How to Use PMIS Application

1. Getting Started

 To open the PMIS application, double Click on any web browser such as Mozilla Firefox, Google Chrome,
Internet Explorer, Safari, Opera etc. icon.

 Type the URL Address (https://pmis.imed.gov.bd) of the PMIS application. After that the login window will
be appeared.

 In the previous step IMED admin already entered some of project basic information of a project and assigned
you as Project Director to that project. Once he assigned you as Project Director you got a project code like:
3805-5555 in your email and SMS.
Now please remove the hyphen (-) from the code and you need to put that in both User Name and Password
field.
After entering User Name and Password please click on Login button. If you want to view English or Bangla
language mode in entire application, please select English / Bangla mode.

2. Change Password
1. After clicking on Login button you will be logged in to the software. In the first login you will get a Change
Password screen where you need to change your password by your own.

2. Here please provide your Current Password (the project code without hyphen) and provide your new
password in both New Password and Confirm Password field then click on Update button.
3. The system will update your password by new one and will redirect you to login screen again. Please login
again with your new password.

3. Project Information
3.1 Project Identification
1. After logging in you will be redirected to Project Identification Screen. Here you need to provide some
information related to project identification.

2. Please click on Edit button.

Here you need to provide 5 kinds of information: Project Basic, Project Objective & Approval Status, Estimated
Cost, Project Director and Justification.

3. Please click on Project Basic first and then click on Edit. As the form is long so that the screen is shown by
three separate screen shot below:

Here you can change the Project Title or Project name if there is some mistake you see in Project Title.

Here you can upload project related document by clicking on Browse button. You can also upload multiple files
by clicking on +Add File button.

Here you need to add all of your project location. You can add project location RMO (Rural Metropolitan and
Others) wise or Upazilla wise. If you check the RMO (Local) checkbox +RMO Location button will be appeared
(it will be visible by default). If you want to add your location RMO wise then please click on RMO(Local)
checkbox and then click on +RMO Location. This screen will be appeared.

Please select your RMO location by selecting all the drop down sequentially from Division to Village.
Note: You can add multiple RMO location by clicking on +RMO Location button.
And if you want to add your project location Upazilla wise please check on Upazilla (Local). Please see Figure
8, this screen will be appeared.

Please check the Division all district will be appeared at the right, please select District from there, all Upazilla
will be appeared at the right, you can choose your project locations (Upazilla) from the Upazilla list.
Note: You can add multiple location from here.

If there are some Other Location (local) or Foreign Location is available for this project please add those here.

Please provide Major Impact and Thrust information of the project here and click on Update button.

4. After that the system will update all project basic information and will redirect you to this screen:

Now you can view and edit Project Objective & Approval Status. Please click on Project Objective &
Approval Status and then click on View button to view details and click on the Edit button to edit Project
Objective and approval Status.

Please edit General Objective, Specific Objective (if any); you can add more specific objective by clicking on
+Objective button or – Remove button to remove a specific objective. Select Date of Approval Implementation
Period (From and To) and other information and click on Update button.

5. System will store all information and redirect to this screen:

Now you can view and edit Estimated Cost information. Click on the View button to view Estimated Cost details
and click on the Edit button to edit Estimated Cost. You will be redirected to this screen:

Please edit Estimated Cost of the project as per DPP/TPP. Mention that if you provide amount in Project Aid
section (Point 1) the +Partner button (Point 2) will be visible and you will be needed to provide partner
information. Here considerable things are:

Point 3: This amount will be in millions of partner’s contribution. If the amount is 1000 (in lakh) you need to
convert it to Millions in BDT that is 100 Millions, then divide it by Partner’s currency rate and put that here.
Point 4: Enter the exchange rate of partner’s currency.
Point 5: Enter the currency rate of USD.
After filling all field click on Save button.

6. After saving the Estimated Cost the system will redirect you to this screen:

Please click on Project Director.

Please fill up all of your necessary information and click on Update button.
Note: You can see previous project director list of this project by clicking on Previous Project Director tab (Point
1).

7. After saving data the system will go to top and will show a success message(point 1):

Provide Justification information and click on Update button.

3.2 Location Wise Cost Breakdown
Please click on Location Wise Cost Breakdown from the left menu:

Please click on +Add Location Wise Cost button.

All of your previously selected location will be listed here. Please distribute total project cost by location. After
filling up all the fields please click on Save button.
Note: When you will put the cursor on a field the system will show the remaining cost.

3.3 DPP/TPP Target (Total)
Please click on DPP/TPP Target (Total). Here you need to add all of project components.

Click on + Add button.

Type component code in the indicated input field, related component list will be appeared. Select a component
from the list that component will be added below.

Please check the checkbox (Point 1) if the component is physical, select the Unit and enter cost on this
component in all applicable fields, GoB Grant, GoB Loan etc. You don’t need to enter unit price, it will be
calculated automatically.

Note: If you select LS from Unit, you don’t need to enter quantity, just enter cost.
Please enter DPP Escalation/Contingency/Adjustment data if applicable. Then click on Save button.

3.4 DPP/TPP Yearly Target
Please click on DPP/TPP Yearly Target from left menu.

Then click on + Add button.

Please fill up this form as per first year DPP/TPP target. When you will put cursor on a field system will show
available amount. After completing first year please click on Save and Go to Next Financial Year button. In
the same way please provide data of all year.

3.5 Total Procurement Plan:
1. Please click on the menu Total Procurement Plan (Point 1) from the left manu, select anyone from Goods,
Works, Services (Point 2) & click on the button (Point 3).

