CHAPTER 1

INTRODUCTION

1.1 Background of the Study

In February 1994, Trimex Colleges school began as establishment of datamex

PC intentionally to fill in as a legitimate specialized professional instructional hub in the

CALABARZON region. It is Laguna's commitment to the fast industrialization

development. With the enthusiasm to connect with and have any kind of effect throught

training, Ms. Fleurdeliz A. Constantino, the originator, apearheaded the tasks of trimex

with Ms. Rachel L. Cruz as head.

The school began tolerating understudies on a month to month premise offering

the accompanying courses: 2 years hardware technology, 2 years software technology

and 2 years secretarial course. At that point, the Trimex set up a Weekend Education

Program (WEP) with 4 years courses since 2014 and at the present, they offers

represents considerable authority in giving instruction in various field not just of

specialized professional and also different academic discipline.

As of now, the equipment monitoring and stock are performed physically by the

staff. For each equipment’s, a piece of paper ought to be filled up in arrange to keep

track the data. This manual framework was found to have a part of shortcomings such

as disappear of the items records, losing of items, in-out transaction record and lose of

items. The manual inventory systems they used before are time consuming, it requires

staff and students to write down each time an item is borrowed. There are times the

staff may lose the rundown of items obtained or another may neglect to record the

transaction. This framework is to keep track the things and shows which students are
borrowing. It is additionally tells the borrowers when the thing must be returned. Stock

framework with sms warnings help deal with the progression of exchanges. It includes

the informations, details, borrowing, and inventory or records of the items. This project

aims to provide feature on updating the record of the items, and sms support will be

used as notification for the borrowers when will they need to return the item in the office

and if they exceed the given time the system will send a sms to the borrower.

The Inventory and borrowing system with SMS notification are the most improve

and advantage, it deals in totally different perspective of normal checking of some

storage items inside the stock room, it provide a timeless process between the

administration and the borrower within the handle of borrowing and returning the items

from the administration. Through this study it engaged in the mind of administration on

how to appropriately monitor the stock of their items through computer framework. This

includes the list of all list of borrowers and items that have been borrowed, etc. For

advance data, this usage of our system the items monitoring and inventory system

would secure all items and gives the administration an automated processes and

computerized information records, later on the introduction of the Android operating

Systemfor mobile device created a revolution due to its easy User Interface, fast access

and response time. Which helps the Users to view their information. This project

describes how the user can find out details about the available items in the office and

also they can view their due dates of borrowed items. The Borrowing System

Application saves users valuable time by making complete procedure.


The Trimex Colleges, specifically the GSO department has difficulties in

monitoring the inventory of the items and providing a concrete history and reports. This

is why the researcher will develop a project that will utilize the technology of Android

devices and SMS that provides information processing and resources of data to

computers and other devices on demand.

Objectives of the study

The main purpose of the study is to manage the inventory items of General

Office Service Department and ease the struggle of manually recording of inventory

items.

The specific Objectives:

• To develop a module that could easily monitor and track borrowed and returned
items.

• To develop a module that will organize the files and data by providing search
engines.

• To develop a module that could generate an inventory reports.

Significance of the Study

• The study is relevance to the following:

• Administration – The main benefeciary of the study is Trimex Colleges that

will be adopting the inovation of technology through computers that will make

the work with optimum performance.


• GSO( General Service Office ) Staff

• The proposed system shall lighten the work burden of the GSO staff in terms

of organizing and monotoring their inventory management.

• Faculty and Admin Staff

• The faculty and admin staff will benefit with an easy and smooth process of

borrowing and returing items in GSO.

• Other School Personel

• The school personel can take immediate action to any unnecessary incident

that might occur in relation to the operation of GSO.

• Researchers/Developers

• The skills of researchers/developers in programming, software development

and database design will be challenged and utilized. Thesis or capstone project

is where we showcase your skills and hard work as a student, so this is the

right opportunity to enhance our knowledge.

Future Researchers

• The future researchers who want to conduct a similar study on this one can

used this study as their basis or one or their resources or guide. The project

has still a lot of things that needs to be improved, for that it’s up for the future

researchers to enhance the project.


Scope of Study

• The system has a capability to easily find inventory items by using search
engines.

• The system is capable of providing reports for inventory items

Delimitation of study

The system is not for online. It is merely used in inventorying, borrowing and

returning of items. This study limits only in the process of inventory system of the

General Service Office of Trimex Colleges Inc. and the system can't sell and don't have

sale products.
CHAPTER 2

THEORETICAL FRAMEWORK

2.1 Review of Related Literature and Studies

Equipment Inventory System EIMS

management systems are mostly developed and implemented in production companies

wherein the raw materials used in manufacturing a product are inventoried against the

number of products developed, and the actual expenditures made until a finished

product is produced. Inventory management systems are scarcely utilized in schools

since the priority is focused on the offering of quality instruction. 

