Answer to the question no: 01

In an organizational structure, purchasing, production, warehouse, sales and marketing, research


and development, financial and accounting, HRM, IT etc. departments are included and all the
departments are working together for organizational success. Those departments are mandatory
to run any business.
By following the question, XYZ phones headquarter is in Gazipur, Bangladesh. It has its own
assembling factories, warehouses and sales centers both in Bangladesh and India in different
places. The main functional departments in the headquarters are, sales and marketing, research
and development, financial and accounting, HRM, IT, warehouse, production and purchasing.
These functional departments are not included in the headquarters functional organizational
structure. But those departments are connected with each other by using the ERP software.
Functions of each department:

1. Sales and marketing department:


 Create strategic marketing plan for promoting the business products.
 Innovate new ideas for product marketing.
 Following the customers choices and preferences.
 Track trends and monitor the competition.
 Make plan to improve sales process.
 Make better content.
 Advertise the product for their targeted customers.

2. Research and development department:


 Research the existing market condition for their XYZ phones.
 Improve their weakness and develop their market condition.
 Analysis the both internal and external working condition and compare them with other
business organization.
 Maintain the XYZ phones market competitiveness.

3. Financial and accounting department:


 Make budget for the business for next couple of years.
 Save records of purchase and sales of products in a daily basis.
 Save records of the whole organization’s expenses and profits.
 Manage the whole payment systems both internally and externally of XYZ phones.

4. HRM department:
 Recruiting and hiring right people for the specific job.
 Compensation and benefits of employees.
 Training and development.
 Maintain proper environment for working.
 Maintain the whole labor force of the organization.
 Maintain proper employee and employer relations.

5. IT department:
 Manage the whole network systems of the organization.
 Control the whole system administration.
 Project management.
 Make the organizational system smoother to work smoothly.
 Manage the application software like, ERP to control the whole business process.

6. Warehouse department:
 Raw materials or processed goods are kept safely.
 Storage inventory for future.
 Maintaining the quantity of input and output products of the warehouse.

7. Production department:
 This department is used for producing the finished goods.
 Raw materials are used for assembling the products in this department.
 It is the functional area responsible for turning inputs into finished outputs through a
series of production process.

In this chart we can see three levels of ERP organizational structure. Level one is the highest-
level organizational unit in the organizational structure. We can see here “XYZ Phones”
headquarter is located at Gazipur Industrial Area, Dhaka, which is the level one of the ERP
organizational structure. In level two are the two operating locations of the company. They are
Bangladesh and India. Assembling factory, Warehouse, Sales center & Service center of the two
operating locations are in level three of ERP organizational structure.

Answer to question no: 03

What is ERP: The full form of ERP is Enterprise Resource Planning. ERP is one type of
software tool. Organizations use it to conduct and automate their day-to-day business operations.
Such as: procurement, accounting, risk compliance, risk management, project management,
supply chain management, human resource management, financial activities, manufacturing
operations, production, distribution and so on. [ CITATION Garnd \l 1033 ]
How an ERP can help to integrate the functions: The way an ERP helps to integrate the
functions are given below:
 it can conduct end to end processes
 it helps to perform cross functional business processes
 it can operate in many different countries, with multiple languages and currencies
 synchronizing and connecting software with business applications such as E-Commerce
(front-end), CRM (Customer Relationship Management), EDI (Electronic Data

Why these integrations are needed: The following situations may occur if ERP integration
does not take place.

1. Manual dataflow: Work pressure will be increased as well as operational effectiveness will
be decreased without the integration of ERP. Someone will have to make entries manually in this
case. As a result, time efficiency will be lessened drastically. Workflow will also be reduced

2. Error-prone operations: To err is human. It is as usual for people to commit mistakes. This
may lead to wrong entering, missing product data and so on. As a result, the respective
departments may not get proper information. Misunderstanding and miscommunication will also
occur. This may lead the company into a severe damage. [ CITATION Clo19 \l 1033 ].
3. Team collaboration: Without the integration of ERP, conflicts and misunderstandings will
occur between the sales team and inventory team since huge communication takes place between
these two parties. [ CITATION Clo19 \l 1033 ].
So, we can see a lot of problems will appear unless the ERP integration takes place. That’s why
ERP integration is needed badly in organizations to perform tasks more accurately and smoothly.

