Stakeholder List/Maps: A catalogue of the stakeholders

affected by a change, the need, or a proposed solution, and

a description of their attributes and characteristics related
to their involvement in the initiative.

This exercise is sometimes overlooked by business analysts when there is a

stakeholder list at the project level. The analysis is important in ensuring that the
stakeholders are fully understood. Engagement and outcomes of the business
analysis activities will improve through enabling identification of all possible sources
of requirements, understanding the impact assessment, knowing their participation
level and communication needs. Effective planning for stakeholder engagement,
collaboration, communication and risk assessment demonstrates customer centric
business analysis and contributes to better outcomes. The map information lends to
useful diagrams that depict the relationship of stakeholders to the solution, to one
another and to the development team.

Preparation Activity
Create a relevant template
Using the template provided, add or remove columns that are relevant to your
project. Consider what information will build a foundational understanding of all
stakeholders and stakeholder groups. Including your whole project team on your
stakeholder list contributes to effective, creative communication and productive
business analysis activity planning.

Execute
Use the template to complete as much information as you know and have access
to find about your stakeholders. Taking this first step is important because it will
uncover awareness of information unknown to you. Researching a company’s
organization chart, a project business case, Personas, a project or product plan may
all contribute to the initial information gathering.

• Review the gaps. Identify people that can contribute to fill those gaps and how
best to attain the additional information.

• Keep the Stakeholder List as a living document, updating regularly with changes
and new awareness.

• Actively use it to think about your audience when planning meetings,

workshops, drafting documentation, preparing communication. Better outcomes
will come from knowing key characteristics about your stakeholders like goals,
conflicts of interests, risks, etc.

Templates
The template provided is meant for you to customize appropriately to help you to get
started. Based on your needs and the needs of your team, project, product and/or
stakeholders thoughtfully add, revise or delete elements after you have downloaded
the template.
