Some important keys and their functions.


Keys Functions
 Window +E Open my computer .
 Window Open system properties.
+Pause/Break
 Cntrl+Shift+N Create new folder.
 F12 Rename selected folder.
 Alt+F4 Close the active window.
 Print screen To take screenshot of the active window.
 Cnrl +V Paste
 F12 To open save as dialogue.



 What is desktop?

Answer: The first window appear on the screen when system starts, is known as desktop. Our desktop contain :

1. Background
2. Wallpaper
3. Icons
4. Taskbar
5. Notification area
 What is meant by pop-up and drop-down ?

Answer : The menu bar open by right click from bottom to top is known as pop-up menu bar.

The menu bar open by right click from top to bottom is known as drop-down menu bar.

 How to take and save screenshots in JPEG format?

Answer :

1. Press print screen key to take the screenshot


2. Open paint program
3. Pastethe screenshot using Cntrl + V key
4. Press F12 to open(save as option)
5. Choose save as type as JPEG
6. Name the file
7. Choose location to save the file
8. Press the save button.
 What is control panel? Describe its importance.

Answer : The panel used to control or change the settings of computer’s hardware and software devices.

Importance: With the help of control panel we can improve the functionality of our computer devices.
Control panel has a great importance because it provide a single platform to handle with all devices at
the same time.

Location: Control panel is located in start menu.

Control panel window: It contain the list of all devices (hardware or software) that are connected with
the computer. Here we can change the setting of each device separately. This window have a view
option. This option is used to change the view of the list of devices.

View option

The name of some devices that exist in control panel are shown in above image.
Here we will discuss the settings of some devices in detail.

 Mouse: In control panel the mouse option is used to customize the settings of your mouse. By
clicking the mouse option we actually open the properties of mouse.
The mouse properties window contain five tabs as shown in the image below.
1. Button tab: In this tab we can change button configuration i.e we can replace the
function of left click with the right click. We can also adjust double click speed in this
option.
2. Pointer Tab: In this tab we can change the shape of our pointer. For example we can use
a pen shape pointer in place of arrow.
3. Pointer Option Tab: In this tab we can adjust pointer speed and visibility of pointer.
4. Wheel Tab: Now a day we use laser mouse. This tab is used for old mouses in which
wheel was used in place of laser. In this option we changed the vertical and horizontal
scrolling of the wheel.
5. Hardware Tab: This tab contain the properties of mouse such as:
a) Device name and type
b) Manufacturer name
c) Location i.e on USB input device
d) Status whether the mouse is working properly or not.
 Keyboard option: In control panel the keyboard option is used to customize the
setting of our keyboard. By clicking the keyboard option we open the keyboard’s
properties.
The keyboard properties window contain two tabs:
1. Speed tab: In this tab we can adjust the character speed rate and
cursor blink rate as fast or slow.
2. Hardware tab: This tab contain properties of keyboard such as :
a. Device name and type
b. Manufacturer name
c. Location i.e plugged in to keyboard port
d. Status whether the keyboard is working properly or not.
Note: After changing any kind of setting in any device we must have to
click apply button to save the changings otherwise your settings will not
be saved.

 Display option : In control panel the display option allow us to change all the
settings related to display of screen. The display option contain the following further
option:
a) Change the size of text and other items: In this option we are given
three choices to change the size of text and other items.
i. Smaller- 100% (default)
ii. Medium- 125 %
iii. Larger – 150%
Mostly we use smaller size.
b) Adjust resolution : In this option we can change the appearance of
our display.It contain two tabs:
i. Resolution: Using this tab we adjust the resolution of our
screen. The resolution is in the form:
(No. of pixel along width × No. of pixel along height)
Mostly we use resolution (1024 × 768) .
ii. Orientation : There are two types of orientations:
 Landscape
 Portrait
Mostly we use landscape orientation.
c) Personalization: This option allow us to change theme, background,
color, sound and screen saver.
 Desktop Backgrounds: Using this option we can change the
picture of our background. We can also set this option to
slideshow of different pictures which will appear one by one
on the screen after an equal interval. We can also adjust this
interval by using tab “change picture every”.
 Window color: In this option we can change the color of our
window borders, start menu and taskbar. We can also adjust
color intensity.
 Sound: In this option we can set the display icons related to
sound such as:
o Playback
o Recorder
o Sound adjust
o Communication sound like sounds of calls.
 Screen saver: Screen saver is used to prevent the screen from
damaging by continuous display when no one is working on
the computer. It also save the pover.
We can use the 3D text, moving bubbles and picture as screen
saver. We can adjust the time to start the screen saver like one
minute after some one leave the computer on and no work is
done on the computer.

