A job description is a written statement of a specific position based on the job review results,
including position, purpose, responsibility, scope, and conditions of work, position, and the
person's name or position in charge.

The component of the job description:


1. Title/Position: The name describing the person’s role in the organization. Each
organization has a different title/position. Examples of these are IT Manager, System
Administrator, Computer Programmer, Computer Technician.
2. Job Summary: A summary description of the essential roles and responsibilities of an
employee. For example, an IT Manager's job summary may include overseeing the IT
Department's overall operations.
3. Tasks: A piece of work assigned to each person.
4. Responsibilities: A duty or obligation to satisfactorily perform or complete a task
(assigned by someone or created by one’s promise or circumstances) that one must fulfil
and which has a consequent penalty for failure. Duties will vary depending on each
title/position.
5. Qualifications: Capacity, knowledge, or skill that matches or suits a position or makes
someone eligible for a duty, office, role, privilege, or status. Qualification includes fulfilling
necessary conditions such as attaining a certain age, taking an oath, completing required
schooling or training, or acquiring a degree or diploma.
6. Supervision: Monitoring and regulating processes or delegated activities, responsibilities,
or tasks, ensuring that every job meets the organization’s standards. Persons of a higher
authority usually do these.
7. Working Conditions: The conditions in which an individual or staff works, including but
not limited to such things as amenities, physical environment, stress and noise levels,
degree of safety or danger.
8. Benefits: These are indirect and non-cash compensation given to an employee and
mandated by law.
9. Salary: A fixed amount of money paid to an employee by an employer in return for work
performed.

Accuracy is vital to each organization and which why each employee must have a work
instruction to ensure that all duties are fulfilled according to the organization’s standards. A
work instruction is a tool provided to help someone do a job correctly.

An effective work instruction must have the following:


1. Credible – is the heart of standardized best practices. (Workers trust them)
2. Clear – can be quickly understood by the worker with a minimum effort. (Workers
understand them)
3. Accessible – can be located quickly (within seconds) and “easily” requires a retrieval
system that the worker knows, understand, and trusts. (Workers can get to them)
4. Consistent – conform to a style guide explicitly developed for procedures and work
instructions. The material used for employee training should match the provided job
aids to achieve consistent work instructions. (They match worker training)

A job order is the written authority given to a worker or shop to perform specific work. A job
order contains parts such as the price, which could be an hourly billing rate or fixed rate
through the project's duration or task. Once both parties have agreed upon the terms of the job
order, a job order becomes a work order.

Parts of Job Order:


1. Customer information – important details of the customer such as name or
organization’s name, and address or company address
2. Equipment/components specifications – these are the detailed information of the
equipment to be repaired or diagnosed.
3. Delivery Date – the date when the customer will get the unit/equipment being
repaired.
4. Job Order Number – the number of jobs that have been performed
5. Job to be performed – a specified task to be performed
6. Price – the amount to be paid after the performance of the task.
7. Remarks – the status of the completed task

A Process is a series of actions or steps taken to achieve a particular task.

Standard Operating Procedures are the written instructions to document how to perform a
routine activity. To help ensure consistency and quality in their products.
