduate programmes and students, it was
transformed to an effective graduate training institution in 2006 which
was latter reverted again to DPGS so as to match the currently existing
University of Dar es Salaam Organizational Structure.
The Directorate of Postgraduate Studies (DPGS) is a main support and
connection office for postgraduate students of the University of
Dar es Salaam located on Five Different campuses/constituent Colleges,
namely Mwalimu JK Nyerere campus popularly known as Mlimani main
campus (JKN campus), Dar es Salaam University College of Education
(DUCE), Mkwawa University College of Education (MUCE), Mbeya
College of Health and Allied Sciences (MCHAS) and Institute of Marine
Science (IMS). DPGS provides professional support services to all
(including international) postgraduate students during the postgraduate
lifecycle (from application to graduation). The DPGS have prepared
this publication in order to give you an overview of some important
issues in relating to the feasibilities of postgraduate studies application
procedures at the University of Dar es Salaam (UDSM). The guide
will also help you prepare all required information and documents for
application, registration, and possibilities of changing programmes/
campuses and delivery modes.

1.2 Admission Procedure

1.2.1 Introduction
The University of Dar es Salaam offers a wide range of postgraduate
programmes in PhD, Masters and Postgraduate diploma levels taught
through coursework and dissertation as well as by thesis modes. The
Directorate of Postgraduate Studies is mandated to administer, coordinate
and facilitate all Postgraduate Studies activities at the University of Dar
es Salaam including admission, registration, examination and teaching.

1.2.2 Entry Qualification


1.2.2.1 Postgraduate Diploma
At least a Bachelors Degree, Advanced Diploma or its equivalent from
a recognized institution of higher learning. Candidates with equivalent
qualifications must also possess at least Secondary School Certificates
with credit passes.
Duration: 12 months.

1.2.2.2 Master’s Degree


(i) The entry qualification for a master’s programme by coursework
and dissertation requires a person to have at least a Lower
Second Class degree (GPA of 2.7) or its equivalent from a
recognized institution of higher learning. Only candidates
with GPA of 3.5 or above in their first degrees are considered
for Masters by thesis.
(ii) Applicants who hold unclassified degrees (e.g. B.V. Sc. M.D.
etc.) should have at least a B grade average in the subject of
the intended Masters. Candidates with Pass degrees will also
be considered if:-
a) Their undergraduate performance in the proposed subject
of study was a ‘B’ grade or higher.

b) They have satisfied the relevant School/College/Institute

that they have exhibited potential through subsequent


research experience and/or additional training.
(iii) An Advanced Diploma from a recognized higher learning
institution with a minimum of an upper second class PLUS
Postgraduate Diploma and Secondary School Certificates.
(iv) A recognized professional qualification (CPA, CSP, ACCA,
CA, CIB, MCIM, CMA certificate) PLUS Secondary School
Certificates.
Duration: 15, 18, 24 or 27 months, depending on the programme and
mode of delivery.

1.2.2.3 Doctor of Philosophy (PhD) Degree


Applicants must have a good relevant Masters degree of the University
of Dar es Salaam or from any other recognized University by TCU.

Duration: 36-60 months, depending on the programme and mode of


delivery

Note: All PhD programmes are offered by thesis except few which are
offered by both delivery modes (thesis, coursework and dissertation) as
shown in the programme list below

MODE OF APPLICATION
All applications are processed through the Online Admission
System (UDSM-OAS) at www.udsm.admission.ac.tz. The online
system for application will be open throughout the year for three intakes
and each intake will be closed in a specified academic year as follows:
a. March intake: applicant may choose for only programmes
which are offered in March or any programme offered by
thesis EXCEPT PhD in Law.
Deadline for application in a specific academic year will
be end of February

i. Programmes that are offered in March includes:


1. All programmes offered by Thesis EXCEPT PhD in Law

2. Master of Integrated Water Resources Management,


(MIWRM) offered by College of Engineering and
Technology

3. Master of International Trade (MIT) offered by University


of Dar es Salaam Business School (UDBS)

4. Master in Entrepreneurship and Enterprise Development


offered by University of Dar es Salaam Business School
(UDBS)

5. Master of Science in International Transport and Logistics


offered by University of Dar es Salaam Business School
(UDBS)
6. Master of InternationalBusiness (MIB) offered
byUniversity of Dar es Salaam Business School (UDBS)
b. July intake: this is specific for only two programmes from
UDBS and UDSoL namely Master of Intellectual Property
(UDSoL) and Master of Business Administration Evening
(UDBS).

