COLLABORATIVE WRITING FOR DESKTOP PUBLISHING

Collaborative Writing for Desktop Publishing is among the most difficult contest in press
conferences.
The said contest involves two phases:
 the first phase is writing the articles and taking pictures necessary for the articles
 the second phase is lay outing the articles including all other parts of a newspaper page.

Regularly, a group of seven writers, photojournalist, cartoonist and computer lay out artists composed
one group. Normally, they are given two to three hours to accomplish the two phases and come up with a four-
page newsletter that is A4 coupon bond in size.

How to write articles of different types- news, opinion. Science, feature and sports was discussed during the
Grade 7 and 8 Journalism class. In Grade 9 and Grade 10, your skill in lay outing a page will be polished and
enhanced.

To get the most out of these discussions, you need to focus your attention and believe that this skill can
be yours with diligence, patience and perseverance. Another inspiration for you to take advantage of this
learning is that this skill is in demand since everything is done with the use of computer. If you are really good,
this can be your source of livelihood in the future or a part-time job during summer vacation. So, learn and learn
well.

I. Layouting a Page

A. What is a layout?
 Consists of the arrangement of illustrations, texts, and graphics on a page which is to be printed
 Includes the selection of font styles and colors
 Also known as “makeup”

Can you explain the meaning of the quote below?

“Layout is a happy marriage of aesthetic and mechanics”

B. Factors of an Excellent Layout
Proportion
 Deals with the ratio of one part to another and of
the parts to the whole
 Pictures must be sized properly to keep up with
other shapes on the page.
 A long story may ruin the proportion of the page.

Look at the layout of a sample page on the right.

Is there proportion? Is the main headline proportion to
the picture? Why? Are the picture and the headline
proportion to the story? Give your reason.

Unity and Harmony

 Refers to the agreement among the
different parts of the layout
 Contents of a page must blend as a
harmonious unit.

1
EMA EMITS COLLEGE PHILIPPINES

 The headlines should complement each other and pictures should not distract the eyes too
much
Look at the sample page on the left. Is there unity and harmony among the pictures?
Are there pictures that distract the eyes too much? Are there pictures that distract the eyes too much?

Balance
 Deals with the feeling of equality or
gravitational equilibrium in weight
 Occult/Asymmetric Balance – visual units are
not identical but are placed in positions that
somehow produce a “hidden” balance Inside
pages should be laid out as facing page units
How is balance achieved in the sample layout of a
page on the right?

Emphasis
 Involves the differentiation between the more
important and the less important
 News articles must be displayed according to
importance through its position, style,
and size of the headline
In the sample layout on the left, which is the most
important story? How is it emphasized? Which is the most
important picture? Why do you say so? Where is the least
important story placed?

Contrast
 Refers to the blending of units as one
 Every headline or photograph on a page contrast with adjoining
materials
 Contrasting adjacent headlines will help emphasize the importance of
each other

How is contrast achieved in the layout of this page?

C. What to avoid when Lay outing the school paper

1. Tombstoning- This is the arrangement of the headline Martial Law idineklara 4 patay sa sunog sa QC

of the same typeface and size on the same level

How to avoid tombstoning:
 Use different font and size of headlines

 One headline can be boxed while
the other is not

2. Jumping Stories-one story starts in one column

and continue in another page.
3. A sea of gray- this refers to long column of text
How is the sea of gray in this lay out neutralized?

Techniques to break up sea of gray

 Use subheads: This is the most common way to break up sea of gray text that is so boring and
so tiring to read
It can be used wherever there is a change of topic.
Subheads come in variety of styles. But, they are always bolder than text type. Below are
some examples.
This is a typical style for news

 Use Initial caps- Initial caps are classy way to begin features, columns or specially-packaged news
stories. They are also decorative alternative to subheads for breaking up a long column of texts

This is an example of a dropped

initial cap. These are usually
tucked into the first three or
four lines of the text.

the text extra typographic emphasis.

Use too many of them, though and
it gets distracting.

 Use dingbats- dingbats are ridiculous-sounding term used to describe an endless assortment of
typographic characters like these
Some dingbats are too silly to use in a sober-minded newspaper. Some are just right to relieve
long legs of text.
Others like bullets and squares can help
Had left it in one instant. It was dull, cold,

 Use bullets or squares for three or more
related items.
Fewer than that, it looks odd. There was a great deal of blood. Wh
 Keep bullet items short and punchy. Like this.
 Don’t overdo it. Use bullets only for emphasis.

4. An assemble one- stories of the same number of columns placed on top of one another.
 Arrange stories in such a way that stories of the same

D. Rules on typography
 Use appropriate font style. For news headline and opinion titles, font must be formal in
style like Times New Romans, Arial Black, Adobe Gothic and other font that is
formal in appearance. In feature page, font can be a little bit artistic and decorative.
 Maintain or make font consistent- for news and opinion page, use one or two types of
font only. For feature and sports page, you are free to use more than two. Just be
careful not to overdo it that it distracts readers’ attention on the content. Remember,
anything that is too much is not good.
 Do not over-emphasize headlines,
example, bold headline with underline

SENATE APPROVES 2019 BUDGET

Use downstyle in headlining, not all caps

Good: Senate approves 2019 budget Not Good: SENATE APPROVES 2019 BUDGET

4
EMA EMITS COLLEGE PHILIPPINES

 Kickers are usually in bold format

Ex. All set for Ms. Universe Pageant kicker is in smaller font
size

Gray heads on to Thailand

Usually headlines are in 14 font size or more
depending on the length of the story. Articles
or text are in 12 font size. If space for the news
article is not enough, font size for the body can
be reduced up to 11 only.

