(MSC, software engineering) as well as our principal Mr Fikadu Alemu (MSC, software
engineering) who gave me the golden opportunity to do this wonderful project on the

to know about so many new things I am really thankful to them.

Introduction

E-Learning system is a form of electronically learning and teaching methodology. It is the


use of computer and internet technologies to deliver necessary material to the students or
learners are enable to learn using internet service.

The learning process needs techniques and tools to present the knowledge (from different
resources) interact with it and share it with others. In this context, E-Learning is becoming
an important tool to support the learning system to achieve its goal. E-Learning became
hot topic in the 1990's after the spread of the Internet. Generally, the internet is new media,
LW KDV EHHQ VSUHDG LQ ¶V, IXUWKHUPRUH, WKH (-Learning is very recent tool, and so this
sector needs more and more researches. E-learning like many terms in internet does not
have current definition which can be accepted by all.

E-learning is not intended to replace conventional methods of training such as classroom


teaching. Its aim is to create an augmented learning environment where technology is used
to deliver a combined range of teaching techniques aimed at maximizing the individual's
participation in the learning process.

Background of the organization


Dire Dawa University (DDU) is found in the industrial and commercial city of Dire Dawa,
which is located at 515 km east of Addis Ababa. DDU is a young higher institution,
established and started its teaching and learning activities in 2007 academic year. The
establishment of the university is in line with Ethiopian Governments willingness and
determination to expand higher education coverage and ensure its equitable distribution
across the country in order to produce competent human resources and research out puts
to meet the national development policy and poverty reduction strategy.

The actual operation of the university was begun by enrolling 754 regular students in three
faculties (Faculty of Natural Science and Mathematics, Faculty of Social Science and
language and Faculty of Business and Economics) in 13 different undergraduate academic
programs with 90 teachers and 103 administrative support staff operating with limited
facilities. In 2008, the satellite campus of Haromaya University was merged with Dire
Dawa University, which gave an opportunity to gain more buildings and workshops.

Today, in 2018 academic year, just after eleven years of existence, DDU has one Institute
of Technology and Five College (College of Natural & Computational Science, College
of Business & Economics, College of Social Sciences & Humanities, College of Law and
College of Medicine and Health Science) containing 33 different academic programs. The
enrolment has grown to 12,500regular students in 39 different academic programs. It has
also 7971 students in evening, weekend and summer in different programs. Dire Dawa
Institute of Technology is one of the ten institutes started in Ethiopia to support the
realization of the transition towards industry led economy. The University is contributing
to national policy of 70:30 (Engineering &Natural Science to Social Sciences) program
mix through prioritization of science and technology. Currently the university has 1177
Academic Staff on duty, of which 834 are on duty, the rest 343 are on full study leave for
their second and third degrees. Of the staff on duty 28 % are first-degree holders, and 72%
are second-degree and above holders. In addition, the University has been operating with
1143 permanent

Administrative staff, 28 contract-based administrative staff and 51 technical staff during


the 2007/18 academic year. [1]

Background of the project


We know that a world is going to rapid changes through different technologies and
systems. Currently human beings uses technology and systems in order to facilitate their
day to day activities and accomplish their tasks by using different technologies. Generally
human beings depend on more technology based.
The higher education institutions have so many constraints and barriers in providing
quality education to the students. They have made continuously asses various
performances for improvement and stakeholder satisfaction. The major stakeholders of
educational processes are generally identified as: students, instructors and management.
The students and instructors play a vital role in the development of the educational
business activities.
Our project is based on online learning system. Our team initiated to work on this title
because we see many problems with the manual system and in order to minimize this
problems the team going to do the system called e-learning system for Dire Dawa
University.

This e-learning system will be developed for the use of Dire Dawa University in teaching
students online. The users for this system are Database Administrator (DBA), system
administrator (SA), the Instructor, the Department Head and the Student.
Database Administrator can do all the activities like data backup and recovery, creating
dynamic tables, grants or revoke a system or object privilege to user, stored procedure or
function, and generate report by using system interface.
System administrator will post information based on the give information from the
department that assigned courses to the instructor, post related materials for the assigned
3 Courses.SA will create accounts for instructors and students, delete accounts that is no
more useful, and update information. The Instructor also can view which course are
assigned to his/her, and view the schedule and post related materials for the assigned
course, course out line, prepare online exam and evaluate it and the student can login by
its username and id in such case the student can view for which course who is assigned the
schedule, download course related material and also take exam.
Statement of the problem
In case of the existing system students cannot prepare themselves for the future class since,
there is no a mechanism to access reading materials before class starts due this students
may not understand what they learn in the class and some course may not covered on time.
The other problem of existing system is instructors must make physical contact with the
students to give reading material and to give lecture for students. In addition to the above
it has also the inability to manage on-line learning/distance learning, delivering lecture
notes/videos for students who miss regular classes, simplifying add/drop cases and in order
to assign course the department head must contact with instructors in person and distribute
TXHVWLRQDULHV¶ PDQXDOO\. 'HSHQGLQJ RQ Whe above problems our team want to develop e-
learning system that might solve the aforementioned problems.

Objective of the project


General objective

The main objective of this project is to design and develop e-learning system for Dire
Dawa University.

Specific objective

In order to achieve our general objective we will do specific tasks which are listed below.

 To gather the required information from the existing system of learning teaching
process.
 To analyzing and synthesis the gathered information of these learning teaching
process.
 To design the proposed learning teaching process system.
 To implementing the proposed e-learning system.
 To test the proposed e-learning system.
 To deploy the proposed e-learning system.

