Abstract
In the year of 2020 the Covid-19 hit our Nation. The Nation took a few months to tackle the entire
Education System and came back with the idea of online education process. The students were
facing few difficulties at first but then they recovered soon and adopted the process.

The universities of different states made their exam system online. Whether it is based on mailing or
in an official exam site provided by the university. But Government and the Boards of Education have
decided not to take the board exams of class X and XII which effected the students with a bad
impact.

The entire system got crashed. Students became upset ad their future is at stake. Without having a
proper evaluation they cannot take their future decisions. Specially the students of Higher Secondary
examination will face a lot during their college admissions and in the job interviews.

The idea of this project is to take the Board Exams in online mode. Yes, There won’t be any long
questions rather than MCQ types but they can have a better evaluation through it. Even the teachers
will not have to check the whole copy rather than clicking on the check button on their admin site of
the website. The AI will do the checking for them as the answers will be uploaded with the questions
in the admin side. The students can have a genuine result and certificate by going through this
process.
Clearance from the State Govt. and the State Board of Exams

The entire process needs the clearance from the State Government and the State Board of Exams.

The student community is the pillar of the Nation and their future depends on the study system. The
importance of education in their life is a mandatory thing which the State Govt. should look after.
Only a better evaluation system can make them confident about their preparation. And they can
have the courage to study in this pandemic.

The State Govt. needs to understand the need of the entire process. A certain time and a certain
amount has to be invested into the entire project. The Govt. has to declare an announcement in the
state as well as need to order the District Education Office to look after the schools for the student
information and enlisting them as needed within a given time.

At the same time the Education Board needs to start making all arrangements of making an
appropriate website and start making of the question papers. Appointing a bench o teachers will be
enough for making of question papers. Everything has to be in a ordered manner and needs to be
uploaded in the main server of the board. A committee can be made which will be in charge of the
whole process.
Under Processing of The District Education Board
The whole idea of taking the exams online needs the support of The District Education Boards under
the State Govt.

The District Board will be responsible for the schools under their area. The board needs to notify the
schools for the enlisting of student details and making their email id’s and passwords and enlist them
for official database. Every student will get their mail and password from their respective schools to
log-in in the examination. The District Education Board will be responsible for each student under
their locality. The officials of the board needs to verify the details from the schools and needs to look
after the credentials needed.

The State will send their representatives to the rural areas make the arrangements and to look after
the arrangements as well as they will train few teachers how to handle the process and the system
in the days of examination. They will cover each schools under their surveillance. The District
Education Office will guide the representatives in this work. There has to be proper maintenance of
social rules for the covid-19. The district will be in charge for the schools and the exam center and
need to make arrangements as early as possible.
Distribution of the idea to the schools from the District Board Of Education

Education is an essential tool that imparts knowledge to improve one’s life. Education is a
key process that plays a significant role in moulding the ethics and culture of the society .
Schools have always played a major role in providing education and building the future of a
student. But proper knowledge comes only if the student is tested or examined.

In this time of pandemic every state has (rightly) decided to close schools, colleges and
universities. As the teaching is provided online it is on an untested and unprecedented scale.
The assignments and exams are also online with a lot of trial and error. Many exams and
assessments have been cancelled as a proper examination structure is not present in India.
Even major exams like State Board exams and Central Board exams have been cancelled.

Our paper provides a detailed description on how these exams can be held using AI. In this
particular sub heading about how the idea of the examination to be held will be provided to
every school is explained in these below points:-

I. The schools will collect the data of students like Name, Roll number and phone
number.
II. The schools will then provide students an email id and password using their names
and the exam that they are going to give like Secondary or Higher Secondary.
III. The mails will be the given to the Board which then will generate admit card of the
students with their emails and Unique Roll numbers and every detail that has to be
in a admit card.
IV. The students after they receive the admit card can now open the portal of exam and
provide the details as asked and then if verified a picture will be taken of the student
with their admit card and then they can give the exam.
Creation and Role of Email id and password

As explained before in the points the role of email id and password plays a major role in the
examination. Email id will act as a brief detail about the student as it would include the
name of the candidate and the district name from which he will be giving the exam. The
email id and password will be created in the particular school that the candidate belongs.
The student will be provided the email id and password by the school and it will be the duty
of the student to activate the mail id and if any problem occurs then he/she may contact
with their IT teachers.