The paper is about the automated system for conducting equipment inventory

management for the State Universities and Colleges of the country. Specifically, the

system captures data as regards records of equipment of each employee, tracks the

history of the equipment issued for each employee, and performs automated inventory

management and generates reports as regards inventory management of the


equipment. The study made use of prototyping method in the design, development,

implementation and deployment of the system at the Catanduanes State University by

which the users of the system were involved in the course of the study which was done

in from July, 2014 to May, 2015. PHP, MySQL and Macromedia Dreamweaver were the

software utilized in the development. Pilot testing was done in the said university since

the researchers are both faculty members of the said university. Utilizing the study in

the state universities and colleges in the country would result to a simplified, organized

and facilitative equipment inventory management process. This will result to an

improved productivity.

Automated Relative Humidity and Temperature Control System for Banana Tissue

Culture Laboratory with Monitoring System and SMS Notification  

According to Dalina Dandy Uy and Sobejana Noel (2019 ) [2]As part of the

technological innovation, developers are challenged to automate relative humidity and

temperature management and tracking using SMS based on notification. As a result,

implementing an effective surveillance device in a banana tissue culture laboratory

complicates the idea of the research, making it interesting and timely in the application

of the Internet of Things Approach.

The aim of the project is to assist the owner in automatically controlling and monitoring

temperature and humidity in a banana tissue culture laboratory in order to provide

adequate temperature and relative humidity for bananas, which is one of the most

important criteria for quick growth and disease resistance. A white-box research
technique was used to test the prototype, which exceeded the expectations of a real

laboratory. A feedback questionnaire was also used to evaluate the prototype's

accessibility and usability, with a very high level of agreement on both.

INVENTORY SYSTEM

As stated by Ashutosh Rajat Kerketta and Gaurav Kumar (2016) [3], Sales and

Inventory System is one of the basic problems in almost every company. Before

computer age and integration, paper tables and paperwork solutions were being used

as inventory management tools. These we very far from being a solution, took so much

time, even needed employees just for this section of organization.

There was no an efficient solution available in the many companies during these

days. Every process was based on paperwork, human fault rate was high, the process

and the tracing the inventory losses were not possible, and there was no efficient

logging systems. After the computer age, every process is started to be integrated into

electronic environment. Now we have qualified technology to implement new solutions

to these problems.

Software based systems bring the advantages of having the most efficient control

with less effort and employees. These developments provide new solutions for also

inventory systems in this context. In this paper, a new solution for Sales and Inventory

System (SIS) is designed and implemented.


MANAGEMENT SYSTEM

As stated in to Keng Lim (2016) [4], in an information management system,

activity data is collected and analyzed for patterns. The information management

system may be policy based. Activity data may be organized as entries including

information on user, application, machine, action, object or document, time, and

location.

When checking for patterns in the activity or historical data, techniques may

include inference, frequency checking, location and distance checking, and relationship

checking, and any combination of these. Analyzing the activity data may include

comparing like types or categories of information for two or more entries.

As required by Peter N. Francino and Frederick C. Huff (2016) [4], An energy

management system uses an expert engine and a numerical solver to determine an

optimal manner of using and controlling the various energy consumption, producing and

storage equipment in a plant/communities in order to for example reduce energy costs

within the plant, and is especially applicable to plants that require or that are capable of

using and/or producing different types of energy at different times.

The energy management system operates the various energy manufacturing and

energy usage components of the plant to minimize the cost of energy over time, or at

various different times, while still meeting certain constraints or requirements within the
operational system, such as producing a certain amount of heat or cooling, a certain

power level, a certain level of production, etc. In some cases, the energy management

system may cause the operational equipment of the plant to produce unneeded energy

that can be stored until a later time and then used, or that can be sold back to a public

utility, for example, to reduce the overall cost of energy within the plant.

is a company selling cosmetic products. They currently employ a paper-based system

of tallying sales which is consolidated by a Microsoft Excel File. This current system

causes a lot of problems such as misplaced tally sheets, delayed stock related

decisions, and outdated inventory reports. This project aims to automate LA Global

Product Trends Inc.'s inventory management system to hasten report generation,

produce sales predictions, keep data up-to-date, and improve stock management for

the multiple kiosks owned by the company and the warehouse, which distributes the

stocks
