SUPERVISES: Guest Relations, Reception, PBX, and Concierge

1. JOB SUMMARY/PURPOSE:

A hotel Duty Manager Night job is multi-faceted. He is responsible for all aspects of the hotel that go
on overnight. He needs to be ready to respond to a variety of situations such as late check-ins,
intoxicated guests and loud parties.

2. ESSENTIAL DUTIES AND RESPOSIBLITIES:

1. Greeting guests, check people into their rooms, make reservations, and provide guest assistance
with a variety of needs.
2. Keeps track of which guests are staying in which room so they know which unoccupied rooms
need to be cleaned or can be reserved.
3. Be responsible for wake-up calls and getting guests things they need throughout the night.
4. Enforce quiet hours and no smoking policies.
5. Supervises Reception personnel to ensure optimum occupancy and average room rate and make
sure that up selling is taking place for purpose of maximizing revenue.
6. Monitors Front Office personnel to ensure guests receive prompt, warm attention and personal
recognition
7. Informs other operating departments, notably Housekeeping of all Front Office matters that
concerns them.
8. Provides input to Front Office department monthly meetings.
9. Promotes inter-hotel sales and in-house facilities.
10. Coordinates with security in the investigation of irregularities and undesirable guests
11. Coordinates with Housekeeping on checking discrepancies.

12. Assists in maintaining smooth relationships between management and guests by resolving
problems arising from guest complaints and attending to their requests or queries with dispatch.
13. Notifies the Front Office Manager of all operational problems whether related to employee
performance/misconduct or procedures.
14. To perform nightly audits and oversee the accounts receivable.
15. Prepares daily credit limit and cash reports.
16. Maintains guest accounts and prints out and delivers the bills.
17. Be able to make corrections or adjustments to bills as needed.
18. Responsible for all aspects of the hotel running properly after hours.

3. GENERAL RESPONSIBILITIES

1. Comply with the Company’s Corporate Code of Conduct.


2. Familiarise yourself with the Millennium & Copthorne Hotels values and model behaviours.
3. Perform tasks as directed by the Manager in pursuit of the achievement of business goals.
4. Co-operate with the company to achieve compliance with FLS legislation.
5. Take moral and legal responsibility for conducting themselves in their work so they do not expose
themselves or others to risk.
6. Read, understand, and implement the relevant sections of the FLS Policy.
7. Sign the Employees' Declaration having read and understood the relevant sections of the FLS
Policy.
8. Not promote or participate in horseplay, pranks, or practical jokes, which may result in an
accident or injury.
9. Not intentionally or recklessly interfering with anything provided in the interests of safety.
10. Make careful use of safety equipment, such as gloves, goggles, aprons, overalls, shoes, and so on.
11. Return safety equipment to its designated storage area after use, and reporting any equipment
damage to the supervisor.
12. Take reasonable care when storing, handling, and using chemicals and dangerous substances,
lifting and carrying, and using or cleaning dangerous work equipment, including machines.
13. Not undertake any activity which compromises their personal FLS, or the FLS of others.
14. Report all accidents, dangerous occurrences, or hazards, no matter how minor, to the supervisor
or Heads of Department.