Creation of the email id :-


The email id will consist of the student’s full name along with their district and the
exam that he is going to give.
For example: - The Student’s name is “RAHUL SHARMA” and he is from the district
“HOWRAH” and he is giving the “MADHYAMIK” exam then the mail id of the student will be
in the format: “[email protected]
and hence his mail id will be:
[email protected]
And if the student is giving Higher Secondary then the email id will be:
[email protected]

The passwords should be auto generated using a trusted platform and the password should
be strong with a mixture of

 At least 8 characters—the more characters, the better


 A mixture of both uppercase and lowercase letters
 A mixture of letters and numbers
 Inclusion of at least one special character, e.g., ! @ # ? ]
District Based Exam Center

A state is a territory with its own institutions and populations. It is a large area with many
districts and each district consists of many schools. As we know Education in India is
primarily managed by state-run public-education system it will not be possible to manage
the whole system by an individual so the conduction and implementation of this system
should be divided in districts where districts act as an individual center for the school under
its area.

The districts will have a centre at a school with the needed faculty and materials provided
by the government. Each district should be provided with a minimum of 10 computers with
a proper internet connection and a telephone number that a student can call in emergency.
Every centre will have at least one IT professional to maintain the smooth flow of exams and
if anything goes sideways, he/she will be able to manage it. The centre will have various
invigilators watching the students as they give their exams and examine that there is no
malpractice or any type of cheating happens. If he/she suspects something the student will
be warned and if still after being warned the student doesn’t follow the rules the exam of
that student must be cancelled by the invigilators. Though the AI technology will be installed
to keep a check on the students the invigilators will act as an extra preventive measure for
the malpractice.

The district centre will be supposed to open the portal of examination before 45 minutes of
scheduled time of exams to give every student time to fill up the information asked and get
verified for exams by providing each and every detail asked. If any problem occurs when a
student is trying to login the student can use the trouble shooter provided in the browser. In
case if this doesn’t work the student can call their individual district and get their problem
solved. This is how the district will act as a centre and help in smooth flow of online exams.
Checking of system before exam day

Before the exam day :

 If you have not already, please check the minimum system requirements and
policies and procedures here.
 Perform a system test.
 Check your room set up requirements. Ensure that your desktop is clean and that
you are not within arm’s reach of books, notepads, sticky notes, papers, pens,
pencils, and other writing instruments/objects. Additional monitors and computers
must be unplugged and turned off. Items on the wall with writing on them, such as
whiteboards, will be inspected.
 Make sure you have a functioning home computer with a webcam and strong
internet connection.
 Run a system check to test the compatibility of the application.
 Have your admit card soft copy to present during the check-in process.
 Roommates or pets? Make sure your space is free from noise or distractions.
 Clear the room of any preparation materials or unauthorized items to avoid exam
violations.

*if your system test fails you cannot give your exam. Please attend the demo exam for
clarification.

Taking of exam and distribution to the head office

Before the Online Exam: Prepare

Read and understand the test guidelines. Be sure you can answer these questions: Will the
test take place at a specific date and time, or can you take the exam at any point during a
particular window of time? How much time will you have to complete the test? Can you
take the test at home, or must you take the exam in a specific location.

Know the test format. Test yourself.

Check your computer. Avoid last-minute problems! Whether you’re using your own
computer or one in a lab, verify that it has all the correct hardware and software well in
advance of the exam. Also, make sure you’ll be in a location with an adequate Internet
location.
Study the class materials! Even if the test is “open book,” it’s still important to study and
review just as if you were taking the test in a classroom.

Plan your time. As you test yourself, limit your time to that which will be allotted for the
actual test, and decide how long you will spend on each question.