Scope of project

Our project is limited to Dire Dawa University only. The system provides services for all
students of Dire Dawa University like reading material access, all instructors will have a
mechanism to provide assignment and reading materials on our system, student also take
quizzes regarding to their course matter but our project do not work for other Universities.
.

Significance (expected results) of the project


After accomplishing of this project the team member consider the following significant
will be achieved from the system.

 The main significance of this project is it will avoid wastage of time means students
does not only wait the instructor in order to get teaching materials, will provide a
mechanism for supporting students who could not attend class by providing lecture
notes, will enhance the quality of education. Mean students prepare themselves
before interring the class because of this every students can understand when
instructor teach in the class, will create awareness of new events in the university,
will reduce cost of learning materials to duplicate and distribute and it will allow
students to receive and submit their assignment with short period of time
 Student minimizes costs to copy reading material
 Instructor use their time properly.

Beneficiaries of the project
After accomplishing the system the project will be beneficiaries to many actors in many
aspect. So the beneficiaries from these project are:
Dire Dawa University: it will reduce wastage of resources that are available to the
learning process and lower cost of material and it will be competitive to other university.

The department head: will manage the overall activity of the department easily.

The instructor: There are no duplication and loss of documents in the student files. Faster
delivery of student materials.
The student: They will be ready for future class. The students will access the information
on time that is available from the university.

The developer: team members will gain knowledge and experience.

Methodology
Methodology is used to give enough information to replicate the study. For conduction our
project we use the following methodologies:

Data gathering methodology


We will use observations and interviewing for data gathering because these data gathering
methodologies are understand the problem and to find a best solution.

Observation: -to understanding directly how students and others share material
observation is a good way. We try to observe how officer notice

Interviewing: -our group uses for analysis of the problem uses interviewing to gather
information. We will be interview chair person or offices, head of department, student
service directorate and academic and registrar vice president to know the truth from
student. Any information from them to the office worker.

Come up with a problem to solve: we face problem that limit student potential to perform
projects and thesis efficiently. Materials are not shared between student; our course outline
is hard copy so if we loss is it difficult to backup. so that we will build the system in order
solve the problem

Brainstorming: Ideas that generated from group members are the back bone of this project
in order to finish project and to make more effective and efficient the system

Developmental methodology
We will be use object-oriented methodology, because in object-oriented approach
everything is object, so that this approach is better to do our system. And also object
oriented is more accepted due to its great advantage of polymorphism, abstraction,
encapsulation, modularity, inheritance, hierarchy, concurrency for its

Tool of our project contain hard ware and software which is used to develop the system in
proper way.

Hardware requirements
Different hardware tools are used to develop our project.

visual basic and to do other tasks related to our work.
 Printer: - for printing documentation
 Network cable: - we used twisted pair cable to get the internet access which is used us to
get many information about our project.
 Flash disk and CD: - used for the movement of data from one machine to another
 Memory: Recommendation: 2GB RAM.
 Hard disk: to keep the permanent data.
 Pen: - to write the note, to draft the idea
 Paper: - documentation to be printed as well as to write a note.

Software requirements

Different software tools are used to develop our project.


 Operating system: window 7 or window 8 is recommended
 MS word: -used to write the proposal of our project

 Microsoft Power point: - use to present the document in abstract forms. We use it to
present our presentation in short and brief way.
 PHP: -used to write at the back end because it has fast execution time, less expensive and
easy to hosting, flexible for database connectivity with MySQL and to design attractive
user interface.
 Adobe photo shop cc: -used to edit images used in our project.
 Atom: -is used to write the web code
 Android studio: - for mobile app development
 Visio: - it is object-oriented modelling tools. For designing UML diagrams, user interface
associated with the project.
 WAMP server: for database at the back end since it is powerful database management
system software and easily integrated with android.

Testing Methodology
We tried to test the system using black box and white box testing procedures because to
test our project structurally and functionally.
Black Box Testing

In this testing procedure, we will test whether the proposed system produces the various
expected requirements. Here, we monitor whether the interface of the system is interacting
successfully with the back code of the program. Testing helps us to know the performance
of the system once it is deployed in the server. This will help us gather enough feedback
to improve our system before we deploy it for usage.
All features included in our software package will be observed thoroughly to see if they
function as planned. We pass through unit testing, integrated testing and system testing.

White Box Testing

We use this testing type of technique by observing the internal structure of our program
during the time of writing code. If the code error may occur, we test using the technique

This DDU E-learning system have economic and operational stand point. Before doing
anything, we have to be sure about is feasibility on Operational, Economic, and Technical

Operational Feasibility
It refers to the feasibility of the product to be operational. Some products may work very
well at design and implementation but may fail in the real time environment. It includes
the study of additional human resource required and their technical expertise.
Operationally this system will be feasible, because strategically aligned with the business,

which the system solve business problems and determine whether the problem anticipated
in user of high priority or not it determines whether the solution suggested by the software
development team is accepted or rejected.
 Our system is operational feasible because solution suggested by this system is

 Error handling methods are so flexible where errors are occurred while working.
 To make the employee to run with the current technology and make their life easier
and smart.
Technical Feasibility
This system is easily upgrade to provide the necessary information and material for the
user of the system without any difficulty. We are familiar with different courses that used
to build this system like internet programming, android (mobile computing and wireless
communication), software engineering, data structure, computer networking, and human
computer interaction. Therefore, the system is technically feasible.

 Familiar with the functional area: - In DDU there is technology are that used to
deploy this system (ICT).
 Familiar with technology: - This project will be familiar with the technology of
the date.
 Project size: - this system is done within 6 team members. And functionality is
run by two people.
 Compatibility: - integration of DDU material sharing is less with other system or
it is independent. Therefore, the system is technically feasible.
