PROJECT 2016 CHEAT SHEET

THINGS TO DO ONE TIME

1. File Tab>> Options >> Schedule:


1. Scheduling options for this project: All New Projects
2. New Tasks created: Auto scheduled.
2. Resource Tab >> Leveling options >> Remove checks at bottom >> OK

THINGS TO DO EVERY TIME


1. Set up calendar if needed: Project >> Change Working Time
2. Add:
 Phases
 Tasks
 Durations
 Set link relationships – make sure every task is linked to something
 Look for non-standard links: (Double click tasks and check predecessors.)
 Start to Start
 Finish to Finish.
3. Set Obvious Constraints (“must finish by”, “must start on”, ect)
4. Add Resources: View >> Resource Sheet (then return to Gantt Chart)
5. Assign Resources: Resource Tab >> Assign Resources
 Enter in % of available time the resource will spend on the task
 Check to see if the duration still makes sense
6. Check for over allocations: View >> Resource Usage

7. Over allocated?
1. Fix it yourself by changing assignments (50% assigned here, 50% assigned there), or by
juggling resources
2. Resource >> Level All (remove check boxes on bottom)
3. Check leveling to see what moved
8. Project >> Project Info >> Set Start Date