Carve out a quiet test-taking spot with minimal distractions. Turn off all notifications from
IM, your phone, your email, and elsewhere (or, set them to silent). Shut off the TV and
radio. Let your roommates or family knows that you’ll be taking a test, so that they’re less
likely to interrupt you during that time.

Determine when you will take the test. You may have to take the exam at a specific time;
however, if the test will be available for several hours (or even a few days), choose a time
that presents the least potential for distraction, interruption, and stress.

Gather all that you’ll need to take the test. If you can have materials such as notes, books, or
writing implements with you, be sure that they’re set to go.

Take a deep breath! Once you’re logged in, take a moment to relax and get focused.

During the Online Exam: Focus

Keep an eye on the clock. You may want to set an alarm to notify you when you have limited
time (e.g., 10 minutes) remaining in your testing period.

Don’t leave the test pages! If you are permitted to search the web or check other websites
for information, do not use the same tab or copy of the browser as you do for your exam—
you may lose all your work. Instead, open a second copy of your browser (or, choose a
completely different browser), then conduct your search.

Technical problems? Don’t panic. But do contact your instructor immediately, detailing the
exact problem that occurred and any error messages you might have received. If you can
take a screen shot, that is helpful as well.

Check your work before you submit it. Ensure that every answer is complete and appears as
you intended. Review the accuracy of your answers, as well as your spelling and grammar.

Click submit.

Online Exam :

1. Go to Candidate Login page.


2. Enter Candidate username and password.

3. Click on Login.

4. After login candidate, there will be a display of  exam details.

5. Click on Proceed  link to appear for exam.

Exam Status :
1. Proceed : This status indicates that you can click on this button to start your online exam.

2. Completed : This status indicates that you have successfully completed online exam. All
answers attempted by the user would be auto saved in the system.

3. Auto Complete: This status indicates that system has auto submitted your exam due to
completion of exam time. All answers attempted by the user would be auto saved in the
system.

4. Expired: This status indicates that exam timer has elapsed and you have not attempted
the exam. It would be marked as absent
Distribution to the Head Office :

Aft er exam the district centre will collect all answer scripts. Then they will
send those to the head offi ce aft er checking that all the copies is submitt ed or
not.
The process involves scanning answer scripts, Transferring the encrypted fi les
to the centre, providing examiners with access to the answer scripts and
retrieving the answer scripts as per our convenience.
Evaluation of Answer Scripts
The Board may appoint evaluator to oversee the conduct of Examinations and ensure fair
conduct of examinations. Boards will assign each individual evaluator certain number of
answer sheets to evaluate.
Each evaluator has unique login credentials to log in and views individual copies of the
digital answer sheet.
Answer sheets can be evaluated online using an onscreen marking system. The evaluator
can log in securely and see all pages of the answer sheet on the screen. Toolbox and
controls are available on the screen to define annotations and evaluate the answer sheet.
The board evaluation process will provide unique reporting and analytics to track the
progress of each evaluator for the answer sheet evaluation process. The board
administrator can monitor the dashboard to analyze the total number of answer scripts
evaluated, total pending evaluation.
In an advanced digital evaluations system, the answer sheets are assigned to every
evaluator by moderators with specified deadlines. This means each evaluator has a well-
defined role-based access to avoid chances of malpractice.
Once they have accessed the specific scanned and anonymous answer sheets, individual
exam checkers can evaluate the answers, add their remarks, review results, and continue
checking on-screen the way they would have offline.
From a monitoring point of view, the online dashboard will be so transparent that the
examination body can live track progress and pending work and set reminders and alerts for
evaluators to ensure better process and time management.
There is a task for every evaluator to check at least 200 copies in 3-5 hours. This process
takes place for two months.
Digital copies of answer sheets will be uploaded online from distinct locations and uploaded
onto the board portal for further processing. The final score of a particular candidate is
calculated after taking into consideration the evaluator's analysis.
All instructions/provisions in regard Examination/Assessment be followed/adhered strictly.
Any deviation may lead to action as against defaulting Institution/Evaluator as per
applicable rules.