be end of June

c. October Intake: this is for all programmes in Table No.4


EXCEPT those programmes by coursework specified
in Section 2 a&b.
Deadline for application in a specific academic year will
be end of September.
d. Occasional, short term and sandwich students This is for
special group of postgraduate students applying to study for
a short period of time ranging from one semester to full
year and not permanently registered at UDSM. Deadline:
Candidate may apply throughout the year specifying the
period ought to spend at the University.
The procedures for application (are available at the university website
at www.udsm.ac.tz ) through the Admission portal at: www.udsm.
admission. ac.tz.

2.1 Admission account


The admission page on UDSM-OAS www.udsm.admission.ac.tz has
the following features, and to complete your application please follows
the steps below:

HOME: UNDERGRADUATE: POSTGRADUATE: LOGIN

Click the POSTGRADUATE tab where you will find


tabs for
INSTRUCTIONS and REGISTRATION.

Please read the instructions carefully on how to apply for


various Postgraduate Programmes at UDSM.
Go to the REGISTRATION tab to open your admission account. To
register for an account in the UDSM-OAS you will need to provide
the following details:

1. First name
2. Surname (Note: Names as they appear in your latest
certificate i.e Bachelor certificate for Master applicant and
Master certificate for PhD applicant or gazetted Deed Poll
in case of different names)
3. Email Address
4. Mobile Telephone Number to finalize registration you will
need to put in a password of your choice that you will use
whenever you wish to log into the UDSM-OAS.
5. Fill in the characters Captcha as displayed on the page
(i.e. blue characters)
6. Then click the REGISTER AS POSTGRADUATE button
to create an account. If you have successfully registered an
account, the system will send an email to your specified
email address. Please log into your email account to activate
your admission account. Then use the link sent into your
email to log into the UDSM-OAS.
Note: Your username is your email address and Your Password is
the password you had set.

2.2 Application Fee Payment: Tanzanians


1. When you are logged into your account you will find
notification that your account is successfully activated
(please open the notification)
2. Click at My Application button to start application
3. You will be presented with eight [8] steps to finish the
application.
Step 1: My profile
1. Chose application category:
2. Write names as they appear in your Certificates (specified
in 1.1.2)
3. Sex, Country of Citizenship and Disability Type if any

Step 2: Payment of application fee


Tanzanian applicants must generate a payment reference number
(control number) through the UDSM-OAS. Applicants must
ascertain themselves that they possess required minimum entry
qualifications before paying application fee, which is non-refundable.
Application fee for Tanzanians is TZS 50,000/= and it must be paid
as described below:
Select the mode of payment i.e MPESA or TIGO PESA

Use the reference number (control number) shown to pay application


fee by using mobile money services you have selected.

After you have finished paying, you should be able to receive payment
confirmation within 30 minutes. If you are unable to receive the
confirmation within 30 minutes we advise you to logout and
check after 24hours.
When payment is completed, the system will automatically update and
allow you to proceed to step 3.

Step 3: Application Details

1. Select College/School
2. Select intake i.e March/July /October Intake
3. Then select the Programme that you wish to apply at that
intake
4. Then select the Programme category
i.e Coursework andDissertation/ thesis,occasional
5. Then select Delivery Mode i.e Evening or Fulltime or
Executive/ Part time.
6. Then select Sponsorship Type
7. Then tick in the appropriate box on ‘How did you find out
about the Postgraduate Programmes at the University
of Dar es salaam?’

Step 4: Employment Records


• Click ‘Add’ button to complete employment records

• Click ‘add your academic records’ button to fill in the

Step 6: Referees
• Click ‘add referees’ buttonto fill information of the two
(2) referees required
• Then select ‘create’

Step 7: Documents
• Click ‘upload attachments’ button to select and upload
appropriate documents

Step 8: Submission and Declaration


Once the admission process is complete, you will be informed through
your specified email address about the status of your application. It is
your responsibility to confirm your acceptance to join the University
of Dar es Salaam. The confirmation process is also specified
in the UDSM-OAS for those who will decide to accept the offer of
admission to the University of Dar es Salaam. Failure to confirm will
imply that you have not accepted the offer and the slot will be made
available to other applicants.

2.3 Application fee payment: Non Tanzanians


For Non Tanzanians /Foreign Students will pay application fee during
Registration process. Application fee for foreign students is USD 50
(fifty US Dollars only) and is non refundable.