2. Please fill up this form with with necessary values. Here only Estimated Cost is required.
Note: You can add multiple Plan by clicking on Add button. After providing all plan please click on Save
button.

3. Please provide procerement plan for Goods, Works and Services in the same way.

3.6 Final Submit
Click on the Final Submit menu under Project Information. A page will be appeared like this below. Click on
the added project to submit.

4. Project Dynamic Information

4.1 Yearly Allocation:


1. After completing input of Static Information and Final Submission, you need to provide the dynamic data.
From the left menu click on the bar “Project Dynamic Information” and a list will be appeared.

2. Click on Yearly Allocation. Then click on + Add 2016-17 ADP Proposed Allocation.

3. You can see the value in the fields (Point 1) according to the given static information and you can modify
if you needed. Give the value of Physical Quantity & Percentage (Point 2) is needed.Click on the save
button (Point 3) after completing the inputs.

4. After Completing number 3, You will see a page like bellow. Click on(Point 1) to approve allocation for
specific year. Click on (Point 2) if editing is needed. Click on (Point 3) if you want to see the input summery.

5. After Approving the allocation, Click on the button (Point 1) to finalize the allocation. Click on (Point 2)
if reappropriation is required.

6. After completing number 5 you need to Click on the below “Final Fiscal Year” button.

7. Click on ing this button, you will see a new button like the below image. Click on the button to go to next
year information.

4.2 Yearly Location Wise Cost Breakdown:
1. After completing input of Yearly Allocation, you need to provide the Yearly Location wise cost breakdown
data. From the left menu click on the bar “Yearly Location Wise Cost Breakdown”. Click on +Add Yearly
Location Wise Cost button (Point 2) for the input form.

2. When the input form comes up, look into the (Point 1) year. Black marked year is the year of the input. In
the field (Point 2)enter the amount of estimated cost of specific location. You can give some comments into
the field (Point 3) in Bengali & English. After completing the input, you can save (Point 4) the values of the
form.

3. After completing previous procedure, you need to click on the below button to add next year value.

4.3 Yearly Procurement Plan:


1. To input value in Yearly Procurement Plan, please click on the menu Yearly Procurement Plan(Point 1)
from the left manu, select anyone from Goods, Works, Services (Point 2)&click on the button (Point 3).

2. Here, you can select (Point 1) the financial year. Enter the values of the input fields. Don’t forget to input
the value of mandatory (Point 2) field. If required, you can add more procurement using (Point 3) button.
Save(Point 4) the information after completing the input.

3. Now, Click on the Final (Point 1) button or click on the button (Point 2) for 1st Revision.

4.4 Time Based Action Plan:
1. For landing on the Time Based Action Plan, click on menu Time Based Action Plan (Point 1) from the left
menu and click on the button (Point 2) for adding the values.

2. Select the Release Type (Point 1). According to the Financial Year, Release Period will be automatically
selected (Point 2). In (Point 3), you can see the component name. According to the component name please
enter the value in the field (Point 4). Give the value of Physical (Point 5) if needed.

3. Enter remarks (Point 6) if there is any remarks. Click on Save button to save (Point 7) the form.

4. Click on the button (Point 1) to final previous input. Click on button (Point 2) to add more Time Based Action value.

4.5 Fund Release:
1. Click on the Fund Release menu (Point 1) from the left and click on the + Add Fund Release button (Point
2) for adding fund release.

2. Enter the amount that was released in the Fund Release Financial (Point 1) field. Select the date (Point 2) of
fund release. Click on the save button (Point 3) after entering all information.

3. Top of the page (Point 1) you can see the notification that the data was saved. You can add the amount of
PA using the button (Point 2). After that you can finalize the input using the button (Point 3).

4.6 Progress:
1. Please click on Progress from left menu (Point 1). Then click on +Add Project Progress button (Point 2).

2. You can select the financial year from the dropdown menu (Point 1). Select the month from the dropdown
menu (Point 2). To provide the progress please select location from the dropdown menu (Point 3). Input
necessary values in input fields (Point 5). Save the form finally.

Finalize the input using Final button.

4. To input project related images click on the Image Gallery menu(Point 1). Use the +Add Imagebutton (Point
2)to add images.

4.7 Procurement Progress
Click on the Procurement Progress under Project Dynamic Information. Yearly Procurement Plan will be
appeared. Click on the PDF button to view and download the Yearly Procurement Plan in PDF format and
click on the Print button to print the Yearly Procurement Plan.

4.8 Image Gallery

Click on the Image Gallery menu under Project Dynamic Information. Image Gallery will be appeared.

Click on the +Add Image/Audio/Video button (Shown in Figure 56) to add media. From the Choose Files filed
upload an Image/Audio/Video. Provide Title for the media. Then click on the Save button.

5. Revision Adj (Adjustment) and Others
1. Click on Revision Adj and Others to access to this page. Select any of the options from the buttons
(Point 2) to start revision. Clicking on the revision button will allow to edit all of the previous forms
like, static & dynamic values.

6. Inspection Management
1. Click on the Detail Inspection Plan. In the field (Point 2), user will be able to see the list of approved
inspection for his/her project.

7. Close Project

1. Select Project Completion Data, click on the button (+Add PCR Data)

10.1 Project Director’s Directory Report

Click on the Project Director’s Directory Report under Project Director’s Directory. A report page will be
appeared. Click on the PDF button to view and download the report in PDF format and click on the Print
button to print the report page.

11.1 Feedback

To provide feedback please click on Feedback menu from left. A feedback page will be appeared.

Click on the Chat Messenger menu from left. A Chat Messenger page will be appeared. Find and select your
desired user and write your message in the message box. Then click on the Send button. The message has been
send to the selected user.