Answer to question no: 04

Service-oriented architecture SOA is a type of software design where one company's department
can talk with other vendors. Under SOA, one company's multiple 3 tier client-server architecture
can communicate with each other with internet protocol.
"XYZ Phones" headquarter is at Gazipur industrial area. It has two assembling factories. One is
at Tejgaon Industrial Area, Dhaka, Bangladesh, and another at Hyderabad IT Park, India. It also
has six warehouses, 4 in Bangladesh & 2 in India.
Suppose the headquarter wants to get production data from both countries' warehouses in
Bangladesh & India. Headquarters’ three tires client-server architecture can collect data from the
other three tiers of client-server architecture. For example, headquarter can access data from
Bangladesh & India warehouses data with a three-tier client-server architecture. The architecture
will be here SOA & the help of internet protocol.
Again, XYZ has five sales centers in Bangladesh & six in India. If India sale centers run out of
stock, they'll make an order to the India warehouse. If Indian warehouses say that they don't have
enough stock for their sales centers, so they need to make a purchase request to the Bangladesh

supplier department for phones. With the help of SOA, the Indian warehouse can directly make a
purchase request to the Bangladesh supplier department. As other companies' ERP can easily
understand one company's ERP. SOA minimizes the processing time, which will help XZY India
having a more competitive advantage in the market.

Answer to question no: 05

a) Optimus Basic smart phone (5-inch, 2 GB ram, 4 GB rom, 6 mega pixel camera):
According to [ CITATION Com14 \l 1033 ], usually Silicon, Plastic, Iron, Aluminum, Copper,
Lead, Zinc, Tin, Nickel, barium are the initial raw materials for making the display of this
smartphone.
For making mobile phone screen of this type of smartphone, aluminosilicate glass which is a
mixture of silicon dioxide and aluminum oxide. Then it is placed in a hot bath of molten salt.

For making micro-capacitors, titanium is one of the most crucial elements. Platinum and
palladium are also used for it.
Solder helps to connect electrical ingredients combined.
For making microphone and speaker of the smartphone, magnet is the most important element.
Dysprosium and praseodymium are also used for making these.
In order to make vibration unit magnet, dysprosium and praseodymium are needed.

Production Process:

The production process is a series of steps that will eventually create the specific
products. Here the various steps and activities are involved with the manufacture or assembly of
finished goods and also semi-finished goods.
Fulfillment Process:
The complete process from point of sales inquiry to delivery of a product to the customer.
In this process, the products are ready to release for our customers.

Sources of Supply (Yes/NO):
Paths to create a purchase order, depending on whether the source of supply is known or
unknown.
YES: If the sources of the products are known, then no other steps are required like, the
determinants of the sources of supply of the products. We can directly focus on the vendor
selection and evaluation process.
NO: If a source of supply is not known then, we must send a (RFQ) (Request for
Quotations) to several potential vendors, then receive and evaluate the quotations and lastly
make a final selection. RFQ (Request for Quotations) is an invitation to vendors by us to submit
a quote for the supply of the materials. After completing the RFQ (Request for Quotations)
process, we will able to shift in the next step.

The final process is payment process. This can be through online payment, offline
payment or COD (Cash on Delivery). There can be several ways used to pay online like, bank
cards, online transaction. PayPal, Skrill etc. global money transaction gateway can be used for
Bangladesh and India transaction.

We can create multiple scenarios like creating multiple purchase requests on different date, for
year 2020 for Bangladesh and India:
Scenario 1:
On 20 th July 2020, 20 pcs Optimus Prime Phones were ordered from Uttara sales store.
From 20 phones, 5 phones are found damage. So, these phones are heading for return. These
damaged phones were sent to the nearest service station, which situated in Tejgaon.
Now in this scenario, the orders of the products will go through systematically from
purchase requisition, as there is an order placed. In here, sources of supplies are multiple,
because there are several sales points in Dhaka. After determining and purchase order processing
and invoice verification. Then comes to the payment, which was made using online payment,
BKASH. For returning of the damaging products, the return orders of which will be taken in
action after delivering. As there are damaging products returned items, will go to the service
center located nearby to the sales store in Tejgaon.
Scenario 2:
On 20th August 2020, 30pcs Bumblebee smart phones were purchased form Panji-Goa
store and delivered to Agra.
In this scenario, the ordered product will be received from a different place and will be
supplied to a different sales point on a different area. The orders of the products will go through
systematically from purchase requisition process as there is an order placed. Here source of

supplies is multiple, because there are several sales stores in India. After determining and
purchase order processing and invoice verification, then comes payment which was made on spot
cash transaction in Panji-Goa store. Later on, if there will find any damaging products, the action
will be taking after delivery based on the situation.
