Library Management System

1)Introduction
Library Management System is an application which refers to library systems which are
generally small or medium in size. It is used by librarian to manage the library record various
transactions like issue of books, return of books, addition of new books, addition of new students
etc. Books and student maintenance modules are also included in this system which would keep
track of the students using the library and also a detailed description about the books a library
contains.. In addition, report module is also included in Library Management System. If user’s
position is admin, the user is able to generate different kinds of reports like lists of students
registered, list of books, issue and return reports. All these modules are able to help librarian to
manage the library.
It will track on the how many books available in library and books issued to the students. It
shows popular book among the students. It will provide book lost in library. It keeps the record
of the suppliers and book binders. It generates MIS reports for management. Our software is
customizable for any library requirement.Library management system is all about organizing,
managing the library and library-oriented tasks. It also involves maintaining the database of
entering new books and the record of books that have been retrieved or issued, with their
respective dates.The main aim of this project is providing an easy to handle and automated
library management system.
This project also provides features and interface for maintaining librarian’s records, student’s
history of issue and fines.Library management system is a project which aims in developing a
computerized system to maintain all the daily work of library . It has a facility of admin login
through which the admin can monitor the whole system . It has also a facility where student after
logging in their accounts can see list of books issued and its issue date and return date and also
the students can request the librarian to add new books by filling the book request form.The
librarian after logging into his account ie admin account can generate various reports such as
student report , issue report and book report Overall this project of ours is being developed to
help the students of library to maintain the library in the best way possible and also reduce the
human efforts.
Online Library Management System is a system which maintains the information about the
books present in the library, their authors, the members of library to whom books are issued,
library staff and all. This is very difficult to organize manually. Maintenance of all this
information manually is a very complex task. Owing to the advancement of technology,
organization of an Online Library becomes much simple. The Online Library Management has
been designed to computerize and automate the operations performed over the information about
the members, book issues and returns and all other operations. This computerization of library
helps in many instances of its maintenances. It reduces the workload of management as most of
the manual work done is reduced

  Problem Definatiom
Manual process of keeping student records, book records, account details, managing employee is
very difficult. There are various problems also faced by the student in library such as finding any
particular book, information whether book is available or not, for what time this book will be
available, searching of books using ISBN number etc. To eliminate this manual system, library
management system has been developed. It will handle all the current issues faced by the
students and by its admin personnel.
The current system does not eliminate the process of searching books within the library campus.
Students have to find books manually. They have to wait until they are not provided with their
library card and token. For receiving book they have to show their library card and wait in line
for their turns. The admin personnel also have to look manually on which day which person will
take the charge within library to manage the overall work.

The problem occurred before having computerized system includes:

 File lost When computerized system is not implemented file is always lost because of human
environment.Some times due to some human error there may be a loss of records.
 File damaged When a computerized system is not there file is always lost due to some accdent
like spilling of water by some member on file accidentally.Besides some natural disaster like
floods or fires may also damage the files.
 Difficult to search record When there is no computerized system there is always a difficulty in
searching of records if the records are large in number .
 Space consuming After the number of records become large the space for physical storage of
file and records also increases if no computerized system is implemented.
 Cost consuming As there is no computerized system the to add each record paper will be
needed which will increase the cost for the management of library.

  Objecives-
The main objective of the Library Management system is organizing and managing the library
tasks. Library is place where all kind of books are available. This is a web base application and
only a registered user can access the application. Library Management system is developed to
automate the task of entering the records of new book and retrieving the details of book available
in the library. This system contains list of all the books. Using this system user can issue book to
the library member, maintain their records, and can checks how many book are issued and how
many books are available in the library. This system provides separate interface and login for
librarian, students and faculties. Librarian can modify database. Using the library management
system, user can also maintain the late fine of library member who return the issued book after
then due date
Users can search for books and renewal books online. In the proposed system, we assume that
each member will be having a identity card which can be used for the library book issue, fine
payment etc. They can recommend for new books by just sending messages to the librarian from
any where in the college. whenever library member wish to take a book, the book issued by the
library authority will be check both the book details as well as the student details and store it in
library database. They can view the issue and return dates of any book and due they have to pay.

.The aims and objectives are as follows:

1. Online book issue. Improvement in control and performance

2. Request column for librarian for providing new books. The system is developed to cope up
with the current issues and problems of library .The system can add user, validate use
3. A separate column for digital library. Librarian is able to search record by using few clicks of
mouse and few search keywords thus saving his valuable time.
4. Student login page where student can find books issued by him/her and date of return. After
computerized system is implemented less human force will be required to maintain the library
thus reducing the overall cost. A search column to search availability of books. A teacher login
page where teacher can add any events being organized in the college and important suggestions
regarding books.a

  Scope of Project
 The document only covers the requirements specifications for the Library Management
System. This document does not provide any other information about Library
Management System
 This document does not provide any other references to the other component of the
Library Management System.
 All the dependencies are also included in this document.
 The system is developed to cope up with the current issues and problems of library.
 This project is basically updating the manual library system into a software based
application so that the user cans details of their account availability of books etc.
 After computerized system is implemented less human force will be required to maintain
the library thus reducing the overall cost.
 To assist the staff in capturing the effort spent on their respective working areas.
 To utilize resources in an ef?cient manner by increasing their productivity through
automation.
 The system generates types of information that can be used for various purposes.

 2)System Study
 Existing System and It’s Disadvantage
In our existing system all the transaction of books are done manually, So taking more time for a
transaction like borrowing a book or returning a book and also for searching of books. Another
major disadvantage is that to preparing the list of books borrowed and the available books in the
library will take more time, currently it is doing as a one day process for verifying all records.

o Early days Libraries are managed manually. It required lot of time to record or to retrieve the
details. The employees who have to record the details must perform their job very carefully.
Even a small mistake would create a lot of problems. Security of information is very less.
Report generations of all the information is very tough task.
o Maintenance of Library catalogue and arrangement of the books to the catalogue is very complex
task. In addition to its maintenance of member details, issue dates and return dates etc. manually
is a complex task.
o All the operations must be performed in perfect manner for the maintenance of the library with
out any degradation which may finally result in the failure of the entire system.

 Proposed System:

 The system excludes the use of paper work by managing all the book information
electronically.
 Admin can keep updating the system by providing the new books arrival in system and
their availability thus students need not to go to library for issuing purpose.
 The system has books well organized and systematically arranged in different categories
in the system so that user can easily search and find the book.
 Thus, it saves human efforts and resources.
 Proposed system is an automated Library Management System. Through our software
user can add books, search books, renewal, update information, edit information, and re-
turn books in quick time. Our proposed system has the following advantages.


  Module Design and description
This Library management system has main two modules.
 Librarian
 Student

Librarian : Librarian is a responsible person who run the system, is a administrator of the whole
system. Librarian has a full rights to handle the project.
Librarian Functionalities:
Here are the list of activities of librarian.
 Add Publication
 Add Book Stock
 Add Branch
 Add Student
 Issue Books
 Return Books
 Penalty
The Librarian has a username and password to access the system. After login he has to first add
publication detail in to system and then enter all the detail of book stock. In our system librarian
can make entry of student who are the members of our system. Librarian can register all students
with valid personal detail and generate username and password for each student for login into
system. Librarian issue books to registered student and get return from them. He has rights to
make a penalty for late return book.

The Student is a registered member of library system. All student has unique username and
password to access his account. After login student can access his account detail, they can see the
borrowed book report and penalty report.