 Programs and features :


In control panel this option allow us to uninstall or completely remove an installed
program. This window contain list of all programs that are installed in our computer. To
uninstall a program we just have to select that program from the list and click on uninstall. The
window will automatically remove that program and its features completely.
 Sounds:
This option is used to change the sound scheme of out computer. It also allow us to
adjust the volume of all connected audio devices according to requirement. The sound
window contain five tabs:
a. Playback tab: Using this tab we can modify the settings of speaker and
headphone. For this purpose we just click on the speaker option , the
properties tab located at the bottom of the window will be highlighted.
Open these properties to do further settings related to speaker.
b. Recording: This tab allow to change the settings of recording devices such
as:
I. Microphone
II. Line in
c. Sounds: This tab contain list of sounds of different operations. For example:
system on and off sound, close a program sound, error sound, print sound
etc. We can set all these sounds when we desire.
d. Communications: Window can automatically adjust the volume of different
sounds when we using our pc for calling.
But in this tab we can manually adjust different sounds of our system. For
example we can:
 Mute all other sounds
 Reduce the volume of all other sounds by 80%
 Reduce the volume of all other sounds by 50%
 Do nothing.
User Accounts: This option is used to change the settings of accounts of all users who
use the computer. The administrator account exist in all computer systems. Using this
account we can create many other accounts depends on the number of users.
The user account option allow each user to change his or her account setting
separately. We can make following changes using this option:
1) Create a password to your account: One you create an account you
will need to set password for it to make it secure. We use this option
to create password. This option contain three boxes:
a.
New Password
b.
Confirm password
c.
Hint for password

