GUIDELINES ON THE CONDUCT OF ONLINE THESIS EVALUATION FOR ARCHITECTURAL DESIGN 10

Rationale:

Final Oral Thesis Defense is one of the terminal course requirements in Architectural Design 10 and in earning the Degree in
BS Architecture. Face to face defense requiring proponents to defend their final outputs (Research Application) had been the
regular practice under the normal condition. The pandemic outbreak of COVID19 provided a difficult challenge on the conduct
of such activity. Aside from the community quarantine protocols being implemented which have imposed restrictions on
assemblies or gatherings, the regular face to face defense may create possible health risks for everyone. The conduct of final
thesis evaluation which does not require direct face to face contact is considered as the safest option.

The Policies and Guidelines on How to End the 2nd Semester, S/Y 2019-20 stated in the BISCAST Administrative Memorandum
No. 39 s. 2020 enjoins the use of all available online platforms in conducting thesis defense of graduating students. To comply
with this and to assist the 5th year BS Architecture students in complying with their academic requirements, the conduct of Online
Thesis Evaluation is considered. This method is designed to cater for the needs of both students with internet access and
students without internet access.

Guidelines:

A. For Students with internet access:

1. Application/Sign up. 5th year BS Architecture Students currently enrolled in Architectural Design 10 course with
access to the internet and who are willing to avail the Online Thesis Evaluation may apply by signing up in the form
and agreeing to the terms and conditions. Forms are provided in the link below.

2. Pre-evaluation. Requirements for final defense uploaded in their designated Architectural Design 10 Google
Classrooms are pre-evaluated by their respective course instructors and major advisers. Compliant students are
endorsed for the Online Thesis Evaluation.

3. Designation of Panelists. The course instructor/s assigns the panelists comprised of one faculty panelist and two
external/guest panelists.

4. Evaluation of Documents. Endorsed online electronic submissions are shared by the course instructors to the
panelists for the final evaluation. These should be shared no less 48hrs before the scheduled online deliberation to
allow sufficient time for the review.

5. Online Deliberation. An online discussion with a duration of 40mins to 60mins may be conducted via ZOOM, Google
Meets or Messenger Video call or any other online video conferencing platforms preferred by the participants, if the
internet connection warrants. Group Chat via Messenger and emails maybe considered as options for students with

poor or intermittent internet connection. Major advisers and Course instructors should monitor the proceedings of the
online discussion. To facilitate the discussion, panelists are advised to prepare the questions prior to the scheduled
online discussion.

6. Rating of Presentation and Outputs. Evaluation and Matrix of Recommendation E-forms will be used for rating.
These will be shared to the panelists to be accomplished and submitted by the end of the deliberation process. This
may be filled out online via Google sheets or sent via email to the respective course instructors. Students are informed
of their rating.

7. Compliance to the Matrix of Recommendations and Revisions. A maximum of 7 days after receiving the Matrix of
Recommendations will be given to proponents to comply with the recommendations. E-files of Revisions and
compliances are submitted by uploading them in their respective Google Classroom folders shared to the designated
Guidance and Advisory Committee (Advisers & panelists) for checking and approval.

8. Submission of E-copies of Thesis Books. Students who have successfully completed the Online Thesis Evaluation
and have complied with the recommendations are then advised to submit an electronic copy of their Final Thesis Books
(reviewed and edited) and other related requirements as determined by the course instructor by uploading them in their
respective Google Classroom.

B. For students without internet access:


(Items 3 & 6 are similar with the Guidelines for students with internet access)

1. Submission of E-files. CD/USB containing the required files for the Online Thesis Evaluation and Letter of Consent
authorizing the course instructor to share thesis files for online evaluation are submitted to the course instructors
personally on a given schedule.

2. Pre-evaluation. Submitted E-files of requirements are uploaded by their course instructors in an e-folder and shared
to their respective major advisers for pre-evaluation by both. Compliant students are endorsed for the Online Thesis
Evaluation.

3. Designation of Panelist.

4. Evaluation of Documents. Endorsed electronic submissions are shared online by the course instructors to the
panelists for the final evaluation.

5. Questions and comments. Questions/ clarifications and evaluated documents with comments from the panelists are
sent to the course instructor via e-mail or thru a shared folder via Google Drive. These are then saved in the provided
CD/USB then returned to the students. Students are then given time as determined by the course instructor to answer
the questions and comments. Student responses are then saved in a CD/USB and submitted to the course instructor.
Submissions are relayed to the panelists through email or uploaded online to a shared folder via Google Drive.

7. Compliance to the Matrix of Recommendation and Revisions. A maximum of 7 days after the student receives
the Matrix of Recommendation will be given to comply with the recommendations. E-files of Revisions and compliances
saved on CD/USB are personally submitted to the course instructors which in turn shares them via e-mail to the
designated Guidance and Advisory Committee for checking and approval.

8. Submission of E-copies of Thesis Books. Students who have successfully completed the Online Thesis Evaluation
and complied with the recommendations are then advised to submit an electronic copy of their Final Thesis Books
saved on CD (reviewed and edited) and other related requirements as determined by the course instructor.

As per BISCAST Administrative Memorandum No. 39 s. 2020, submission of Hard copies of Thesis Books “may be done within
one (1) year or before the release of the academic credentials of the students whichever comes earlier”