ADMISSION REGULATIONS

3.1 Application Regulations


Applicants are urged to read the advertisement, instructions to applicants’
document very carefully to ensure that they understand important
procedures.

3.2 Regulations Governing Selected Candidates


Candidates selected for admission must observe the following regulations:
1. All admitted students are expected to conform entirely to
the University regulations.
2. All foreign students are required to apply for a
Residence Permit from their nearest Tanzanian Embassy
before they depart for Tanzania.
3. Students who have been selected but cannot join the
University for any reason cannot defer the admission to
the next year.
4. Except for occasional, short-term and sandwich programmes,
new students are normally registered in March, July or
October every year.
Registration shall take place (online) in the first three weeks of the
respective intake in the academic year and shall be effected upon
submission by the candidate of a dully filled registration form and
upon submission of the following:
(a) Evidence of payment of the University fees;
(b) Copies and the originals of transcripts and certificates. [The
originals will be returned to the candidate after physical
verification];
(c) Two stamp-size (or passport-size) color photographs;
(d) Tanzanians/Non-Tanzanians with foreign awards must submit
their awards (certificates) to TCU for evaluation through

(e) For Non Tanzanian, must submit a copy of your passport
(f) A copy of admission letter.
5. Candidates’ desirous of changing subjects/courses/
programme shall be allowed to do so after registration
and within three weeks after commencement of the
academic year. No candidate shall be allowed to change
subjects/courses/programmes after the fourth week of
commencement of the semester.
6. With valid reasons candidates within their studentships
may apply for permission to change their study
programme delivery modes and campus transfer within
the University of Dar es Salaam
7. Candidates shall only be registered by names appearing
on their entry qualification certificates or a gazetted
Deed Poll showing a legal change of names before
registration. No change of names by students shall be
entertained during the course of study at the University.
8. No student shall be allowed to postpone studies after
effective commencement of an academic year except
under special circumstances and upon producing
satisfactory evidence of the reason for postponement.
For purposes of this rule, special circumstances shall
include:
(a) Sickness;
(b) Serious social problems (each case to be considered on
its own merit); or
(c) Severe sponsorship problem.

FEES AND BURSARIES


Candidates selected to pursue the various degree programmes offered by
the University of Dar es Salaam are required to pay tuition and other
University fees at the beginning of the first semester before they can be
permitted to use the University facilities. Fees can be paid yearly or
by semester and once paid are not refundable. Also, the University
reserves the right to revise fees as may be appropriate. The tuition fees
for the various programmes for Tanzanian and Non-Tanzanian students
are indicated in the tables below:

Clarification on Research Funds:


(i) For Master Programmes, the amount shown is paid once.
(ii) For PhD by Coursework and Dissertation, the amount shown is
paid in the Second or Third year of study during the research
phase.
(iii) For PhD by thesis, the amount shown covers three years of
study.

NB: Short-Term and Occasional Students shall pay their fees


pro rata, in accordance with what is prescribed for regular
postgraduate students.

UDSM MERIT SCHOLARSHIPS


The University of Dar es Salaam Merit Scholarships is a newly
established fund for sponsoring undergraduate and postgraduate
candidates with very high entry qualifications. Limited number of
scholarships (10 Masters scholarships only for the 2019/2020 academic
year) is available to postgraduate Masters candidates.

5.1 University of Dar es Salaam Postgraduate Merit Scholarship


Eligibility

Application Requirements: Programme specific admission requirements


are found in the Postgraduate Prospectus 2019/2020 on the UDSM
website. In addition applicants are expected to meet the following
requirements based on applicant’s merits and gender equality:
1. Must be a Tanzanian,
2. Must be a graduate of the University of Dar es Salaam,
3. Must have obtained admission to an appropriate
Master’s programme,
4. Not older than 30 years at the time of application,
5. The scholarship holder must be prepared to accept
duties as postgraduate teaching assistant,
6. The candidate must have completed first degree within
two years before the time of application,
7. The candidate must have a GPA of 3.8 or higher for the first
degree.

OTHER SOURCES OF FUNDS


All students admitted at the University of Dar es Salaam are required
to look for their own sponsorship since the University has limited funds
to offer scholarships to all students.

Admitted Tanzanians may seek loans from Higher Education Students


Loans Board (HESLB) or decide to pay the fees privately.