E. Use of Cuts
Pictures or cuts add appeal to the
newspaper pages through the following:

 by using the top of the column as a

contrasting element between two
news heads

This is a good example. Why? Does the

cut make the page more appealing?

 By cutting up under the shoulder of a multi-column head

This photo cut up under

the shoulder of a multi-
column head

5
EMA EMITS COLLEGE PHILIPPINES
COLLABORATIVE WRITING FOR DESKTOP PUBLISHING

By running above or on the side of the

story to which it is related

 One column cut (also called a mug shot) can be

used in the body of the story

Remember: Cut and

story must never be
separated!!

F. When not to use pictures

 When two cuts are not related to each other, they should not be placed next to each
other
 Bunching pictures at the bottom of the front
page should be avoided when the top part
carries only light headline. On the other
hand, larger top or pictures will prove
adequate balance to allow the use of
pictures at the base of the page

Bunching pictures at the

bottom page is rationalized
by the heavy picture on the
top page

What does each page of the newspaper contain?

A. Nameplate- this part bears the name of the school paper or the newspaper.

BANNER HEADLINES and BANNER STORIES

Banner headline is the headline of the most important story in the front page. It is written in
the largest font among the headlines in the front page. The story under it is the banner story. The
banner story occupies the most number of columns in the front page. It is the most important story.
On Writing Good Headlines What What Are Headlines For?

them the way people speak. Headlines They summarize story content

HOW TO SIZE HEADLINES ON A PAGE:

Since bigger stories get bigger headlines, headlines will generally get smaller as you move down
the page. It is hard to generalize rules on headlines. But, more or less, the following size assignments
on headline can be followed.
Story 1 (banner headline) ………………….. 36-60 points
Story 2……………………………………………….. 24-36 points
Story 3 ………………………………………………. 18-30 points
Story 4……………………………………………….. 18-24 points
Story 5……………………………………………….. 16-20 points

SHAPING TEXT INTO COLUMNS:

Text is the most essential building blocks of newspaper design. It is the gray matter that
communicates the bulk of your information to your readers. Here are some basic text design you can
do when lay outing your page.

Horizontally-shaped texts are pleasing to the eyes.

They create an illusion that story is shorter than it really

be at least two inches deep- never shorter than one
inch.

 Trim the text For news stories, it is alright to cut the end paragraphs since
it is written in an inverted pyramid style. Hence, cutting the end will just cut
off not-so-important details. For other types of articles, care must be exercised
in trimming texts.
 Trim a Photo you can resize the photo so you can crop it more tightly.
 Drop a line from the headline Shorten the headline by restating it.
Or, use shorter words.
 Trim an Adjacent Story If you think that story can no longer be shortened, try
trimming stories below or above it to make all elements fit into the page.

Let us take a look at another dummy of a page. Can you tell what is not good in their lay out?
1. 2.

3.

THE DUMMY SHEET

Though we are living in a highly technological world, when lay outing a newspaper, you don’t
just squat in front of a computer, manipulate the buttons and presto, you come up with a nice lay-out.
Maybe, that is possible for a pro. But, for beginners and not so pro layout editors, it is necessary to use
dummy sheets.
Dummies are like sketch pad of a painter where he first concretized his ideas before drawing
the real thing in a canvas. Dummies may be of the same size as the page a newspaper. Or, it can be
smaller but accurately proportioned to the real page.
What do dummies contain? It should have all the things that a page would contain- text,
headlines, photos, captions, folio for inside pages- all represented by symbols that all in the newspaper
staff understand. For convenience, these are some of the symbols used in a dummy and what they
represent:

Cut or pictures - textbox with arrow indicating the flow of the text

/\/\/\/\/\/\/ - headline ________- caption

What a dummy of an 11- by- 18- page- newspaper like The Rainbow Times looks like

can look like this in your dummy sheet:

More Practice
You cannot be an expert in page design by merely reading this and other books discussing this
matter. You need to practice the principles you have learned.
1. What will your two best options when you are tasked to lay-out a 5-inch story without photo.
Your newspaper is a five-column paper.
a. When it is located at the top of a page
b. When it is located at the bottom of the page
2. You are tasked to lay out a 9-inch story with one mug shot that is 3 inches deep in one column.
What are your three best options for dummying this story?
3. You are tasked to lay out an inside page in a 5-column format. The available space for news is 6
inches deep and the full page across (the five columns). You need to dummy two stories: one 15
inches long, the other 10 inches. Neither has art. You can trim one inch out of either story, if
necessary-but no more. How many design options can you make for this?
4. Here is Page 1 of a typical tabloid. It uses a five-column format. The left hand column is reserved
for news briefs. Design the remaining space in this page with the following three elements:
a. A 10-inch lead story with a good horizontal
The Gazette photo
Briefs b. An 8-inch story with a horizontal photo
c. A 4-inch special news feature story.

Draw your own dummy sheet with the correct

scaling scaling.
1 ½ inch-space was used up for the nameplate
already.

5. Here is an inside page of a tabloid. On the right side, there is a column reserved for news briefs.. Draw a
dummy to show how you will design this page with the following elements:
a. A lead story- about 15 inches long but cuttable. Accompanying the story is a strong, deep vertical
photo
b. A secondary story- about 12 inches long but cuttable. A mug shot accompanies the story.
c. A short, bright feature story about 4 inches long.

Level Up!

After you have learned the different concepts of lay outing, it is time to level up. It is time to put your
learning using technology. There are several applications that can be used to lay out the pages of your
newspaper. Most common application used is the Pagemaker, Publisher and the In-design Application.

But, competitions in press conferences demand that the In-design App be used in lay outing the school
paper. So, let us learn a few basics in using this app.
