PRIVACY STATEMENT

The Department of Foreign Affairs (DFA) with office address at 2330 Roxas
Boulevard, Pasay City, Philippines, is a part of the executive department of the
Philippine Government tasked to contribute to the enhancement of national
security and the protection of the territorial integrity and national
sovereignty, to participate in the national endeavour of sustaining
development and enhancing the Philippines’ competitive edge, to protect
the rights and promote the welfare of Filipinos overseas and to mobilize
them as partners in national development, to project a positive image of the
Philippines and to increase international understanding of Philippine culture
for mutually-beneficial relations with other countries.

DFA respects your privacy and recognizes the need for appropriate
measures to protect and manage your personal data. This Privacy
Statement aims to assure our app licants and other individuals that we are
observing the appropriate level of personal data protection in compliance
with the standards prescribed by Republic Act No. 10173, otherwise known
as the “Data Privacy Act”.

Service Description

To carry out the purpose of the DFA Passport on Wheels Program, The DFA
will provide services to the farthest places in the Philippines specifically in
the processing of Passport Applications and renewal. The
applicants/participants will be predetermined by the local government unit
and other organizations.

Personal Information to be Collected

The following personal and sensitive information wi ll be collected from the


applicants:

1. Information which includes your name, gender, parents/guardian, address,


nationality, date of birth, and place of birth, civil status, citizenship

address, mailing address, name of spouse, father and mother’s name
and citizenship, passport number, signature, biometrics, government
ID, Birth certificate, marriage certificate other requirements (legal
documents, SPA, etc.)
2. Any other information that would allow DFA to contact you
3. Latest picture

Collection Method

Your personal information may be collected, directly or indirectly, through


any of the following means:

1. Forms, agreements and other similar or related documents you submitted;


2. Communications and correspondences with the DFA Personnel and with the
local government whether in writing, verbally, or thru electronic means;
3. Footages from our CCTV cameras; and
4. Personal Information may also be obtained from third parties and other sources
which have obtained your prior consent for disclosure or when the DFA is legally
allowed to acquire such information.

Purpose and Use of Collected Personal Information

Your personal information is collected by DFA through POW Program


Committee for the following purposes:

1. To perform our obligations to provide DFA services to all places in the


Philippines.
2. To assist applicants to all their concerns relative to the processing of their
passport applications.
3. To inform the applicants about the program and other activities of DFA Passport
on Wheels Program.

In the course of performing its services and responsibilities, DFA may


engage the services of third-party service providers. In doing so, certain
personal information are required to be disclosed for legitimate business
concerns and as may be necessary to provide you with our services. We will
never share, sell or otherwise disclose your personal information to third-
parties, except as otherwise stated above or unless otherwise permitted
under the Data Privacy Law.

Storage and Transmission of Personal Information

Organizational, physical and technical security measures are maintained,


enforced and implemented at all times to ensure the integrity, confidentiality
and security of your personal information.

The security measures of DFA include, but are not limited to the following:

1. The processing of personal information is limited to the extent necessary to


deliver the services offered and/or made available by DFA POW Program
2. Our server is equipped with firewall, data encryption, anti-virus, and other
appropriate security controls;
3. Access to personal information is restricted to authorized personnel on a need-
to-know basis;
4. Regular audits are conducted to ensure that personal information is secured and
security controls are effective;
5. The security systems are kept up to date; and
6. The personnel are regularly oriented regarding the appropriate level of data
privacy protection.

Your personal information is kept in a secure facility within our office.

Method of Use 

Your personal information may be used as is or further processed solely for


the purpose of performing our obligations and responsibilities to the
applicants

Retention Period

Your personal information will be retained by the DFA for 10 years (taking
into account the passport va lidity) and an additional 2 years for passport
renewal. After which, the data/records both physica l and electronic will be
deleted from the system to protect the integrity and confidentiality of the data subjects
under this POW Program.

Rights of Data Subject

In accordance with the Data Privacy Law, we shall respect and uphold your
rights as data subjects. For more information about your rights, kindly refer

DFA hereby reserves the right to amend this Privacy Statement to comply
with other government and regulatory requirements, to adapt to new
technologies, to align with industry practices, or for other legitimate
purposes. Rest assured that you will be notified if the amendments are
significant.