 To make password strong you should use atleast 8 to 10


characters.
 Do not use your user name, real name, nickname,
company name and date of birth.
 Do not use single common word .
 Use capital letters, small letters, numbers and symbols
by mixing them in your password.
Hint: The hint box mean if you are afraid that you will forget
your password then you can set a hint for it.
 The hint should not exactly the password.
 Do not use exact name of the thing you have written in
the password.
 Write something different from the password that make
only you remember your password.
2) Change your picture: This option allow you to change your profile
picture used with your account.
3) Change your account name: Using this option you can change your
account name.You can set your own name, company name or your
nick name. Just type the name in the given box and click on the
change name tab.
4) Change account type : This option give two further options to
change your account type:
 Standard user: You can set the account to standard user
account. This will allow the user to use most software
and change system settings. These settings will not
effect the other users or security of computer.
 Administrator: You can set the account to administrator
which mean you are giving complete access to computer
to the other users. Administrator can make any desired
changes, based on notification settings.Window might
ask you to provide password for an administrator
account when you try to make any change in settings.
5) Manage another account : The administrator use this option to
create new accounts on the basis of number of the users.
Folder option : This option is used to customize the display of files and folders.
For example: We can show or hide the already hidden files and folders using View Tab in
this option.
System : This option view us the information about our system. We can change the
settings of hardware, performance of computer and remote connection.
 In system option the fist window show us the basic information of
the computer.
For example it tells us about:
 Window edition
 Manufacturer
 Processor
 Ram
 Type
 Hard Disk etc
 Device Manager: This option contain list of all hardware devices
( internal and external) that are connected to the computer. Using
this option we can check the performance of device, its status and
drivers. We can update the drivers of all the devices in this option. If
any if the device is not working properly it show question mark with
its icons so we can easily solve this problem using device manager
option.The list contain the following devices:
Computer, Disk driver, Human interference devices, DVD Rom,
Keyboard, Mouse, Monitor, sounds, Video and game controllers and
System devices.
 Remote Settings: This option contain following tabs:
 Computer name
 Hardware
 Advanced
 System protection
 Remote: This option is only used when we use our system for
communication and connect with other networks.
Taskbar and start menu: In control panel this option is used to customize the settings of
taskbar and start menu.
Taskbar and start menu exist on the desktop. We can also open this
dialogue box by right clicking the taskbar and select properties. This dialogue box
contain 3 tabs:
1. Taskbar: This tab allow us to change settings of our taskbar. Using
this option:
a. we can lock and unlock taskbar.
b. We can check the option of auto-hide the taskbar.
c. We can check the option of “ use small icons”.
 Location: we can change location of taskbar on desktop. We can
place our taskbar on top, bottom, left or right of our desktop. We
mostly place it at bottom.
 Taskbar button: this option is used to manage the icons of active
windows on the taskbar.
 Notification area: This option is used to customize which icon should
appear on the notification area on taskbar.
2. Start menu: This option is used to customize the settings of links and
icons in the start menu. By clicking on the customize tab we see a list
of icons appear that exist in start menu. We can use three type of
settings for each icon:
a. Set the icon to display as link in start menu.
b. Display icon as menu.
c. Hide the icon from start menu.
 Power button action: the tab against this option allow us to
change power button actions as:
i. Switch user
ii. Log off
iii. Lock
iv. Restart
v. Sleep
vi. Shutdown
Mostly we set it at shutdown.
 Privacy: using this option we can check the two more option
about privacy and history.
i. Store and display recently opened programs in the start
menu.
ii. Do not store and display recently opened items in start
menu and taskbar.
3. Toolbar: using this tab we can add and remove toolbars in taskbar.
Following are the toolbars which we can add or remove:
 Address
 Link
 Tablet pc input panel
 Desktop
Network and sharing centre: this option is used to check network status, network
settings and set preference and destination of files and printers.
Devices and printer: in control panel this option is used to set and check the
performance of connected devices and printer. In this option names of the devices are
shown. We can change settings of each device separately. We can also check properties
of each device.
Internet option: This option is used to configure internet display and connection
settings. It contain the following tabs:
 General: In this tab we can set our homepage as what we use mostly.
We can also set the option of browsing history as: whether it remain
saved or clear on exit.
Window update: in this option if we set the automatically update the window then
window will be automatically updated whenever an update is available. Otherwise we
can set it as not to update automatically them window will take permission from you
when update Is available.

Note : You must have to click on the apply tab after


making any type of settings otherwise your settings
will not be saved and you will have to set them
again..

Microsoft office
An application or software used for documentation and publications and for the modification
of documents is known as Microsoft office.
Microsoft office contain the following programs:
1. Microsoft word
2. Microsoft Excel
3. Microsoft Power point
4. Microsoft Access
5. Microsoft Publisher etc

1)Microsoft Word:
This program is used to make documents like writing applications, letters, news
papers, books etc.
Short cut keys: To save time the manufacturer provided us some short cut keys to
make different action in this program. The keys and their functions are written in the
following table.

Title bar: The bar appear at the most top of the MS Word window is known as title bar. This
bar show the name of document.
Office button: office button lie at the right top corner of the ms word window.
It contains the following options:
New, Open, Save, Save As, Print, Exit etc. The shortcut keys for all these tabs are written
in the above table.

Home tab

Home Tab: Home tab contain the following ribbons:


 Clipboard
 Font
 Paragraph
 Styles
 Editing
As shown in the figure bellow.

Clipboard: clipboard ribbon contain the following options:


Cut, Paste, Copy, Format Painter.

Font: This ribbon contain the following options:

 A drop down window which is used to change font style.


 A drop down widow that is used to change font size.
 Bold option
 Italic option
 Underline option
 Color the font
 Highlight the font
The short cut keys for all these option are written in the table above.
Paragraph: This ribbon contain :
Bullets, numbering, and alignments, line spacing, sorting, coloring and
bordering.
Bullets & Numbering: Bullets are used just like to give numbering to the
different lines or parts of a paragraph.
Alignment: There are four types of alignments :
 Left alignment
 Right alignment
 Central alignment
 Justify
The shortcut keys for all these alignments are written in the table
above.
