Glossary of Terms
These terms and acronyms are commonly used throughout the course, so use this as a reference if you hear or
see a financial term you aren’t familiar with.

Canned Reports
A canned report is preformatted reports that are view- and export-ready.

Change Events
On a construction project, a change event is any change that affects the scope of work on a construction project.
Examples include project changes that affect the scope of the work to be completed, project schedule, costs, and
more. A change event is typically recorded in writing and precedes the creation of a change order, which allows your
team members and stakeholders to prepare for a cost change, before it becomes an actual cost.

Crew
Each crew is made up of workers who perform one or more scope of work and is led by a Crew Lead who is responsible
for the crew’s work.

Custom Reports
The Reports tool gives users the ability to create, generate, and export customized reports. When designing a report,
its author can include data captured by specific Procore tools, specify the desired column layout, and also define how
to group and filter report data.

Distribution Group
A distribution group is a list of email recipients that must be created in the Company or Project Directory tool. It is
similar in function to a Contacts Group in an email program and is not associated with any security settings.

Drawing Sets
In Procore, a drawing set is any like group of drawings that were issued on the project, whether it was entire set of
plans, or a single drawing revision. A drawing set can be anything from the bid set, to an addendum, to the issued for
construction (IFC) set, or even a bulletin.

Drawing Discipline
During the upload process the drawing discipline field is automatically pre-filled with the correct drawing discipline.
(e.g., Architectural, Civil, Electrical, etc.) By default, there are several abbreviations that are mapped to the most
common industry standard disciplines. However, you can customize the default abbreviation mappings or add custom
ones, as needed, on a per project basis if your drawing discipline does not match Procore's standard.

Drawing Mark Up Personal vs. Published

Any time you create a mark up in the Drawings tool, your drawing defaults to private meaning only you can see your
mark up. In order for others to see your mark up you will need to publish your mark up. Once you have published your
mark up all admin and standard level users that have access to the drawings tool will have visibility.

Drawings by Area
When uploading drawings for a project with multiple buildings, you might find that many drawings are labeled with the
same title (e.g. A1). To prevent confusion, you can create different drawing areas, where each building would have its
own separate drawing area within the project's Drawings tool.

Incidents
In Procore's Incidents tool keep track of potential, safety related issues or document unfortunate accidents. Manage
risk, identify trends, and harness valuable data to better understand how to prevent unfortunate incidents in the future.

Inspections
In Procore's Inspections tool create comprehensive checklists to capture all of the requirements associated with the
different type of inspections that occur during the lifecycle of construction project. Create a unique template for each
inspection or choose to modify, add to, or edit a company template on a project-by-project basis.

Levels of Architecture
In Procore there is a company and project level of architecture. The company level is to manage overall settings and
provide an overview of your projects, while managing project specifics at the project level.

Locations & Tiered Locations

In Procore, locations and tiered locations give users the ability to link different Procore objects (e.g., Drawings,
Documents, RFIs, Submittals, and more) to specific locations on a job site. This helps project team members to
pinpoint the exact location(s) on a job site where a defect was observed, where equipment is to be installed, or where a
project change order occurred.

Meeting Minutes Mode

When you first create a meeting, the system automatically places the meeting into Agenda mode. While the meeting is
in agenda mode you can set up the meeting details. When the meeting occurs, you can convert the meeting to Minutes
mode. This allows you to mark the attendees as absent or present, as well as add meeting minutes for each meeting
item on the agenda.

Observations
Project managers can use the Observations tool to assign tasks to other project team members. These observations
can encompass scopes of work including quality, safety, commissioning, warranty, and work to complete. Unlike the
Punch List tool, Observations is designed to be used at any phase in the project lifecycle.

Optical Character Recongition

Optical Character Recognition is technology to help expedite the upload and review process. When you upload new
drawings to a project, Procore can automatically pre-populate the title, number, and discipline.

OCR
Short for Optical Charater Recongnition.

Punchlist
A list made near the completion of the construction work indicating items of work that remain unfinished, do not meet
quality or quantity requirements as specified or are yet to be performed by the contractor prior to completing the terms
of the contract.

RFI "Official Response"

Each RFI can have a long communication thread that may be difficult for some team members or collaborators to
interpret correctly. In such cases, users with the appropriate permissions (such as Project Manager/Engineers) can
highlight the correct answer by marking one or more replies in the activity thread as the "official response" for an RFI.

RFI Manager
In Procore, an RFI Manager is the person responsible for overseeing an RFI throughout its lifecycle. This person is the
gatekeeper between the RFI's Creator and the Design Team and is responsible for reviewing all Draft RFIs and either (1)
providing a response to the RFIs and closing them out, or (2) opening the draft RFIs, assigning them a number, and
then assigning them to the appropriate member of the design team, who then provides a response to the RFI's
question.

A cost plus is a contract type where the owner agrees to pay all construction costs plus an agreed upon markup
percentage.

T&M Tickets

A T&M Ticket provides Procore collaborators with a digital method for documenting and tracking out-of-scope work
expenditures that are not part of a contract. Procore's T&M Tickets tool replaces a commonly use carbon copy ticket
form found on job sites, with a digital method for documenting out-of-scope work performed. T&M tickets include a
quick approval workflow that captures stakeholder signatures and helps to ensure subcontractors get paid for
out-of-scope labor, equipment, and material expenditures that occur in the field.

Timecards

Procore's Company level Timecard tool gives you the ability to enter current-week timecard data for employees who
have been added as contacts in Procore's Company level Directory tool. A user with 'Admin' level permissions can
configure the end day-of-week for timecard entry fields.

Timesheets
Timesheet entries are used to track employee time on projects. A timesheet entry can track where work is being
performed, the number of hours each employee has worked, and whether or not those hours are billable.

Worker
This feature allows users to add workers (such as craft workers, temp laborers, and seasonal employees) without an
email address to the Field Productivity tool's Employee list. These workers do NOT need to have user accounts created
for them in the Project or Company Directory.
